Connect the interview service to your applicant tracking system (ATS) without creating a second source of truth: let an ATS stage change trigger an authenticated interview request, store stable IDs for the candidate and requisition, receive completion events through a signed webhook, and write only approved statuses and review artifacts back to the ATS. Recruiters must review the result and remain accountable for every hiring decision.
This design works for text, asynchronous voice, and other conversational interview formats. It also gives you a controlled way to handle duplicate webhooks, candidate notices, retention, deletion, accessibility, and the higher compliance obligations that can apply when AI evaluates applicants.
What architecture should you use for an ATS and conversational interview integration?
The safest pattern is to treat the ATS as the system of record and the interview platform as an execution and assessment component. The ATS owns the candidate profile, job requisition, stage history, recruiter notes, and final disposition. The interview service creates and runs the interview, then returns a result that recruiters can review.
- Trigger: An ATS stage transition or an explicit recruiter action calls the interview provider’s API.
- Invite: The provider returns an invitation URL or another candidate handoff. Save its run ID alongside the ATS candidate and requisition IDs.
- Event: The provider sends completion, report-ready, or stage events to your HTTPS callback. Polling can be a fallback when the provider supports it.
- Write-back: Your integration updates a dedicated interview stage or activity and attaches an approved report or transcript reference.
- Review: Authorized recruiters inspect the result, record their decision in the ATS, and can override or disregard an AI recommendation.
Do not let the interview platform silently replace recruiter notes, final disposition fields, or other ATS history. Keeping ownership clear makes reconciliation, audits, candidate requests, and vendor changes much easier.

What identifiers must travel through the integration?
Use immutable correlation keys rather than names or email addresses. At minimum, carry the ATS candidate ID, ATS job or requisition ID, provider run ID, and an idempotency key. Sapia’s API documentation, for example, requires customer, tenant, job, requisition, and candidate identifiers when ordering an application interview.
Store the mapping in an integration record. The candidate ID and requisition ID identify the ATS objects; the provider run ID identifies one interview attempt. If a candidate is invited again, create a new run ID while retaining the prior attempt for audit purposes.
How do you trigger an AI interview from Greenhouse, Workday, or another ATS?
Configure a deliberate ATS event rather than launching an interview whenever a candidate record changes. The usual trigger is a move into a dedicated stage such as “AI interview,” or a recruiter button that performs the same action after eligibility checks.
Recommended Free Tools
- Create the ATS stage and permissions. Add a stage that clearly indicates an interview is pending. Restrict who can move candidates into it and document whether the stage is optional, required, or role-specific.
- Validate the requisition and candidate. Confirm that the requisition is open, the candidate is not withdrawn or already completed, and the role is configured for the selected interview workflow.
- Obtain an access token. Use the provider’s OAuth flow, administrator authorization, or scoped API key. Grant only the operations needed to create an interview and read its status.
- Build the order request. Send the ATS candidate and requisition identifiers, the provider workflow or interview plan, a customer or tenant identifier when required, and your idempotency key. Avoid sending a resume, phone number, or full profile when a reference token is sufficient.
- Persist the response before notifying the candidate. Save the provider run ID, invitation URL, creation timestamp, and request status. If the provider returns a temporary failure, do not create a second run until you have checked whether the first request was accepted.
- Notify through an approved channel. Use the ATS email workflow or the provider’s invitation mechanism only after the integration record is durable. Include the AI notice, accessibility route, expected duration, and a human contact.
Greenhouse documents integrations in which an interview result is returned automatically, while other ATSs may require a custom activity or stage update. Workday and other enterprise systems can impose tenant-specific authorization and event configuration, so verify the exact API scope and event model in the edition you operate.
What should the integration data contract contain?
Keep the contract small, explicit, and versioned. A compact record lets you process events without copying unnecessary personal data between systems.
| Field | Purpose | Handling guidance |
|---|---|---|
| ats_candidate_id | Correlation to the ATS candidate | Use as an opaque identifier; do not substitute an email address. |
| ats_job_id or requisition_id | Correlation to the job | Validate that the interview workflow belongs to this requisition. |
| provider_run_id | Identifies one interview attempt | Persist before sending the invitation and include it in every event lookup. |
| external_id | Idempotency key for the create request | Generate deterministically for a candidate, requisition, and attempt. |
| invitation_url | Candidate handoff | Protect it as a credential; avoid exposing it in logs. |
| interview_status | Current provider state | Store the provider value and your normalized state separately. |
| completed_at | Completion timestamp | Keep the provider’s timezone or UTC offset. |
| score or rubric_result | Decision-support output | Store the rubric version and mark the value as a recommendation. |
| report_uri | Location of the report or transcript | Prefer a controlled reference over duplicating the document. |
| consent_or_notice_state | Evidence of candidate notification or consent where applicable | Record the notice version and time shown. |
| retention_deadline | Deletion control | Calculate from your documented policy and jurisdiction. |
| error_code | Operational diagnosis | Store a provider code and a safe, human-readable summary. |
Teamcast recommends a candidate_ref approach for PII-minimal workflows and documents purge operations. Use an equivalent reference-token design where possible. Encrypt data in transit and at rest, separate production and test tenants, and keep secrets in a managed secret store.

