Windows can turn screenshot text into editable text without a separate OCR website. For most users, press Windows + Shift + S, capture the words with Snipping Tool, choose Text actions, and copy either a selection or all recognized text. Snipping Tool also offers Quick redact for detected email addresses and phone numbers.
If the text is visible anywhere on your screen and you do not need to save a screenshot first, PowerToys Text Extractor is faster: press Windows + Shift + T, drag over the text, and Windows copies the result to the clipboard. PowerToys Advanced Paste is useful when an image is already on the clipboard. Recognition can make mistakes, so proofread names, numbers, punctuation, and other consequential content.
How do I extract text from a screenshot with Snipping Tool?
Snipping Tool is the most direct Windows workflow when you are capturing a new screenshot or opening a saved one. Its Text actions command runs OCR on the snip, after which you can copy a selected passage or all recognized text.

- Choose a capture mode. Rectangular selection is usually easiest for a document or a single message; full-screen, window, and freeform captures are also available.
- Drag around the text you need. If the image is already saved, open it in Snipping Tool instead of making a new capture.
- Open the resulting snip in the Snipping Tool window and select Text actions.
- Drag across a particular passage and choose the copy command for that selection, or choose Copy all text to place every recognized word on the clipboard.
- Paste into Word, Notepad, an email, or another destination, then proofread the result.
The Print Screen key is another way to capture a static image. It is useful when you prefer the keyboard or when the content is already arranged exactly as you want it, but you still need to open the resulting image in Snipping Tool to use Text actions.

What does Quick redact do?
Snipping Tool can detect email addresses and phone numbers in a snip. In Text actions, Quick redact lets you hide those detected items before sharing the image. Treat the result as an aid rather than a guarantee: inspect the entire image yourself before publishing or sending it.
Can Snipping Tool read a saved screenshot?
Yes. Opening a saved screenshot in Snipping Tool gives you the same Text actions OCR workflow as a fresh capture. This is convenient for images downloaded from an email, saved from a browser, or exported by another application.
- Open Snipping Tool.
- Use its open-image command and select the saved screenshot.
- Select Text actions in the image view.
- Copy a selected passage or select Copy all text.
- Paste the text into your working document and compare it with the image.
Keep the original image beside the pasted text while checking it. OCR can lose a line break, combine adjacent columns, or confuse visually similar characters, even when the words look clear at a glance.

How does PowerToys Text Extractor copy words from anywhere on screen?
PowerToys Text Extractor is the better fit when the words are visible in an application, image, video, or other screen content and you do not need to create a saved screenshot first. Its default shortcut is Windows + Shift + T.
- Install and open Microsoft PowerToys, then make sure Text Extractor is enabled in PowerToys Settings.
- With the text visible, press Windows + Shift + T.
- Drag over the region containing the words. You can select part of a window, an image, or a video frame.
- Release the mouse. Text Extractor recognizes the region and copies the result to the clipboard.
- Paste into the destination app.
- Press Esc to close capture mode if it remains active.
The shortcut can be changed in PowerToys Settings if it conflicts with another application. Microsoft describes Snipping Tool as the preferred route when your main task is making a screenshot; Text Extractor is primarily a quick screen-region-to-clipboard tool.

What are Text Extractor’s language requirements?
Text Extractor follows the recognition language associated with your Windows system language and keyboard settings. Recognition is limited to languages for which a compatible OCR language pack is installed. If a language is missing or the output is consistently in the wrong language, add the appropriate Windows language capability, select it as needed, and try again.
Microsoft’s documentation describes PowerShell commands for inspecting the OCR capabilities installed on a PC and adding a supported capability. The exact available language options depend on the Windows installation, so use the commands and capability names shown in Microsoft’s current Text Extractor documentation rather than copying an option intended for a different release.

When should I use PowerToys Advanced Paste?
Advanced Paste is useful when the screenshot or another image is already on the clipboard. Its local OCR option can extract text without first opening Snipping Tool, while Snipping Tool remains the simpler documented choice for capturing and reviewing a screenshot.
- Open PowerToys Settings and enable Advanced Paste.
- Copy an image to the clipboard using a screenshot shortcut, an application’s copy command, or File Explorer.
- Press Windows + Shift + V to open the Advanced Paste window.
- Choose the local OCR action for the clipboard image.
- Paste the extracted text into your destination and proofread it.
Advanced Paste documentation separates local, non-AI paste actions from optional AI paste features. Select the local OCR route when you want the image processed on the PC rather than sent to an optional online service. Availability and labels can change with PowerToys updates, so check the current Settings page if the command is not visible.
Which Windows OCR method is right for my screenshot?
Choose based on where the image is and what you want to do next. All three workflows can produce clipboard text, but they start from different places.

