You can migrate files to a new cloud storage provider without losing data by making an independent backup, inventorying what the old account contains, testing a representative sample, copying in controlled batches, and verifying the results before deleting anything at the source. The most easily missed losses are often not ordinary files: permissions, links, versions, comments, shortcuts, and features built into the old provider may not transfer with the file itself.
What can be lost in a cloud storage migration?
A migration can appear successful because the destination contains files with familiar names while still losing important information. Treat the files, their metadata, and the way people use them as separate things to protect.
- File contents: Confirm that the copied bytes are intact and that files open and behave as expected.
- Organization: Check folder paths, names, file counts, and whether shortcuts still point to the intended locations.
- Access: Verify ownership, permissions, shared links, and access for the people who need them.
- History and collaboration: Check versions, comments, and other collaborative features rather than assuming they are part of the file copy.
- Provider-native content: A document, form, site, map, or other object created inside one provider may not have an equivalent at the destination. It may need a separate export, recreation, or retention plan.
Google warns that unsupported content inside a file may not migrate; deleting the original can make that content unrecoverable. For that reason, “the copy completed” is not the same as “the migration is complete.”

What should I check before moving anything?
Start by defining what must arrive intact and how you will prove it. A short inventory and a written rollback plan make omissions and failed transfers easier to find before the old account is at risk.

Build an inventory of the source
Record or export the source folder tree and, where available, capture file counts, sizes, owners, sharing permissions, versions, shortcuts, and provider-native documents. Identify items that have no obvious one-to-one equivalent at the destination. For each such item, decide whether to export it to a portable format, recreate it, preserve access to it in the old account for a defined period, or exclude it with an explicit owner’s approval.
For a personal account, a spreadsheet can be enough. For a team, include the responsible person or group and mark any shared folders, collaborative workspaces, or records with retention requirements. A path in an inventory should identify both its source location and intended destination location; a matching filename alone does not prove that it landed in the right place.
Check destination constraints and migration requirements
Before selecting a transfer method, check the destination provider’s current limits and supported content. Limits can vary by provider, import route, account type, and time, so verify the documentation for the exact route you plan to use. Microsoft Support’s documented OneDrive import path, for example, lists a 15 GB maximum file size and exclusions including zero-byte files, long paths, and provider-specific objects such as Google Forms, Sites, Maps, and some shortcuts. Treat those as constraints of the documented import path, not a universal limit for every way of placing a file in OneDrive.
Write down requirements for permissions, links, comments, version history, encryption, native collaborative formats, long paths, large files, and zero-byte files. “Preserve this folder” is not a sufficient migration requirement if the people using it also need its existing sharing model or history.
Plan for change, rollback, and sign-off
Choose a period during which people can pause edits to the data being copied. If a full freeze is impossible, identify who will make changes, how those changes will be tracked, and when the final change pass will happen. Agree on who verifies the migration, how long the source and backup will be retained, and who has authority to approve decommissioning the old account.

For business data, account for ownership, legal hold, and retention obligations before moving or deleting anything. The appropriate retention window depends on your organization’s requirements; it is not safe to infer one from a transfer-completion notice.
How do I make a backup before migrating?
Keep a separate copy of critical data that does not depend on either cloud account being migrated. A destination copy is not an independent backup if a mistake, deletion, or synchronization problem can affect both the working files and that copy.

For files that need an offline fallback, a portable external hard drive backup is one practical option. Choose enough capacity for the data plus room for the inventory and any additional copies you intend to retain. If the data is sensitive, protect the backup with encryption, store it somewhere access-controlled, and keep the recovery key separate from the drive. Check that the backup can actually be read before relying on it.
Google Cloud’s 2024 Architecture Center guidance recommends enabling backup and versioning on the destination and validating data before removing the source. Destination versioning can help recover from accidental changes or deletes, but it does not replace a separate backup. Decide in advance which copy is the rollback copy and how long it will remain available.
Which migration method should I choose?
Choose a method based on the data and the controls it provides, not just on how quickly it starts. Compare the options against integrity checks, metadata fidelity, compatibility, change handling, scale, governance, and recovery.

| Approach | What to establish before using it | Best fit when |
|---|---|---|
| Provider import or migration feature | Confirm eligible file types, file-size and path limits, handling of native content, supported metadata, error reporting, and whether it can make a final change pass. | The documented import route supports the files and features in your inventory, and its result can be independently checked. |
| Download and upload through a computer | Confirm there is enough local capacity and a separate backup; keep a log of batches, failures, retries, and verification. Check how the method treats permissions, versions, and provider-native content. | You can control the copy in manageable batches and do not need an undocumented assumption about metadata transfer. |
| Cloud migration software or a migration partner | Ask for evidence of checksum validation, retry and mismatch reporting, audit logs, metadata handling, incremental changes, access controls, and recovery procedures. Test with a pilot before the full run. | The account’s scale, governance requirements, or coordination needs call for a managed migration process. |
No method should be presumed to preserve every feature. A transfer tool may copy file contents without reproducing the source’s sharing settings, versions, comments, links, or native objects. Require the method to demonstrate the requirements that matter to you during the pilot.

