The right desktop publishing (DTP) application depends on the job, not on a universal “best” program. Choose Adobe InDesign for complex multipage documents, advanced typography, prepress and printer or agency handoffs. Choose Affinity Publisher when you need serious layout tools without a Creative Cloud-style subscription. Choose Scribus for a zero-license-cost, Linux-compatible workflow with professional color and PDF controls. Choose Canva, Microsoft Word or PowerPoint when templates, collaboration or familiarity matter more than fine typesetting. If you still use Microsoft Publisher, treat it as a migration project: Microsoft says Publisher will be retired in October 2026.
This guide matches each option to document complexity, print requirements, collaboration, platform, file exchange, licensing and learning curve, then gives production checklists for newsletters, flyers and folded brochures.
How do I choose desktop publishing software for my project?
Start with the output you must deliver. A one-page event flyer has different requirements from a 24-page newsletter or a press-ready tri-fold brochure. The more pages, text flow, repeated elements and color-control requirements you have, the more valuable a dedicated page-layout application becomes.
Use this quick decision rule
- Single-page flyer or poster: Canva is usually fastest when templates and shared editing matter. PowerPoint is a good alternative when you want exact positioning in a familiar desktop app. Word works for a text-led handout.
- Recurring, text-heavy newsletter: Word is adequate for straightforward editions. InDesign or Affinity Publisher is better when stories flow through linked frames, columns, styles, master pages and repeated issue layouts.
- Folded brochure for a commercial printer: Prefer InDesign, Affinity Publisher or Scribus, and obtain the printer’s PDF/X, bleed, color, font and proof requirements before designing.
- Long brochure, catalog or book: Use a professional DTP application with master pages, paragraph and character styles, linked text frames and long-document controls.
- Linux or a zero-budget requirement: Evaluate Scribus first, then send a representative PDF to the printer for acceptance testing.
- Existing Publisher archive: Preserve editable files and PDFs now, and rebuild a representative publication in a replacement application before the October 2026 retirement.
Do not select software solely because it has a large template library. Templates speed up the first draft, but they cannot compensate for missing bleed, color-separation, font-embedding or text-flow controls when a printer requires them.

