To create an invoice in Sage, first identify the exact product and country edition, then open its sales-invoicing area, start a new invoice, choose the customer, enter each product or service line, check tax and prices, review the date and payment terms, and save or process the document. In Sage 50 U.S., use Tasks > Sales/Invoicing; in Sage Accounting, use Sales > Sales Invoices > New Invoice; in Sage 50 Accounts U.K., use Invoices and credits > New invoice. After recording the invoice, you can print or email it when that edition provides the option. The labels, tax fields, recurring-invoice features and delivery controls differ, so following the path for the wrong edition is the most common source of confusion.

Which Sage product are you using?

Sage is a family of accounting products, not one single invoice screen. Your country, edition and product version determine the menu path, field names and available actions. Confirm the product name shown in the application before following a click-by-click procedure.

Sage edition New-invoice path Customer and line entry Finish and delivery
Sage 50 U.S. Tasks > Sales/Invoicing Select a Customer ID; enter Quantity, Item, Description, Tax and Unit Price or Amount. Choose Save or Print. Email uses the Sales/Invoicing window’s Email command.
Sage Accounting Sales > Sales Invoices > New Invoice Select or add a customer; choose a product or service, or type a description; add lines. Add optional Notes and Terms and Conditions, then save or process and use the available print or email option.
Sage 50 Accounts U.K. Invoices and credits > New invoice Choose Product format, enter the date and customer account, then select a product code. Complete optional Order, Footer and Payment tabs, then select Save.

If the menu in your installation does not match one of these paths, stop before entering data and verify the edition. A U.S. company using Sage 50 U.S. should not use the U.K. Accounts instructions merely because the word “Sage” appears in both products.

What information should you have ready before creating an invoice?

Have the customer record and transaction details available before opening the form. This reduces the risk of saving an invoice with the wrong customer, tax treatment or due date.

  • Tax: Know which tax selection belongs on each line under your configured regional settings. Do not copy a tax choice from another country or customer without checking it.
  • Terms and notes: Prepare payment terms, customer-facing notes and any order or footer information your edition supports.
  • Delivery details: Check the recipient’s email address if you intend to send the invoice electronically, or make sure a printer is available if you will print it.

How do I create an invoice in Sage?

The common sequence is to open the sales area, start a new invoice, identify the customer, add line items, review the totals and supporting details, then save or process the document. The following order works across the three editions, although the labels differ.

  1. Open the correct sales-invoicing screen. Use the edition-specific path in the table above rather than searching for a generic “invoice” button.
  2. Start a new invoice. Select the command labelled New Invoice, New invoice or the equivalent new-entry action.
  3. Select or add the customer. Choose the existing customer record when possible so the stored address and contact information are used. Add a customer only when no suitable record exists and you have the information needed for a complete record.
  4. Enter each product or service line. Select the item, product code or service where the edition provides one. Otherwise type a useful description. Enter the quantity and the unit price or amount required by the form.
  5. Apply the appropriate tax selection. Review tax line by line. The tax field and available choices depend on the edition’s regional configuration.
  6. Complete invoice-level details. Check the date, payment terms, notes and any order, footer or payment information offered by your product.
  7. Review before recording. Verify the customer, date, descriptions, quantities, prices, tax and final total. Correct mistakes while the invoice is still in the entry screen.
  8. Save or process the invoice. Saving records the entry in the product; some workflows use a process action before it is ready for delivery. Do not close the window assuming an unsaved form was recorded.
  9. Print or email it. Use the edition’s delivery command after confirming the saved invoice and recipient details.

How do I create an invoice in Sage 50 U.S.?

In Sage 50 U.S., open Tasks > Sales/Invoicing. Select the customer, fill the invoice lines and then choose Save or Print.

1. Open Sales/Invoicing

  1. Sign in to the correct company file.
  2. Choose Tasks > Sales/Invoicing. Sage describes this Sales/Invoicing window as the place to enter invoices for customers.
  3. Confirm that the window is set to a new invoice rather than an existing transaction you are editing.

2. Select the customer and enter lines

  1. Choose the customer’s Customer ID.
  2. For every line, enter the Quantity.
  3. Select or enter the Item.
  4. Provide a customer-readable Description.
  5. Choose the applicable Tax selection.
  6. Enter the Unit Price or Amount, depending on how the line is priced in your company file.

