On Windows 11, open the Dropbox icon in the taskbar notification area, choose your account menu, select Preferences, open Backups, and click Manage backups. That screen is the control center for checking coverage, changing folders, viewing status, opening deleted items, and removing a backup. Dropbox has both a legacy and an updated Backup experience, so the labels and available controls can differ. This guide shows how to identify your version, verify what is protected, adjust schedules and folders, stop a backup safely, and restore files without confusing a cloud backup with an ordinary File Explorer folder.

What does Dropbox Backup do on Windows 11?

Dropbox Backup continuously copies selected files and folders from your Windows computer to Dropbox while leaving the originals where they are. It is designed for recovery after loss, corruption, or a computer replacement; it is not a shared workspace for editing the backed-up copy.

The desktop app supports Windows 10 and Windows 11, but not Windows in S mode. Backups are viewed from Dropbox’s Backup area on the web or through desktop recovery flows. They do not appear as a second, downloaded backup folder in File Explorer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Computer backup: covers selected folders on the hard drive containing the installed Dropbox desktop app.
  • External-drive backup: can be configured separately for compatible drives formatted NTFS, exFAT, or FAT32.
  • One-way protection: changes in the source are reflected in the backup; the backup is not a collaboration folder.

Dropbox may show changes immediately in some configurations, while other configurations integrate changes about every 15 minutes. Always use the status shown in your account rather than assuming a particular delay.

Where are my Dropbox backups?

Your backup set is in Dropbox’s web Backup view, not in a normal local folder named “Backups.” On the computer, the selected Desktop, Documents, Pictures, or other folders remain in their original Windows locations. The cloud copy is organized for recovery, so browsing to your local Dropbox folder in File Explorer will not show a second copy of every backed-up file.

What do I need before setup?

Install the Dropbox desktop app, connect to the internet, keep syncing resumed, and make sure your Dropbox plan has enough available storage. An external drive is optional: buy or connect one only if you also want a separate local copy. Dropbox does not require an external drive for a computer backup.

Where do I find Dropbox Backup settings?

Use the desktop app’s Preferences path first; it works for both Backup interfaces.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Click the Dropbox icon in the Windows 11 taskbar notification area. If it is hidden, click the ^ icon to reveal background apps.
  2. Open the account menu (your profile picture or initials) and choose Preferences.
  3. Select the Backups tab.
  4. Click Manage backups beside the computer or drive you want to inspect.

The management page normally exposes the selected folders, synchronization status, deleted items, and a command to delete the backup. In the legacy experience you may also see history, skip-file, or Rewind controls. Dropbox says some of those controls are not available after moving to the updated Backup experience.

If the Dropbox icon is absent, start the desktop app from the Windows Start menu and wait for it to finish loading. A browser-only Dropbox session cannot provide the same device-specific Preferences controls. Windows in S mode is not supported by the desktop app, so the normal taskbar workflow is unavailable there.

How can I tell whether Dropbox is backing up my files?

Open Preferences → Backups → Manage backups and read the status for the relevant computer. Then verify the folder list rather than relying only on a green or “up to date” indicator.

Check the coverage list

  • Confirm that Desktop, Documents, Pictures, or any custom home-folder locations you need are selected.
  • Look for an explicit warning, paused state, or a count of files still being processed.
  • Open the sync-issues queue if particular files failed; Dropbox surfaces files that could not be backed up there.
  • For an external drive, confirm that the drive is connected and mounted before interpreting its status.

Check timing

The updated Backup experience supports scheduled runs at 15-minute, daily, weekly, or custom intervals. Dropbox describes 15 minutes as the recommended option. A schedule controls when Dropbox checks and integrates changes; it does not guarantee that every file finishes within that interval, especially during a large first upload or when the connection is paused.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Some Dropbox backup configurations show changes instantly, while others integrate changes about every 15 minutes. Use the status panel for your account to determine whether a recent edit has reached the cloud. For a large upload, a scheduled check may start the work while the actual transfer continues much longer.