What are the main desktop publishing options?
The table shows the practical role of each application. Features and licensing can change, so verify the current edition and terms before purchasing or committing a production workflow.
| Software | Best fit | Print and layout depth | Collaboration and templates | Platform | Cost model | Learning curve |
|---|---|---|---|---|---|---|
| Adobe InDesign | Professional multipage publications, agencies and demanding print work | Very high: linked frames, styles, master pages, grids, advanced typography, prepress and PDF output | Strong production workflow; template and shared-asset features depend on the surrounding Adobe environment | Windows and macOS desktop | Subscription-based Creative Cloud product | High, but training pays off for repeat work |
| Affinity Publisher | Brochures, newsletters and recurring print work without a recurring Creative Cloud-style bill | High page-layout capability and professional PDF export | More production-focused than browser-template services; check the current collaboration features for your team | Desktop editions for major operating systems; verify current support for your system | Subscription-free positioning; current purchase and update terms should be checked | Moderate to high |
| Scribus | Linux users, schools, nonprofits and projects requiring no license fee | High print control: OpenType, CMYK, spot colors, ICC color management and extensive PDF creation | Limited template-and-team convenience compared with browser-first tools | Windows, macOS and Linux | Free and open source | Higher for beginners |
| Canva | Fast flyers, simple brochures, marketing graphics and distributed teams | Good for straightforward layouts; less depth for professional typesetting and prepress | Excellent browser editing, templates, brand controls and shared assets | Browser-first, with companion apps | Free tier plus paid features and team plans | Low |
| Microsoft Word | Text-heavy newsletters, reports, handouts and modest layouts | Good text tools; limited control for complex page geometry and prepress | Familiar review and co-authoring when contributors already use Microsoft 365 | Windows, macOS, web and mobile editions vary by plan | Usually included with a Microsoft 365 subscription; standalone availability varies | Low for existing users |
| Microsoft PowerPoint | Visual single-page flyers, posters and signs | Precise object positioning; not designed for long flowing documents | Familiar sharing and templates | Windows, macOS, web and mobile editions vary by plan | Usually included with Microsoft 365; availability varies | Low for existing users |
| Microsoft Publisher | Existing PC-only publications that have not yet been migrated | Purpose-built text-and-picture arrangement with newsletter and marketing templates | Useful legacy templates, but it is a poor choice for a new long-lived workflow | PC only | Retirement announced for October 2026 | Low for current users; migration adds future effort |
What is Adobe InDesign best for?
InDesign is the strongest general choice when a publication has many pages, complicated text flow, strict typographic requirements or a professional printer, publisher or agency in the handoff. It is built around linked text frames, paragraph and character styles, master pages, grids, tables, image links and prepress-oriented PDF export.
Choose InDesign when the workflow includes
- Newsletters with multiple stories flowing across columns and pages.
- Brochures or catalogs with repeated panels, product tables, captions and image references.
- Advanced OpenType features, precise kerning, baseline grids or complex language typesetting.
- Printers or agencies that request an InDesign package, an IDML interchange file or a tightly controlled PDF workflow.
- Preflight checks for missing links, overset text, image resolution, color spaces, fonts and page geometry.
The trade-off is a subscription-based cost model and a substantial learning curve. It is usually excessive for an occasional internal flyer, but the setup time is justified when the same publication is produced repeatedly or when a production partner expects native InDesign files.
When is Affinity Publisher the better choice?
Affinity Publisher targets buyers who want deep page-layout capability without a recurring Creative Cloud-style subscription. It is a strong fit for brochures, newsletters and small-publisher work where you control the source files and want a perpetual or otherwise subscription-free purchasing model.
Check these points before committing
- Confirm that the current edition runs on every contributor’s operating system.
- Verify the PDF/X presets, bleed settings, color-management behavior and font-handling options required by your printer.
- Open a representative file containing columns, tables, linked images and unusual fonts; a simple test page will not reveal every interchange problem.
- Agree on a shared native-file and asset-storage convention if several people edit the publication.
Affinity can be a sensible middle ground: more control than a template service, less recurring billing than a subscription-first professional suite. Its suitability depends on whether your printer or agency accepts the exported PDF or requires an Adobe-native handoff.
Is Scribus suitable for professional flyers and brochures?
Yes. Scribus is free and open source, runs on Windows, macOS and Linux, and documents the controls expected in serious print production: OpenType support, CMYK and spot colors, ICC color management, separations and extensive PDF creation. It is especially attractive when license cost or Linux compatibility is non-negotiable.
What to expect from Scribus
- Strong print controls: You can work with CMYK and spot colors, manage ICC profiles and create production-oriented PDFs.
- More self-directed setup: Beginners generally need more time to learn the interface, text-frame workflow, styles and preflight habits.
- Printer verification is essential: Feature documentation does not prove that a particular printer accepts every PDF variant. Send a sample file and ask the printer to confirm the required PDF/X profile, bleed, marks, fonts and color settings.
Scribus is not merely a basic poster tool, but it also does not provide the same template-led onboarding or mainstream agency interchange that some commercial applications do. Build a small pilot publication before moving a large archive.

When should I use Canva for a newsletter, flyer or brochure?
Use Canva when speed, browser access, templates and collaboration outweigh advanced typesetting and prepress control. It works well for a local club flyer, a social-and-print campaign, a simple two-sided handout or a small team that needs shared brand assets.
Canva is a good fit if you need
- A template that a non-designer can adapt quickly.
- Browser editing without installing a desktop application.
- Shared brand colors, logos, images and team comments.
- Several contributors working on the same marketing asset.
Use a professional DTP tool instead when
- The newsletter has substantial copy that must reflow across many linked frames.
- The brochure requires exact panel widths, complex folds, spot inks, color separations or printer-specific PDF/X output.
- You need fine control over hyphenation, baseline grids, optical margins, footnotes, tables or long-document numbering.
For a print job, select the printer’s requested PDF settings rather than assuming a generic download preset is acceptable. A template service can make a design look finished while leaving production details unresolved.
Can Microsoft Word handle a newsletter or brochure?
Word is sensible for text-first newsletters, reports, school handouts and modest layouts when contributors already know Microsoft 365. Its strengths are editing, comments, revision workflows, tables and familiar paragraph styles.
Word works best when
- Most of the page is continuous text rather than tightly art-directed objects.
- Several writers must edit and review content before a designer places it.
- The output is primarily digital or the printer accepts a straightforward PDF.
- The publication has a simple header, footer, image and column structure.
Word becomes awkward when
- Text must flow predictably through many independent frames.
- Every panel of a folded brochure has a different geometry.
- You need professional preflight, spot colors, separations or extensive typographic refinement.
- Small edits routinely cause images, captions and page breaks to jump.
Set the page size, margins, columns and styles before contributors start writing. This reduces rework, but it does not turn Word into a full prepress application.

