Plan a startup conference side event around one clear outcome, then set its size, format and spending to match. Before announcing it, confirm the venue, access needs, schedule and local requirements; budget for the full event and keep a contingency rather than relying on optimistic ticket sales or unconfirmed free space.
1. Set the purpose, audience and scale
Decide what attendees should get from the gathering: founder introductions, peer learning, investor-founder discussion, product demonstrations or community building. Identify who it is for, estimate an attendee range and choose one or two outcomes you can check afterward—for example, whether participants made useful introductions or completed a discussion.
Let those choices determine the format. A compact meetup, roundtable, or short panel followed by informal networking can suit a conversation-focused goal, but it is not a universal formula. Keep the agenda short enough to fit both the confirmed room and the conference schedule.
2. Build a realistic budget before making promises
List estimated and actual costs side by side. Include the full event rather than just the room: a low venue fee can still lead to a high total if equipment, staffing, food or transport are extra.

Estimate income cautiously and costs somewhat generously. The UK Cabinet Office puts it plainly: “Be realistic. It’s better to underestimate income and slightly overestimate costs.” That is planning guidance, not a guarantee that a particular budget will cover a particular event. Consider best-, likely- and worst-case attendance or income, and check when money is due as well as how much the event may ultimately cost.
Decide in advance what you can scale back if income falls short. Protect the essentials—safe operation, access and clear attendee information—rather than assuming sponsorship or cutting accommodations at the last minute. Costs and applicable requirements depend on location, attendance, duration and format; no single figure is a reliable budget benchmark for every side event.

3. Compare venues by total cost and attendee experience
Ask the conference about side rooms, and consider local coworking spaces, startup offices, university entrepreneurship centers or community venues. Treat these as places to ask, not as guaranteed free or discounted options. Confirm the price, in-kind terms, permission and conditions directly before announcing the location.
Compare venues against the event’s actual needs:
- Capacity and layout: Is there room for the expected audience, the planned seating and a check-in point?
- Timing: Is the room available for the entire access window, including setup and cleanup?
- Access and location: Can attendees reach it from the conference, nearby hotels or transit? Check the accessible route, entrance and restrooms.
- Included services: Confirm Wi-Fi, AV, tables, chairs and registration space, and ask what costs extra.
- Operating conditions: Ask about food, security, cleaning, cancellation terms and any sound or other restrictions.
- Weather backup: If any part is outdoors, identify a workable indoor alternative.
A venue checklist from the Association of College and Research Libraries asks, “Is the venue accessible to conference hotels?” Adapt that question to your attendees’ likely routes: a cheap room that people cannot conveniently or accessibly reach may be the wrong choice.

4. Confirm permissions and conference logistics
Requirements for permits, insurance, food, alcohol, sound, accessibility, taxes and safety vary by jurisdiction, venue and event format. Ask the venue what it requires, then check with the relevant local authorities before committing to arrangements. Do not treat an example rule from another city, province or country as a rule for your event.
If the event is inside the conference venue, coordinate with its organizer about entry credentials, room equipment, scheduling, registration cutoffs and whether separate registration is needed. Conference-specific restrictions can include badge and access rules; confirm the rules for this conference rather than assuming a side event has the same access as the main program.

5. Keep the program simple and name an owner
Choose one lead organizer to coordinate with co-hosts, the venue, speakers and conference staff. Give each operational task a named owner, even if one person covers more than one role. A clear owner helps avoid gaps between booking, attendee communication and day-of decisions.
For a conversation-oriented event, a short welcome, one focused discussion and time to meet informally may be enough. Match the agenda to the room, event length and stated purpose; avoid adding a complicated production that creates cost without serving the intended outcome.

6. Promote clearly and make access information useful
Start with channels you or your partners can already reach, such as conference community groups, startup newsletters, partner mailing lists and direct invitations, before paying for promotion. Make the invitation specific: say who the event is for, what people will do, when and where it is, how much it costs, how to get there, and whom to contact.
Include accessibility details, invite accommodation requests in the RSVP flow and provide a contact person who can respond. Share the information early enough for people to arrange transport, support people or other accommodations. The Province of British Columbia recommends providing event information at least four weeks in advance to support participant planning; treat that as guidance from its context, not a universal legal deadline.
7. Prepare check-in and day-of roles
Assign responsibility for venue contact, check-in, program timing, speaker coordination and closeout. For a small gathering, a registration export or printed attendee list, pens, clear direction signs and handwritten badges may be sufficient. Blank badges are an optional practical supply, not a reason to buy a badge printer. Keep attendee information secure and limit access to people who need it to run check-in.
Before doors open, confirm the room is accessible and set up as planned, test any AV you will use, place directions where attendees need them, and make sure the person handling check-in knows whom to contact if a problem arises.

Reconcile actual spending against the estimate, settle outstanding expenses, thank attendees and contributors, and record attendance. Ask for brief feedback tied to the original objective, then note what to change in the next budget or plan. A short closeout gives you a better basis for future decisions than relying on memory.
