Keep live meeting captions ordered by treating every transcript update as an event in an event-sourced pipeline: receive realtime deltas, store them with stable IDs and timeline metadata, publish them to a durable stream, and let each caption sink replay from its own acknowledged cursor. Display provisional text immediately, but treat completed segments as commit points that can revise earlier partial text. This design handles out-of-order completion events, WebSocket reconnects, duplicate delivery, and downstream systems such as CART caption endpoints without silently losing words.

The key distinction is transport order versus speech order. Packet arrival tells you when your service received data; provider item IDs, segment IDs, and speech-time intervals tell you where text belongs. Preserve both, then reconcile captions at the application layer.

What is the durable fan-out architecture for live meeting captions?

A durable fan-out design separates ingestion, ordering, storage, and delivery. The ingestion service accepts provider events and immediately records their identity and timing. A durable stream then distributes those immutable events to independent consumers: a web caption view, an archive writer, an analytics job, or a CART adapter. Each consumer tracks its own cursor and can replay events without forcing every sink to run at the same speed.

Use four layers

  1. Provider adapter: Convert each provider’s WebSocket or realtime message into a normalized internal event. Keep provider-specific authentication, heartbeat rules, IDs, and finality flags in this layer.
  2. Immutable event log: Persist the original event before acknowledging it upstream. Store enough metadata to reconstruct the transcript even if a materialized view is corrupted.
  3. Durable stream: Publish the normalized event to a replayable stream or queue. Consumers should be able to start from a saved cursor rather than only receiving messages that arrive after they connect.
  4. Materialized caption views: Build a current transcript, speaker timeline, or downstream request stream from the event log. These views are disposable projections; the event log is the source of truth.

This is an at-least-once system in practice. A restart can cause an event to be delivered again, so every write and projection must be idempotent. A consumer acknowledges its cursor only after its durable work succeeds.

How do I keep transcript events in order when completion events arrive out of order?

Do not sort captions by packet arrival time. Correlate updates to the provider’s stable item or segment identity, retain speech-time metadata, and apply your own monotonic ordering for committed turns. OpenAI’s realtime transcription documentation explicitly warns that “Ordering between completion events from different speech turns isn’t guaranteed.”

In an OpenAI realtime transcription session, incremental delta events add text while completion events indicate that an item is finished. Two speech turns can complete in a different order from the order in which they were spoken. Use the event’s item_id to update the correct segment, then place completed items according to your application sequence or the timeline metadata you retain. The provider’s event documentation is at OpenAI Realtime transcription.

Keep provisional and committed state separate

  • Provisional state: The latest accumulated delta for an item or segment. It is safe to replace when a later delta corrects wording.
  • Committed state: The final text and ordering decision for a completed turn. Treat this as a commit point, while retaining the underlying events for audit and replay.

A useful projection key is (meeting_id, session_id, item_id). Upserting by that key prevents a duplicate delta from appending the same words twice. For a completed turn, record an application sequence assigned when the ordering decision is made; do not derive that sequence from the time your network process happened to receive the message.

Why GPT-Live timing needs interval reconstruction

GPT-Live transcript deltas include start_ms and end_ms. Delivery can be uneven, so preserve each fragment and its interval instead of sorting fragments by arrival. A segment that arrives late may belong between two fragments already displayed. Your projection can temporarily show a best-effort line, then replace or splice text when the missing interval arrives. See Managing GPT-Live sessions for the timing fields.

Which fields should a normalized caption event contain?

Store the provider payload as an immutable original plus a normalized record. The normalized record should contain the identifiers and timeline information needed to deduplicate, order, replay, and explain a caption.

Field Purpose
meeting_id Identifies the meeting across reconnects or sessions.
session_id Identifies the provider connection or transcription session.
source_event_id Stable deduplication key for the provider message, when supplied.
item_id or segment ID Associates deltas and completion events with one speech item.
Participant or source ID Preserves speaker attribution or the audio source.
Sequence or timeline position Supports application-level ordering of committed turns.
start_ms and end_ms Preserves speech-time intervals for fragment reconciliation.
Text delta Contains the newly delivered or replacement text.
Provisional/final status Distinguishes replaceable text from a commit point.
Provider and ingestion time Identifies the source and records transport timing for operations.

