Make accessibility part of the robotics demo itself: script and narrate the visual facts, publish accurate synchronized captions, provide a complete descriptive transcript, and use a keyboard-operable, labelled player. Add an audio-description track when narration cannot convey an important action. This combination lets viewers understand the robot’s identity, movements, sounds, telemetry, errors and result whether they are Deaf, blind, Deaf-blind, watching muted, or working in a noisy environment.
The practical order is to plan access before filming, record clean speech and useful machine sounds, create and human-edit captions, write the transcript, add description where needed, then test the final page without relying on sight, sound or a mouse.
What does an accessible robotics demo video need?
A robotics demonstration is accessible when its essential information is available through more than one sensory channel. A viewer should be able to determine which robot is operating, where it is, what it is trying to do, how it responds to objects and controls, what indicators or screens show, whether the test succeeds, and whether a failure or safety interruption occurs.

Do not treat a transcript as a replacement for captions. Captions are timed to the video; the transcript is a complete, separately readable alternative. A keyboard-operable player with labelled controls makes those assets usable after you publish them.
What do WCAG 2.2 and W3C guidance require?
For prerecorded robotics footage, the applicable requirements depend on whether the video contains essential speech and visual information. WCAG 2.2 Success Criterion 1.2.2, Level A, requires captions for all prerecorded audio in synchronized media. Criterion 1.2.3, Level A, requires an audio description or a media alternative for prerecorded video, while Criterion 1.2.5, Level AA, requires audio description for prerecorded video.
W3C’s media-planning guidance describes the practical split: needed speech calls for captions at Level A; needed visual information calls for audio description or a descriptive transcript at Level A. W3C identifies a transcript for prerecorded video with audio as a Level AAA provision, and a descriptive transcript or audio description as the Level A route for video-only content.
These are conformance requirements, not audience-percentage estimates. A production team should still provide the broadest useful combination because captions, transcripts and descriptions serve different people and use cases.
“Captions are provided for all prerecorded audio content in synchronized media…” — World Wide Web Consortium, WCAG 2.2 Success Criterion 1.2.2 (2024).
W3C’s transcript guidance says, “Ideally you provide a descriptive transcript, and then you do not need a separate basic transcript.” A descriptive transcript is particularly valuable to Deaf-blind viewers and to anyone who needs to consume the content without playing the video.
How should you script the demo before filming?
Write the access information into the spoken script before anyone presses Record. If a fact matters to understanding the experiment, do not leave it only in a diagram, a silent movement, a gesture, a screen overlay or a color-coded light.
Identify the scene and the participants
- Name or describe every robot, human operator, test object and relevant location.
- State the robot’s starting position and orientation, such as “The six-wheel robot is facing the blue barrier on the east side of the test lane.”
- Explain the task objective and controls before movement begins.
- State test conditions that affect interpretation, including whether the run is autonomous, teleoperated, simulated or interrupted.
Narrate actions as they happen
- Describe direction, distance and meaningful speed changes.
- Explain when a sensor detects an object, a gripper closes, a collision occurs, an object is dropped, or the robot changes state.
- Read out essential telemetry, code output, labels, warnings and indicator changes that appear on a screen.
- Say the outcome plainly: successful completion, partial completion, failure, emergency stop or operator interruption.
Use concise sentences and natural pauses. Those pauses give an audio-description track room to add visual details later. A script that says only “Here is the result” while the robot performs the important action forces blind and low-vision viewers to guess.

How do you record speech and robot sounds clearly?
Keep narration distinct from motors, fans and room noise. A close microphone, sensible gain and a quiet recording position help, but the key production decision is intelligibility: viewers must be able to distinguish the explanation from the machine.
- Record a clean spoken track with consistent volume and identify speakers when more than one person talks.
- Capture meaningful non-speech sounds, such as an alarm, confirmation beep, gripper movement or motor stop, without allowing them to mask words.
- Describe any sound that is important but difficult to hear in the final mix; the caption file and transcript should not depend on a viewer recognizing it by ear.
- Review the mix with headphones and ordinary speakers, checking the quietest and loudest sections.
Do not remove every machine sound automatically. A warning beep or abrupt motor stop can explain a safety state, so retain it when it carries meaning and label it in text.
How do you write a descriptive transcript?
Write a complete, readable account rather than a speech-only script. Include every spoken line, the speaker’s name, meaningful non-verbal audio in brackets, on-screen text and concise descriptions of visual actions that a viewer needs in order to follow the test.