How should you implement signed webhooks and reliable event processing?
Expose a publicly reachable HTTPS endpoint, verify the provider signature before accepting the body, acknowledge quickly, and process asynchronously. Sapia states that a webhook endpoint is required for notifications. InterviewFi documents HMAC-signed events, scoped keys, delivery logs, and retries; Teamcast uses an X-Webhook-Signature header; LinkedIn documents HMAC-SHA256 validation and retry behavior.

Verify authenticity before parsing business data
- Read the raw request body without normalizing whitespace or character encoding.
- Extract the signature header and event ID.
- Compute the HMAC with the endpoint’s secret and compare it using a constant-time comparison.
- Reject missing, malformed, or mismatched signatures with a non-success response.
- Check a timestamp or freshness value when the provider supplies one to reduce replay risk.
Never log the full signed payload, invitation URL, transcript, or secret. Log the event ID, provider run ID, signature result, and a redacted error category.
Make delivery idempotent
Return a 2xx response as soon as the event is durably queued. Deduplicate by provider event ID; if no event ID exists, use a compound key such as (provider_run_id, event_type, version). A duplicate completion event must not create a second ATS activity, overwrite a recruiter decision, or send another candidate email.
Google’s webhook guidance documents timeout and retry behavior, so assume that a sender can deliver the same event more than once and can retry after your process has already committed a change. Put failed jobs in a dead-letter queue, retain the raw event only for the period allowed by your policy, and provide an operator replay action.
What if a provider has no replay endpoint?
Run a scheduled reconciliation job that reads recently changed or completed runs and compares them with your integration records. Mark each reconciliation result with the time and API cursor used. This catches an outage that occurred after the provider accepted an interview but before your endpoint received the event.

How do interview results get written back to the ATS?
Map provider states to a small set of approved ATS updates. Write to a dedicated interview activity or stage, attach a controlled report reference, and preserve the provider event ID. Do not automatically overwrite recruiter notes, final disposition fields, or an earlier human decision.

| Provider outcome | ATS action | Human action |
|---|---|---|
| Invitation created | Set the interview stage to invited and save the run ID. | Confirm the candidate received the notice. |
| Started or in progress | Record activity without changing disposition. | Investigate only if the duration or access pattern is abnormal. |
| Completed and report ready | Attach the report URI, rubric version, completion time, and normalized status. | Review the evidence and record the hiring decision. |
| Expired or withdrawn | Set an exception status and preserve the reason. | Decide whether to reschedule, offer an alternative, or close the attempt. |
| Failed | Set an integration-error activity with a safe error code. | Retry under policy or route to a recruiter. |
Greenhouse describes its Voice AI score as a recommendation produced by comparing a transcript with a customer-configured rubric. Recruiters and hiring managers may accept, modify, or disregard it; the system does not make the hiring decision. Treat every score and transcript as decision support, not an automatic rejection rule.
Which lifecycle states and failure branches should you model?
A practical normalized state machine is invited → started → in_progress → completed → review_required → synced, with failed, expired, and withdrawn branches. Keep the provider’s raw state alongside your normalized state because providers use different names and transition rules.
Delivery is not completion
Receiving a webhook proves only that an event was delivered. Inspect the event status and provider run ID, and fetch the authoritative report when the event says it is ready. A candidate can open an invitation without starting, abandon an interview, or finish while report generation is still pending.

