Start by choosing the competition, then build your school proposal around that program’s current eligibility, coach, registration, safety, and travel rules. There is no universal STEM-team rulebook: a Science Olympiad team, a TSA TEAMS team, and a student research project can have different membership and approval requirements.

Choose a competition before proposing a team

First decide what kind of challenge students want to take on: research, engineering builds, robotics, math, science events, or a multidisciplinary challenge. Then consult the organizer’s current rules and registration information. Confirm eligible grades and schools, team size, adult sponsor requirements, event format, calendar, travel expectations, safety rules, and costs. Those details determine what the school will need to approve.

For example, Science Olympiad’s eligibility rules apply to teams representing a member school; its membership information also addresses school-team membership. TSA’s TEAMS competitor information describes a different school and coach structure, while Society for Science’s ISEF rules govern student research and can require review before experimentation.

Find a teacher or school employee sponsor

Ask a teacher whose subject or extracurricular role fits the competition. Be specific about the adult’s responsibilities: serving as the school contact, helping with approval and registration, supervising school activities, coordinating forms and travel, and helping students find mentors where the rules allow.

TSA’s TEAMS guidance tells prospective competitors to ask a teacher to coach, and the coach is the registration contact. Science Olympiad says a principal must sign the roster. Its FAQ also notes that, even when a parent or another adult coaches, school administrators commonly require a contracted staff or faculty member to organize school paperwork for travel, including permission slips and medical and media releases: Science Olympiad FAQ.

Prepare a concise proposal for the school

Give the principal, activities coordinator, or other designated administrator enough information to evaluate the commitment. A short written proposal can include:

  • The competition name, official event dates, and a link to its current rules and registration page.
  • An estimate of interested students and the competition’s eligibility and team-size rules.
  • The proposed staff sponsor and the adult supervision plan.
  • Meeting frequency, requested room, and whether students will do lab work, use tools, or build devices.
  • Known registration, membership, materials, safety-equipment, transportation, and lodging costs.
  • Any expected travel, permission forms, or advance safety review.
  • A request for a decision on school funding, fundraising, purchasing, room use, and required forms.

This is a practical planning list, not a universal official school form. School and district procedures can add requirements beyond a competition organizer’s rules. Ask who approves clubs, who handles purchases, and who coordinates trips before collecting money or buying equipment.

Recruit students who meet the rules

Hold a brief interest meeting and explain the calendar, likely workload, travel expectations, and any costs. Check each student’s eligibility before promising a place; grade, school, age, membership, and team-size limits vary by event.

Use simple working roles to share the workload, such as event preparation, research or design, documentation, communications, and logistics. These are organizational suggestions, not roles required by competition organizers. Follow the selected program’s membership rules: for example, Science Olympiad does not allow a school team to recruit students from neighboring schools.

Register and build a season calendar

Have the coach verify the current registration steps, deadlines, roster rules, and payment method directly with the organizer. Put each milestone on a shared calendar, including registration, regular meetings, practice, submissions, permission paperwork, travel arrangements, and competition day.

TSA TEAMS illustrates why the calendar must be event-specific: its competition materials describe registration and practice alongside components such as an essay, design/build work, an exam, and mathematical modeling. The TSA page for the 2027 state competition described events in January and February and a four-part format; check the current TEAMS competitor page for the applicable season rather than carrying those dates or components forward automatically. A separate registration page for the 2026 national competition required school affiliation, a faculty primary coach, advance attendee registration, and written authorization when another adult chaperoned in the coach’s place; its May 6, 2026 authorization deadline was specific to that competition year: TSA TEAMS registration.

Set safety, permission, and travel procedures before activities begin

Ask the school to identify its procedures for club approval, room use, adult supervision, parent permission, medical information, media releases, purchasing, and trips. Match planned activities and equipment to both school policy and the competition’s safety rules. Science Olympiad maintains policies covering areas such as eye protection, lasers, and constructed devices: Science Olympiad safety policies.

Research projects need special attention before work begins. Under Society for Science’s ISEF rules, the student and Adult Sponsor are responsible for determining whether a project needs review before experimentation. Certain projects involving human participants, animals, or potentially hazardous biological agents require advance review. Do not start a study until the applicable rules and school process have been checked.

Make a budget the school can evaluate

Build a line-item estimate rather than presenting a single unsupported startup figure. Include competition registration and membership, materials, required safety equipment, transportation, lodging if needed, and meals. Ask which costs the school can cover and what fundraising or donation procedures it permits. Fees and spending rules depend on the competition, season, location, and school; there is no reliable universal STEM-team budget.

Choose preparation materials only after checking the event

Use the organizer’s current rules and resources as the baseline. Science Olympiad says participating teams receive a rules manual and access to online resources: Science Olympiad learning resources. If a relevant build event calls for additional practice materials, Ward’s Science describes officially licensed, event-aligned Science Olympiad kits, including build kits with detailed plans: Ward’s Science Olympiad kits. Confirm that any kit matches the current event and that the school’s purchasing process allows it.