Include these elements
- Speech: transcribe the words exactly enough to preserve technical meaning, including robot names, component numbers and commands.
- Speakers: identify changes such as “Maya (operator):” and “Alex (engineer):”.
- Sound: use labels such as “[warning beep]”, “[gripper closes]” and “[motor stops]”.
- Visual action: describe movement, orientation, grasping, collision, dropped objects, indicator changes and the final state.
- Text on screen: transcribe telemetry, code output, labels and warnings needed to interpret the result.
- Conditions and outcome: state whether the run succeeded, failed or was interrupted and why that matters.
Keep descriptions specific but economical. “The arm moves” is insufficient if direction or object interaction affects the test; “The arm rotates clockwise, lowers 10 centimeters and closes its gripper around the red cylinder” conveys the relevant facts.
Where should the transcript appear?
Publish it next to the video in accessible HTML or plain text and link to it with a clear label such as “Read the descriptive transcript.” Do not make the only copy a difficult-to-access PDF or Word document. The transcript must be reachable without starting the video and must remain usable on a phone or keyboard-only setup.
How do you create accurate synchronized captions?
Captions must match the spoken words in time and include meaningful sound effects. Identify speakers when a viewer could otherwise be confused, and keep each caption on screen long enough to read.
- Generate an initial caption file if that speeds production, but treat it as a draft.
- Correct robot names, model numbers, technical terms, units, commands and punctuation against the script and recording.
- Add bracketed sound cues, for example “[warning beep]” or “[motor stops],” when they affect understanding.
- Align caption timing with the actual speech and event, not merely with an automatically detected sentence boundary.
- Place captions so they do not hide the robot, controls, diagrams, telemetry or a safety indicator. Check both wide and narrow screens.
- Watch the video while reading captions, then review captions without relying on audio to catch missing context.
British Columbia’s guidance on videos and multimedia, updated in 2026, specifically advises reviewing and editing auto-generated captions or transcripts before publication. Automatic speech recognition commonly misreads names and specialized robotics vocabulary, so human correction is essential.

You need audio description when an important visual fact is not already conveyed by the narration, captions or an equivalent descriptive transcript. Captions make audio available as text; they do not tell a blind viewer that the robot turned left, picked up the wrong object or displayed an error unless someone describes that information.

Use narration during the original edit when possible
The simplest approach is to incorporate concise visual descriptions into the main script: “The left sensor light changes from green to red, and the robot stops before the barrier.” This keeps one synchronized version for everyone and leaves less work after filming.
Add a separate description track when pauses are insufficient
If the narration cannot cover the visual action without interrupting essential speech, insert descriptions during natural pauses or provide a separate audio-description track. The description should explain only the visual information needed to understand the demonstration, not every decorative detail.
For example, if the operator says “The algorithm has completed,” but the screen simultaneously shows a failed grasp, the description should identify the failed grasp and the visible error. A transcript can carry the same information in text, but an audio-description track gives a person who cannot see the screen an equivalent experience while the video plays.

How do you choose between captions only, a transcript, and full description?
Captions alone are the minimum useful layer for spoken audio, but they do not cover visual-only evidence. Use the comparison below to match production effort to information and audience needs.
| Production option | Information coverage | Audience served | Additional work | Risk if used alone |
|---|---|---|---|---|
| Captions only | Spoken words and meaningful sounds in sync | Deaf and hard-of-hearing viewers; people watching muted or in noise | Caption timing, speaker labels, sound cues and human editing | Visual movement, telemetry and outcomes may remain inaccessible |
| Captions plus descriptive transcript | Speech, sound, on-screen text and important visual actions in a readable alternative | Captions users, blind and low-vision readers, Deaf-blind users, language learners and people who cannot play media | Write and publish a complete transcript beside the player | A viewer who needs synchronized spoken description may still miss visual events during playback |
| Captions, transcript and audio description | Timed speech and sounds, independently readable description, and spoken visual information during playback | The broadest range of hearing, vision and Deaf-blind access needs | Script integration or an additional narrated track, plus player support | More editing and quality assurance; descriptions can obscure speech if poorly timed |
When the demo contains essential visual evidence, the full combination is the most robust choice. If a descriptive transcript already conveys every visual fact, it can satisfy an alternative-access route, but it should not be used as an excuse to omit audio description where the applicable conformance target or audience requires it.
How do you publish the video in an accessible player?
The surrounding page and player determine whether your carefully prepared assets can actually be used.
- Provide a clearly labelled captions control and make captions switchable when the player supports that function.
- Ensure play, pause, seek, volume, captions and any description-track controls work with the keyboard alone.
- Give every control an accessible name so assistive technology can identify it.
- Use readable contrast and place captions where they do not conceal the robot, controls, diagrams or telemetry.
- Put the transcript link beside the player, not in a separate area that requires the video to be played first.
- Check responsive behavior on a phone, where controls may be compressed and captions may cover more of the image.
Oregon Department of Education guidance summarizes the target this way: “An accessible video includes captions, a transcript, and audio description and is delivered in an accessible media player.”
How do you test a robotics demo before publication?
Use several review modes because each exposes different failures.

