An “iCloud Storage Full” warning means your Apple Account’s cloud quota is exhausted or nearly exhausted—not necessarily that your iPhone itself is out of room. Check Settings > [your name] > iCloud first. If the chart is full, remove or export unneeded cloud data, reduce backup contents, or upgrade to iCloud+. If Settings > General > iPhone Storage is full instead, use device-storage recommendations; buying iCloud+ does not enlarge the phone’s built-in capacity. This guide shows how to tell which limit you reached, what a full iCloud account interrupts, and how to recover space without deleting something you still need.

What does “iCloud Storage Full” mean?

iCloud storage is the online capacity tied to your Apple Account. It stores items such as iCloud Photos, device backups, iCloud Drive files, Messages attachments and iCloud Mail data. Device storage is the fixed flash capacity inside an iPhone or iPad. Apple explains the distinction in its storage guide; the two limits have different fixes.

Warning or symptom Where to check What actually creates space
“iCloud Storage Full” or “iCloud Storage Almost Full” Settings > [your name] > iCloud Delete or export cloud content, reduce backups, or buy iCloud+
iPhone or iPad storage almost full Settings > General > iPhone Storage or iPad Storage Remove local apps and downloads, or optimize local photo copies

The free iCloud allowance is 5 GB per Apple Account, according to Apple’s current support documentation. That allowance is shared by the account’s iCloud services, not assigned separately to each device.

What stops working when iCloud is full?

A full account can interrupt several services at once. Apple states: “If you run out of iCloud storage, your device won’t back up to iCloud, new photos and videos won’t upload to iCloud Photos, and iCloud Drive and other iCloud apps won’t stay up to date across your devices.” You may also be unable to send or receive messages at an @icloud.com email address. Read Apple’s current guidance at Manage your iCloud storage on your Apple device.

Existing data is not automatically erased merely because the quota is full. The immediate danger is that new backups, photos, files, messages or mail cannot be stored or synchronized. Treat the warning as a prompt to inspect the usage chart before deleting anything.

How do I check what is using my iCloud storage?

Open the storage chart before choosing a cleanup target. It shows which category is consuming capacity and prevents you from deleting small items while a single old backup or video library uses most of the quota.

  1. On an iPhone or iPad, open Settings.
  2. Tap your name at the top, then tap iCloud.
  3. Tap Storage, Manage Account Storage or a similarly named control. Apple changes labels slightly between operating-system releases.
  4. Review the largest categories and open each one for its item or device breakdown.

On a Mac, open iCloud settings in System Settings and choose the storage-management control. In iCloud for Windows, open the app’s storage section. The exact labels can vary by macOS, Windows and iCloud app version, but the objective is the same: identify the account category that is full before removing data.

What should I review before deleting anything?

Make a short preservation plan first. Deleting synchronized content can remove it from every device using the same Apple Account, and deleting a backup changes how that device can be restored.

  • Open important photos, files and message attachments to confirm you know what they contain.
  • Copy anything irreplaceable to a computer or another independent archive before deleting it from iCloud.
  • Check that you are viewing the intended Apple Account, especially if more than one account is used for purchases, mail or family devices.
  • Record which backup belongs to which device and its date before changing backup settings.
  • Do not treat a recommendation as automatic approval. Apple’s suggested cleanup items are prompts to review, not a guarantee that an item is expendable.

How do Apple’s storage recommendations help?

On iOS 17, iPadOS 17 and later, Apple may show Recommended for You in the storage-management screen. It can surface large photos, old files or backups that deserve attention. Open each suggestion, verify the contents and preserve anything you need before accepting a deletion.

Recommendations are useful for finding candidates, but they do not know whether a family video, tax document or work attachment has personal value. Use them as an inventory shortcut, then make the deletion decision yourself.

How can I reduce iCloud Backup safely?

Device backups often grow because they include app data that is no longer needed. You can inspect each device backup and turn off backup for selected apps, or remove an obsolete device backup.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Turn off backup for apps you no longer need

  1. Go to Settings > [your name] > iCloud > Storage/Manage Account Storage.
  2. Tap Backups, then select the relevant iPhone or iPad.
  3. Review the list of apps and the amount of data each contributes.
  4. Turn off backup for apps whose data is already stored elsewhere or can be re-downloaded.
  5. Confirm the change only after checking the app’s own sign-in, export and recovery options.