PowerPoint is useful for visual, single-page layouts because objects can be positioned precisely and remain independent of a flowing text stream. It is often easier than Word for a poster, invitation, notice or sign with several text boxes and images.
Set the document size before designing
- Open a blank presentation.
- Choose Design > Slide Size > Custom Slide Size.
- Enter the intended paper dimensions and orientation before placing objects.
- Keep important text inside a safe margin and reserve bleed only if your printer explains how it wants oversize artwork supplied.
- Export a PDF and inspect it at 100% size before sending it out.
PowerPoint is not a practical replacement for linked text frames in a long newsletter. If the document grows beyond a few deliberately composed pages, move to Word, Affinity Publisher, InDesign or Scribus.
Should I start a new publication in Microsoft Publisher?
Microsoft describes Publisher as a PC-only application for arranging text and pictures and supplying newsletter and marketing templates. However, Microsoft says, “Publisher will be retired in October, 2026.” That makes Publisher a time-sensitive legacy tool rather than a sound starting point for a publication expected to last.

If you already have Publisher files
- Collect the original
.pubfiles, linked images, fonts, logos and any packaged assets. - Export a PDF of every important edition so you retain a fixed visual reference.
- Choose a replacement based on the publication’s needs: Word for text-first work, PowerPoint for single-page visual pieces, Canva for collaborative templates, or InDesign, Affinity Publisher or Scribus for controlled print production.
- Rebuild one representative file containing the hardest features: columns, tables, text wrapping, graphics, page numbers and unusual fonts.
- Compare the rebuilt output with the PDF, correct typography and panel geometry, and obtain printer approval before converting the entire archive.
PDF export preserves appearance for distribution, but it is not the same as retaining an editable native layout. The retirement notice does not guarantee a feature-perfect .pub conversion path, so preserve source material and test the replacement rather than assuming automatic migration.

Ask the printer for a written specification before choosing settings. The application should support the features your job actually needs, not merely list them in a marketing page.
Linked text frames and styles
Linked frames let a story continue from one column or page to another when text changes. Paragraph, character and object styles keep headings, captions, body copy and recurring elements consistent across an issue. These features are disproportionately valuable for newsletters and long brochures.
Master pages, grids and repeated elements
Master pages (or their equivalent) hold recurring headers, footers, folios, background shapes and guides. Grids and panel guides reduce alignment errors, especially in folded brochures where a few millimeters can affect the finished fold.
Bleed and crop marks
Bleed extends artwork beyond the trim edge so a small cutting variation does not leave a white sliver. The required amount varies by printer and job. Crop marks identify the intended trim, but do not add them automatically unless the printer requests them.
PDF/X and preflight
PDF/X is a family of print-oriented PDF standards. A preflight check can flag missing fonts, overset text, low-resolution images, unsupported transparency, incorrect color spaces and page-size errors before export. Use the exact PDF/X version your printer specifies; “PDF” alone is not a complete production specification.
CMYK, spot colors, ICC profiles and separations
CMYK is used for process color printing; spot colors are separately mixed inks. ICC profiles describe how color is interpreted between devices, while separations show the individual ink plates. Digital-only work may remain in RGB, but a commercial print job should follow the printer’s color profile and conversion instructions.

