To create a training video with an AI avatar, start with a verified learning objective and source material, turn it into concise narration, map the narration to scenes, select a presenter and voice, then generate and review the video before publishing. Treat the generated script, audio, captions, and visuals as a draft: check them against the approved source and the needs of your learners.
1. Define what learners should be able to do
Write one observable outcome for the lesson. For example, specify whether learners should be able to explain a policy, complete a task in software, or follow a safety procedure. This keeps the video focused and helps you decide what belongs on screen.
Choose an approved source of truth before drafting. For a procedure, gather the current steps and the screenshots or screen recording that demonstrate them. For onboarding or policy training, use the current approved document. Do not rely on a video generator to invent policy details or fill gaps in a process.
2. Turn the source into spoken narration
Write for listening rather than copying a document word for word. Use short, direct sentences, explain unfamiliar terms, and keep one main point in each scene. For a procedure, make the order of actions explicit and add transitions so learners know when to move to the next step.

Check every number, product name, policy statement, and instruction against the approved source. Tools such as HeyGen and Colossyan describe workflows that start from scripts or existing training materials; that can speed up drafting, but it does not establish that generated content is accurate.
3. Plan scenes, presenter, and visuals
Break the narration into scenes and decide what each scene needs. An avatar can introduce a topic or explain a concept, while a slide, process visual, or software demonstration may communicate the details more clearly. Choose a stock or custom avatar and a voice that fit the audience and subject. These are production choices, not evidence that a particular avatar style improves learning.

For software training, show the actual interface where learners need to see what to click or enter. HeyGen describes a screen-recording feature that can produce narration, captions, and chapters: AI Training Video Creator. Plan on-screen text and visuals alongside the narration rather than assuming an avatar alone will explain every step.
4. Generate a draft and review it scene by scene
Once the script and scenes are ready, generate the video in your chosen platform. Before sharing it with learners, inspect each scene and compare the output with the source material.

- Accuracy: Confirm that instructions, figures, names, and policy details match the approved source.
- Audio: Listen for missing words, awkward pacing, and incorrect pronunciation of names or technical terms.
- Captions: Check that captions match the spoken audio and are readable.
- Scene alignment: Confirm that the visual supports the narration and does not depict a misleading process.
- Legibility: Check text and interface details at the size learners are likely to watch.
Vendor feature pages describe creation capabilities, not a guarantee that generated narration, captions, or visuals are correct. Keep a human review and approval step in the workflow.
5. Add interaction only when it supports the objective
A linear video may be enough to explain a process. If learners need to demonstrate recall, consider adding a short quiz. If they need to practise decisions, branching scenarios or roleplay may be more suitable. HeyGen describes quizzes and branching in its learning and development materials, while Synthesia describes interactive avatar roleplays on its learning and development page.

Choose interaction because it gives learners a useful way to practise or check understanding—not simply because a tool offers it. The cited feature descriptions do not establish that adding interaction by itself improves learning outcomes.

Before production, confirm the destination’s requirements: it may need a downloadable video, an interactive course, or SCORM packaging. Colossyan describes video export, interactive course publishing, and SCORM delivery on its learning and development page. Verify compatibility with your LMS and confirm that the required delivery option is available on the plan you intend to use.
How to compare AI avatar training video tools
Compare platforms against the actual material, format, and destination for your project. Feature availability and plan limits can change, so confirm details directly with each vendor before committing.

What vendor language and cost claims do—and do not—tell you
Vendor pages advertise language availability, but the counts are not a measure of translation quality. HeyGen lists 175+ languages on its undated AI Training Video Creator page; Synthesia lists 160+ languages, dialects, and tones on its undated learning and development page; and Powtoon lists 150+ languages on its undated L&D page. Verify that the specific languages and features you need are available for your intended plan.
HeyGen also claims that traditional professional training-video production costs $1,000–$5,000 per finished minute on its undated AI Training Video Creator page. The page does not establish the underlying data, so treat that figure as the vendor’s claim rather than an independent benchmark. Other performance and savings figures shown on vendor pages are likewise not established as general results by a disclosed study or methodology.
Do you need recording equipment?
The workflow described here is software-based: the cited tools cover script or training-material input, avatar narration, visuals, and in some cases screen recording and course delivery. The cited sources do not establish a camera, microphone, lighting kit, or other physical product as a requirement for making an AI-avatar training video.
