Compare at least two written, itemized proposals before booking an AC repair or maintenance visit. Choose the provider that can document licensing and insurance where required, EPA Section 608 refrigerant certification, an onsite diagnostic process, clearly identified parts and refrigerant, a defined maintenance scope, warranty terms, and a written procedure for unexpected problems—not simply the lowest price.
Why comparing AC services protects your money and comfort
An air-conditioning decision affects safety, indoor comfort, operating cost and the remaining life of expensive equipment. ENERGY STAR says nearly half of a household’s energy use goes to heating and cooling, so poor installation or neglected maintenance can have consequences beyond one service invoice. Its guidance also says improper installation can reduce system efficiency by up to 30 percent.
A low quote may exclude diagnosis, permits, refrigerant, disposal, electrical work or follow-up labor. A high quote may include unnecessary replacement or bundled work you do not need. Comparison gives you a way to see what each company is actually promising and whether the recommendations are based on measurements rather than sales pressure.
The Federal Trade Commission (FTC) advises consumers to compare prices from multiple companies and check their services before signing a contract. Treat that as a minimum: obtain two written proposals when the repair is significant, the system may need replacement, or you are considering an annual maintenance plan.

Start with qualified, accountable providers
Confirm licensing and insurance
Licensing rules differ by state, county and municipality. Ask which license the company and the individual technician hold, the license number, and whether the license is current for the work being proposed. If your jurisdiction does not require a state HVAC license, ask what local registration or trade credential applies.
Request proof of general liability insurance and, where relevant, workers’ compensation coverage. A legitimate provider should be able to identify its insurer and policy limits without treating the question as unreasonable. Verify the information with the issuing authority when your local rules provide an online lookup or telephone verification service.
Check EPA Section 608 certification
Anyone who services equipment that could release regulated refrigerants must have the appropriate U.S. Environmental Protection Agency (EPA) Section 608 technician certification. Ask for the technician’s certification type and whether the person who will handle refrigerant is the certified technician—not merely a salesperson or helper.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Certification does not by itself prove that a company diagnoses faults well, so use it as a safety and compliance screen alongside references, insurance, inspection quality and the written scope of work.
Look for relevant HVAC training
Ask whether the technician holds a recognized HVAC certification or manufacturer training relevant to your system. The credential matters most when it matches the equipment: variable-speed compressors, heat pumps, communicating controls and newer refrigerants can require different diagnostic procedures than a basic split system.
Search the company name together with terms such as “complaint” or “scam,” as the FTC recommends. Read patterns rather than isolated reviews. Repeated complaints about unfinished work, unexplained charges, refusal to provide invoices or warranty disputes are more useful than a single enthusiastic testimonial.
Require an onsite inspection or a defensible diagnosis
ENERGY STAR says a reputable contractor should inspect the equipment onsite and provide a detailed bid. For a repair, the technician should explain the symptom, the test performed, the measured result and the failed component before asking you to authorize parts.

Questions to ask during diagnosis
- What symptom did you confirm, and under what operating conditions?
- Which electrical, airflow, temperature or refrigerant measurements support the diagnosis?
- Is the proposed repair correcting the root cause or only restoring operation temporarily?
- What other conditions could produce the same symptom, and how were they ruled out?
- Will the diagnostic fee be credited toward authorized repairs?
Remote estimates based only on a model number or a description such as “not blowing cold” can be useful for scheduling, but they are not a substitute for testing. Ask the company to label any pre-visit price as an estimate and state what could change it.
Build a side-by-side estimate before choosing
Give each provider the same information: equipment type and age, model and serial numbers, symptoms, recent repairs, access limitations and your preferred appointment window. Then ask for a written, itemized proposal. Use the following fields to normalize the offers.
| Compare this item | What the proposal should state |
|---|---|
| Diagnostic fee | Amount, what testing is included, whether travel or dispatch is separate, and whether the fee is credited to repair. |
| Labor pricing | Hourly rate or flat price, minimum charge, number of technicians and normal versus after-hours rates. |
| Parts | Brand, model or part number where available, quantity, condition (new, refurbished or used) and expected delivery time. |
| Refrigerant | Refrigerant type, estimated or measured amount, per-unit pricing and recovery or disposal charges. |
| Maintenance tasks | Specific inspections, cleaning, adjustments and measurements included rather than a generic “tune-up” label. |
| Schedule | Earliest start date, expected duration, return visits and conditions that could delay completion. |
| Permits | Whether a permit is required, who obtains it, and whether permit fees and inspection costs are included. |
| Payment | Deposit, progress payments, balance due, accepted methods, financing terms and late fees. |
| Workmanship warranty | Duration, covered labor, exclusions, claim procedure and whether a return visit is free. |
| Manufacturer warranty | Which parts qualify, who files the claim, what labor remains your responsibility and what registration is required. |
| Change orders | How additional faults are documented, who must approve extra work and whether the technician may proceed without written consent. |
| Cancellation | Cancellation window, restocking or trip charges and your rights if the company misses the appointment. |
FTC warranty guidance says coverage, exclusions, claim procedures and labor responsibility should be in writing. If a salesperson makes a promise verbally—such as “the repair will be covered for a year”—write it into the contract or invoice before signing.
What a proper AC maintenance visit includes
“Tune-up” is not a standardized service. Compare the actual checklist, not the label. ENERGY STAR’s maintenance checklist identifies the following work as part of a thorough cooling-system visit.
Crashes, No Sound, or Screen Glitches?

