Start with your course rules, not a citation template. A correct reference does not make prohibited AI use acceptable. If your instructor permits the tool, document what actually happened: cite text or images generated by the tool that appear in the assignment, describe permitted help such as brainstorming or editing, and cite the original article or book after reading it yourself when the tool merely helped you find that source.

APA 7, MLA 9, and Chicago 18 treat AI output differently. APA identifies the developer as the reference author; MLA starts with a description of the generated material and does not put the AI tool in the author position; Chicago usually records a chat in a note and does not automatically require a bibliography entry. A specific, safely shareable conversation link can make an AI citation inspectable, but a link can also expose private material.

Can you use ChatGPT for an academic assignment?

Only the assignment instructions, syllabus, department policy, or instructor can authorize the use. APA, MLA, or Chicago rules explain how to document permitted use; they do not grant permission.

  • Check whether AI is allowed for the entire assignment, for limited stages such as brainstorming or language editing, or only with written permission.
  • Look for requirements to disclose the tool, attach prompts or a transcript, include an appendix, or identify passages influenced by AI.
  • Ask the instructor before submitting if the policy is unclear. A transparent explanation is safer than assuming that a citation cures a policy violation.
  • Keep your own notes about prompts, dates, outputs, revisions, and fact checking while you work.

An AI-use statement may be required even when no formal reference-list entry is. Conversely, a formal citation may be required when generated wording, an image, or another AI output appears in the submitted work.

What exactly are you documenting?

Classify the AI’s role before choosing a format. The same tool can require different treatment in one assignment.

Generated words, code, or images that appear in the assignment

If you reproduce or adapt output, identify the tool, the developer, the date, the relevant model or version when known, and the output itself according to the required style. Preserve enough information for a reader or instructor to understand what was generated and what you changed. Image-generation guidance can differ from prose guidance, so follow the style’s image and caption rules when the output is visual.

Help with your writing process

Brainstorming, outlining, translation, grammar editing, summarizing your own notes, or reorganizing paragraphs is process assistance. Describe the specific task and your review in the disclosure format your instructor requests. APA distinguishes a useful specific-chat reference from a general tool reference for editing and organizing writing; MLA likewise says that describing AI use can be necessary beyond a Works Cited entry.

An article, book, or dataset the tool helped you locate

The underlying source—not the AI search response—is normally the source to cite. Open the article or book, read it, confirm the author, title, publication details, page or section, and then cite that source in the ordinary way. An AI-generated citation is a lead to verify, not evidence that the source exists or says what the tool claimed.

How do you cite ChatGPT in APA 7?

For a useful, shareable individual conversation, APA’s September 9, 2025 guidance treats the AI company as the reference author. Use the actual chat title, generation date, tool or model, and the real share URL; never invent a title, date, model, or link.

Specific conversation reference

Use this APA pattern, replacing every coded item with the conversation’s real information:

AI Company Name. (year, month day). Title of chat [Generative AI chat]. Tool Name/Model. URL of the chat

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For an actual ChatGPT conversation, the company element would be OpenAI. The title should be the title shown for that conversation, the date should be the date the response was generated, and the model should be identified only as precisely as the record allows. A share link should lead to the intended conversation and be accessible to the people who must evaluate the assignment.

APA’s corresponding parenthetical form is (AI Company Name, year). Place the citation where the generated material is used, and explain in the surrounding prose what you retained, adapted, or checked.

General tool reference

If a particular conversation is inappropriate or unhelpful to share, APA permits a general tool reference:

AI Company Name. (year). Tool Name/Model [Large language model]. URL of the tool

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

This option describes the service rather than a single exchange. It does not remove the need to disclose the actual work the tool performed, and it should not be used to conceal a conversation that your instructor has specifically required you to provide.

When the tool searched for you

When AI acts as a search intermediary, APA generally directs writers to cite the underlying source after inspecting it. Cite the AI conversation only when the conversation itself is the object you discuss—for example, an analysis of the tool’s response—or when your instructor explicitly requests that documentation.

AI built into ordinary software

APA ordinarily does not require a reference for AI features embedded in common software when the feature is not itself the material being discussed. Course-level rules can still require disclosure, so check the assignment policy before omitting a note.

How do you cite ChatGPT in MLA 9?