- Duplicate event: Return success after the existing event is found; do not repeat the ATS write.
- Unknown run ID: Quarantine the event, check whether an order request is still committing, then reconcile through the provider read API.
- Report not ready: Keep the record in

- Candidate withdraws: Stop reminders, mark the attempt withdrawn, and invoke deletion or retention rules.
How do you keep an AI hiring integration compliant and trustworthy?
AI systems intended to recruit or select people, including systems that analyze applications or evaluate candidates, are listed as high-risk employment use cases in Annex III of the EU AI Act. The European Commission AI Act Service Desk describes obligations that include competent human oversight, input-data management, operational monitoring, and logs. Article 26 also sets information duties for deployers, while Article 27 describes documenting affected groups, risks, oversight, and mitigations for applicable systems.
Complete a pre-launch record
- Purpose of the interview and the decisions it may inform.
- Categories of data collected, including audio, transcript, rubric responses, and technical logs.
- Provider, subprocessor, processing regions, and transfer mechanism where relevant.
- Retention period, deletion trigger, backup handling, and candidate deletion path.
- Recruiter roles, approval rights, escalation contacts, and override procedure.
- Accessibility accommodations and a non-AI or human alternative.
- Monitoring metrics, incident response, and change-control process for rubric updates.
Assess whether a data-protection impact assessment or a fundamental-rights impact assessment is required in the jurisdictions where candidates are evaluated. Keep evidence of the assessment and revisit it when the interview mode, vendor, rubric, or data region changes.
Give candidates a meaningful notice
Explain that an AI interviewer is being used, what it records, how transcripts or scores are used, who reviews the result, how long the data is retained, and how to request human review or exercise applicable data rights. Do not bury this information in a generic privacy policy. Tell candidates how to obtain an accommodation or a human alternative before they start.

Prohibit sensitive inferences
Do not use voice tone, facial expression, body language, or other weak signals to infer protected traits or emotions. During vendor due diligence, verify the provider’s technical limitations and contractual promises. Greenhouse’s Voice AI FAQ, for example, says its system does not derive voiceprints or faceprints and that human personnel make decisions; comparable limitations should be documented for whichever provider you select.
How should you test accessibility and candidate experience?
Test the complete journey, not only the API response. Invite a test candidate, open the link on supported browsers and mobile devices, complete the interview, withdraw midway, request an accommodation, and verify every resulting ATS event.
- Provide keyboard navigation, captions or text alternatives where the interview mode requires them.
- Offer a human or non-voice path when speech, hearing, language, disability, connectivity, or privacy concerns make the default path unsuitable.
- Explain microphone, camera, recording, and transcript behavior before collection begins.
- Use plain language for time limits, retries, and support contacts.
- Check that a candidate can stop without losing access to a human contact or data-rights process.
Pilot with a representative accessibility cohort and one production role before expanding. Record completion rates and accommodation requests separately; a high completion rate among only the easiest-to-serve candidates is not evidence of an equitable process.
What should you compare when choosing an interview provider?
Compare integration and governance capabilities rather than demo polish. The decisive question is whether the provider can fit your ATS workflow while giving you control over data, review, and failure recovery.
| Evaluation area | Questions to ask |
|---|---|
| ATS coverage | Does it support your ATS edition, stage model, requisition identifiers, and write-back method? |
| Authorization | Are OAuth, administrator approval, scoped keys, secret rotation, and separate test tenants available? |
| Interview modes | Are text, asynchronous voice, live video, captions, language options, and human alternatives supported? |
| API and webhooks | Can you create, read, cancel, and reconcile runs? Are events signed, versioned, replayable, and documented? |
| Reliability | What are timeout, retry, rate-limit, delivery-log, and incident-notification behaviors? |
| Data controls | Where are recordings and transcripts stored? Can you configure retention, purge data, and obtain deletion evidence? |
| Scoring controls | Can recruiters inspect rubric versions, override scores, and prevent automatic rejection? |
| Auditability | Are event IDs, reviewer actions, consent or notice state, and configuration changes exportable? |
| Operational fit | What support, sandbox, documentation, migration, and custom middleware effort is required? |
Greenhouse documents a Humanly setup with automatic result return and an Alex integration using Harvest V3 authorization. These examples illustrate why authorization and result semantics must be checked per integration rather than inferred from a vendor’s general API claims.
What is the step-by-step implementation plan?
- Map the current ATS process. Document requisition creation, candidate stages, recruiter permissions, disposition codes, and the exact point at which an interview may be offered.
- Select a sandbox workflow. Create a test requisition and candidate, configure the provider interview plan, and record every identifier returned by both systems.
- Define the contract and state machine. Version the fields, normalized states, event types, retry policy, retention deadline, and approved ATS write-back fields.
- Implement creation with idempotency. Validate eligibility, submit the authenticated request, persist the run ID, and make a repeated request safe.
- Build the candidate notice and handoff. Show the AI disclosure, data-use explanation, accessibility route, and support contact before the invitation starts.
- Implement the webhook endpoint. Require HTTPS, verify the signature, reject stale or invalid requests, acknowledge quickly, enqueue work, and deduplicate events.
- Add report retrieval and ATS write-back. Fetch only when the provider reports readiness, attach the approved artifact reference, and never replace human disposition fields.
- Add reconciliation and deletion. Schedule read-API checks for missed events and test candidate or administrator deletion through every copy and backup covered by policy.
- Run failure tests. Simulate duplicate events, delayed reports, expired invitations, revoked credentials, provider outages, ATS rate limits, and a candidate withdrawal.
- Pilot and govern. Start with one role and a representative accessibility cohort, train reviewers, obtain sign-off from privacy and security owners, then expand only after metrics meet your thresholds.
Which metrics reveal integration problems?
Monitor technical and human outcomes together. At minimum, track invitation creation latency, webhook delivery latency, duplicate-event rate, failed-event rate, reconciliation discoveries, interview completion rate, report availability time, ATS write-back failures, manual overrides, accommodation requests, and candidate complaints.