Check prerequisites

  • Keep the desktop app running and resume syncing if it is paused.
  • Maintain an internet connection and enough free Dropbox storage for the selected data.
  • Do not sign out or shut down while a large initial backup is still processing.
  • Inspect the sync-issues queue instead of assuming that an overall “complete” message proves every individual file succeeded.

How do I change which folders Dropbox backs up?

Change the selection from the computer’s Backup management screen, then allow the next run to complete.

  1. Go to Dropbox taskbar icon → account menu → Preferences → Backups → Manage backups.
  2. Choose Modify, Change selection, or the equivalent folder-selection command shown in your version.
  3. Tick the folders you want protected and clear folders you no longer want included.
  4. Save the selection and watch the status until Dropbox finishes applying it.

The updated experience allows more folders within your Windows user home folder than the older interface. Dropbox advises against moving, deleting, or renaming the top-level folders selected for backup; doing so can stop that backup. If you need a different location, change the selection first, let Dropbox finish, and only then reorganize files.

When you remove a folder from the selection, treat that as a coverage change, not as a command to erase the original Windows folder. Keep a copy locally until you have confirmed what remains in the Dropbox Backup view and decided how to handle older cloud versions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Selective sync can silently exclude folders

Before migrating to the updated Backup experience, inspect Selective sync. A folder unchecked in Selective sync is not present locally and therefore will not be included in the backup. Re-enable the folder and let it download before expecting Backup to protect it.

What happens to online-only files during an update?

Dropbox says online-only files are downloaded to the computer’s hard drive when you update to the updated Backup experience. Make sure the drive has enough free space before starting. The update cannot be rolled back, so review the selection and storage impact first.

How much storage will a new selection use?

Estimate the size of every selected folder, including online-only data that may be downloaded during migration, and compare it with your Dropbox quota and local free space. If the cloud quota is too small, reduce the selection or move to a plan with sufficient storage. Dropbox does not publish a universal amount of free space for every setup; the relevant limits are the quota and the size of your own files.

What is the difference between legacy and updated Dropbox Backup?

Your account, not Windows 11 itself, determines which controls appear. The updated experience adds broader home-folder selection and scheduling, while the legacy interface exposes a different set of recovery and history controls.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Capability Legacy experience Updated experience
Folder selection More limited selection model More folders within the computer’s home folder
Scheduling Not stated in the available documentation 15-minute, daily, weekly, or custom schedules
History, skip-file, and Rewind May be available Some controls are unavailable
Migration behavior Existing setup Online-only files are downloaded; rollback is not supported

If an instruction in a Dropbox help page does not match your screen, do not force the old workflow. Use the labels visible under Backups and check the status panel for your account. A missing Rewind or history button can therefore indicate the updated experience rather than a Windows problem.

How do I back up an external drive?

An external drive is optional. Dropbox can back it up as a separate source, but it is not automatically included in the computer backup.

  1. Connect the drive and ensure Windows recognizes it.
  2. Open Preferences → Backups → Manage backups and choose the option to add or configure an external-drive backup.
  3. Select the drive or permitted top-level folders, then start the setup.
  4. Keep the drive connected while Dropbox processes changes; disconnecting it pauses protection for that source.

On Windows, Dropbox lists NTFS, exFAT, and FAT32 as supported external-drive formats. The computer backup itself covers the hard drive where the desktop app is installed; another internal drive is not automatically included and must be handled according to the options Dropbox presents for your account.

There is no requirement to purchase a particular brand or model. An external hard drive is simply an optional local-copy supplement to the cloud backup. If you disconnect it for travel, expect its backup status to stop advancing until the same drive is reconnected and readable by Windows.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I stop, remove, or delete a Dropbox Backup?

Deleting a backup removes the cloud backup set; it is a separate action from deleting the original files on your PC. Read the confirmation dialog carefully before accepting it.

