To manage AI access in Google Workspace, treat Gemini availability, access to Workspace content, chat retention, third-party app access, and smart features as separate controls. Administrators manage organization-level policies; content owners’ sharing permissions limit which files Gemini can use; and users control certain smart-feature and consent settings. Turning off the Gemini app does not necessarily turn off AI features embedded in Workspace services.
Which settings control Gemini’s access to Workspace data?
There is no single “AI access” switch that governs every Gemini or AI feature. Google describes separate administrator, content-owner, and user controls, and those controls apply to different products and data paths.
| Control layer | Who manages it | What it affects |
|---|---|---|
| Gemini app availability | Workspace administrator | Access to gemini.google.com and Gemini mobile apps for the organizational scope selected by the administrator. |
| Workspace content permissions | Content owners and administrators through existing sharing controls | Which Workspace content Gemini can access. Sharing and download, copy, or print permissions can limit access. |
| Gemini conversation history | Workspace administrator | Whether conversation history is enabled for managed accounts and, if enabled, the selected retention period. |
| OAuth app access | Workspace administrator | Which third-party apps can access Google data, and whether their access is trusted, limited, restricted to specific data, or blocked. |
| Smart features and consent | Users, subject to available organizational controls and the feature | Some AI-assisted experiences, personalization in other Google products, and whether Gemini may take certain actions or use certain information. |
Google’s Workspace Learning Center explains that both administrators and content owners can control data access, preventing Gemini from using content to generate a response. In practice, a user may have Gemini available but still be unable to use a particular file if its sharing permissions do not allow access. Conversely, disabling the Gemini app does not by itself establish that every AI feature inside Workspace services is disabled.

How do I turn the Gemini app on or off for my organization?
Administrators can set the Gemini app’s service status in the Admin console and apply the policy to an organizational unit or configuration group. This setting controls gemini.google.com and the Gemini mobile apps; it does not control every AI feature embedded in Workspace services.

Use this control when the question is whether managed users can open the Gemini app. If your goal is to control Gemini’s use of Drive, Gmail, or other Workspace content, review the content-sharing permissions and the relevant smart-feature or service controls as well. Those are separate decisions, not consequences you can assume from the Gemini app’s service status.
What this setting does not switch off
The Gemini app setting is not a universal AI-disable control for Workspace. AI-assisted features within Calendar, Chat, Drive, Gmail, Meet, and Voice are addressed by Workspace smart-feature settings, while Chrome has a separate policy surface. Review each product boundary that matters to your organization rather than treating the Gemini app status as an all-purpose control.
How can an administrator control Gemini conversation history?
For managed accounts, administrators can enable or disable Gemini conversation history and choose a retention period of 3, 18, or 36 months when history is enabled. Google documents 18 months as the default.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- In the Admin console, go to Generative AI > Gemini app > Gemini conversation history.
- Choose whether conversation history is enabled for the relevant organizational scope.
- If it is enabled, select 3, 18, or 36 months.
- Save the policy and communicate the setting to affected users.
Disabling history does not mean every existing chat disappears immediately. Google says existing chats may remain for up to 72 hours after history is turned off so the service can operate and feedback can be processed. Explain this temporary retention when setting user expectations; do not describe the change as instant deletion.

This policy governs conversation-history retention for managed accounts. It is separate from file-sharing permissions and OAuth app access, so changing the retention period does not change which Workspace data Gemini can access or which external apps can access organizational data.
How do I block or limit third-party apps that access Workspace data?
Use API controls in the Admin console to review and govern OAuth apps connected to your organization. Administrators can apply access policies by organizational unit or group and choose among Trusted, Specific Google data, Limited, or Blocked.
- In the Admin console, go to Security > Access and data control > API controls.
- Open Manage App Access.
- Review apps in the configured, accessed, and pending-review views to understand their status.
- Select an app and assign the appropriate access policy: Trusted, Specific Google data, Limited, or Blocked.
- Apply the policy to the organizational unit or group that should be governed by it.
Do not assume that an app will appear in the review interface the moment someone authorizes it. Google notes that app details may take 24–48 hours to appear after authorization. If a recently authorized app is not listed yet, account for that delay before concluding that it was never connected.