Use a controlled copy window and plan a final pass for changes made after the first transfer. A one-time copy can miss active files that changed while the migration was underway.
- Set the copy window. Tell affected users when to stop changing the folders or shared drives being migrated. Google advises avoiding modifications to documents, folders, and shared drives during migration.
- Let existing synchronization settle. If files are still syncing, do not treat an incomplete local copy as the source of truth. Dropbox recommends moving files in batches and avoiding edits to folders that are still syncing.
- Run a pilot. Select a representative sample of file types, paths, sizes, permissions, and provider-native content. Google Cloud’s 2024 Architecture Center describes performance testing on a 3–5% sample of a large dataset. That is a planning example for a representative pilot, not a universal required percentage.
- Copy a controlled first batch. Include enough variety to test the migration requirements, but keep it small enough to investigate errors. Compare the result before continuing.
- Continue in logged batches. Record each batch’s source and destination paths, status, errors, retries, and final verification result. Avoid changing already-in-progress folders where possible.
- Run the final change pass. After the initial copy is complete, transfer changes made during the copy window. If changes cannot be frozen, reconcile them deliberately rather than assuming the initial pass captured the latest version.
For every failure, keep the original item and its recorded source path available until a retry succeeds and verification passes. If a batch has unexplained omissions, pause the next batch and determine whether the cause is a limit, unsupported object, path issue, sync delay, or transfer error.
How can I verify every file copied correctly?
Use more than one check: completeness, integrity, metadata, and practical usability. A successful transfer status alone does not prove that every expected item arrived or that it works for the people who need it.
Compare the inventory with the destination
- Compare source and destination file counts and total sizes for each batch or folder.
- Check paths and names, including long paths and files with similar names.
- Confirm the expected versions and file set arrived, including items that changed during migration.
- Review ownership, permissions, shared links, and other metadata required by your inventory.
- Investigate any count or size difference instead of treating a near match as proof of completeness.
Use checksums where available
A checksum is a value calculated from file contents; comparing values from the source and destination can reveal that the content differs. Google Cloud Storage identifies CRC32C as its recommended validation method for integrity checks and documents CRC32C and MD5 validation. Use the validation controls available in your chosen migration route, retain mismatch reports, and retry or reject mismatched transfers rather than accepting them.

Checksum agreement addresses content integrity, not every migration requirement. It does not by itself prove that permissions, version history, links, comments, or provider-native behavior were preserved, so those need separate checks.
Open representative files and test access
Open representative documents, photos, videos, archives, and application data at the destination. Check that files are readable and behave as expected, not merely present. Test shared links and permissions with accounts that represent the intended users; an administrator’s access does not establish that a colleague or external collaborator can open the item.
Google Cloud Storage Transfer Service guidance also calls for checking the correct version, file set, and metadata after transfer. Keep the results of these checks alongside the migration log so a reviewer can see which batches passed and which needed correction.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What common migration failures should I look for?
Most avoidable problems become visible when the inventory, destination constraints, or pilot results do not match. Pause and resolve the cause before deleting source data.
| Symptom | What to investigate | Safe next action |
|---|---|---|
| Destination has fewer files or less data than expected | Skipped items, transfer errors, unsupported objects, files changed during the copy, or a batch that did not finish. | Compare the inventory by path and batch, review the error log, retry the missing items, and verify them. |
| A file will not transfer | File-size limits, zero-byte files, long paths, unsupported file types, or provider-specific objects. | Check the documented constraints for the exact import route. Export, rename, recreate, or retain the item at the source according to its importance and requirements. |
| The file exists but people cannot use it | Access permissions, ownership, links, application compatibility, or provider-native features that were not reproduced. | Test with the intended account, correct access separately, and confirm that the destination can support the required behavior. |
| The destination version is old | Edits made during the transfer window or a stale local sync state. | Identify the authoritative latest version, run the final change pass, and verify the corrected destination copy. |
| Counts match but confidence is low | Same-count substitutions, corrupted content, wrong versions, or metadata omissions. | Compare paths, sizes, checksums where available, metadata, and representative files; count agreement alone is insufficient. |
At very large scale, even a small source error rate can matter. Google Cloud’s 2024 Architecture Center illustrates that a latent source error rate of 0.0001% can still mean thousands of files and gigabytes of loss in a petabyte- or billion-file-scale dataset. That example explains the value of validation at massive scale; it is not a forecast for an ordinary personal migration.

When is it safe to delete the old cloud account?
Only decommission the old provider after the destination has passed verification, required stakeholders have signed off, and the agreed retention period has ended. Preserve the source and independent backup through that rollback period.
- Resolve every unexplained count, size, checksum, access, or compatibility difference.
- Confirm the final change pass is complete and that the destination contains the intended current versions.
- Have the data owners or responsible stakeholders approve the result, including any documented exclusions or items retained in the old provider.
- Confirm that backup, destination versioning, recovery access, and any legal-hold or retention obligations are handled.
- Keep the old account available for the agreed rollback window. Delete or cancel it only after the window closes and the authorized owner approves decommissioning.
Google Cloud’s migration guidance says to validate data before removing the source data. Applying that rule means treating account cancellation as the last operational step, not as part of the transfer itself.
Frequently Asked Questions
What does a checksum tell me during a cloud migration?
A checksum is a calculated value based on a file’s contents. Matching source and destination checksums are evidence that the file contents match, but they do not establish that sharing settings, comments, versions, or provider-native features were carried over.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Should I encrypt an offline backup before migrating?
If the backup contains sensitive data, protect it with encryption and store it somewhere access-controlled. Keep the recovery key somewhere separate from the drive, and verify that you can read the backup before relying on it.
Does a completed cloud transfer mean I can stop keeping a backup?
No. A transfer-completion message is not a recovery plan, and the destination can be affected by later mistakes or unwanted changes. Retain an independent copy according to your recovery and retention needs.
Can I migrate files while people are still editing them?
It is possible to plan around ongoing work, but a single initial copy may miss changes made during the transfer. Agree on how edits will be tracked and reconcile them in a final change pass before sign-off.