  1. Open the Dropbox taskbar menu and choose Preferences.
  2. Go to Backups and select Manage backups.
  3. Choose the computer or external drive, then click Delete backup.
  4. Review which backup is being removed and confirm only if that is your intention.

Dropbox requires the desktop app for this workflow in normal circumstances. If you no longer have access to the device, Dropbox documents unlinking the device as an alternative account-management step. Unlinking does not instruct Windows to erase your source files, so handle local deletion separately and only after confirming you have another copy.

Deleting a backup is also different from pausing sync. A pause temporarily stops processing; deletion removes the cloud backup set. If your goal is only to stop activity while troubleshooting, leave the backup configured and resume it after the issue is resolved instead of confirming Delete backup.

How do I restore files from Dropbox Backup?

Use the web Backup view for individual folders or the desktop restore flow when replacing an entire computer.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Restore selected folders

  1. Sign in to Dropbox on the web and open Backup.
  2. Choose the relevant Mac or PC backup.
  3. Select the folders or files you need.
  4. Download them to the new or repaired computer, then place them in the desired local folders.

This method is practical when only a few folders are missing or when you want to inspect the backup before changing a replacement computer. Keep the downloaded copy separate until you have checked filenames and dates, then merge it into the Windows folders you actually use.

Restore an entire computer backup

  1. Install the Dropbox desktop app on the replacement computer.
  2. Sign in with the account that owns the backup.
  3. When Dropbox offers the computer backup, confirm the restore and follow the on-screen destination prompts.
  4. Leave the app running until the transfer completes; large backups can take substantial time.

The entire-computer flow is intended for a replacement or rebuilt PC. Do not interrupt it simply because the first visible folders have arrived; the status can continue while less frequently used data transfers.

Recover deleted folders

The desktop Backup view includes a way to show deleted folders and restore them. If a deleted item is not listed, check the account’s recovery window and any retention policy that may have permanently disposed of it.

Where should restored files go?

Dropbox’s restore workflow presents destination prompts for an entire computer. For selected-folder downloads, choose a local destination on the repaired or replacement Windows installation and avoid overwriting a newer file until you have compared the copies. Backup is a recovery source, not a location in which to continue editing.

How long can I recover deleted Dropbox Backup files?

Dropbox’s standard deleted-file recovery periods are plan-specific. The figures below come from its recovery information updated September 25, 2026; they are standard periods, not a promise that every file remains recoverable for the entire interval.

Dropbox plan Standard recovery period
Basic, Plus, Family 30 days
Professional, Essentials, Standard, Business 180 days
Advanced, Business Plus, Enterprise, Education 365 days

Add-ons may extend retention. Data-disposition policies can cause earlier permanent deletion, so begin recovery as soon as you notice a problem and do not treat the table as an archival guarantee.

The recovery period is counted according to Dropbox’s account and file-recovery rules, not by how long the computer remains online. If a deleted folder matters, open Backup promptly, look for the deleted-items workflow, and start restoration before investigating other causes.

Why is a folder missing from Dropbox Backup?

Most missing-folder cases come from selection, local availability, or a paused/failed sync rather than from the restore screen itself.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Not selected: reopen Manage backups and inspect the current folder list.
  • Selective sync exclusion: re-enable the folder so it exists locally before backing it up.
  • Moved or renamed top-level folder: return it to the selected path or reconfigure the selection.
  • Paused syncing: resume Dropbox and wait for the status to change.
  • Insufficient quota: free Dropbox storage or adjust the selection; a backup cannot complete beyond the available quota.
  • File-specific failure: open the sync-issues queue for the exact filename and reason.

For an external drive, reconnect it using the same drive and check that Windows still mounts it with a readable format. A disconnected source cannot send new changes until it is available again.

If the folder was online-only during a migration, wait for Dropbox to download it before judging coverage. If the top-level folder was renamed, changing only a subfolder name may not repair the selection; reconfigure the selected path shown in Manage backups.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

What should I check before migrating to updated Backup?

