Start with the service’s privacy policy and data-use help pages, then verify the details for your exact plan and account type. Make a record of what the service receives, why it processes each category, whether prompts or files can improve models, who can access them, where they are stored, how long copies remain, and which controls let you opt out or delete data. If the provider cannot answer those questions in plain language, do not enter confidential information.
The same AI service may apply different defaults to consumer, business, education, healthcare, managed-workspace, and API accounts. A careful review therefore combines policy reading, account-setting checks, retention and deletion tests, and specific questions to support rather than relying on the prompt box or a generic privacy summary.
What is the fastest way to check an AI service’s data practices?
Use a fixed sequence: identify your plan, inventory every input and metadata category, map each purpose, inspect model-training and human-review language, check sharing and storage locations, verify retention and deletion controls, and save the policy version you reviewed.
- Identify the service and account. Record the product name, country, subscription, workspace type, and whether you use a web app, mobile app, connected extension, or API. Consumer and organizational accounts can have different defaults.
- Open the current privacy policy and data-use FAQ. Note the “last updated” date and the sections covering collection, purposes, sharing, international transfers, retention, rights, and changes.
- List all data flows. Include prompts, generated responses, uploads, images, audio, video, account details, device and log data, location signals, cookies, telemetry, and inferences made about you.
- Check your account settings. Look for model-improvement or training toggles, memory, temporary-chat modes, history controls, export, and deletion tools. Capture screenshots or download help pages when permitted.
- Read the exceptions. Search for safety monitoring, abuse investigations, legal holds, backups, support access, human review, and data retained after deletion.
- Check recipients and locations. Identify affiliates, subprocessors, cloud hosts, safety or annotation vendors, advertisers, authorities, and the countries where data is stored or transferred.
- Test a low-risk request. Confirm what appears in history, whether a temporary mode behaves differently, and whether deletion removes the item from your account view. Do not use real sensitive data for testing.
- Ask precise questions. Send support a written list of unresolved points and keep the response with your policy notes.
This process produces an evidence trail you can revisit when the provider changes a policy, plan, or setting.

What kinds of data can an AI service collect?
Assume the service can receive more than the words you type. Separate content you submit from account, device, operational, and inferred data so that a narrow promise about “your prompts” does not hide other collection.
Content you actively provide
- Text prompts and conversation history.
- Uploaded documents, spreadsheets, source code, images, scans, audio, and video.
- Files or records sent through connectors, plug-ins, browser extensions, or API calls.
- Feedback such as ratings, corrections, reports, and support tickets that include conversation excerpts.
Account and transaction data
Policies commonly describe names, email addresses, authentication records, subscription details, billing information, organization membership, and communications with support. Check whether a workspace administrator can access activity or content and whether the provider associates multiple devices or accounts.
Device, log, and location signals
Look for IP address, browser or app version, operating system, device identifiers, timestamps, crash reports, network information, cookies, and similar telemetry. A service may infer approximate location from network data or obtain more precise location if an app permission or feature allows it.

Some providers create profiles or predictions from your use, such as preferences, interests, language, risk signals, or likely workspace role. Find the policy section describing inferences and whether they are used for personalization, advertising, safety, or product development.
Why does the service use the data?
Read the purpose statements line by line. “Provide the service” is only one possible purpose; safety, analytics, personalization, advertising, evaluation, and model development can have different controls and retention periods.
Service delivery and support
Processing may be needed to generate responses, synchronize history, authenticate an account, troubleshoot failures, process payments, or answer a support request. Determine whether support staff can view the material you attach to a ticket.
Safety, abuse prevention, and legal compliance
Providers may inspect prompts, outputs, metadata, or account behavior to detect fraud, malware, policy violations, or attacks and to comply with legal demands. Safety copies can follow a different retention schedule from ordinary chat history.
Analytics and personalization
Usage metrics can measure reliability or feature adoption. Personalization may use history or inferred preferences to tailor responses, recommendations, or interfaces. If advertising is mentioned, check whether content, identifiers, or activity are used to select ads and whether an opt-out exists.

