To edit a PDF, use a PDF editor’s text tools to change words, its image tools to add or adjust pictures, and its page-organization tools to change page order or structure. First check whether the text is selectable: a scanned page may need OCR before you can edit its words. Save a separate copy and review the result, because fonts, text boxes, OCR, signatures, and security settings can all affect what changes are possible.

First, identify what kind of PDF you have

Try selecting a word on the page. If you can select individual words or lines, the document contains text you can work with directly. If selecting the page only produces a large image—or no text selection at all—it may be a scan: a picture of a page rather than editable text.

Scanned or image-only PDF You cannot select individual words; the page behaves like an image. Run OCR (optical character recognition) to identify text before editing it. Proofread the recognized words against the original page; OCR is not guaranteed to be error-free.

In Acrobat, opening a scanned PDF for editing automatically runs OCR, according to Adobe’s text-editing help and PDF-editing guide. Other editors may use different controls or require you to start OCR yourself.

How to edit text in a PDF

In Adobe Acrobat, open the PDF and choose Edit (or the Edit PDF tool), then select the text you want to change. Replace or correct it, and use the available formatting controls for properties such as font, size, and alignment. Labels and locations can vary in other PDF applications.

Check the font before making a large change

The original font may not be available on your computer, or it may be embedded in a way that limits editing. Acrobat may use a fallback font when the original is unavailable, which can make the new text look different. Adobe also notes that some font situations allow only limited changes. If matching the original appearance matters, inspect the font and formatting after editing rather than assuming the substitution is invisible. See Adobe’s guidance on editing or formatting PDF text.

Watch for separate text boxes

PDF text does not necessarily behave like text in a word processor. Acrobat treats text boxes as independent: adding words to one box will not automatically push content into the next box or onto another page. Resizing a box reflows text within that box, but does not make neighboring boxes part of the same paragraph. After a substantial edit, check for clipped words, unexpected line breaks, gaps, overlaps, and text that no longer lines up with nearby content.

How to edit images in a PDF

Use the PDF editor’s image-editing controls to add or replace an image, or to crop, rotate, resize, or align an existing one. Adobe documents these options in its guide to editing elements within a PDF. The exact controls may vary by application.

After changing an image, inspect its position against captions, borders, and nearby text. A picture can be correctly replaced yet still look misplaced if its size or alignment no longer suits the page.

How to organize PDF pages

To change a document’s page structure—rather than words or pictures on a page—use the application’s page-organization controls. These are the appropriate controls for tasks such as managing the document’s pages and order. Adobe lists page organization as a PDF-editing task in its PDF-editing overview.

Page-organization controls are separate from the tools for editing text and images. If you need a specific operation, such as inserting, extracting, deleting, rotating, or reordering pages, check the instructions for your editor and version; the available steps and labels are application-specific.

When you are unable to edit a PDF

  • You cannot select words: The page may be a scan. Use OCR, then proofread the recognized text against the page image.
  • The edited text looks different: The original font may be unavailable, or editing may be limited by the way the font is embedded. Check the font and formatting controls.
  • Text disappears or overlaps: Check whether it overflowed its independent text box or disrupted the layout nearby. PDF text does not automatically flow into other boxes or pages.
  • The file is secured or signed: Security settings can restrict editing, and Adobe says signed PDFs are locked against changes. Do not try to bypass restrictions; request an editable original or an authorized revision from the document owner.
  • The PDF is an interactive form: Editing a LiveCycle Designer XFA form in Acrobat can remove interactivity. If the form’s behavior matters, use an authorized editing route that preserves its intended function.

Save and inspect the edited file

  1. Keep an untouched copy of the original PDF.
  2. Make the intended text, image, or page changes in the editor.
  3. Save the edited document as a separate file when possible.
  4. Review the saved PDF page by page for font changes, clipped or shifted text, image alignment, OCR errors, and unexpected changes to forms or layout.
