Then review and update the records regularly. There is no universal stage template: your funnel should reflect your sales process, not a generic list.
Decide what your CRM funnel will track
CRM products do not always use “funnel” and “pipeline” to mean the same thing. Zoho describes a sales pipeline as a view of deals moving through the seller’s sales process, while its sales-funnel guide describes buyer stages associated with leads. Before configuring anything, decide whether your report will count leads, qualified opportunities or deals, or both as separate lifecycles. Do not combine unlike records into one conversion denominator: a lead-to-opportunity rate and a deal-to-win rate measure different parts of the process.
Map the buyer journey before creating stages
Write down the path from the first known prospect through qualification, needs discovery, an offer or proposal, a decision, and a won or lost outcome. Change the sequence to fit your product, customers, and way of selling. Zoho notes that stages can vary by business, industry, product, and service.

For every stage, record the rules in plain language:
- Meaning: What has happened when a record belongs here?
- Entry condition: What must be true before it enters?
- Advance evidence: What buyer action or information justifies moving it forward?
- Exit or return: What makes it disqualified, lost, or appropriate to move back?
- Next action: Who owns the follow-up, and when is it due?
Use observable events rather than optimistic labels. For example, “proposal sent” is more consistently verifiable than “interested.” The exact fields to record are an implementation choice; the point is to make stage decisions repeatable across the team.

Choose a stage structure the team can maintain
Create only as many stages as the team can define and update consistently. Similar sales motions usually belong in one shared pipeline. Use separate pipelines when processes genuinely have different stages, rather than creating one for every product or team preference. HubSpot recommends separate pipelines for processes with unique stages; Zoho documents configuring multiple sales pipelines in its Multiple Sales Pipeline help page.
Give each stage a clear name and definition, and decide what happens to records that stop progressing. A stalled record may need a follow-up, nurturing, a move to an earlier stage, or disqualification—not an indefinite place in the active funnel.

Configure stages and forecasting
In the CRM, create or edit stages on the record type you selected, then add the supporting fields your process needs. At minimum, teams often benefit from a clear owner and next-action date; add qualification or decision details only when they help the team make a consistent stage decision.
If you use forecast probabilities, assign them deliberately and distinguish an estimate from a measured conversion rate. A stage probability is not evidence that the same share of your own deals will close unless you have calculated that rate from your records. HubSpot says deal-stage probabilities are used to determine weighted amounts in board view. Zoho’s pipeline settings support stage probability, record category, and forecast category. Check the current product documentation and your account’s edition before relying on a specific control.

In Zoho CRM, stage and forecast configuration is associated with the Deals module. For a vendor-neutral setup, ensure the final outcomes are represented accurately as closed-won and closed-lost, so active stages are not mixed with completed records in reporting.

A useful funnel view answers four practical questions: how many records are in each stage, where counts are dropping, how long records remain in a stage, and whether the report filters include the intended population. Keep the record type, date range, filters, and stage definitions consistent when comparing results over time.

Zoho CRM funnel component
Zoho’s documented setup is to open Dashboards, select a dashboard, add a component, choose Funnel and a style, name the component, configure stages with a module and duration, optionally add criteria filters, add the stages, and save. Consult Zoho CRM’s Funnel help page for the current interface. Zoho notes that some options may be released in phases and available only to selected accounts, so the controls can differ by account.
Other CRM dashboards
For another CRM, look for a report or visualization that groups the chosen record type by stage and supports the filters and time basis you need. If the built-in chart cannot show aging or stage movement, pair it with a separate report rather than treating one funnel graphic as a complete view of performance.
Review and improve the funnel
Set a recurring review cadence suited to your sales cycle. Inspect records that have exceeded the expected time in a stage, entries without a next action, and records whose stage does not match their documented evidence. Correct stale records before drawing conclusions from the dashboard.
Also watch for definitions that produce inconsistent updates. If two team members would place the same situation in different stages, clarify the entry and exit rules or simplify the stages. Salesforce Trailhead’s guidance on building a healthy sales pipeline emphasizes timely movement or filtering out prospects, along with frequent reviews of reliable CRM data.
Zoho CRM and HubSpot considerations
Use these vendor examples as configuration guidance, not as a claim that every account has identical controls. Zoho documents funnel dashboards with stages, module, duration, and optional criteria; its pipeline settings cover deal stages and forecast attributes. HubSpot documents object pipelines and stage probabilities, and says custom pipelines and lead pipelines have subscription requirements.