- Verify thermostat settings, operation and mode changes.
- Check startup and shutdown sequences.
- Inspect control operation and safety controls.
Electrical inspection
- Tighten electrical connections.
- Measure voltage and current where appropriate.
- Inspect contactors, capacitors, disconnects and wiring for damage or overheating.
Electrical measurements and panel work are not homeowner tasks. A technician should record abnormal readings and explain whether a component is unsafe, outside specification or simply showing normal wear.
Airflow and blower service
- Inspect blower components and adjust or clean them as needed.
- Check supply and return airflow for restrictions.
- Confirm that filters are correctly sized and installed.
ENERGY STAR states that airflow problems can reduce efficiency by up to 15 percent. A maintenance visit that ignores a blocked return, dirty blower or collapsed duct cannot establish that the system is operating efficiently.
Coils and outdoor unit
- Clean the evaporator coil when dirt is restricting heat transfer.
- Clean the condenser coil and remove debris that blocks outdoor airflow.
- Inspect the cabinet, fan and surrounding clearance.
Ask whether coil cleaning is included or billed separately. Heavy contamination may require a deeper cleaning procedure, and the proposal should say so rather than silently adding labor.

Condensate drainage
- Inspect the condensate drain and pan.
- Clear a blockage using an appropriate method.
- Check float switches or other overflow protection where installed.
A clogged drain can cause water damage or an unexpected shutdown. The technician should identify the drain outlet and tell you what signs indicate a recurring problem.
Refrigerant circuit
- Check refrigerant-related operating conditions with suitable instruments.
- Adjust the charge only when measurements justify it.
- Inspect for evidence of leaks and explain repair options.
EPA advises asking technicians to locate and repair a leak instead of simply “topping it off.” Adding refrigerant without addressing a leak can leave you paying repeatedly while the system continues to lose charge. Refrigerant recovery, charging and leak repair require qualified handling.
Prepare for seasonal maintenance and do the safe tasks yourself
Book before the cooling rush
Schedule cooling maintenance in spring, before peak summer demand. ENERGY STAR recommends an annual pre-season check-up. Booking early generally gives you more choice of appointment times and leaves room for a repair if testing finds a problem.
Inspect the filter monthly
ENERGY STAR recommends checking the filter monthly and cleaning or replacing it when dirty. Use the filter size and type specified for your system; a higher-efficiency filter is not automatically suitable if the equipment cannot move air through it. Keep a record of the replacement date so you can identify unusually rapid loading from dust, construction or indoor-air problems.
Keep the outdoor unit accessible
Before the appointment, clear leaves, grass and stored items from around the condenser without opening electrical panels. Provide a safe path to the indoor unit, thermostat and disconnect. Tell the technician about unusual sounds, odors, short cycling, water near the furnace or any recent electrical event.
Recommended Free Tools
Homeowners can inspect filters and visible obstructions. Leave refrigerant charging, leak investigation, electrical measurements and invasive diagnostics to qualified technicians.
Evaluate the proposal’s safety and warranty protections
Understand workmanship coverage
A workmanship warranty covers the provider’s labor, not necessarily every component. Ask how long it lasts, what is excluded, whether a diagnostic fee applies to a warranty call and how quickly the company responds. Clarify whether a return visit includes refrigerant, evacuation, brazing or other labor if the original repair fails.

