Compress a PDF safely by first identifying what makes it large, then applying the least aggressive image, font, and scan settings that meet your delivery limit. Keep the original file, choose settings for the actual destination (screen, desktop printing, or professional press), and inspect the compressed copy at normal size and high zoom. For scanned documents, preserve or rerun OCR and confirm that text remains searchable and selectable. A smaller file is not automatically a better file: lossy image compression can permanently remove detail, unembedding fonts can change typography, and some optimization workflows can produce a larger PDF. The reliable method is controlled optimization followed by checks of size, legibility, searchability, compatibility, accessibility, and any required print or archival standard.
What actually makes a PDF file large?
PDFs are containers rather than a single kind of document. Their size usually comes from embedded raster images, scanned page images, fonts, vector artwork, metadata, and other objects. Compression treats each component differently, so a preset that helps a photo-heavy report may do little for a text-native document and may damage a diagram or fine print.
Image-heavy and scanned PDFs
Photographs and scans store many pixels. Downsampling lowers their resolution by combining pixels, while JPEG or JPEG2000 encoding can reduce the data further by discarding information. These operations often produce the largest savings, but the lost detail cannot be restored.
Text-native PDFs
A PDF created from selectable text and vector graphics may contain relatively few pixels. Aggressive image reduction therefore offers little benefit. Removing embedded fonts can save space, but a reader’s device may substitute a different font and change line breaks, spacing, or the appearance of small type.

Why a rewrite can be larger
Optimization is not guaranteed to reduce size. Ghostscript’s documentation notes that its pdfwrite process can sometimes create a larger file, depending on how the original objects were encoded. Always compare the resulting file with the source instead of assuming that a completed conversion succeeded.
How should I choose a compression target?
Start with the recipient’s actual use. A file intended only for on-screen reading can tolerate different image resolution from one that will be printed or sent to a professional press.

Record the size limit and the required compatibility before changing anything. If the PDF must remain PDF/A, PDF/UA, or meet a printer’s specification, treat that requirement as a pass/fail check rather than relying on a generic “smallest file” preset.

Work from a copy and establish a baseline so that you can recover the source and measure whether the change helped.
- Save a separate working copy. Keep the untouched source until the optimized file has passed every check.
- Record the original size and properties. Note the PDF version, fonts, permissions, OCR/searchability, and any compliance level shown by your PDF application.
- Identify the page content. Determine whether pages are mostly native text and vectors, photographs, or scanned images. A mixed document may need different scrutiny on different pages.
- List required features. Include selectable text, links, bookmarks, forms, page orientation, accessibility tags, print quality, and any archival or compatibility requirement.
- Choose representative pages. Select a page with the smallest text, one with thin lines or a chart, one with a photograph, and one scanned page if the document contains scans. These pages become your before-and-after test set.
How do I compress a PDF in Adobe Acrobat?
Acrobat provides a quick web or desktop compression route and a more detailed optimizer. Labels and plan availability can change, but the documented desktop path is All tools → Compress a PDF. Advanced Optimization is documented for Acrobat Pro, Premium, or Studio desktop editions.
Use the quick compression workflow
- Open the working copy and choose All tools → Compress a PDF.
- Select the available compression level that matches the destination. Do not assume the most aggressive level is safe for every page.
- When prompted, choose whether to retain the existing PDF compatibility or select a PDF version appropriate for the recipients.
- Save the result as a new file rather than overwriting the source.
- Compare the new size and inspect the representative pages before distributing it.
Use Advanced Optimization for control
Choose the advanced optimizer when you need to control images, fonts, or other PDF components separately. In the Images panel, set downsampling and the compression method; review the fonts and other panels instead of accepting every default. This is particularly useful when a report contains both photographs and pages where fine text or diagrams must remain intact.

Adobe’s optimizer guidance says JPEG and JPEG2000 are suited to images with gradual color changes, such as photographs. ZIP is often better for illustrations with flat colors. JPEG and JPEG2000 quality settings are lossy: they permanently remove pixel data. Begin with a conservative quality level, save a copy, and compare the result at ordinary reading size and at high zoom.
Which image compression method should I use?
Match the method to the image, not to a file-size target alone.

Downsampling can make a page look acceptable at 100 percent while destroying information visible only when zoomed or printed. Compare the smallest type, hairline rules, chart labels, map symbols, and any image that a reader may need to enlarge. If those elements fail, restore the source and use a gentler setting.
Should I remove embedded fonts?
Usually not when consistent typography matters. Embedded fonts let a PDF display the intended letterforms on systems that do not have those fonts installed. If you remove them, the viewer may substitute another font, changing text width, line wrapping, and the appearance of small characters.
Font removal can be considered only when you control the recipient environment and have verified the result there. Open the optimized file on a system that does not contain the original font, compare line breaks and symbols, and retain embedding if any difference affects meaning, branding, accessibility, or print output.

A scanned PDF is primarily a set of page images. Compression can reduce those images, but only optical character recognition (OCR) creates searchable and selectable text. Preserve existing OCR when the workflow allows it, or rerun OCR after optimization and test the result.

