To free up your computer’s internal storage, move large personal files—such as old photos, videos, music, and documents—to a compatible USB drive or SD card. Copy or move the files, check that they open from the external drive, and only then delete the originals. The exact steps and supported drive formats differ between Windows, Mac, and Chromebook.

Before you move files

Find large files you can store elsewhere

Start with personal files you do not need to access every day. On Windows, Microsoft recommends checking large files and folders such as Videos, Music, Pictures, and Downloads. In File Explorer, open a folder, switch to Details view, and sort by size to identify candidates. Avoid moving system or application files as a way to reclaim space; this workflow is for your personal files.

Check capacity and compatibility

  • Make sure the external drive has enough free space for the files you select. Apple lists insufficient destination capacity as one reason a Mac may not be able to save a file.
  • Check that the drive’s connector and format work with your computer before buying or reformatting it. Apple lists APFS and Mac OS Extended for Mac, and MS-DOS (FAT) or exFAT as formats compatible with Windows. A Mac can read an NTFS drive but, in Apple’s cited guidance, cannot write to it.
  • A drive set up for Time Machine may be restricted to backups rather than general file storage.
  • On a Chromebook, supported external storage includes USB and SD devices, but support can vary by Chromebook and current software.

Formatting a drive erases its contents. If a Chromebook does not recognize a drive and asks to format it, do not continue until you have backed up any files on that drive somewhere else.

Move files on Windows 10 or Windows 11

  1. Connect the USB drive or SD card and wait for it to appear in File Explorer.
  2. Open the folder containing the personal files you want to move. To find large items, use Details view and sort by size; common places to check include Videos, Music, Pictures, and Downloads.
  3. Select the files or folders. Use Cut and then open the destination on the external drive and Paste, or use File Explorer’s Move to controls.
  4. Open the destination folder and check that the files are present and usable before deleting anything separately or unplugging the drive.
  5. When finished, use Windows’ safe-removal option and wait for the safe-to-remove notification before disconnecting the drive.

To save future personal files to another drive, go to Settings > System > Storage > Advanced storage settings > Where new content is saved and choose a destination for the relevant content types. Microsoft documents this option in its Windows storage guidance.

Move files on a Mac

  1. Connect the external drive and open it in Finder. Confirm it has enough free space and that you can write to it.
  2. Copy the files or folders to the external drive. If dragging an item to the drive does not move it, Apple’s documented fallback is to select it and press Command-C, open the destination, and press Command-V.
  3. Browse the external drive and open a sample of the copied files. Once you have verified the copy, delete the original from the Mac if your goal is to free internal storage.
  4. Eject the drive in Finder before unplugging it.

If you cannot save to the drive, check available space and permissions as well as the format. Apple says a Mac may read NTFS but cannot write to it using the support described in its guidance; APFS, Mac OS Extended, and exFAT are listed as formats suitable for writing. Move files on a Chromebook

  1. Connect a supported USB storage device or SD card.
  2. Open the Files app and use it to locate the files and the external storage destination.
  3. Copy or move the personal files to the external device, then check the destination and open a sample before removing local copies.
  4. In Files, select the external device and choose Eject before disconnecting it.

Chromebook support depends on the device and software. If ChromeOS does not recognize the drive and prompts you to format it, stop if it contains files you need: formatting erases them. What to do if the files will not move

  • The destination is full: Move fewer files, free space on the external drive, or use a larger drive. A destination needs enough available capacity for the files you are saving.
  • The Mac can open but not save to the drive: Check its format. NTFS is read-only for a Mac in Apple’s cited guidance; changing a drive’s format erases its contents, so back it up before reformatting.
  • The Chromebook does not recognize the drive: Check whether the device is supported for your Chromebook and software. Do not accept a format prompt until anything important on the drive is backed up elsewhere.
  • You are unsure whether a transfer worked: Open the external destination and test a sample of the files before deleting the originals. Keep the external drive connected until you have finished checking.