Watch with captions
Confirm that every spoken line appears, speaker changes are clear, sound cues are meaningful and timing is comfortable. Verify that captions never hide the robot’s gripper, a warning light, a control panel or an important diagram.
Listen without looking
Play the video with the screen covered or turned away. Can you identify the robot, its task, movement, object interaction, state changes, errors and outcome from narration, sound and description alone?
Read the transcript without playing
Check that a reader can reconstruct the test from the transcript itself. Correct missing visual actions, on-screen text, safety states, technical names and outcome details.
Operate the page by keyboard
Tab through the page and player. Confirm visible focus, logical order, labelled controls, an operable captions toggle and a transcript link that can be reached without a mouse.
Perform a technical terminology pass
- Verify robot and component names against the build documentation.
- Check numbers, units, sensor names, code output and warning text character by character.
- Confirm that captions, transcript and audio description describe the same event sequence.
- Review both successful and failed runs; do not silently remove an interruption that explains the result.
What robotics-specific details are easiest to miss?
General captioning rules do not automatically explain a robotics experiment. Before publishing, confirm that the assets answer each of these questions:
- Which robot, operator, object and location are shown?
- What is the robot attempting before movement starts?
- Which direction, distance or speed change matters?
- Did the robot grasp, collide with, drop or release an object?
- What do sensor indicators, alarms and screen outputs mean?
- Were code output, labels or warnings visible and necessary for interpretation?
- Did the run succeed, fail, stop for safety or end through operator intervention?
- Are meaningful sounds such as a warning beep, gripper closure or motor stop captioned?
- Do captions stay clear of the robot and important interface elements?
Answering these questions in the script and transcript prevents a common failure: technically accurate speech that still leaves the demonstration’s decisive visual evidence unavailable.
What are the common accessibility failures and fixes?
Auto-captions contain robotics errors
Symptom: model names, acronyms or measurements are wrong. Fix: compare the generated file with the recording and script, then have a human correct terminology, punctuation and timing before release.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
The transcript is only a speech transcript
Symptom: it contains dialogue but not the robot’s movement, screen text or outcome. Fix: add concise visual-action descriptions, on-screen text and meaningful non-verbal sounds in brackets.

Captions cover the demonstration
Symptom: a caption hides a gripper, warning light or telemetry panel. Fix: reposition captions where the player permits it, redesign the shot when necessary, and test on small screens.
The player requires a mouse
Symptom: a keyboard user cannot start playback, toggle captions or reach the transcript. Fix: replace or configure the player so controls are keyboard-operable, visibly focused and properly labelled.
Visual description arrives too late
Symptom: the narrator explains an action after it has finished, or no description is available during playback. Fix: script descriptions into pauses, add a dedicated audio-description track, and retest with the screen unavailable.
What is the most efficient production sequence?
- Plan: list every visual, spoken and sound-based fact needed to understand the test.
- Script: identify robots, people, objects, location, controls, indicators, actions, conditions and outcome.
- Film and record: capture intelligible narration and meaningful machine sounds.
- Transcribe: produce the descriptive transcript with speech, speakers, sounds, on-screen text and visual action.
- Caption: synchronize speech and sounds, then correct the draft manually.
- Describe: add in-script descriptions or a separate audio-description track for uncovered visual information.
- Publish: place the transcript beside the video and use a labelled, keyboard-operable player.
- Review: test with captions, without sight, without audio and with keyboard-only navigation.
This sequence catches access problems while they are still inexpensive to fix. Rewriting a sentence during scripting is usually simpler than reconstructing an unexplained robot action after publication.
Frequently Asked Questions
Can I use automatic captions for a robotics video?
Yes, as a starting point, but not as the finished accessibility layer. Specialized names, acronyms, measurements and commands need human correction, and the timing and placement still require visual review.
Should technical diagrams and telemetry be included in the transcript?
Include them when they are needed to interpret the test or its result. Transcribe the relevant labels, values, warnings or code output and explain what changed, rather than reproducing decorative interface detail.
How can I make a video accessible to Deaf-blind viewers?
Publish a descriptive transcript that combines speech, meaningful sounds, on-screen text and important visual actions in accessible HTML or plain text. A keyboard-operable page lets a person reach and read that alternative without depending on the video player.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsDo captions need to identify non-speech sounds?
Identify sounds when they communicate a state or event, such as a warning beep, gripper closure or motor stop. A generic soundtrack label is less useful than a concise cue that explains why the sound matters.
What should I do if there is no natural pause for audio description?
Rewrite the narration to include the visual fact, edit the timing to create a brief pause, or publish a separate audio-description track. Do not omit an action that is necessary to understand success, failure or safety.
