Disclose AI use exactly as your assignment and course policy require: first determine whether the tool was allowed, then identify the tool, explain what it did, name the affected part of the work, and add any required citation or records. There is no single rule for every college class. Some instructors prohibit generative AI, some permit only defined tasks, and others require permission, an acknowledgment, a formal citation, or both.
If the instructions are unclear, ask the instructor before using AI and keep the answer with your assignment records. A disclosure is not a substitute for checking the work: you remain responsible for every claim, quotation, citation, calculation, image, and line of code you submit.
What rules control whether I must disclose AI assistance?
The assignment prompt and the course policy control first. College-wide statements can provide context, but an instructor may set a stricter rule for a particular assessment. Read the directions for the specific paper, presentation, lab, discussion post, or code submission before opening an AI tool.
Check the assignment prompt
Look for language about generative AI, automated writing tools, large language models, editing software, translation, coding assistants, image generators, or “outside assistance.” Note whether the prompt states any of the following:

- AI is prohibited for all or part of the work.
- AI is allowed only for named tasks such as brainstorming, outlining, grammar feedback, or debugging.
- Prior instructor permission is required.
- An acknowledgment, formal citation, prompt log, transcript, or other documentation is required.
- Generated text, images, code, or other output must not appear in the final submission.
Check the syllabus and learning platform
Read the syllabus, academic-integrity page, rubric, and announcements in the course platform. Policies can differ between courses in the same department. A university example from the University of Chicago describes several possible approaches, including prohibition, permission-based use, citation-required use, and unrestricted use; that range illustrates why a general internet template cannot replace your instructor’s directions.
Ask before using an unclear tool
Columbia Business School advises students to clarify an unclear policy with the professor, preferably in writing. Its guidance states: “As a general rule, students should disclose to faculty if they are using generative AI platforms and in what manner they are using them in coursework.” Treat that as institutional guidance, not as a universal wording requirement. Ask a short, specific question describing the tool and task you want to use, and save the reply.
What should an AI-use disclosure include?
A useful statement answers three questions: which tool did you use, what did it do, and where did it affect the assignment? Add the review or verification steps you actually completed, plus any independent work that the instructor wants distinguished.
Name the tool accurately
Use the product name and, if requested, the model, service edition, or access date. Do not claim a version you did not record. If the course only asks for the tool name, do not add technical detail that could obscure the relevant explanation.
Describe the real task
Say whether the tool helped brainstorm research questions, organize an outline, suggest wording, explain a concept, identify grammar problems, generate code, create an image, translate text, or perform another defined task. “I used AI to help” is too vague for an instructor to evaluate.
Identify the affected location
Point to the introduction, a named section, a slide deck, an appendix, a function in a program, or another identifiable part. If the tool was used during planning but no generated material remains in the submission, say that plainly.
Separate assistance from your work
Explain what you wrote, designed, calculated, tested, or revised yourself. Do not describe AI suggestions as independent work, and do not claim that you checked facts or rewrote passages unless you actually did so.
The Tool Desk
Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Use a factual template
Adapt this wording rather than copying it mechanically:
For this assignment, I used [tool and version, if requested] to help with [specific task] in [section or stage of the work]. I reviewed and revised the suggestions, checked any factual claims against [sources or process, if applicable], and wrote [parts completed independently].
Delete any bracketed detail that does not apply. Replace it with what really happened, and add a formal citation or record reference when the assignment requires one.

