To protect sensitive data in AI apps on a Mac, send as little as possible: remove identifying details, credentials, and unrelated pages, and use an approved business or local workflow for confidential, personal, or regulated material. Then check what the app can access in macOS and how its service handles storage, deletion, and model training. A Mac’s security settings help control access to local files, but they do not automatically protect information you choose to upload to an AI provider.

Can an AI app read everything on my Mac?

No—not simply because you installed it. An app can receive information you type or upload, and macOS permissions may allow additional access to files, the screen, input, or other capabilities. The precise access depends on the app, the task, and the permissions you grant. Treat an app with broad permissions as a different risk from a chatbot that only receives the text you paste into it.

macOS protects certain locations and capabilities behind user consent. Apple’s file-access security guidance describes these controls. They are useful boundaries, not a guarantee that information sent to a cloud service remains on your Mac.

What the permission categories mean

  • Files and Folders: Review which locations an app can access, such as folders containing documents. Access to one folder does not mean you should assume the provider receives every file there; check the app’s behavior and the specific task.
  • Full Disk Access: This is unusually broad. Do not grant it as routine setup. Require a clear, task-specific reason, and consider whether the task can be done by selecting and uploading one file instead.
  • Screen Recording: An app with screen access may process visible windows or information shown on screen. Close confidential documents before using screen-aware or computer-use features.
  • Accessibility and Input Monitoring: These capabilities can support interaction with the interface or monitoring input. Grant them only when the feature genuinely requires them.
  • Microphone and Automation: Check whether voice features or control of other apps need these permissions. Allow only the capability needed for the intended use.

What should I check before sending sensitive information?

Use this checklist before typing a prompt, attaching a file, sharing a screen, or using an AI feature that can interact with other apps. If the material is confidential, personal, or regulated, pause first: use an approved business or local workflow rather than a publicly available chatbot by default.

  • Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
  1. Classify the material. Decide whether it is public, internal, confidential, personal, or regulated. For employment, health, legal, financial, and other regulated data, follow your organisation’s policy and contractual requirements.
  2. Decide whether the AI service is approved. If the information is confidential, personal, or regulated, do not send it to a public chatbot by default. Check your organisation’s approved tools and any applicable rules before proceeding.
  3. Remove details that identify people or grant access. Check the text and attachments for names, email addresses, phone numbers, addresses, account or client identifiers, dates of birth, financial and health information, passwords, tokens, API keys, and private keys.
  4. Use stable placeholders where context matters. Replace names or identifiers with labels such as [CUSTOMER_A] and use the same label consistently. That preserves relationships the AI needs to follow without including the person’s real identity.
  5. Clean the document. Remove comments, tracked changes, hidden metadata, unrelated pages, and any other material the task does not require. Review the final file—not just the visible paragraph you intended to share.
  6. Check the destination’s settings. Review its privacy, retention, deletion, training, and workspace controls. Account-level settings can change what happens to a conversation.
  7. Send the smallest useful excerpt. Provide only the passage or file needed to answer the question. Do not attach a whole folder or document when a short, redacted excerpt will do.
  8. Clean up when finished. Delete temporary files and chats using the service’s available controls, and revoke macOS permissions granted only for the task. Do not assume that removing a local copy or chat also removes every provider-side copy.

Why minimisation matters

Every unnecessary detail creates another piece of information to protect. The Office of the Australian Information Commissioner (OAIC) recommends that organisations avoid entering personal information—particularly sensitive information—into publicly available generative-AI tools because of the significant and complex privacy risks. Its guidance on commercially available AI products was published on 21 October 2024 and updated on 17 January 2025.

That recommendation is especially relevant when a document combines content that seems harmless with details that identify a person or reveal a sensitive situation. Removing a name alone may not be enough if an account number, client reference, exact date, or surrounding context still identifies them. If the task can be completed with a generic example, use one.

How do I review and limit an AI app’s Mac permissions?

Open Apple menu > System Settings > Privacy & Security, then inspect the relevant permission categories. Review access after installing an AI app and again if you enable a new feature, such as screen-aware assistance or control of other apps.

  1. Open Files and Folders and review which apps can access protected folders. Turn off access that is not needed for the app’s current purpose.
  2. Open Full Disk Access. If an AI app is listed, ask why it needs such broad access. Do not enable it merely because setup asks; look for a narrower way to provide the required file.
  3. Inspect Screen Recording, Accessibility, and Input Monitoring. Remove access when the feature is not in use or its purpose is unclear.
  4. Review Microphone and Automation as well. Keep only permissions that support a feature you intend to use.
  5. When macOS prompts for a new permission, match the request to the action you are taking. If the app asks for access unrelated to that action, deny it until you understand the reason.

Apple’s developer notice dated 2 October 2026 warns that Full Disk Access can expose files, mail, messages, and browsing history, and says new controls are being introduced as AI agents become more capable. Read the Apple developer notice alongside the permission request in front of you; do not interpret it as a reason to grant broad access.

Limit what screen-aware features can see

Screen sharing, screenshots, and computer-use features can expose more than the selected text: other windows, notifications, and visible account details may also be in view. Before enabling one, close unrelated documents and accounts, and avoid leaving confidential material open. Treat copied text and screenshots as data being processed whenever an AI app has screen, accessibility, or computer-use access.

How do Apple Intelligence and third-party AI apps handle data differently?

Apple’s documented privacy claims apply to Apple Intelligence, not automatically to every AI app on a Mac. Apple says Apple Intelligence uses on-device processing where possible and can route complex requests through Private Cloud Compute. Third-party apps may handle prompts, uploaded files, screenshots, and telemetry under their own policies.

