Connect an AI agent to an ERP, inventory, or order system through the system’s supported APIs or vendor-provided MCP tools—not by bypassing the application layer. Keep authentication, permissions, validation, and business workflows in the system that owns the data, begin with narrowly scoped read-only operations, and introduce write actions only after you have defined safeguards and tested the target environment. MCP can standardize how compatible agents call tools, but it does not supply your organization’s authorization or governance model.
What does an AI agent need to connect to an ERP or order system?
An agent needs a controlled way to request business information or invoke business operations. That connection is not simply a pipe to a database: it is an interface to authoritative data and the rules that make the data usable, such as who may see an order, whether stock can be promised, and how an order is created or canceled.
Start by naming the actual user task, then identify the system and operation that are authoritative for it. For example, answering “Where’s my order from last week?” may require finding the right customer, retrieving that customer’s order history, and returning an appropriate status. A stock question may require an availability operation rather than a raw count from an inventory table. These distinctions matter because a technically reachable field is not necessarily the right answer to a business question.

- ERP: A source for business records and processes such as finance, purchasing, customer, or order data, depending on the organization’s configuration.
- Inventory: The system or operation that determines stock or availability for the relevant location, product, and business rules.
- Order management or commerce: The operations that look up, create, update, or cancel orders and apply the owning system’s workflow.
Do not assume that a product’s support for MCP means it exposes every operation you need. Confirm tool coverage, supported versions, identity behavior, and environment requirements for the particular deployment.

Should the agent use an API, MCP, a managed connector, or a gateway?
Choose the access surface that covers the required operations while preserving the system’s authorization and business logic. APIs remain a viable integration surface; MCP is a standardized way for compatible agents to discover or call tools. A managed connector can reduce integration work when its supported actions fit, while a gateway can centralize controls across MCP servers.
| Approach | Best fit | What to verify |
|---|---|---|
| Vendor-supported API or MCP service | The target platform offers the required operation and the agent can use its supported interface. | Exact operation coverage, identity and permission model, supported product version, environment prerequisites, and compatibility with the intended agent client. |
| Managed connector | You want prebuilt integration actions and help with connection, mapping, error handling, or maintenance. | Whether the connector supports the specific system and business operations, how it handles identity and permissions, and whether its deployment model suits your environment. |
| MCP gateway | You need a central point to authenticate or authorize callers, filter tools, evaluate policies, or control responses across MCP servers. | Which controls are actually configured, how callers are identified, and whether the gateway’s policies preserve the target system’s own checks. |
This is a decision framework, not a scored vendor comparison. Microsoft describes its Dynamics 365 Finance and Operations MCP server as an interface to application data and business logic, with calls subject to the same authentication, authorization, business logic, and data controls as other app experiences. Oracle describes an MCP gateway pattern for caller authentication and authorization, tool filtering, policy evaluation, and response control. Boomi describes Connect as a managed MCP connector service that exposes prebuilt enterprise connector actions and addresses tasks such as authentication, API integration, schema mapping, error handling, and ongoing maintenance. Confirm current support and suitability with the vendor before choosing any of these approaches.
A gateway or connector is not a reason to weaken the ERP’s protections. Treat it as another control or integration layer, and confirm what it does, what the underlying system still enforces, and who operates it.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsHow do you plan the integration before connecting a tool?
Translate the intended conversation into a short, explicit list of data needs and actions. That list becomes the scope for tool selection, permissions, testing, and rollout.
1. Map requests to business operations
Write down the user requests the agent should handle and the exact data or action each requires. Examples include product lookup, available-to-promise inventory, order status, order creation, and order cancellation. Separate information retrieval from actions that change records.
2. Identify the system of record and authoritative operation
For each item, record which application owns the value and which supported API, MCP tool, or connector action performs the operation. Avoid stitching together a result from convenient but non-authoritative fields if the application exposes a business operation that applies the required rules.
3. Check the real tool surface
Verify that the selected interface supports the precise operation, required input fields, and expected response. A platform’s general MCP capability does not prove that its MCP server exposes a specific inventory or order action. If an operation is absent, do not imply that a prompt or protocol setting will make it available.

