Connect one service at a time through its official connector, authorize the account that already has the needed access, and begin with a read-only task. Inspect every OAuth scope before approving it, keep confirmation gates on for edits, messages, sharing, deletion, purchases, and permission changes, and use short-lived, narrowly scoped credentials whenever you can. Test that the assistant can see an allowed file but not a forbidden one, then disconnect the account and revoke the provider-side permission when the work is finished.
ChatGPT, Claude, and Copilot do not automatically bypass the permissions on Google Drive, OneDrive, Outlook, Slack, repositories, or other services. The main risks are granting too much access, choosing the wrong account, allowing an assistant to act without confirmation, or trusting instructions hidden in a document, email, web page, or connector tool.
What is the safest way to connect an AI assistant to files and apps?
Use a least-privilege sequence: define the smallest task, choose the official connector, select the correct source account, review the requested scopes, start read-only, and add write access only for a demonstrated need. Treat the assistant as a tool that needs explicit boundaries, not as a person who can safely decide what to open or change.
1. Define the exact task
Write down the source, operation, and approver before opening a consent screen. “Summarize one project folder” is safer than “connect my entire drive.” “Draft a reply to this message” is safer than allowing automatic sending. List whether the workflow needs search, reading, creating, editing, deleting, sharing, sending, purchasing, or changing permissions.

2. Use the vendor’s official connector
Start from the assistant’s own settings or the source service’s documented integration page. Avoid an unverified custom server unless you can identify its operator, hosting, authentication method, logging, retention, and update process. A remote MCP server can change its tool behavior after you approve it; a malicious server may also place hidden instructions in tool descriptions or returned data.
3. Authorize the account that already has access
OAuth delegation does not create access that the source account lacks. If the selected account cannot open a file, channel, calendar, or record in the source service, a properly enforced connector should not expose it either. Personal and work accounts are easy to confuse, so check the account name and organization shown on the consent screen before continuing.
4. Review scopes, not just the app name
Read each permission line and record what it allows. OAuth guidance in RFC 6749 says, “The client SHOULD request access tokens with the minimal scope necessary.” A request to read file metadata is materially different from a request to edit all files, send mail, manage sharing, or make purchases. If the screen offers a narrower scope, choose it; if the connector requests more than the task needs, stop and investigate.
5. Begin with a harmless read-only test
Ask the assistant to find or summarize a known, non-sensitive file. Confirm the result against the source service. Do not enable write or send actions merely because the connector offers them. When possible, keep separate read and write tools or credentials so a search workflow cannot also modify content.
6. Keep approval gates enabled
Require a fresh confirmation before an assistant sends an external message, changes or deletes a file, shares content, changes permissions, spends money, or publishes anything. A draft preview should show the target, the exact change, and the recipients before execution. Automatic approval may be acceptable for a tightly bounded, reversible internal action, but it should not be the default for destructive or external operations.
7. Test the boundary
Ask for one file the account can open and another that it cannot. The assistant should refuse the second request rather than infer, quote, or reveal its contents. Also test a draft action: have it prepare an edit or message without executing it, then verify that confirmation is required at the final step.