Question Apple Intelligence Third-party AI app
Where is processing done? Apple says requests are assessed for on-device processing; complex requests can use Private Cloud Compute on Apple silicon servers. Depends on the particular app and feature. Check whether processing is on-device, in the provider’s cloud, or a combination.
What happens to requests in the cloud? Apple says Private Cloud Compute data is not stored or made accessible to Apple and is used to fulfil the request. Not established by Apple’s Apple Intelligence commitments. Check the provider’s own current policy.
Are files, screenshots, or telemetry included? The stated model concerns Apple Intelligence requests; check the specific feature and information presented to you. Handling depends on the app and feature. Review its permissions and terms for prompts, files, screenshots, and telemetry.
Do the same privacy guarantees apply? Apple describes its own Apple Intelligence model. No. Do not extend Apple’s Private Cloud Compute claims to unrelated providers.

Apple’s explanation of Apple Intelligence privacy on Mac describes that service’s approach. A third-party app can still transmit information you provide to its own service, even on a Mac with strong local security. Verify the app and the particular feature rather than relying on the device brand as a proxy for the provider’s practices.

Is ChatGPT through Apple integrations private?

OpenAI describes different handling depending on whether you use ChatGPT through Apple integrations without an account or connect an account. Without an account, OpenAI says it does not receive your IP address, store requests, or use them to train its models. If you connect an account, account-level data preferences apply; conversations may be saved to chat history, and model-improvement settings can be changed.

These statements are specific to ChatGPT through Apple integrations and do not establish the handling of every ChatGPT app, integration, or other AI service. Before sending sensitive material, check the current OpenAI guidance for ChatGPT through Apple integrations and the account settings that apply to your use. Temporary Chat is also available in ChatGPT apps or on the website, but do not treat a temporary mode as permission to submit information your organisation prohibits sharing.

How can I protect data stored locally on my Mac?

FileVault encrypts the Mac’s startup volume, helping protect local data if the Mac is lost or stolen or if its storage is accessed offline. It does not govern what an AI service receives after you submit a prompt or file.

Apple explains that, without valid login credentials or a recovery key, the encrypted volume remains protected even if the storage device is removed and connected to another computer. Enable FileVault in System Settings and keep its recovery key available through a controlled process. The key is essential to the recovery plan, so do not leave it in an unprotected text file. See Apple Platform Security for Apple’s description of FileVault.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Protect access to the Mac and accounts

  • Use a strong device password and automatic screen lock so an unattended Mac is harder to access.
  • Turn on multi-factor authentication for AI accounts where available.
  • Use passkeys or system authentication where supported, and store secrets in Keychain rather than plain-text files. Apple’s privacy guidance recommends these approaches.
  • When practical, keep highly sensitive work in a dedicated user account, browser profile, or managed workspace. Separate contexts reduce the chance of mixing sensitive work with unrelated activity, but do not replace permission review or data minimisation.

How should I compare AI apps before sharing work?

Compare the exact app and feature you plan to use. A provider’s general privacy statement may not answer what a particular screen-sharing or file-analysis feature can access.

Check What to find out Why it matters
Processing location Is the feature on-device, cloud-based, or hybrid? It clarifies whether the request leaves the Mac and which provider handles it.
Retention Are prompts, files, screenshots, and outputs stored, and for how long? Deletion and storage periods can differ by content type or feature.
Model training Can consumer content be used to improve models by default, and how do you opt out? Training use is separate from whether a conversation is stored in history.
Permissions Does the app need Files and Folders, Full Disk Access, Screen Recording, Accessibility, Input Monitoring, Microphone, or Automation? Permission scope indicates what the app may access locally beyond the text you deliberately submit.
Deletion and administration Are user deletion, export, audit logs, workspace controls, regional processing, or contractual commitments available? These controls may matter for teams, regulated work, and organisational oversight.
Human review and accuracy Can provider staff or support systems access content, and how will outputs be checked before consequential use? Privacy is not the only concern: an incorrect answer can also create harm if acted on without review.

If the service does not clearly answer a question that matters to your work, do not infer a reassuring answer. Ask the provider or your organisation’s administrator, or choose an approved workflow with terms and controls suited to the data.

What should I do if I accidentally shared sensitive data?

Stop sending additional details and take action based on the sensitivity of what was exposed. Use the service’s deletion controls if available, but do not assume deleting a chat removes all provider-side copies unless the provider documents that result.

  1. Identify what was sent, to which service and account, and whether the material included credentials, personal data, or regulated information.
  2. If a password, API key, token, or private key was exposed, follow the relevant account or organisation process to revoke or rotate it.
  3. Use the service’s available deletion controls for the conversation or uploaded file, and note any confirmation or stated limits.
  4. For work data, contact your organisation’s security, privacy, or compliance contact promptly and follow its incident-reporting policy.
  5. Review the app’s Mac permissions and remove access that is no longer needed. Check whether an open screen or shared window exposed additional information.

Local cleanup and provider-side handling are separate. Removing a downloaded file from the Mac does not, by itself, establish what happened to a copy already submitted to a service.

Frequently Asked Questions

Does turning off AI model training stop an app from storing my prompts?

Not necessarily. Training use and storage or chat-history retention are separate settings, so check each one in the service’s current privacy controls rather than treating an opt-out as a deletion setting.

Can I use a work AI account for client information?

Only if your organisation’s policy and applicable client, contractual, and regulatory requirements allow that specific service and feature. A work login alone does not establish that the workflow is approved.

What is the safest way to summarize a sensitive document with AI?

Use an approved workflow, create a copy with identifying and unnecessary details removed, then submit only the relevant excerpt. Keep the original separate and verify the summary before relying on it.

Does deleting an AI chat erase uploaded files from the provider?

That depends on the provider’s documented deletion behavior and the service involved. Look for explicit information about file deletion and retention; deleting a local copy is not evidence that a provider-side copy has been removed.