MLA’s August 13, 2025 guidance starts a Works Cited entry with a description of the generated material, often based on the prompt. The tool is the container, followed by the model or version if known, the company, the generation date, and preferably a stable link to the output.

Works Cited pattern

MLA’s official example follows this structure:

“[description of actual prompt]” prompt. ChatGPT, model [actual model], OpenAI, [actual generation date], [actual share URL].

Replace the bracketed material with the real prompt description, model, date, and link. If the model is unknown, do not guess; omit or describe it according to your instructor’s preference. The in-text citation points to the opening description, shortened when necessary to distinguish it from other entries.

Why ChatGPT is not the author

Do not alphabetize ChatGPT as an author or present the system as a human creator. The MLA Style Center states: “We do not recommend treating the AI tool as an author.” The prompt or a concise description identifies the generated item, while the tool and company identify where it came from.

If no stable output link exists

When the service cannot provide a stable share link, MLA accepts the tool’s general URL. Add a clear description of the prompt and output so the entry still tells readers what was generated. Follow any instructor requirement for a transcript or screenshot separately; a general URL cannot reproduce a private exchange.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Images and captions

MLA provides separate guidance and examples for AI-generated images and captions. Identify the image or prompt in the way that matches the actual item, distinguish an AI-generated image from a photograph or illustration made by a person, and follow any rights, caption, or accessibility requirements set by the course.

How do you document AI in Chicago 18?

Chicago’s treatment depends on the documentation system. A university library guide interpreting Chicago 18, section 14.112, says a notes-and-bibliography paper can describe the prompt or output, tool or model, developer, generation date, and available URL in a footnote or endnote. The guide notes that an AI chat generally need not appear in the bibliography unless the instructor requests it.

Notes-and-bibliography example

A descriptive note can follow this pattern:

1. “[Brief description of prompt or output],” Tool Name/Model, developer, generated Month Day, Year, URL.

If the prompt is already explained in the prose, omit duplicated wording from the note. Name the specific model only when the record identifies it, and include a URL only when it is genuinely available and safe to share.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Bibliography decisions

Do not create an automatic bibliography entry simply because a chat appears in a footnote. Add one when your instructor or the assignment’s documentation requirements call for it. The Chicago publisher’s section was not directly accessible for this guidance, so treat the university library’s explanation as an interpretation and follow your course’s preferred Chicago practice.

Chicago author-date papers

Author-date assignments use a different in-text and reference-list treatment from notes-and-bibliography papers. Ask the instructor which Chicago system governs the assignment before adapting a notes example; do not transfer a note format unchanged into an author-date paper.

Do you need an AI-use statement as well as a citation?

Often, yes. A citation identifies a particular output, while a disclosure explains the broader role the tool played. Use the wording required by the instructor, and do not claim a workflow that did not occur.

This is an adaptable disclosure, not a statement to copy without editing:

I used [tool and model, if known] to [specific permitted task]. I reviewed and revised the output and verified factual claims against the cited original sources.

Replace the bracketed terms with the actual tool and task. Add dates, prompt excerpts, a transcript, or an appendix only if the syllabus or instructor asks for them. A concise statement should still distinguish brainstorming, editing, translation, drafting, coding, image generation, and source discovery.

What should you check before sharing a conversation link?

Inspect the link as if anyone who obtains it could read the conversation. OpenAI’s sharing guidance says a personal-account conversation link can be viewed by anyone holding it, while links created in managed workspaces can be limited to eligible workspace members.

  • Open the preview and confirm that it contains only the exchange you intend to submit.
  • Remove or avoid prompts containing a classmate’s work, unpublished research, personal data, confidential client information, or other restricted material.
  • Check whether the link exposes earlier turns or additional context beyond the excerpt you cited.
  • Confirm that the instructor can access the link without an account or request the required workspace access.
  • Keep a private copy of the transcript or export if the service may change or revoke the share link.

The Help Center’s practical reminder is: “Review the content and audience before sharing.” A link that is technically valid but reveals sensitive information is not an appropriate citation.

How should you cite an article that an AI tool found?

Cite the article, book, or other original source after independently opening and reading it. The AI response may contain a misspelled author, an invented title, a wrong page number, or a real source paired with an unsupported claim.