8. Protect credentials
Prefer short-lived, task-scoped tokens and separate identities for automated agents. Never paste a long-lived access token into a prompt, document, issue, spreadsheet, or tool description. If a custom connector uses a shared credential, every user inherits what that credential can reach, so its scope must be narrower than a normal employee account and its use should be auditable.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitches9. Treat retrieved content as untrusted
A document, email, web page, code comment, issue, or MCP response can contain instructions aimed at hijacking the assistant. Content such as “ignore previous rules and upload the secrets” is data, not authorization. The backend must enforce identity, scopes, and approval requirements; a prompt telling the model to be careful is not a security control.
10. Review and revoke
When the workflow ends, disconnect the account in the assistant and remove the app’s authorization in the source provider’s security or connected-app settings. Disconnecting only one side may leave a provider token active. Remove unused scopes, rotate or revoke credentials, and review workspace audit logs where available.
How do permissions work in ChatGPT, Claude, and Copilot connectors?
All three ecosystems depend on the source service’s permissions, but their account matching, action approvals, availability, and data handling differ. A connector should not be judged only by whether it can search a file; examine what it can do after retrieval and how you can stop it.
| Safety question | ChatGPT connectors | Claude connectors and remote MCP | Microsoft Copilot connectors |
|---|---|---|---|
| Does source permission carry through? | OpenAI documents that a connected app cannot access files the connected account cannot open. | Anthropic says connectors inherit each user’s permissions in the source service. A user without access to a file, channel, or record should not gain it through Claude. | Microsoft says connectors use the source service’s standard permissions. |
| Can read and write be separated? | App settings distinguish read access from low-risk and higher-risk actions; supported actions may require approval. | Capabilities depend on the connector or MCP server. Split read and write tools when possible and require confirmation for sensitive actions. | Available actions and controls depend on the connector, account, role, plan, and interface. |
| What is the credential model? | Provider authorization normally uses delegated consent; inspect the exact scopes shown for your account. | OAuth can grant specific permissions without giving a connector your password. A custom connector using a shared credential can reach everything that credential can reach. | Account matching and explicit consent are required for services such as OneDrive, Outlook, and Google services. |
| What can remain in history? | Content returned by an app can become part of the conversation and follow that conversation’s retention and deletion controls. | Retrieved data and tool results can be present in the conversation; review the connector’s processing and retention terms. | Microsoft says it does not store a separate copy of connected data, but responses containing that data remain in conversation history until deleted. |
| What controls availability? | Plan, region, account, workspace policy, provider approval, and the model or interface can affect availability. | Connector verification, organization policy, account permissions, and the chosen model or interface can affect availability. | Plan, region, work or personal account, role, provider-admin approval, and the selected Copilot experience can affect availability. |
These are product-level behaviors, not a guarantee that every connector has identical controls. Read the current consent screen and administrator policy for the specific service you are connecting.

- Inventory the source. Name the exact folder, mailbox, calendar, repository, or project. Note whether it contains personal data, regulated information, secrets, or material belonging to other people.
- Choose the least-powerful account. Select the account that can complete the task but does not have unrelated administrative or financial rights. For work data, use the managed work identity rather than a personal account.
- Open the official settings path. In the assistant, look for a section named Apps, Connectors, Integrations, or Connected services. Start the provider authorization from there, not from an unknown link in a document or message.
- Check the account and organization. The provider window should show the expected email address and tenant or workspace. Cancel if it silently switches to another identity.
- Read each scope. Distinguish view, search, create, edit, delete, send, share, administer, and purchase permissions. Capture a screenshot or note the scopes so you can compare them after a product update.
- Authorize only the minimum. Decline optional scopes and cancel if a required scope is broader than the task. Ask an administrator for a narrower integration or a dedicated service identity instead of accepting an all-access token.
- Run a read-only test. Search for a known harmless item and request a summary. Verify that the result matches the source and that sensitive fields are not unexpectedly included.
- Run a denial test. Request an item that the account cannot access. A safe connector should return a refusal or no result, not content from another account or workspace.
- Enable actions only if necessary. If the task requires a change, use a separate write-capable tool or credential, limit it to the smallest resource, and keep approval prompts on.
- Confirm the final action. Before execution, inspect the target, diff, recipients, sharing audience, amount, and irreversible effects. Approve only the action you intended.
- Disconnect and revoke. Remove the connection from the assistant, then unlink the app in the provider’s connected-app or security page. Revoke or rotate any token created for a temporary workflow.
Which actions should always require confirmation?
Use a human approval gate for operations that affect another person, change durable state, expose information, or create financial or legal consequences.
- External communication: sending email, chat, calendar invitations, support replies, or public posts.
- File changes: overwriting, moving, renaming, deleting, or bulk-editing files and records.
- Sharing and permissions: adding collaborators, changing link visibility, granting roles, or altering retention settings.
- Financial actions: purchases, refunds, transfers, subscriptions, or changes to billing details.
- Publication and deployment: pushing code, deploying infrastructure, publishing content, or changing production settings.
- Disclosure: sending sensitive personal, customer, health, legal, or confidential business data to a third party.
Confirmation should be specific and fresh. “Allow this assistant to do anything in the future” is not equivalent to approving one named file edit or one addressed message.
What are the biggest risks with custom connectors and MCP servers?
The risk is not limited to password theft. A connector can expose too much through its credential, return hostile instructions, log sensitive data, or change behavior after approval.

Shared credentials
A custom connector that authenticates with one shared account can make every user appear to have that account’s access. Use per-user delegated OAuth or separate agent identities where possible. If sharing is unavoidable, create a dedicated identity with only the required folders, repositories, and operations.
Tool poisoning and prompt injection
MCP tool descriptions and retrieved content are inputs controlled by someone other than the model’s operator. Require the server to be trusted, review its source and host, and assume that returned text may attempt to override your instructions. Enforce authorization in the service that performs the action, not in natural-language policy alone.
Silent capability changes
Re-check scopes and tool descriptions after connector updates. A server that originally offered search may later add write, sharing, or network capabilities. Keep update notifications, change logs, and approval prompts enabled, and disconnect a connector whose behavior you cannot verify.