Huawei’s meeting caption payload demonstrates why these fields matter: it includes a caption ID, participant ID, finality, timestamp, begin time, and end time. Treat those as provider data, not as a universal schema; map them into your normalized fields while retaining the original payload. The reference is the Huawei Cloud Meeting API.

How do I implement ordered caption fan-out step by step?

  1. Open the provider session. Authenticate, subscribe to transcription events, and start the provider’s required connection maintenance. Record the meeting and session IDs before accepting deltas.
  2. Validate and assign identity. Check that every message has a provider event ID or a safe composite identity. Reject malformed events into a quarantine stream rather than inventing text or IDs.
  3. Persist before publishing. Write the raw payload and normalized event to durable storage in one transaction or with an equivalent outbox guarantee. Include ingestion time, but never use it as the speech order.
  4. Publish to the replayable stream. Put the normalized event on a durable topic keyed by meeting or session. Partitioning by meeting keeps related events together while allowing different meetings to scale independently.
  5. Project provisional text. For a delta, upsert the segment’s current text. The operation must be idempotent: replaying the same source_event_id cannot append duplicate words.
  6. Reconcile timing and order. For interval-based fragments, merge by start_ms/end_ms. For completed turns, use the provider item ID and your application’s monotonic sequence. Keep a short-lived “pending” state for items whose predecessor has not arrived.
  7. Commit final segments. When a completion event arrives, mark the segment final and emit a committed-caption event. Keep prior provisional events in the log so a later audit can show how the display changed.
  8. Fan out to sinks. Each sink reads from its own cursor. A browser view may consume provisional updates, while an archive or caption relay may wait for committed lines.
  9. Acknowledge after durable processing. Advance the sink cursor only after its database write, cache update, or outbound request has succeeded. If the process stops first, replay is expected and deduplication prevents corruption.

Use a deterministic projection key

A practical key combines the meeting, session, and item or segment identity. Store a separate event-ID uniqueness constraint. The first protects the current segment from conflicting updates; the second prevents the same provider event from being applied twice during at-least-once delivery.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Expose state to readers

Caption clients should be able to distinguish provisional, final, and incomplete intervals. Showing a small “updating” state is more honest than presenting a guessed sentence as final, especially when a provider has signaled a gap.

How should caption replay work after a WebSocket reconnect?

Resume from the last acknowledged cursor, not from the wall-clock time of the reconnect. Replaying from a cursor makes the consumer deterministic and lets it recover events that were received but not fully processed.

Expect duplicates

Cloudflare documents at-least-once delivery on server restart and a reconnect queue of up to 10,000 unsent events. Its events documentation also describes explicit gap signaling after an upstream loss. Therefore, a reconnect handler must tolerate duplicate events and must inspect gap markers rather than assuming the queue is complete. See Cloudflare Realtime events.

Reconnect procedure

  1. Persist the last cursor only after the sink has completed its transaction.
  2. Reconnect and request delivery from that cursor, using the provider or stream’s resume mechanism.
  3. Apply events through the same idempotent projection used during normal operation.
  4. Detect an explicit gap or an expired cursor and mark the affected timeline interval incomplete.
  5. Alert or request a provider-side backfill when one exists; otherwise preserve the incomplete marker for downstream users.

Never silently fabricate missing words. A transcript with an explicit hole is operationally safer than a fluent sentence that was never delivered.

How do heartbeat timeouts affect meeting caption reliability?

Heartbeat behavior belongs in the provider adapter and should be monitored independently from caption ordering. Huawei documents WebSocket closure after 180 seconds without a heartbeat and recommends sending one every minute. Configure the adapter to send that heartbeat, record the last successful response, and reconnect before the documented timeout when possible.

Keep heartbeat traffic out of the caption event log unless you need it for diagnostics. Metrics should include connection age, last heartbeat, reconnect count, cursor lag, duplicate rate, and the number of intervals marked incomplete.

How do I send ordered captions to meeting platforms?