Separate manufacturer and contractor responsibilities
Parts may carry a manufacturer warranty while the installing contractor controls the labor warranty. The written agreement should identify who registers the equipment, submits a claim, supplies proof of purchase and pays for removal, shipping or refrigerant. Keep the invoice, model and serial numbers, and any registration confirmation.
Check permits and code obligations
Replacing equipment, modifying electrical circuits or altering refrigerant lines may require a permit or inspection. The proposal should assign responsibility for obtaining it and state whether the price includes fees. Do not assume that a permit is unnecessary because a salesperson says the job is routine; local requirements control.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsControl payment risk
Never authorize undefined extra work because a technician is already onsite. Require a written change order showing the new diagnosis, price and effect on the schedule. Avoid paying the entire balance before the agreed work is complete and documented, especially when special-order parts or a return visit remain outstanding.
Recognize pressure tactics and incomplete offers
- A salesperson insists on immediate signature because the price is “today only.”
- The company refuses to provide a written scope, license information or proof of insurance.
- The estimate recommends replacement without recording equipment condition, measurements or repair alternatives.
- The provider offers a refrigerant “top-off” without discussing leak detection.
- A maintenance plan promises “full coverage” but omits the task list, exclusions, visit frequency and cancellation terms.
- The quote uses a single “system service” line with no parts, labor or permit detail.
- The company demands a large cash deposit or payment to a person unrelated to the contracting business.
- The technician claims a warranty is valid but will not identify the issuer, term or claims process.
Pause the appointment if you feel pressured. The FTC specifically warns consumers about high-pressure sales. Obtain another written opinion and check complaint information before committing.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Use a decision framework when two providers remain
When the proposals are both plausible, score them on four decision axes instead of choosing the smallest total.
1. Technical competence
Give priority to verifiable licensing or registration, insurance, EPA Section 608 certification, relevant HVAC training, a documented diagnostic method and an onsite inspection. A technically complete diagnosis reduces the risk of replacing a symptom while the underlying fault remains.
Free tools Windows power users keep installed

2. Scope and transparency
Favor an estimate that identifies measurements, parts, refrigerant details, included maintenance tasks, timing and change-order rules. A slightly higher price can represent more work, better parts or necessary permits; compare line items before comparing totals.

- HD Display: Connect to the HDMI port to stream or mirror content to an external monitor in resolutions of up to 4K@30Hz. Note: The USB-C ports do not support video output.
- What You Get: Anker 332 USB-C Hub (5-in-1), welcome guide, our worry-free 18-month warranty, and friendly customer service.
3. Protection and accountability
Compare workmanship and manufacturer-warranty handling, references, complaint patterns, cancellation rights and the company’s process for correcting incomplete work. A clear remedy is more valuable than a vague promise of satisfaction.
4. Lifecycle value
Consider maintenance frequency, airflow care, efficiency implications and the condition of the equipment. ENERGY STAR recommends professional evaluation when equipment is more than 10 years old or is no longer keeping the home comfortable. Ask for a repair-versus-replace explanation that states expected remaining life, efficiency implications and the assumptions behind each option.
A practical booking workflow
- Document the problem. Note when the symptom began, thermostat readings, unusual noises, water, odors, breaker trips and recent work. Record the equipment model and serial numbers if accessible without removing panels.
- Call at least two providers. Describe the same symptoms and ask about diagnostic fees, technician credentials, availability and after-hours charges.
- Request the inspection. Confirm that the technician will test the system onsite and that the visit produces a written diagnosis or proposal.
- Collect itemized estimates. Require the fields in the comparison table, including parts, refrigerant, permits, warranties, payment schedule and change-order rules.
- Verify credentials. Check licensing or registration with the relevant local authority, insurance with the provider and EPA Section 608 status for anyone handling refrigerant.
- Check the company record. Search complaint information and ask for references for similar equipment or work.
- Compare scope, not just totals. Mark every included, excluded and conditional line. Ask for clarification in writing.
- Approve a defined scope. Sign only after the final price, schedule, warranty and authorization limits are clear. Keep a copy of the contract and all messages.
- Verify completion. Obtain the invoice, parts information, measurements or service report, warranty documents and permit information before final payment.
How to handle common outcomes
The system works but efficiency is poor
Ask for airflow, coil, electrical and refrigerant checks rather than authorizing a refrigerant charge automatically. Dirty components, restricted filters, blower problems or installation defects may be the cause. ENERGY STAR’s figures—up to 15 percent efficiency loss from airflow problems and up to 30 percent from improper installation—show why a broader inspection can matter.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →The unit repeatedly loses refrigerant
Request a documented leak search and a repair proposal. Ask which component is leaking, whether access requires additional labor, how the system will be evacuated and recharged, and what warranty covers the repair. Do not treat repeated top-offs as a permanent solution.
The repair estimate approaches replacement cost
Obtain a second diagnosis and ask both providers to compare repair and replacement using the same assumptions. Include equipment age, comfort complaints, efficiency, parts availability, permit work, warranty coverage and likely follow-up repairs. For systems over 10 years old or unable to maintain comfort, include a professional replacement evaluation rather than comparing invoice totals alone.
An additional fault appears after authorization
Require the technician to stop and issue a written change order. It should describe the new finding, evidence, price, schedule impact and whether the original work remains useful. Approve or decline explicitly; do not rely on a verbal agreement made beside the equipment.
What a fair comparison cannot provide
There is no reliable national AC-repair price benchmark that applies to every home. Cost varies with location, equipment, fault, parts, access and urgency. A fair comparison therefore means matching scope and conditions, not forcing every job into a national average. Obtain local written estimates and preserve the assumptions attached to each number.