Use appropriate scan settings
Adobe’s scanned-PDF guidance recommends 300 dpi for grayscale or color scans and 600 dpi for black-and-white scans when applying adaptive compression. These are documented starting points, not a guarantee for every existing scan. A historical document with tiny type, handwriting, halftones, or fine line work may need a different treatment.
Apply image optimization carefully
Use the scan settings’ image optimization and sharpening controls conservatively. Excessive sharpening can create halos around characters; excessive reduction can merge letters or erase punctuation. Review pages with the smallest type and the weakest contrast, not only a clean cover page.
Confirm OCR after saving
- Open the optimized file in a standard PDF viewer.
- Search for a word that appears on a scanned page.
- Try selecting and copying a sentence, then check for obvious recognition errors.
- Inspect punctuation, accented characters, columns, tables, and page rotation.
- If search or selection fails, rerun OCR or return to the source and use less aggressive image reduction.
What resolution do I need for printing?
Resolution needs depend on both the image and the output device. Adobe’s PDF settings overview gives these example relationships: 120 ppi for a 300 dpi laser printer, 170 ppi for a 600 dpi laser printer, 240 ppi for a 1200 dpi imagesetter, and 300 ppi for a 2400 dpi imagesetter. Adobe presents them as settings guidance, not independent performance measurements. Treat them as examples and confirm the requirements of the actual printer or press.

Do not force every image to one number. A photograph may remain acceptable after reduction while a 1-bit scan, map, or technical drawing loses essential detail at the same setting. Print a representative page when the document’s purpose includes paper output.
Can Ghostscript compress a PDF from the command line?
Ghostscript is a documented option for users who prefer a command-line workflow. Its common presets progress from smaller, lower-resolution output to larger, higher-quality output: /screen, /ebook, /printer, and /prepress. The names describe tendencies, not guarantees.
Choose the least aggressive preset that meets the destination, then inspect the output as you would an Acrobat export. Ghostscript explicitly cautions that pdfwrite may produce a larger file, so compare byte size and verify fonts, searchability, images, compatibility, and required document features. A command-line conversion is not a substitute for visual and functional review.

How do I verify that the compressed PDF is safe to deliver?
Use a repeatable before-and-after check rather than judging the file by its size alone.

- Size: Confirm that the output actually meets the upload, email, or storage limit.
- Normal reading: Read representative pages at ordinary zoom without relying on unusually high magnification.
- Fine detail: Zoom into small type, thin lines, charts, maps, photographs, and scanned characters.
- Search and selection: Search for known words and select text on every scanned section.
- Fonts: Check line breaks, symbols, and typography on a system that may not have the original fonts.
- Navigation and page objects: Test links, bookmarks, orientation, and other elements readers need.
- Compatibility: Open the file in the viewers or workflow named by the recipient.
- Accessibility and compliance: Recheck PDF/A, PDF/UA, tags, permissions, and any organization-specific requirement.
- Print: Print a representative page when paper output matters; inspect both text and images.
Adobe’s PDF properties tools can report file size, PDF version, OCR/searchability, compliance levels, fonts, and permissions. Use those properties alongside a visual inspection; metadata cannot tell you whether a small chart label has become unreadable.

The file is still too large
First identify which component dominates the file. If photographs or scans account for most of the size, reduce image resolution or quality gradually and retest. If the document is mostly native text, harsher image settings may accomplish little; investigate fonts and other objects without removing features the recipient needs.
Text or diagrams look blurry
Undo the last lossy change, raise the image quality, reduce downsampling, or use ZIP for flat-color artwork. Pay particular attention to small labels and thin lines, which can fail before body text does.
Colors show blocks or banding
JPEG artifacts are most visible in smooth gradients and photographic transitions. Increase quality, try JPEG2000 where the receiving workflow supports it, or preserve the original image for pages where artifacts are unacceptable.

Restore embedded fonts and regenerate the output. If a font must remain unembedded, test on a machine without the source font and compare every affected page before release.

Search no longer works on scans
Run OCR again with the optimized images, then test both search and text selection. If recognition is inaccurate, use a higher-resolution source or less aggressive image reduction.
The output became larger
Discard that version unless another requirement justifies it. Try a different preset or optimizer configuration, and compare the resulting objects and compatibility. A smaller setting is not automatically more efficient when the source was already well encoded.

What is the safest repeatable workflow?
- Make a working copy and record the original properties.
- Define whether the recipient will read on screen, print on a desktop printer, or use professional print production.
- Classify pages as text/vector, photographic, diagrammatic, or scanned.
- Apply the gentlest suitable image and scan settings first.
- Keep fonts embedded unless controlled testing proves substitution is harmless.
- Preserve or rerun OCR for scans.
- Save to a new file and compare size, appearance, searchability, compatibility, and compliance.
- Escalate only the setting that addresses the remaining problem; do not lower every quality control at once.
- Deliver the optimized copy only after the representative pages and required workflow pass.
Frequently Asked Questions
Does choosing a newer PDF compatibility version always make the file smaller?
No. A newer version can enable features or encoding choices that some older viewers do not support, but it is not a guaranteed size reduction. If recipients use older software, retain the existing compatibility when possible and test the saved file in that environment.

How can I check whether a PDF contains real text or only page images?
Try selecting a sentence and searching for a distinctive word on several pages. If selection fails and each page behaves like a single picture, treat it as a scan and plan for OCR rather than relying on text-only compression techniques.
Will compression preserve bookmarks and interactive form fields?
Do not assume that any optimizer preserves every document-specific object. Open the output and activate representative bookmarks, links, and form fields, then verify that their destinations and entered values still behave as required.
Is it safe to delete the original after the optimized PDF passes inspection?
Keep the source for as long as the document may need revision, alternate print quality, or a fresh OCR pass. A lossy operation permanently removes image data, so the compressed copy cannot serve as a full-quality replacement.