- Trusted: Use when your organization intends to allow the app under its trusted-app policy.
- Specific Google data: Use when access should be limited to specific Google data rather than granted broadly.
- Limited: Use when the app should have limited access under the available policy.
- Blocked: Use when the app should not access organizational Google data.
The available information does not define every permission included in each category, so treat these labels as policy choices to evaluate in the app’s details and your organization’s requirements—not as a substitute for reviewing the app and the data it requests.

Can an administrator stop Gemini from using Drive or Gmail content?
Control access through Workspace content protections and sharing permissions, rather than relying only on the Gemini app switch. Google says existing Workspace data protections apply automatically to AI features, and content owners’ permissions can prevent Gemini from using particular material to generate a response.
For Drive content, review who can access the files and the applicable download, copy, and print permissions. Those permissions are part of the data boundary Gemini must respect. For Gmail or other services, review the Workspace controls that apply to the relevant feature and the account’s smart-feature settings; do not infer a universal Gmail or Drive block from a different product’s setting.
Google states that Workspace Gemini interactions stay within the organization and that content is not used for model training outside the domain without permission. This is a Workspace privacy commitment, not a promise that Gemini cannot access any organizational content: access still depends on the feature, the user’s permissions, and the applicable Workspace protections.

Review the two categories separately. Turning off smart features in other Google products removes those personalization experiences; it is not the same as disabling the Gemini app or blocking an OAuth app. Likewise, a smart-feature choice should not be treated as a replacement for Workspace file permissions or administrator API controls.
Because the exact controls available can depend on the account and organization, users should review the smart-feature choices presented for their Workspace account, while administrators should set and communicate organizational policies for the services they manage.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How are Chrome’s Gemini controls different from Workspace controls?
Chrome policy is a separate control surface from Workspace privacy and data-access policies. Google’s Chrome documentation identifies GenAiDefaultSettings as a control for feature and model-improvement behavior; changing it does not change the terms governing Workspace interactions.
If you administer both Workspace and Chrome, assess them independently: use Workspace controls for Gemini app access, Workspace content protections, conversation history, and OAuth apps; use the Chrome policy for the browser behavior it governs. Do not interpret a Chrome setting as an override of Workspace agreements or permissions.

When does Gemini ask users before taking an action?
Gemini may ask for permission before using a browser, acting in a Google or third-party app, or sharing information. Depending on the feature, a user may be able to deny permission, allow it once, allow it for the current chat, or always allow it.
These prompts are user-level consent choices and do not replace organization policy. An administrator’s app-access restrictions or a content owner’s sharing permissions may still limit what can happen, even when a user is willing to grant permission.
How should an organization audit its AI access settings?
Audit by product boundary and data path, not by searching for one global AI switch. The following checklist keeps the main controls distinct.
- Gemini app: Confirm whether the service is enabled, which organizational units or groups are included, and whether the intended scope is gemini.google.com and mobile-app access.
- History: Confirm whether conversation history is enabled and, if so, whether the selected retention is 3, 18, or 36 months.
- Workspace content: Review sharing and download, copy, or print permissions for content that should not be available to Gemini.
- OAuth apps: Review configured, accessed, and pending-review apps in Manage App Access, then set the appropriate app policy and organizational scope.
- Smart features: Review AI-assisted Workspace experiences and the separate choice about personalization in other Google products.
- Chrome: Evaluate browser policy separately from Workspace data protections and agreement terms.
- User guidance: Explain how permission prompts work and that disabling history may leave existing chats for up to 72 hours.
When a policy change seems ineffective, first check that it was applied to the right organizational unit or group. Then account for the documented propagation or visibility delays: up to 24 hours for Gemini app setting changes to take effect, and 24–48 hours for some OAuth app details to appear after authorization.
Frequently Asked Questions
Does turning off Gemini history delete old chats immediately?
No. Google says existing chats may remain for up to 72 hours after history is disabled to support service operation and feedback processing. That temporary period is distinct from the retention choices available when history remains enabled.
Does Chrome’s Gemini policy change Workspace data protections?
No. Chrome’s GenAiDefaultSettings relates to Chrome feature and model-improvement behavior; it does not change Workspace agreement terms or Workspace access policies. Manage the browser and Workspace settings as separate control surfaces.
Can I let Gemini use my Workspace data to personalize other Google products?
Workspace offers a separate smart-features setting for using Workspace content and activity to personalize experiences in other Google products. Turning that setting off removes those experiences; it is separate from smart features within Workspace services.