Model training, evaluation, and fine-tuning
Distinguish between using content to improve a general model, evaluate a feature, fine-tune a private model, or create abuse-detection systems. A statement that data is “de-identified” does not by itself explain the process, reversibility, or whether human reviewers can see the original material.
Does the AI train on my chats by default?
There is no universal answer; the default depends on the provider, region, account type, and setting. OpenAI’s current documentation, for example, says consumer content may be used to improve models depending on settings, while Business, Enterprise, Edu, Healthcare workspaces, and API data are not used for model improvement by default. Treat that as a provider-specific example, not a rule for every service.
Find the actual control
Look for labels such as “improve the model,” “help us train,” “use content for product improvement,” or “history and training.” Record whether the control is an opt-out, an opt-in, or unavailable on your plan. Check whether turning it off applies to new content only, and whether previously submitted content is covered.

Even when training is disabled, policies may permit safety review, abuse investigations, feature evaluation, or human quality checks. Ask whether those uses involve the original prompt or file, how reviewers are selected, and whether the material is retained after the review.
Can employees or contractors see my prompts and files?
Possibly, under defined conditions. The policy should identify recipient categories and explain whether personnel, contractors, subprocessors, or safety vendors can access content for support, security, quality review, or legal reasons.
Map each recipient category
- Affiliates: companies under common ownership that provide infrastructure, support, or analytics.
- Subprocessors and cloud hosts: vendors that store, transmit, filter, or process data on the provider’s behalf.
- Safety, annotation, or evaluation vendors: organizations that may label examples or review outputs.
- Advertisers and measurement partners: recipients listed for marketing or audience measurement, where applicable.
- Authorities and professional advisers: recipients for legal obligations, disputes, audits, or corporate transactions.
Ask whether access is logged, limited by role, and subject to confidentiality obligations. A list of vendor names is useful only when the policy also states what each category is allowed to do.
Where is AI data stored or transferred?
Find the countries or regions in which the provider and its vendors store or process data. Storage location, transfer destination, and the legal mechanism for an international transfer can be separate facts.
Recommended Free Tools
The UK Information Commissioner’s Office says privacy information should identify recipients or recipient categories and international transfers. If your organization has residency requirements, ask whether a selected region covers backups, support access, telemetry, and disaster-recovery copies—not just the primary database.

How long are AI conversations, files, and logs retained?
Look for separate periods for active content, deleted content, backups, logs, and safety or abuse-review copies. “Deleted” may mean removed from the user interface immediately while remaining in backups or security systems for a stated period.
Temporary modes are not necessarily instant deletion
OpenAI documents that its temporary chats stay out of history and are not used for model improvement while temporary, but may be retained for up to 30 days for safety. This is a provider example: another service may use a different period, or may not offer a temporary mode at all.
Questions to ask about deletion
- When does the deletion clock start: when you press delete, when an account closes, or after a request is verified?
- Are copies in backups, caches, logs, exports, abuse systems, or legal holds included?
- Does deletion remove data from a model or training dataset, and if so, how?
- Can an administrator delete workspace content, or must each user submit a request?
What privacy controls and rights should I look for?
A trustworthy service presents controls in the product and explains the corresponding rights in clear language. Depending on your location and contract, you may be able to request access, correction, deletion, export, restriction, objection, or withdrawal of consent.
Product controls
- Model-improvement or training opt-out.
- Memory on/off and tools to inspect or erase saved memories.
- Temporary or history-off conversations.
- Conversation, file, and account deletion.
- Data export and connected-app permission management.
Formal privacy requests
Record the request channel, identity-verification steps, response deadline, and any appeal route. The ICO says information about rights should be concise, transparent, intelligible, and easily accessible, and that people should be told about new purposes before processing begins. Rights and deadlines vary by jurisdiction, so use the rules that apply to your location and account contract.
How can I compare two AI services consistently?
Use the same questions for each service and plan. A worksheet prevents a polished privacy page from overshadowing a missing retention period or an unclear training choice.
| Comparison axis | Questions to record |
|---|---|
| Inputs | Which text, files, media, account, device, cookie, location, and inferred data are collected? |
| Purpose | Is each category used for delivery, safety, analytics, personalization, advertising, training, or evaluation? |
| Model improvement | Is content used by default, only after opt-in, or not for this plan? |
| Human access | Can staff or contractors view content, and for which reasons? |
| Sharing | Which affiliates, subprocessors, vendors, advertisers, or authorities receive data? |
| Retention | How long are active data, deleted data, backups, logs, and safety copies kept? |
| Location | In which countries is data stored or transferred, including backup and support access? |
| Controls | Are there settings for training, memory, temporary chat, export, deletion, or objection? |
| Rights | How can a person access, correct, delete, restrict, or object to processing? |
| Change history | When was the policy last updated, and how are users notified of new uses? |
Save the policy date, screenshots of settings, support replies, and the exact plan name. Recheck after a major product or terms change.
What should I ask support when the policy is vague?
Ask questions that require a yes-or-no answer or a defined category, then request the policy section that supports the reply.