4. Decide how identity works
Choose whether a request runs as a delegated user or as an autonomous service identity. In delegated access, the user’s permissions can determine what the agent may retrieve or do. A service identity is an application-level identity, so its granted access and the rules for attributing actions need deliberate management. Do not assume that these modes produce the same visible records or allowed operations.
5. Define the agent’s audience and response boundaries
Specify which users can invoke the agent and what data the answer may contain. For example, an agent answering order questions should not return another customer’s order merely because the integration identity can read it. Review both the source-system authorization and the agent client’s handling of data, including its movement and retention policies.
How should you set up identity and permissions?
Grant only the roles and privileges necessary for the operations in scope, and verify the effective permissions in the target environment. Microsoft’s Finance and Operations MCP security documentation says requests use the authenticated user’s security context and preserve the application’s existing authorization and business logic; it describes this as a case where “The security model doesn’t change.” That statement applies to the documented Dynamics 365 context, not automatically to every MCP server or connector.
Before rollout, document the identity design in terms an administrator can review:
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →- Caller: Which person, agent, or service is represented to the business application?
- Privileges: Which read and write operations can that identity perform, and which records can it access?
- Client access: Which agent clients are permitted to connect, and how is that list maintained?
- Data handling: What data can flow to the agent client, and what are that client’s retention and processing settings?
- Accountability: How will the organization identify which user or service initiated an operation?
Microsoft’s documented Commerce MCP workflows also show why identity is more than a connection setting: authentication state affects which operations are available and which customer-specific data can be accessed. Confirm the behavior for the intended authentication state rather than assuming that a successful connection grants the right scope.
How do you keep business rules and workflows intact?
Expose bounded business operations instead of giving the agent unrestricted access to tables or generic write capability. Inputs should be validated, outputs should be shaped for the intended task, and business decisions should remain with the application that owns them.
For inventory, ask which operation returns availability for the relevant product and context. For commerce, Microsoft describes workflows that include product discovery, inventory availability, promotions, carts, checkout, and order activity, with the existing Commerce engine used for those workflows. This is a documented Dynamics 365 Commerce example, not evidence that every ERP or Commerce MCP integration has the same tools or behavior. The feature page labels the capability as preview, so treat its availability and details as subject to change.

For orders, make a distinction between finding an order and changing one. An order-status lookup can usually be designed as a read operation; an order cancellation or creation changes business records and may trigger further processing. Keep pricing, inventory, tax, payment, and order logic in the applications that own those rules rather than trying to recreate them in an agent prompt.
How do you pilot read-only access safely?
First verify that the agent reaches the intended environment through the intended identity, then test only the lookups in scope. Use records with known expected results and check both what the agent can retrieve and what it must not retrieve.
- Confirm the environment and connection. Check the tenant or environment, configured endpoint, enabled feature, and authenticated identity before using business data.
- Test a known record. Compare the tool result with the application’s expected record or value for the same identity and context.
- Test permission boundaries. Use a case the identity should not be allowed to read and confirm that the agent does not receive or disclose restricted data.
- Check answer shaping. Verify that returned customer and order details are appropriate for the agent’s audience, not merely present in the tool response.
- Inspect failure behavior. Confirm the agent handles missing records, denied requests, and unavailable tools without fabricating a business answer.
These are implementation checks, not claims that a particular integration or test has been performed. The point of the pilot is to validate the identity, boundaries, and response behavior before adding operations that change records.
How should you add order, inventory, or ERP write actions?
Add writes only after defining how each action is authorized, confirmed, retried, handled on error, and audited. There is no universal human-approval rule established for every platform; use the target application’s controls and the organization’s policy to decide when confirmation or additional review is required.
Make the action narrow and explicit
Expose a named operation such as “create order” or “cancel order,” not an unrestricted ability to update arbitrary fields. Validate required inputs and enforce application rules at the point where the system processes the action.
Decide when confirmation is needed
For consequential changes, define what the agent must show the user before proceeding and which actions require explicit confirmation or a separate approval path. A confirmation in chat should not be treated as a substitute for the application’s own authorization or workflow controls.
Plan for retries and partial failures
Specify how the integration prevents an uncertain retry from accidentally repeating an operation, how errors are returned to the agent, and what happens when a request succeeds in one system but a later step fails. The exact mechanism depends on the platform and operation; do not assume the protocol itself supplies it.