Break metrics down by role, interview mode, language, device, and accessibility path where lawful and appropriate. A sudden increase in overrides may indicate a rubric or workflow problem rather than recruiter inconsistency. Review sampled decisions for evidence that recruiters considered the AI output rather than treating it as an automatic verdict.
How much does an ATS–AI interview integration cost and how long does it take?
There is no universal implementation price, timeline, or accuracy benchmark. The effort depends on the ATS edition, provider, geography, candidate volume, retention design, interview mode, security review, and how much custom middleware is required.
Estimate it during a scoped technical discovery that inventories API access, event behavior, sandbox availability, identity mapping, data-processing terms, accessibility work, monitoring, and deletion requirements. Ask for separate estimates for configuration, custom development, security and privacy review, pilot operations, and ongoing support; combining them into a single vendor headline obscures the real work.
What should the final operating rule be?
Keep the ATS as the source of truth, make stable IDs and signed, idempotent events the backbone of the integration, minimize the data you copy, and make candidate notice, retention, deletion, accessibility, and human review part of the technical design. An AI score or transcript can inform a recruiter, but it should never silently become the hiring decision.
Frequently Asked Questions
Can candidates opt out of an AI interview?
Your process should provide a clearly explained human or non-AI alternative where required by law, policy, or reasonable accommodation. Define who approves the alternative, how the candidate is moved to that path in the ATS, and how the original invitation and any collected data are handled.
What happens if the webhook endpoint is down during a completed interview?
Use the provider’s retry window when available, then run a scheduled reconciliation against recently completed runs. If the provider offers neither retries nor a read API, record that limitation as a launch blocker because you cannot reliably recover a lost outcome.
How should interview transcripts be retained?
Set a purpose-based retention deadline before launch, store the deadline with each run, and delete or anonymize the transcript, recording, report, logs, and derived score together when policy requires. Preserve only a minimal audit record when you need to prove that a review occurred without retaining the full conversation.
Can one middleware service connect several ATSs to several interview providers?
Yes, if it uses an internal canonical contract and adapter per ATS and provider. Keep provider-specific states, signature rules, and authorization details inside each adapter so a change in one system cannot alter another system’s candidate or requisition mapping.