What are the main college AI-policy categories?
Policies usually differ along four dimensions: whether use is allowed, whether permission is needed, whether acknowledgment or citation is required, and what records must be supplied. Use the following table to classify your assignment, then follow the most restrictive applicable instruction.
| Policy approach | What it means for your work | What to do about disclosure |
|---|---|---|
| Prohibited | AI cannot be used for the specified assessment, or for the specified stages of it. | Do not use the tool. If you already used it, contact the instructor before submitting and explain the situation. |
| Permission-based | Use is possible only after the instructor approves the proposed tool or task. | Request permission in advance, keep the written response, and disclose the approved use in the required format. |
| Limited-task | AI is allowed for named activities, such as brainstorming or grammar feedback, but not for other work. | Stay within the listed tasks and identify the tool and affected stage or section. |
| Citation-required | Use is allowed, but generated material or assistance must be acknowledged through a specified citation or note. | Provide both the disclosure and the formal citation if the instructor requires both; one does not automatically replace the other. |
| Broadly permitted | AI may be used unless a separate assignment rule limits it. | Follow any stated acknowledgment, placement, or documentation instructions and remain responsible for the submission. |
These labels are practical descriptions, not a universal taxonomy. An instructor can combine them—for example, allow brainstorming with permission, prohibit generated prose, and require a prompt log for permitted uses.
How do I disclose AI assistance step by step?
Use this sequence whenever the assignment permits AI or the instructor has approved it.
- Read the exact task rule. Check the prompt, syllabus, rubric, and announcements for the assessment you are completing.
- Define your proposed use. Write down the tool, the task, and the part of the assignment it may affect. This makes an unclear request to the instructor answerable.
- Get permission when required. Ask before using the tool, preferably through a channel that preserves the response. Keep the reply with your assignment records.
- Record use as you work. Note the tool name, date or version when requested, prompts, significant outputs, and the portions you kept or rejected. Do not reconstruct a detailed history from memory at the end.
- Verify the result. Check factual claims, quotations, calculations, citations, links, code behavior, image rights, and adherence to the assignment. University guidance from UNC Charlotte emphasizes that students remain responsible for inaccurate information in submitted work.
- Write and place the disclosure. Name the tool, describe its role, identify the affected portion, and state your actual review or independent work. Put it where the assignment specifies and add a formal citation or attachments when required.
Where should I put an AI-use statement?
Placement depends on the format and the instructor’s directions. Ohio University guidance gives different locations for common formats, so do not assume that a footnote or a final paragraph is always correct.
Written papers and reports
When no other location is specified, a written-document acknowledgment can appear before the references. Use the heading or label requested by the course, and do not hide a required statement in an appendix that the grader may not read. If the instructor asks for a citation in a particular style, follow that style in addition to the acknowledgment.
Slides and recorded presentations
Ohio University suggests placing a disclosure on the final slide or in speaker notes. If the instructor requires visible disclosure, put it on the slide rather than relying only on notes. Identify which images, text, or planning stages involved AI.

Discussion boards and short posts
A discussion-board disclosure may be a final line or comment when that is the course’s stated format. Keep it concise but specific enough to identify the tool and task; a generic “AI used” label does not explain the assistance.
Code, spreadsheets, and design files
Use the location specified for the artifact, such as a read-me file, submission comment, design rationale, or code comment. Do not insert an acknowledgment into executable code if it will break the assignment; ask where the instructor wants it instead.
When no location is stated
Ask the instructor. Placement can affect whether a statement is treated as part of the submission, and a course may want a separate form, cover page, or learning-platform field.

Do I need a formal citation if I disclose AI use?
Sometimes. Disclosure explains your assistance; a formal citation identifies generated material according to the instructor’s required style. University guidance from the University of Minnesota, UW–Madison, and other institutions treats acknowledgment and citation as practices that may both be required.

When the output appears in the submission
If AI-generated text, an image, code, data transformation, or another output remains in the work, check whether the instructor requires a citation, a note identifying the output, or a link to a conversation. Use the course’s specified style and wording. Do not assume that naming a tool in a general acknowledgment fulfills a source-citation requirement.
When AI was used only as a process aid
Brainstorming, outline feedback, or grammar suggestions may leave no generated wording in the final product, but the course can still require an acknowledgment. Describe the process aid and the section or stage it affected, then follow any separate citation instruction.
When the instructor has supplied a format
Copy the required order, heading, punctuation, and location. A style manual or a citation generator cannot override a course-specific rule. If the directions conflict, ask which instruction controls before submitting.
What records should I keep?
Keep only the records the course requests, but preserve them while the assignment can still be questioned. UW–Madison guidance discusses whether chat transcripts should be submitted or retained, and University of Minnesota examples include preserving digital artifacts or process documents when required. Those practices are course-specific, not a universal obligation.
Possible records
- The tool name and version or access date, when requested.
- The prompts that materially shaped the work.
- Relevant outputs, including generated text, images, code, or tables.
- Your notes showing what you accepted, rejected, fact-checked, or rewrote.
- Links to chats or exported transcripts, if the instructor asks for them and the service supports them.
- The written permission or clarification from the instructor.
Protect privacy and confidential material
Do not paste private student records, unpublished research, protected client information, examination questions, or copyrighted material into an AI service unless the course and the data owner authorize it. If a record must be submitted, remove unrelated personal information when the instructor permits redaction, and ask how to handle sensitive content.
How do I verify AI-assisted work before submission?
Verification is part of responsible authorship, not a ceremonial sentence in the disclosure. AI systems can produce plausible but false claims, altered quotations, missing context, incorrect citations, insecure code, or images that do not meet the assignment’s requirements.
Check factual material
- Open the original source for every important claim and quotation.
- Confirm names, dates, figures, definitions, and page numbers.
- Remove citations that you cannot locate or that do not support the statement.
- Check that examples match the assigned geography, edition, discipline, or time period.
Check reasoning and calculations
- Recalculate results independently and inspect units and assumptions.
- Test code with representative and edge-case inputs.
- Compare an AI-suggested method with the method taught in class.
- Make sure the final answer responds to the actual prompt rather than a simplified version.
Check authorship and policy boundaries
Remove generated passages that the policy forbids, even if they are accurate. Revise suggestions into your own analysis only when the policy allows that use, and preserve the distinction in your disclosure. You are accountable for the final submission, including errors introduced by an AI tool; UNC Charlotte’s guidance makes that responsibility explicit.
What are examples of strong and weak disclosures?

