Yes—you can handle most PDF edits without buying Adobe Acrobat. How do I edit words that are already in a PDF?
Use Sejda for small corrections when the text is selectable. If the PDF has a complicated layout or the words are not selectable, convert it to an editable document, revise that document, and export a new PDF.
Direct editing in Sejda
- Open Sejda’s PDF editor and load a copy of the file.
- Select the text tool and click the sentence or word you need to change. Sejda’s instructions state that clicking existing text starts editing rather than creating a separate box.
- Make the smallest possible correction. Watch the line break, font, spacing, and alignment around the change.
- Apply the changes and download the result with a new filename so the original remains untouched.
This method is best for a typo, a date, or a short phrase. PDFs store text by position rather than as a flowing document model, so a long replacement can collide with nearby objects or leave an unexpected gap.
When conversion to Word is safer
PDF24 warns that “editing the text in a PDF is not an easy thing to do” because PDF is not designed for changing page contents after the fact. If text is split into many positioned fragments, uses unusual fonts, or refuses selection, convert the PDF to Word (or another editable document), make the revision there, and export back to PDF. Recheck page breaks, headers, footers, tables, and references after conversion; the conversion can change pagination even when the words are correct.

Why a text box is not the same as editing
Adding a white rectangle and a new text box can visually hide an error, but the old text may remain searchable, selectable, or exposed when the background changes. Use an overlay only for a deliberate annotation or redaction workflow; for a true correction, edit the underlying text or rebuild the page in an editable document.
How do I add or replace an image in a PDF?
For a new logo, photograph, stamp, or signature image, insert it as an object, then resize and position it. Replacing an image that is already embedded may require a tool with explicit replacement support or a whiteout-and-insert workaround.

Insert an image with Sejda
- Open the PDF in Sejda and choose the image tool.
- Select the image file from your computer and click on the page to place it.
- Drag the handles to resize, move it into alignment, or rotate it as needed.
- Check that the image does not cover text, form fields, or links, then apply the edit and download a new copy.
Use PDF24 for mixed objects
PDF24’s editor supports inserting images, text, shapes, and freehand marks in one workspace. This is useful for a diagram that needs an image plus arrows or labels. Keep each object separate until placement is final so you can move one element without rebuilding the page.
Replace an image in Zoho
Zoho documents image insertion and replacement in both its online editor and Desktop product. Select the existing image when the editor exposes it as an object; otherwise cover it with a matching background shape and insert the replacement. Inspect the edges at 100% zoom to catch halos, mismatched background colors, or a low-resolution replacement.
How do I add text, arrows, highlights, or a signature?
Annotations and form objects are usually safer than altering an existing paragraph because they sit on top of the page without reflowing its content.

For a signature, decide whether you need a visual mark or a certificate-backed digital signature. A drawn or imported signature image does not prove who signed the file or whether it changed later. - Make a duplicate of the source PDF.
- Open the tool’s page organizer or merge/split workflow.
- Select thumbnails and drag them into the required order.
- Insert pages from another PDF, or extract selected pages into a separate file.
- Rotate pages whose orientation is wrong and delete blank or duplicate pages.
- Save as a new PDF, then confirm the page count and numbering.
When combining files, check that bookmarks, hyperlinks, form fields, and document metadata still behave as expected. Structural operations can preserve page visuals while dropping interactive elements.

Not directly, if the scan contains only page images. You need OCR to create a text layer, and then you must proofread the recognition result.
How the OCR workflow works
- Run OCR on the scan in a tool that supports it, or convert the scan to an editable document.
- Search for a few known words to verify that a text layer exists.
- Edit the recognized text, or rebuild the page in an editable document when the layout is unstable.
- Compare the edited PDF with the scan, checking names, numbers, dates, punctuation, and tables character by character.
Adobe describes scanned-PDF editing as a separate workflow because the original has no editable characters. The free-tool information available for this comparison does not establish an independent OCR accuracy benchmark, so treat every recognized value as unverified until you inspect it.
Can I edit a PDF without uploading it?
Yes. A local desktop editor is the safer choice for contracts, identity documents, medical records, financial statements, and unreleased business material.
Local options
Zoho’s PDF Editor Desktop announcement, published September 4, 2026, says the application works on Windows, macOS, and Linux without an account, upload, or internet connection. Sejda also offers a Desktop mode in which files remain on the computer. Confirm that you downloaded the desktop edition rather than opening the online editor in a browser.

What happens with browser editors?
Browser services must upload the document to a remote server for processing. PDF24 states that uploaded files and results are automatically deleted after one hour. Sejda says, “Files stay private. Automatically deleted after 2 hours.” Download the result promptly, close the session, and follow your organization’s data-handling policy; deletion statements do not replace encryption, access control, or a legal review.
What are the free limits and trade-offs?
Free access can mean unrestricted use, a task quota, or a split between basic and premium features. Check the limit before starting a long batch.

What should I check before sharing an edited PDF?
A file can look correct while containing broken links, hidden old text, or shifted form fields. Run this checklist on the exported copy:
- Open the file in a second PDF viewer and inspect every changed page at normal and 200% zoom.
- Search for the old wording to ensure a correction did not leave duplicate text underneath.
- Check fonts, line breaks, bullets, tables, page numbers, headers, and footers.
- Follow important hyperlinks and test every form field, checkbox, calculation, and signature appearance.
- Confirm that inserted images are sharp enough for print and that their color profile is acceptable.
- For OCR documents, verify names, account numbers, decimal points, dates, and table columns against the scan.
- Review document properties and remove comments, hidden layers, or metadata that should not be disclosed.
- Keep the untouched original and record which pages changed, especially for regulated or signed records.
Why is my PDF still not editable?
The words cannot be selected
The page is probably a scan or has text converted to outlines. Use OCR for a scan; for outlined text, edit the source design file or rebuild the affected page rather than expecting a PDF text tool to recreate characters.

The replacement text changes the layout
Shorten the wording, reduce the font slightly while preserving readability, or convert the page to an editable document and reflow it there. PDF text fragments do not automatically push neighboring objects out of the way.

The file is locked or signed
Security permissions, password protection, and digital signatures can block editing. Adobe notes additional restrictions for secured or digitally signed PDFs and special limitations for XFA forms. Ask the owner for an unlocked source or an authorized revision process; do not try to defeat protection on a document you do not control.
The downloaded file looks different
Open it in another viewer and compare fonts, transparency, and page size. If a browser export changed the appearance, use a local desktop workflow or export again from the original source document.

Can I remove confidential information with a white rectangle?
No. A rectangle may only hide the words visually while leaving them selectable or recoverable. Use a true redaction feature that removes the underlying content, then save a sanitized copy and test whether the hidden text can still be searched or copied.
Do free PDF editors preserve bookmarks and accessibility tags?