Does Windows OCR process screenshots locally?
Microsoft states for Snipping Tool: All text recognition processes are performed locally on your device.
That means the documented Text actions recognition is performed on the Windows PC rather than requiring an upload to an OCR website.

Local processing reduces the need to send screenshots elsewhere, which is important for invoices, internal documents, support tickets, and personal messages. Clipboard history, pasted documents, backups, and the destination application can still retain the copied text, so local OCR does not by itself make the entire workflow private.
How can I improve OCR results before copying?
OCR quality depends heavily on what you select. A few preparation steps prevent avoidable recognition errors.
- Capture tightly: select the text and a small margin rather than an entire crowded desktop.
- Keep the image sharp: use the original screenshot or a clear saved image instead of a scaled, compressed copy.
- Include complete characters: do not cut off the top or bottom of letters, and avoid selections that split a line in half.
- Separate unrelated regions: if a page has columns, captions, buttons, and body text, process one logical block at a time.
- Use the matching language: install and select the OCR language pack required for the text.
- Check high-risk characters: compare zero and the letter O, one and lowercase l, hyphens, decimal points, quotation marks, and accented letters.
When the source contains tables or multiple columns, OCR may return reading order that differs from the visual layout. Paste the result into a plain-text editor first if you need to see where line breaks and spacing were introduced, then format it in the final application.
Why is Text actions missing in Snipping Tool?
If the Text actions button does not appear, first confirm that you are viewing a snip inside the Snipping Tool app rather than only looking at a thumbnail or an image in another program. Then check for Snipping Tool updates through Windows’ normal app-update path and restart the app.

Microsoft’s support material for this feature does not establish one universal minimum Windows build or one app-version cutoff that applies to every device. Feature availability can therefore differ between Windows 10 and Windows 11 installations and between updated and unupdated app packages.
- Capture a fresh test snip with obvious, high-contrast text.
- Open the snip in Snipping Tool and look for Text actions in the toolbar.
- Install pending Windows or Snipping Tool updates, then try again.
- If Text actions remains unavailable, use PowerToys Text Extractor as a screen-region alternative.
What should I do when the copied text is wrong?
Run the OCR again on a tighter, clearer region and verify the selected recognition language. If the same error persists, correct the text manually while comparing it with the image; neither Microsoft workflow promises perfect recognition.

How do I extract text from a video or a protected app window?
PowerToys Text Extractor can select text visible in images or videos, so pause the video on a readable frame and press Windows + Shift + T. Drag only over the frame area that contains the words, then proofread the clipboard result. If an application prevents screenshots or displays content through a protected surface, Windows may not provide pixels that OCR can read; in that case, use the application’s own export or accessibility feature when available.
What can I do with the extracted text?
Once copied, OCR output behaves like ordinary clipboard text. You can search it, quote it in a message, place it in a spreadsheet, translate it with a separate tool, or use it as a starting point for notes. Preserve the screenshot when the exact visual context matters, because copied text does not retain every font, color, annotation, table boundary, or image element.
Example: copying a quotation from a web page image
- Capture only the quotation with Windows + Shift + S.
- Choose Text actions and select the quotation.
- Copy the selection into your notes.
- Compare every word and punctuation mark with the image before publishing it.
Example: transcribing a support screenshot
- Use Text Extractor if the support message is visible but you do not need to retain the screenshot.
- Drag around the message body, excluding unrelated buttons and timestamps.
- Paste into the ticketing system and inspect identifiers, error codes, and version numbers character by character.
- Attach the original image when another person needs to verify the context.
What are the main limitations of Windows OCR?
Microsoft’s official pages reviewed for these tools do not publish a complete matrix of minimum Windows builds, Snipping Tool versions, language totals, accuracy percentages, or speed benchmarks. Avoid treating an unlisted language or an apparent success on one image as proof of universal support.

OCR is recognition, not a faithful document-conversion format. It may omit decorative text, misread low-resolution characters, flatten columns, or alter whitespace. The safest workflow is to use OCR for copying and searching, then verify any text that affects money, legal meaning, medical information, account credentials, names, dates, or technical commands.
Frequently Asked Questions
Can Windows OCR preserve the original formatting of a screenshot?
No. The result is clipboard text, not a layout-preserving copy of the image. Expect to rebuild tables, headings, fonts, colors, and spacing in the destination application.
Can I use Windows OCR without an internet connection?
Snipping Tool’s documented text recognition runs locally on the device, and PowerToys provides local OCR options. Your PC still needs the relevant Windows or PowerToys components and OCR language capability installed.
How do I copy only one sentence instead of the whole screenshot?
In Snipping Tool, select Text actions and drag across the sentence before choosing the copy command. With Text Extractor, start the shortcut and draw a region that contains only that sentence.
Does OCR text stay in Windows clipboard history?