Use a separate line when the description, quantity, price or tax treatment changes. Read the completed descriptions as they will appear to the customer; an internal item code alone may not explain the charge.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Review and save

Check the customer ID, invoice date, every quantity and item, descriptions, tax and prices. When the entry is correct, select Save to record it or Print if you need a paper copy immediately. If you plan to email it, save the invoice first and then use the email workflow described below.

How many lines can a Sage 50 U.S. invoice contain?

Sage’s 2026 documentation states a limit of 500 line items per invoice for the documented Sage 50 Sales/Invoicing window. That figure applies to the specified Sage 50 documentation and should not be treated as a limit for Sage Accounting or every Sage product. For a transaction that would exceed the limit, split the billing into separate invoices only if that matches your agreement and accounting procedure.

How do I create an invoice in Sage Accounting?

In Sage Accounting, go to Sales > Sales Invoices > New Invoice. Select or add the customer, choose a product or service (or enter a description), add the lines and complete any optional notes or terms.

1. Start a new sales invoice

  1. Open the Sales area.
  2. Select Sales Invoices.
  3. Choose New Invoice.

2. Add the customer and billable work

  1. Select an existing customer or use the add-customer option when the record does not exist.
  2. For each charge, choose the relevant product or service. If no catalogue entry is appropriate, enter a precise description instead.
  3. Add all required lines, checking quantity and price information as you go.
  4. Apply the tax choice offered by your configured regional settings.

3. Add notes and terms when needed

Sage Accounting supports optional Notes and Terms and Conditions. Use Notes for information the customer needs to understand the charge or delivery, and use Terms and Conditions for the payment or contractual language your business has approved. Keep these fields customer-facing; do not place internal reminders in a document that will be sent externally.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

4. Save or process, then deliver

Review the invoice date, customer, line descriptions, quantities, prices, tax, notes and terms before saving or processing it. Once the invoice is recorded, use the print or email action available in your Sage Accounting interface.

How do I create an invoice in Sage 50 Accounts U.K.?

In Sage 50 Accounts U.K., choose Invoices and credits > New invoice, select Product format, enter the date and customer account, select a product code, complete any relevant tabs and save.

1. Choose the product-format invoice

  1. Open Invoices and credits.
  2. Select New invoice.
  3. Choose Product format when Sage asks which invoice format to use.

2. Enter the main transaction details

  1. Enter the invoice date.
  2. Select the customer’s account.
  3. For each charge, select the appropriate product code.
  4. Check the resulting description, quantity, price and tax information before moving on.

3. Use the optional tabs

The U.K. workflow can include Order, Footer and Payment tabs. Complete an Order tab when the invoice needs order-related information, use Footer for customer-facing footer text, and use Payment for the payment details supported by your company setup. Leave a tab unchanged only after confirming that the invoice does not require information there.

4. Save and check the recorded invoice

Review the date, account, product codes, descriptions, quantities, prices, tax and any tab information. Select Save, then confirm that the invoice appears in the expected sales or invoice list before printing or emailing it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I send an invoice from Sage?

  1. Open the saved invoice in the sales-invoicing area for your edition.
  2. Confirm that the customer record contains the intended email address. Correct the record before sending if it is missing or wrong.
  3. Choose the invoice window’s Email command.
  4. Review the recipient and the invoice presentation offered by your product.
  5. Select Send.

If your edition shows only a print command, print the invoice or export it using the options provided by that product, then send it through your approved email process. Do not assume that an invoice was delivered merely because it was saved; recording and sending are separate actions.

Can I print an invoice instead of emailing it?

Yes. Sage 50 U.S. exposes a Print choice from the Sales/Invoicing workflow, and the other editions provide print or delivery options according to their interface. Save or process the invoice first so the paper copy corresponds to the recorded transaction.

  • Preview the customer name, address and invoice date.
  • Check that every line, tax amount and total is visible and readable.
  • Confirm that payment terms and any required notes or footer text appear on the printed form.
  • Keep the printed or exported copy according to your business’s record-retention procedure.

How do I create a recurring invoice in Sage?

Recurring invoices are available in supported Sage 50 editions, but the exact menu and scheduling controls depend on the edition. Start from the recurring-invoice feature documented for your Sage 50 product, create the invoice pattern with the correct customer and lines, and review the first generated invoice before relying on an automated schedule.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Set up the recurring pattern carefully

  • Use the correct customer record and confirm its email address if invoices will be sent electronically.
  • Enter stable product or service descriptions, quantities, prices and tax choices.
  • Set the date or frequency required by your agreement, using the controls shown in your edition.
  • Review payment terms and notes so they remain accurate for every cycle.
  • Check the first invoice produced by the pattern before allowing subsequent invoices to be sent or posted.

