To free up Google storage, first check which service is using it, then remove unneeded large files and permanently clear the relevant Trash. Google storage is shared across Drive, Gmail, and Google Photos—and Google’s current Drive guidance also lists WhatsApp backups—so deleting Drive files alone may not be enough. If you need to keep files, download them and verify the copies before deleting them from the cloud.
Why a full Google account can affect more than Drive
A personal Google Account includes up to 15 GB of storage shared across Gmail, Google Drive, and Google Photos. Google’s Drive storage guide also includes WhatsApp backups in the shared-storage explanation. The allowance is account-wide, not a separate 15 GB for each service. When the account reaches its limit, Google says you may be unable to upload or create Drive files, send or receive Gmail, or back up photos and videos. So if Drive looks tidy but the account is still full, check storage used by Gmail, Photos, and applicable backups too. Google Drive Help.
Find what is using space before deleting anything

Open Google’s storage manager and review usage by service or cleanup category. The page is the best starting point for spotting whether Drive, Gmail, Photos, or another listed category is the main contributor. Labels and screen layout can change.

In Drive, open the Storage view to see files ordered from largest to smallest. Start with the largest items you recognize; large videos, photos, recordings, old presentations, drafts, or duplicate copies can be candidates, but confirm each file is no longer needed before removing it. In Gmail, search for large or older attachment messages, then inspect the results before deleting. Google provides these example searches:

Search results are review candidates, not an instruction to delete every match. Keep messages or attachments you may need for records, work, or recovery. Google Drive Help.

Review device backups and hidden app data from the storage manager or the relevant Drive controls. If you are looking for duplicate files, Drive does not provide a built-in automatic duplicate finder, according to Google’s help guidance; compare files manually rather than installing an unverified cleaner. Delete files and clear Trash to reclaim space
Moving a file to Trash is not the same as freeing its storage. Google says items in Trash continue to count against your quota until they are permanently cleared. Check Trash or Spam in the service using space, review the contents, and permanently delete only what you are sure you do not need. Permanent deletion is irreversible. Google Drive Help.
For a quick cleanup, prioritize items you can confidently discard and then empty the relevant Trash. If Gmail or Photos is responsible for the overage, clearing Drive Trash alone will not resolve that service’s stored items.

Keep important files without keeping their cloud copies
If you want to retain a file but no longer need it stored online, download it to a personal device first. Confirm that the download completed and that the file opens, then delete the cloud copy and permanently clear it from Trash. The account quota falls only after the cloud copy is removed; downloading by itself does not free Google storage. Google Account Help.
An external hard drive can be a destination for downloaded files if you want an additional local copy. Choose a location and backup approach that suit the files you are keeping; Google’s guidance does not specify a particular device or capacity.

Allow time for the storage total to refresh
After deleting multiple files, Google says storage totals can take up to 48–72 hours to update. If the account still appears full after 30 minutes, Google’s help page also suggests trying its advanced cleanup guidance. Treat those timings as troubleshooting guidance, not a guarantee that every account will refresh on a fixed schedule. Google Drive Help.
Choose between cleanup and more storage
If cleanup is not enough—or the files must remain conveniently available across devices—Google identifies Google One as the option to increase shared storage for Gmail, Drive, and Photos. It is a paid service, and available plans and prices can vary; check Google’s current offering for your account and region. Google Drive Help; Google Account Help.

What if this is a work or school account?
Personal Google Account storage limits do not necessarily apply to managed Workspace accounts. A work or school limit may be set by the organization’s license or administrator. In Drive, review the quota view and sort files from largest to smallest; Google’s Workspace tutorial calls out videos, audio recordings, old presentations, drafts, and copies as items to inspect. Why it is better to address an overage early
Google says that if an account remains over quota for two years, content may be removed or become eligible for deletion. Google also says it will contact the user at least three months before content becomes eligible and provide an opportunity to address the quota or download content. This is not a claim that content is deleted immediately at the two-year point; it is a reason to bring the account back under quota or preserve files elsewhere before the issue escalates.