Some apps are always included and cannot be switched off. Disabling an app in a backup does not necessarily delete the app from the device; it changes what can be restored from that iCloud backup.

Remove an old device backup

If a device has been replaced, sold or permanently reset, its old backup may no longer be useful. Select that device in the Backups list and use the delete command shown by iOS. Apple warns: “When you delete a backup, it also turns off iCloud Backup for that device.” You must enable backup again on a device you still use if you want automatic protection.

Apple’s backup documentation says backups are kept for 180 days after iCloud Backup is disabled under the stated condition. That is not a universal recovery promise for every manually deleted file or photo, so do not use deletion as a substitute for an independent archive. See What does iCloud back up? and Apple’s storage-management instructions for the applicable conditions.

How do I free iCloud space from photos and videos?

When iCloud Photos is enabled, the library counts against iCloud storage and synchronizes across devices. Deleting a photo or video from iCloud Photos normally propagates that deletion to the other devices using the same library, so export a copy first if you want to keep it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Export items you want to keep

  1. Connect the iPhone or iPad to a computer, or use Apple’s available transfer workflow.
  2. Copy the selected originals and open several files on the computer to verify that the transfer completed.
  3. Keep the independent copy until you are certain the iCloud deletion and any recovery period have completed as intended.
  4. Delete only the cloud items you have checked, then review the storage chart again.

Apple specifically says photos and videos that are not intended for iCloud can be transferred to a computer. An external drive can serve as an optional local archive destination for that transfer; it is not required, does not add iCloud capacity and has not been tested as part of Apple’s guidance.

Use Optimize Storage for a full iPhone, not a full iCloud account

In Settings > [your name] > iCloud > Photos, enable Optimize iPhone Storage (or the equivalent iPad setting) when you need to reduce local device usage. Apple describes the behavior this way: “When Optimise Storage is turned on, full-resolution photos and videos are stored in iCloud, and, when needed, space-saving copies are stored on your device.” This can free phone storage while leaving the iCloud library unchanged, so it does not solve an exhausted cloud quota by itself. Details and regional spelling are in Manage your photo and video storage.

After deleting from iCloud Photos, check the Photos app’s Recently Deleted area. Interfaces may show a recovery window before permanent removal; follow the period displayed on your device rather than assuming that pressing Delete erases data immediately.

How do I clean up iCloud Drive files?

Large folders, old installers and duplicate exports can consume iCloud Drive capacity. In the Files app, open Browse > iCloud Drive, sort or inspect large items, and save a needed copy before removal. You can also manage files from Finder on a Mac or iCloud for Windows.

  • Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft
  1. Open the file and confirm it is not the only copy.
  2. Move a keeper to a computer or another storage location.
  3. Delete the unneeded iCloud Drive item.
  4. Check Recently Deleted or Bin if the interface offers one and follow its retention controls.

Because iCloud Drive synchronizes, deleting a file on one device can remove access to it on other devices. Wait until the device shows the deletion has synchronized before assuming the chart reflects the change.

Can Messages attachments make iCloud full?

Photos, videos and documents in Messages are another listed storage category. In the iCloud storage view, open Messages (or the equivalent category), inspect large conversations and attachments, and save anything that must be retained before deleting it. Removing an attachment from a synchronized conversation can affect that conversation on your other Apple devices.

When a message or attachment is business, legal or sentimental evidence, export or screen-capture it according to your retention needs before cleanup. Do not delete an entire conversation simply to remove one large file unless you have verified that the conversation itself is expendable.

Should I buy iCloud+ instead of deleting data?

iCloud+ is Apple’s direct paid upgrade when a careful review cannot provide enough headroom. It creates more cloud capacity; it does not increase the physical storage built into an iPhone or iPad. Apple’s current upgrade instructions are at Buy iCloud+ or upgrade your current storage plan.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open Settings > [your name] > iCloud.
  2. Choose Manage Account Storage, Storage or the plan-change control shown on your device.
  3. Select Upgrade to iCloud+ or Change Storage Plan.
  4. Review the plan, recurring charge, currency and regional terms presented for your Apple Account.
  5. Confirm with the Apple Account payment method, then return to the storage chart to verify the new capacity.