Do not generalize the recurring-invoice availability or its controls from one Sage 50 edition to Sage Accounting or another regional product. If you cannot find the recurring option, verify the exact Sage version and consult that product’s current help rather than creating a series of manually duplicated invoices.

What should I check before I finalize an invoice?

A short review catches most costly invoice errors. Use this checklist immediately before saving, processing, printing or sending.

  • Customer: The legal or trading name, account and delivery email belong to the intended recipient.
  • Date: The invoice date falls in the correct accounting period.
  • Lines: Every product or service is present, with a useful description and the right quantity.
  • Price: Unit prices or amounts match the quote, order or agreement.
  • Tax: Each line uses the tax treatment configured for the transaction’s region and customer circumstances.
  • Terms: Payment terms, due-date language, notes and conditions are complete and customer-facing.
  • Totals: Subtotals, tax and the final amount are plausible for the work billed.
  • Delivery: The selected print or email method is available, and the recipient address is correct.

What are the most common Sage invoicing problems?

The menu path does not match

This usually means you are following instructions for a different edition or country. Check the product name and switch to the matching path: Tasks > Sales/Invoicing for Sage 50 U.S., Sales > Sales Invoices > New Invoice for Sage Accounting, or Invoices and credits > New invoice for Sage 50 Accounts U.K.

The customer is missing from the list

Use the add-customer option available in the edition, then complete the record before returning to the invoice. For email delivery, an email address must be present in that customer record.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A product or service line is wrong

Edit the line before saving or processing. Recheck the item or product code, description, quantity, price and tax selection rather than correcting only the visible total.

The invoice saved but was not sent

Saving records the invoice; it does not necessarily deliver it. Reopen the saved invoice, verify the customer email address and use the product’s Email command followed by Send, or print it when email is unavailable.

The recurring option is absent

Recurring invoices are documented for supported Sage 50 editions, not universally for every Sage product. Confirm the edition and version, then use the corresponding help for that product before attempting a manual workaround.

The invoice exceeds 500 lines

The 500-line figure is documented for the Sage 50 Sales/Invoicing window. If your Sage 50 U.S. invoice is larger, review whether the transaction can be divided into customer-approved invoices; do not assume the same limit applies to another Sage product.

Tax settings, invoice templates, payment processing and delivery controls can vary with region and edition. Treat the labels in your own installation as authoritative when they differ from this overview.

What is the safest order for a first invoice?

For a first invoice, create the customer record first, enter one carefully checked line, save a draft or invoice according to your edition, and inspect the printed or emailed presentation before billing a larger transaction. This exposes incorrect customer details, tax settings or template fields while the correction is still simple.

  1. Confirm the edition and open its documented invoice path.
  2. Verify the customer record and email address.
  3. Enter the invoice date and one complete product or service line.
  4. Review tax, price, terms and total.
  5. Save or process, then preview by printing or using the email command.
  6. Correct any presentation or data issue before adding the remaining lines or sending the invoice.

Frequently Asked Questions

Where can I find a saved invoice in Sage?

Open the same sales or invoicing area used to create it and look for the invoice list or saved transaction. The exact list name and filters depend on whether you use Sage 50 U.S., Sage Accounting or Sage 50 Accounts U.K.; use the customer and invoice date to distinguish similarly numbered entries.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can I add a customer while I am creating an invoice?

Sage Accounting explicitly provides an option to select or add a customer from the new-invoice workflow. Other editions may open customer maintenance separately, so use the add-customer control shown in your installation and complete the email address if you plan to send the invoice.

Why is my tax choice different from another Sage tutorial?

Tax fields and choices reflect the product’s country and regional configuration. A U.S. Sage 50 screen and a U.K. Sage 50 Accounts screen can therefore present different labels or codes; use the tax selection configured for your transaction rather than copying a code from another edition.

Can I change an invoice after emailing it?

The safest approach is to correct the recorded transaction using the adjustment or replacement workflow supported by your edition, then send the customer a clearly identified corrected document. Avoid silently changing a copy that the customer may already have received, and follow your accounting controls for edits to posted invoices.

Does every Sage product support automatic recurring invoices?

No universal availability should be assumed. Sage documents recurring invoices for supported Sage 50 editions, while the controls and availability for other Sage products depend on the specific edition and version you use.