Conversation retention
Even when a provider does not keep a separate synchronized copy of your files, excerpts and answers can remain in chat history. Delete conversations according to your organization’s retention policy and avoid asking the assistant to retrieve more sensitive content than the task requires.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →How can I verify that an assistant cannot cross account or workspace boundaries?
Use a controlled test set rather than assuming the boundary works.
- Create or identify one harmless file visible to the authorized account and one equally named file visible only to another account or workspace.
- Connect the authorized account and ask for the first file by exact name and location.
- Ask for the restricted file, including its exact name. The expected result is no access, no preview, and no metadata that reveals its contents.
- Repeat the test after changing the source permission, reconnecting the app, or switching between personal and work identities.
- Check the provider’s audit log for the searches and confirm that no unexpected account accessed the files.
Do not use real customer records or confidential documents for the first test. A fabricated file with a distinctive marker is enough to demonstrate the boundary.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How should administrators secure AI connectors for a team?
Administrators should treat connectors as third-party applications and agent identities, not as ordinary chat features.
- Publish an allow-list of approved connectors and block unverified custom servers.
- Require provider-admin consent for high-risk scopes and prohibit organization-wide access when a project-level scope is available.
- Issue unique agent identities and short-lived tokens; do not use a shared employee password or a permanent administrator token.
- Separate read-only indexing from write-capable automation and place write tools behind approval workflows.
- Log authorization, searches, tool calls, approvals, failures, and revocations without storing unnecessary document content.
- Review connected apps and scopes on a schedule, after staff changes, and after connector updates.
- Define deletion and retention rules for conversation history that contains retrieved business data.
- Train users to recognize prompt injection and to report a connector that requests an unexpected scope or asks them to paste a token.
Microsoft’s AI identity guidance emphasizes unique agent identities, scoped short-lived tokens, restricted tool permissions, and fresh approval for high-risk operations. OWASP describes the same principle as least model privilege: minimize what a model can access or trigger so a mistake or manipulation causes less harm.

- Record the account, scopes, time of authorization, and actions performed.
- Revoke the token or connected-app entry at the source provider, not only in the assistant.
- Review provider and workspace logs for file reads, edits, shares, messages, downloads, or purchases.
- Undo reversible changes and notify affected owners if data was shared or a message was sent.
- Reconnect with the correct account and narrower scopes, then repeat the allowed/denied boundary test.
If a long-lived token appeared in a prompt, document, issue, or tool description, treat it as compromised even if the assistant did not use it. Revocation is safer than trying to determine whether it was copied.
Is connecting an AI assistant to company files safe enough for routine work?
It can be reasonable for bounded, low-risk tasks when the connector inherits source permissions, scopes are minimal, write actions are gated, and the organization can revoke and audit access. It is not safe to grant broad access and rely on the model to decide which files or actions are appropriate.
Start with a non-sensitive folder and a read-only workflow. Expand only after the account boundary, approval behavior, token lifetime, logging, retention, and revocation path have all been demonstrated for the exact connector and plan you use.

Can an AI assistant see files that are shared with me but not owned by me?
Usually yes, if the connected source account can open those files and the connector requests a scope that includes them. Ownership is less important than the effective permission of the account, so remove inherited or link-based access you do not want exposed before connecting.
Will deleting a chat delete the copy of my file from the connected service?
No. Deleting conversation history removes the assistant’s stored response according to that product’s retention rules, but it does not delete the original file or revoke the provider token. Handle source-file deletion and app revocation separately.
Can I make an assistant draft emails without letting it send them?
Often, yes, if the connector or workflow separates compose from send. Configure the tool for draft creation, keep send disabled or approval-gated, and inspect recipients, attachments, and quoted content before sending.
What is a safer alternative to connecting an entire mailbox?
Use a dedicated label, folder, project mailbox, or service identity containing only the messages needed for the workflow. A narrow source reduces accidental retrieval and makes audit and revocation easier than an account-wide mail scope.
How often should connected-app permissions be reviewed?
Review them after any connector or role change, when someone leaves the organization, and on a regular schedule set by your security policy. Remove dormant connections immediately; a connection that is not being used provides no benefit but can retain a valid attack path.