What do regulators say about AI data disclosures?
Regulatory guidance converges on the same practical test: people should not be surprised by how their information is collected and used.
UK Government Digital Service
The UK Government’s Data and AI Ethics Framework, updated 18 December 2025, states that a good principle is that nobody should be surprised about how their data is being used. Its guidance supports explaining what is collected, why it is needed, how it is used, and how long it is stored.
Information Commissioner’s Office
The ICO says people have a right to be informed about collection and use, including purposes, retention periods, recipients, and international transfers. It calls for information that is concise, transparent, intelligible, and easily accessible.
Federal Trade Commission
The FTC says AI companies must honor privacy and confidentiality commitments, including promises about whether customer data is used to train or update models. Its guidance warns that material omissions or disclosures buried in fine print can create consumer-protection risk. A September 2024 FTC staff report on reviewed social-media and video-streaming companies found collection from users and non-users, on- and off-platform sources, varied uses, third-party sharing, and differing retention practices; those findings describe the companies reviewed, not every AI service.
Office of the Australian Information Commissioner
OAIC recommends due diligence and warns that personal information entered into AI systems can be difficult to track or control. It recommends avoiding personal and especially sensitive information in publicly available generative-AI tools.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What are the warning signs that an AI service is not transparent?
Pause before uploading sensitive material when several warning signs appear together.
- The policy names “data” broadly but never lists prompts, files, metadata, or inferences.
- Training language says data may be used for “improvement” without identifying the default or an opt-out.
- Recipients are described only as “partners” with no category or purpose.
- There is no retention period for deleted content, backups, logs, or safety reviews.
- A temporary mode is advertised without explaining history, training, or safety retention.
- Deletion is available in the interface but the policy omits exceptions or model-dataset treatment.
- Material changes can be made without a clear notice method.
- Support cannot identify the plan-specific rule or privacy-request channel.
One missing detail may be a documentation gap; several together are a reason to choose a different service or restrict use to non-sensitive data.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
How should I decide what to enter into an AI service?
Use the strictest rule justified by the consequences of disclosure. If you cannot establish who can access the data, why it is used, where it goes, and how deletion works, keep the material out.

Usually safer for an initial test
- Public facts and text you have permission to share.
- Synthetic examples that cannot be linked to a real person, customer, patient, employee, or client.
- Redacted documents with names, identifiers, account numbers, faces, and unique combinations removed.
Require documented approval or a controlled workspace
- Personal, financial, health, employment, education, legal, or confidential business information.
- Source code, credentials, unreleased plans, customer records, or regulated data.
- Information about children or people who have not agreed to the processing.
Redaction reduces exposure but does not eliminate it; rare facts, metadata, or linked files can still identify someone. Use a business or managed workspace only after confirming its contract, defaults, administrator access, retention, and deletion terms.
How do I preserve evidence of what I found?
Create a dated review packet for each service and plan. Include the policy and terms update dates, screenshots of relevant settings, the data-category and recipient lists, retention statements, support answers, and copies of submitted privacy requests.
When a policy changes, compare the new wording with your saved copy. The FTC has emphasized that commitments in privacy policies, terms, promotions, and marketplaces all matter; a material change should not be hidden in legalese or fine print. If a new purpose appears, reassess existing data, disable optional processing, or request deletion before continuing.

What happens if I pasted someone else’s personal information into an AI tool?
Treat it as a potential disclosure incident. Stop further use, record what was submitted and when, check the service’s deletion and privacy-request procedures, and notify your organization’s privacy or security contact if the information was confidential or regulated.
Can deleting a chat remove a copy already used for model improvement?
Not necessarily. Deletion from your account may not undo evaluation records, safety copies, backups, or a model-training process already completed; ask the provider specifically how deletion interacts with datasets and derived models.
Is an API automatically more private than a consumer AI app?
No. An API may have different model-improvement defaults, retention controls, logs, and subprocessors, but those terms must be verified in the API contract and documentation for your account and region.
How often should I recheck an AI service’s privacy practices?
Review them whenever the provider changes its policy, terms, plan, model, memory feature, or connected integrations. For sensitive workflows, schedule a periodic review and keep the previous policy version so you can identify material changes.