  1. Open the source from a library database, publisher page, or other reliable location.
  2. Confirm the author or organization, title, publication date, edition, pages or section, and persistent locator required by your style.
  3. Read the passage you plan to use and compare its wording and context with your notes.
  4. Build the APA, MLA, or Chicago entry from the source itself, not from the AI-generated citation.
  5. Disclose the AI-assisted search if your course policy requires it, even though the formal reference is for the original source.

If the source cannot be located or its details cannot be confirmed, do not cite it as if it were genuine. Replace it with a verifiable source or tell the instructor that the lead could not be authenticated.

What if your conversation has no shareable link?

Use the style’s fallback and your instructor’s preferred evidence. MLA allows the tool’s general URL when a stable output link is unavailable; APA permits a general tool reference when a specific chat is unsuitable. Chicago can document the exchange in a note without requiring a public link.

Preserve a dated transcript, exported file, or screenshots for an instructor-only appendix if permitted. Do not fabricate a URL, backdate a response, or publish a private conversation merely to satisfy a template. Explain briefly that the output is not publicly shareable and identify how the instructor can inspect it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What is a reliable submission workflow?

  1. Read the policy. Mark the permitted and prohibited uses, disclosure language, transcript rules, and deadlines for permission requests.
  2. Classify the use. Decide whether the assignment contains generated material, process assistance, an AI-generated image, or an original source found through AI.
  3. Save provenance. Record the tool, model or version if shown, conversation title, generation date, prompts, output, and edits.
  4. Verify facts and sources. Open every cited article or book, check quotations and numbers, and remove unsupported references.
  5. Choose the style treatment. Use APA’s developer-as-author format, MLA’s prompt-description opening, or Chicago’s note approach as applicable.
  6. Assess the link. Test access, inspect the preview, and remove confidential content before sharing.
  7. Write the disclosure. State the actual permitted task and the review or revision you performed.
  8. Perform a final consistency check. Ensure every generated passage or image is identified, every original source is cited in its own style, and the citation, disclosure, transcript, or appendix matches the syllabus.

What mistakes cause AI citations to fail?

  • Citing a tool as a normal website. AI output is not automatically documented with a generic webpage format; use the applicable style’s AI guidance.
  • Putting the AI tool in MLA’s author position. MLA starts with a description of the generated material and explicitly advises against treating the tool as an author.
  • Inventing a model, date, title, or share link. Use the actual record or state that the detail is unknown.
  • Citing the AI instead of the source it located. Read and reference the original article, book, or dataset.
  • Assuming a citation grants permission. Course rules control whether the use was allowed.
  • Using a public link that exposes private material. Review the audience and content, then use a restricted appendix or a general reference when appropriate.
  • Repeating a reference without explaining the work performed. Add a specific disclosure for brainstorming, editing, translation, drafting, coding, or image generation when required.
  • Mixing Chicago systems. Notes-and-bibliography and author-date papers need different documentation decisions.

Which style’s rule should you follow when guidance conflicts?

Follow the style named by the assignment, then follow the instructor’s more specific local requirements. The current APA AI update is dated September 9, 2025, and the current MLA AI update is dated August 13, 2025; older examples may assume that individual chats cannot be shared or may place the tool in an author role that current guidance rejects.

FAQ

Do I cite ChatGPT if I only used it to brainstorm?

Usually the key requirement is a process disclosure rather than a reference-list entry, but the course policy decides. Name the tool and describe that it generated or refined ideas, then state how you evaluated and changed those ideas before writing.

Can I quote ChatGPT directly?

Yes, if the assignment permits it and the wording is relevant to your analysis. Preserve the exact response, identify the prompt or conversation using the required style, and do not present an AI statement as a verified fact without checking independent sources.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I cite an AI-generated image?

Identify the image as AI-generated and document the prompt, tool, model or version when known, date, and location using the style’s image or caption guidance. MLA publishes separate examples for images; APA and Chicago assignments may impose additional caption, accessibility, or rights requirements.

What if my instructor wants the full transcript?

Submit the transcript in the format and location requested, such as an appendix or separate file, and label the relevant prompt and response. A transcript requirement is a course documentation rule; it is not replaced by a short in-text citation or a general tool URL.

Does citing AI make the assignment original?

No. Citation identifies provenance, but originality still depends on your analysis, writing, and compliance with the assignment. You remain responsible for accuracy, attribution of human-authored sources, privacy, and any policy limits on automated assistance.