Migration is permanent, so prepare the local computer before accepting it.

  • Review Selective sync and make sure every required folder is available locally.
  • Check free disk space because online-only files may be downloaded.
  • Check free Dropbox quota against the total selected data.
  • Finish or pause large file operations and keep the computer connected to power.
  • Record which folders are selected so you can verify the post-migration list.
  • Note any legacy history, skip-file, or Rewind controls you rely on, because Dropbox says some are unavailable in the updated experience.

After migration, confirm the new schedule, review the status display, and test recovery with a noncritical file. This catches an incorrect selection before you rely on the backup for an emergency. Because rollback is not supported, do not begin migration until the local and cloud storage checks are complete.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can Dropbox Backup replace a second backup?

Dropbox Backup provides an off-device cloud copy, but resilient protection is stronger when important data also exists in another independent location. An optional external drive can provide that local copy, while Dropbox handles the cloud copy. Keep the two copies separate enough that deleting or corrupting one does not automatically remove the other.

Quick Windows 11 management checklist

  1. Open the Dropbox taskbar icon and go to Preferences → Backups → Manage backups.
  2. Confirm the computer or external drive you are checking.
  3. Review selected folders, Selective sync, quota, and the current status.
  4. Check the schedule if you use updated Backup, remembering that 15 minutes is Dropbox’s recommended interval but not a completion guarantee.
  5. Use the sync-issues queue for individual failures.
  6. Restore from the web Backup view or the desktop replacement-computer flow.
  7. Delete a backup only after reading the confirmation and verifying another copy exists.

Frequently Asked Questions

Can I back up a second internal drive with Dropbox Backup?

Dropbox’s computer-backup description covers the hard drive where the desktop app is installed. A different internal drive is not automatically part of that computer backup; review the drive-specific options shown in your account or copy essential data into a selected folder.

Will updating Backup delete my files?

The update changes how Dropbox manages the backup and downloads online-only items to the local disk. It does not instruct Windows to delete your source files, but you should verify free disk space and the selected folders before accepting an update that cannot be rolled back.

Free tools Windows power users keep installed

What if Dropbox says a backup is complete but one file is absent?

Check the folder selection, Selective sync state, and the sync-issues queue for that filename. A completed overall status can coexist with an individual file that was skipped, unavailable locally, or rejected because of a sync error.

Can I restore a backup if the original Windows 11 PC is gone?

Yes. Sign in to Dropbox on the replacement computer, install the desktop app, and use the offered computer-backup restore. For only a few items, use the web Backup view and download the required folders instead.

Do Dropbox backups show up in File Explorer?

No. The source folders remain in their normal Windows locations, while the cloud copy is accessed through Dropbox’s Backup view or restore workflow. You should not expect a second downloaded backup folder.

Do I need to buy an external hard drive?

No. An external drive is optional. Dropbox can back up a compatible NTFS, exFAT, or FAT32 drive separately if you want an additional local copy, but it is not required for computer Backup.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why did my backup stop after I renamed a folder?

Dropbox advises against moving, deleting, or renaming top-level folders selected for backup because those actions can stop protection. Restore the selected path or change the selection in Manage backups, then wait for status processing to finish.

How do I know whether a deleted file is still recoverable?

Open Dropbox’s Backup view and deleted-items workflow promptly. Standard recovery is 30 days for Basic, Plus, and Family; 180 days for Professional, Essentials, Standard, and Business; and 365 days for Advanced, Business Plus, Enterprise, and Education. Add-ons and data-disposition policies can change those results.

The Bottom Line

For Windows 11, manage Dropbox Backup from Dropbox taskbar icon → Preferences → Backups → Manage backups. Verify selected folders, Selective sync, status, schedule, quota, and any sync issues before relying on the copy. Restore through Dropbox’s Backup view or the desktop replacement-computer flow, and remember that deleting a backup removes the cloud set but does not delete your local source files.