Brainstorming an outline
Strong: “I used an AI language tool to brainstorm possible headings for the literature-review outline. I selected and reorganized the headings myself; the submitted paragraphs and analysis were written independently.”
Weak: “AI helped with my paper.” This does not identify the task, location, or division of work.
Organization feedback
Strong: “I asked an AI tool for feedback on the order of sections in the discussion. I used one suggestion to move the limitations section and rewrote the transition sentences myself.”
Weak: “The structure was improved by ChatGPT.” It does not say what changed or whether generated wording remains.
Grammar assistance
Strong: “I used an AI writing assistant to flag grammar issues in the methods section. I reviewed each suggestion and made the final edits.”
Weak: “Proofread with AI.” This could describe anything from a spell check to wholesale rewriting.
Code generation or debugging
Strong: “I used an AI coding assistant to explain an error in the data-import function and suggest test cases. I wrote and tested the final function, and I verified the output against the course’s sample data.”
Weak: “AI wrote the code.” That wording may inaccurately assign authorship and may reveal a policy violation rather than a compliant use.

- Save the relevant prompts, outputs, and dates while they are available.
- Compare the use with the exact prohibition or limitation in the course materials.
- Email the instructor a factual description of what you did and ask how to proceed.
- Follow the instructor’s direction, which may include removing generated material, completing a replacement task, adding documentation, or accepting an academic-integrity process.
A prompt for clarification can be direct: “For the assignment due on [date], I used [tool] to [task] before I understood the course rule. I have retained the relevant record. Should I remove that assistance, disclose it in a particular format, or complete another step?” Do not label the use as permitted until the instructor confirms it.
What common mistakes cause disclosure problems?
- Using a generic sentence: Replace “AI was used” with the tool, task, location, and actual review.
- Confusing acknowledgment with citation: Add the formal citation when the instructor requires one.
- Claiming checks you did not perform: Edit the statement so it describes only real verification.
- Ignoring placement instructions: Move the statement to the required page, slide, note, or submission field.
- Submitting unsupported AI claims: Verify every factual assertion and citation yourself.
- Assuming a university example is universal: Treat institutional pages as guidance for their students and follow your own course rule.
- Keeping no process record: Record permitted use as you work when the course may request prompts, outputs, or artifacts.
- Disclosing prohibited use instead of stopping: A transparent statement does not make forbidden assistance acceptable; ask the instructor how to remediate it.
How can I ask an instructor for a clear ruling?
Describe one planned action at a time. Include the assignment, the tool, the exact task, whether generated material would appear in the submission, and the record you can provide. Ask whether permission, disclosure, citation, or documentation is required, and request the preferred placement and wording.
Keep the response with the assignment materials. If the instructor changes the policy later, apply the newer instruction to work you have not yet submitted and retain both messages so the timeline is clear.

Frequently Asked Questions
Can I disclose AI use after I submit the assignment?
Usually you should disclose before submission, because the instructor may require a particular location, citation, or attachment. If you discover an omission afterward, contact the instructor promptly, describe the actual use, and ask whether a correction or additional record is required.
Does a built-in spelling or grammar checker count as AI assistance?
It depends on the course definition of AI and the tool’s capabilities. Some policies distinguish conventional proofreading from generative rewriting, while others cover both; check the assignment language and ask when the distinction is not stated.
Should I submit my entire AI chat transcript?
Only when the instructor or course policy asks for it. Some guidance recommends retaining or submitting prompts and outputs, but a full transcript can include irrelevant or sensitive material, so follow the specified scope and redaction rules.
What if the AI tool produced a citation that I cannot verify?
Do not include the citation as support. Locate a reliable original source yourself, replace the reference with one that actually supports the claim, or remove the claim, and mention the verification process only if the required disclosure format asks for it.
Free tools Windows power users keep installed
One-click scans. No signup required.
How long should I keep prompts and outputs?
Keep them for at least the period in which the instructor could request clarification or the assignment could be reviewed, unless the course gives a different retention period. Store records securely and retain only what the course requires.