Preserve a useful audit trail
Determine what the application records about the caller, operation, and result, and how administrators can review that record. Make sure the identity model allows the organization to distinguish the responsible user or service rather than leaving material actions unattributable.
What product and runtime prerequisites should you check?
Availability and limits are product-specific. Check version, environment tier, enabled features, allowed agent clients, identity flow, regional availability, and runtime behavior in the target tenant before treating an integration design as deployable.
Microsoft’s current Finance and Operations MCP documentation identifies supported application versions and environment prerequisites. It also says the earlier static server is scheduled to retire on October 1, 2026. Confirm which server applies to the target deployment and whether its prerequisites are met; do not carry forward an older setup assumption without checking current product guidance.
Microsoft’s Dynamics 365 Commerce MCP documentation describes a preview feature, so availability and details may change. Validate preview status and operation coverage before making it a dependency for a production workflow.
Runtime limits also vary. Amazon Web Services documents a 30-second MCP tool invocation timeout limit for Amazon Connect Customer. That figure is specific to that AWS platform and is not a general MCP or ERP timeout. Check the timeout and failure behavior for the agent platform and tools you actually deploy.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What should you compare when choosing an integration approach?
Compare the approaches against the operations and controls your use case needs, not against a generic label such as “MCP-ready.” The following questions expose the practical differences.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →- Coverage: Does the interface support every required ERP, inventory, and order operation?
- Identity: Does it use delegated user access, a service identity, or another documented model, and how are permissions enforced?
- Business logic: Do native validations and workflows run, or would the integration need to reproduce them?
- Policy control: Do you need tool filtering, caller authorization, policy checks, or response controls across several servers?
- Operations: Who owns schema mapping, maintenance, monitoring, and error handling?
- Compatibility: Are versions, environment prerequisites, feature status, client allowlists, and runtime limits acceptable?
A vendor API or MCP service may be the simplest fit when it directly covers the operation and preserves the application’s rules. A managed connector may be useful when it supports the required system and reduces integration and maintenance work. A gateway may be valuable when policy and tool controls need to be managed across several MCP servers. None is inherently the right choice without verifying its coverage and identity behavior for the actual workflow.

What commonly goes wrong during ERP-agent integrations?
Most avoidable problems come from treating connection success as proof that an integration is safe, complete, or supported. Check the specific failure mode rather than solving every issue by granting broader access.
- The tool is missing the needed operation. Recheck the vendor’s supported tool list and version requirements; general MCP support does not guarantee a particular action.
- Results differ by user. Inspect the caller identity, security roles, and authentication state. The difference may be an intentional authorization boundary, not a data synchronization defect.
- The agent returns information it should not disclose. Review both application permissions and the agent client’s data handling, audience, and response controls.
- A write action is unavailable or rejected. Check operation coverage, required inputs, authorization, and application workflow conditions before changing permissions.
- Calls time out or behave inconsistently. Verify the platform-specific limits and error handling; do not apply one vendor’s timeout as a universal protocol rule.
- A previously working setup is no longer supported. Recheck product lifecycle, supported versions, environment prerequisites, and preview status before troubleshooting prompts or agent behavior.
When diagnosing a failure, capture the operation, environment, identity, and outcome in a way that does not expose unnecessary customer data. This makes it easier to separate an access issue from unsupported coverage, a business-rule rejection, or a runtime limit.
Frequently Asked Questions
Can an AI agent connect straight to an ERP database?
A direct database connection can bypass application-level validation, authorization, and workflow behavior, so it is generally a poor fit for operational actions. Prefer a supported interface that invokes the business application’s own operations; if a read-only analytical use case is considered, assess it separately with the data owner.
Does MCP mean every AI model can use my ERP tools?
No. MCP standardizes a way for compatible clients to access tools, but the client must support the protocol and be permitted by the deployment. Tool availability and authorization still depend on the server, identity, and product configuration.
Can an agent update inventory automatically without a person?
That depends on the operation, the target system’s safeguards, and organizational policy; the protocol does not establish a universal approval requirement. Define who can authorize the change, how duplicate or failed requests are handled, and what audit record is required before enabling unattended writes.
How do I test an agent without risking live orders?
Use a vendor-supported non-production environment when available, with test identities and records that mirror the relevant permissions and workflows. Confirm its feature and configuration match the intended deployment, since a test environment may not establish production readiness by itself.