Normalize events first, then isolate each downstream protocol in an adapter. The core pipeline should not know whether a sink uses HTTP, WebSocket notifications, or a browser subscription.

Teams CART adapter

Microsoft Teams meeting APIs expose CART captions through an HTTP adapter. The adapter sends plain UTF-8 caption text in a POST request; each request creates a new caption line. Send only the committed lines your ordering policy has accepted, and make the adapter retry-safe so an outbound timeout does not advance its cursor prematurely. Details are in the Microsoft Teams meeting APIs.

Other meeting APIs

Other providers may deliver WebSocket notifications with different IDs, timestamps, and finality fields. Map those differences at ingestion, preserve provider-specific metadata for troubleshooting, and keep the same event log, cursor, deduplication, and gap semantics for every sink.

Which latency setting should I use for live transcription?

Choose a delay setting according to whether early partial text or stronger context matters more. OpenAI exposes settings from minimal through xhigh: lower delay surfaces partial words sooner, while higher delay provides more context and may improve word error rate.

Goal Practical choice Trade-off
Fast accessibility display Lower delay, such as minimal Earlier text can be revised more often.
Readable committed transcript Higher delay, up to xhigh More context may improve recognition, but users wait longer.
Mixed experience Show low-delay provisional text and commit with a higher-confidence policy Requires separate provisional and final projections.

The cited sources do not publish a universal end-to-end latency or accuracy number. Benchmark your own pipeline with representative microphones, telephony audio, accents, background noise, domain vocabulary, and long sessions. Measure capture-to-first-delta, capture-to-final, correction rate, gap rate, and sink delivery time instead of relying on a single average.

What should I compare when evaluating providers or designs?

Compare the complete delivery contract, not just transcription quality. A provider that emits excellent text but cannot resume or identify gaps may require more infrastructure in your service.

Axis Questions to ask
Ordering Is order guaranteed per source, per session, or globally? Are completion events allowed to cross?
Replay and cursors Can a consumer resume from an acknowledged position after a crash?
Duplicates Is delivery at least once, and which ID can safely deduplicate events?
Gap signaling Does the source explicitly report upstream loss or an expired replay position?
Timestamp quality Are speech-time start and end intervals available, or only transport timestamps?
Latency controls Can you trade earlier partial text for more context?
Adapters Are HTTP, WebSocket, or CART outputs supported without changing core ordering logic?
Operational limits What queue depth, heartbeat timeout, retention, and reconnect limits apply?

What failure modes should the system handle explicitly?

  • Out-of-order completion: Reattach the event by item ID and apply the application sequence; do not append it at the tail.
  • Duplicate delivery: Enforce uniqueness on source event ID and make projections idempotent.
  • Late fragment: Merge by speech interval and replace the provisional segment.
  • Expired cursor or upstream gap: Mark the interval incomplete and expose that status downstream.
  • Heartbeat timeout: Reconnect according to the provider’s documented interval and resume from the last acknowledged cursor.
  • Downstream outage: Stop advancing that sink’s cursor while other consumers continue; replay when the sink recovers.

This behavior gives operators a defensible audit trail: every displayed word came from a stored event, every correction can be replayed, and every missing interval is visible instead of being silently guessed.

Frequently Asked Questions

Can I build ordered captions without storing the raw provider events?

You can display a short-lived stream that way, but reliable replay and forensic debugging require an immutable event record. Keep the original payload alongside the normalized fields so provider-specific details are not lost when your schema evolves.

Should every caption consumer share one global cursor?

No. Give each sink its own cursor because a browser, archive, analytics job, and HTTP relay can fail or process at different speeds. A slow sink can then catch up without blocking consumers that are healthy.

What should users see when a transcript gap is detected?

Expose an explicit incomplete interval or status in the caption view and archive. Do not fill the hole with generated wording, because downstream readers need to know which portion was not received from the source.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

How can I test ordering logic before a production meeting?

Replay recorded events with shuffled completion order, duplicated IDs, delayed fragments, reconnects, and an injected gap marker. Verify that the final projection is deterministic, that reprocessing does not duplicate words, and that the incomplete state survives replay.