Plan tiers, prices, taxes and availability depend on country or region and can change. Check the price displayed for your account rather than relying on an old article or a price from another country. Upgrading is a recurring expense; cleanup is usually a one-time effort but may need repeating as your photo library and backups grow.

Which fix is right for my situation?

The following comparison separates cloud capacity from local device capacity and highlights the main trade-offs.

Action Frees iCloud capacity? What happens to content Effect on future access or backups Effort and risk
Delete an obsolete device backup Yes, after the deletion is reflected The selected backup is removed iCloud Backup is turned off for that device Low effort; high recovery impact if the backup was needed
Turn off selected app backup Usually reduces future backup size That app’s data is no longer included in the backup Other backup components remain Moderate review; verify the app’s own recovery method
Export and delete iCloud Photos Yes, after synchronized deletion and any retention controls Cloud copies are removed; independent exports remain Deletion can propagate to other devices using iCloud Photos High review effort; protect originals first
Enable Optimize Storage No Full-resolution originals stay in iCloud; smaller device copies are used when needed Preserves the cloud library while reducing local use Low risk; solves device storage, not iCloud quota
Delete iCloud Drive or Messages items Yes, once removed from the relevant cloud category Selected synchronized files or attachments are deleted Other devices may lose access to the item Moderate; verify copies and Recently Deleted/Bin behavior
Upgrade to iCloud+ Yes, by adding paid account capacity Content is preserved Backups and syncing can continue within the new limit Low effort; recurring regional charge

What if the storage warning remains after cleanup?

Work through these checks in order instead of repeatedly deleting random files.

  • Return to Settings > [your name] > iCloud and identify the category that is still largest.
  • Confirm that the deleted item belonged to the same Apple Account shown at the top of Settings.
  • Inspect Recently Deleted or Bin areas where the service presents a separate retention control.
  • Look for another device backup, a second photo library or a large Messages attachment category.
  • If you disabled backup for an app, verify that the change was saved and that you understand the resulting restore limitation.
  • Check whether the warning is actually from Settings > General > iPhone Storage. If so, remove local downloads or use photo optimization; buying iCloud+ will not alter the device’s hardware capacity.

Storage charts and labels can change with operating-system updates. If the path on your device differs, use the iCloud settings screen’s search field or Apple’s current support instructions for that operating system and region.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How can I avoid another iCloud storage crisis?

  • Keep at least one independent copy of irreplaceable photos and documents.
  • Review the backup app list whenever you replace a device or install a data-heavy app.
  • Export completed projects and old videos instead of keeping every version in iCloud indefinitely.
  • Check the storage chart periodically, especially after enabling iCloud Photos or adding a new device.
  • Use Optimize Storage when local phone space is the problem, while recognizing that it leaves originals in iCloud.
  • If you choose iCloud+, review the recurring plan and regional terms annually so the capacity still matches your usage.

Frequently Asked Questions

Is the 5 GB iCloud allowance shared by all of my Apple devices?

Yes. The allowance belongs to the Apple Account, so an iPhone, iPad, Mac and iCloud services draw from the same pool. Adding another device does not create a separate 5 GB quota.

If I delete an app from my iPhone, does its iCloud backup disappear too?

Not necessarily. An existing device backup can still contain that app’s data until you edit the backup or remove the backup itself; check the app list under the device in iCloud storage settings.

Can I manage iCloud storage from a Windows PC?

Yes. Apple provides storage controls in iCloud for Windows. Open the app’s iCloud storage section, inspect the category breakdown and use the available management commands; labels depend on the installed version.

Why does Optimize Storage not lower my iCloud usage?

Optimization replaces some on-device photo copies with smaller versions while keeping full-resolution originals in iCloud. It is designed for a nearly full iPhone or iPad, so the cloud library can remain the same size.