Fonts and linked assets
Check font licensing before packaging files. Embedding fonts in the PDF can preserve appearance, but some fonts restrict embedding or convert poorly. Keep original images, logos and placed files with the source document so another editor can revise it later.
How do I produce a printer-ready folded brochure?
A folded brochure is a production workflow, not just a page with three columns. The fold type, panel widths, paper stock, binding method and printer’s imposition process determine the correct file setup.
- Request specifications first. Ask for finished size, flat size, fold diagram, bleed, safe area, color profile, PDF/X version, crop-mark policy, font policy and proof method.
- Create the document at the supplied flat dimensions. Do not design at an approximate letter or A4 size and expect the printer to repair the panel geometry.
- Build guides for each panel and fold. Mark the reading order on an internal layer or dummy printout so the outside and inside panels are not reversed.
- Set margins and safe zones. Keep headlines, faces, logos and small type away from folds and trim; use the printer’s measurements rather than a generic rule.
- Place images at the required effective resolution. Do not enlarge a small web image and assume the PDF export will create missing detail.
- Apply the requested color settings. Convert or assign profiles only as the printer directs, and identify any spot colors by their exact names.
- Run preflight. Resolve overset text, missing links, font warnings, page-size errors and unintended RGB or spot colors.
- Export the specified PDF/X file. Include bleed and marks only as requested.
- Proof one copy. Inspect folds, panel order, small type, dark shadows, skin tones and the trim edge before approving a large run.
How do I build a recurring newsletter efficiently?
For a newsletter, the biggest productivity gain comes from separating content from layout rules.
- Define a page size, margins, column grid and baseline rhythm once.
- Create styles for body text, headlines, subheads, captions, pull quotes, lists and links.
- Use master pages for recurring folios, section labels and page furniture.
- Keep each story in linked text frames so edits reflow instead of requiring manual copy-and-paste.
- Store images with descriptive filenames and record their credits and usage rights outside the layout file.
- Have contributors edit a controlled text source or shared document, then place approved copy into the styled layout.
- Use a preflight pass before every issue to catch overset text, missing images, changed fonts and accidental color changes.
- Archive the native file, packaged assets and final PDF together, labeled with the issue date and revision.
Word can support this process for a simple publication. InDesign, Affinity Publisher or Scribus becomes more valuable as the page count, number of contributors and amount of repeated structure increase.
How should teams choose between templates and full DTP control?
Templates reduce the time to a competent first draft; full DTP tools reduce the risk and rework in a complex final file. Decide where your team’s bottleneck lies.
| Priority | Usually the better starting point | Why |
|---|---|---|
| Fast launch by non-designers | Canva | Templates, browser access and shared brand assets shorten setup. |
| Many writers and reviewers | Word | Familiar editing, comments and revision workflows help content approval. |
| Exact one-page composition | PowerPoint | Independent objects can be positioned quickly on a defined canvas. |
| Professional multipage typography | InDesign or Affinity Publisher | Linked frames, styles, master pages and stronger page-layout control. |
| Linux and no license budget | Scribus | Runs on Linux and provides serious print-oriented PDF and color features. |
| Agency-native handoff | InDesign, if required by the partner | Some production teams request InDesign or IDML rather than an exported PDF alone. |
What should I test before committing to a DTP application?
Run a realistic pilot rather than comparing feature checkboxes. Use the most difficult page in your planned publication.
Recommended Free Tools
- Import a long article and force it through multiple columns and pages.
- Place a table, a caption, a transparent image and a logo with a spot color.
- Use the fonts your organization actually licenses.
- Set the intended page size, bleed and color profile.
- Export the printer’s requested PDF/X file.
- Ask the printer or agency to inspect that PDF before you build the complete publication.
- Have a second contributor open and edit the source file if collaboration is part of the requirement.
- Measure how long a routine correction takes: changing a headline, replacing an image, adding a page and updating a repeated element.
The pilot exposes problems that a sample template cannot: text reflow, missing font support, color conversion, panel geometry, file interchange and the practical learning curve for your team.

What are the most common mistakes?
Choosing by templates alone
A template can hide unsuitable page dimensions, weak text styles or a PDF export that does not meet the printer’s specification. Treat it as a starting layout, not a production guarantee.
Designing before confirming the printer’s requirements
Changing color profiles, bleed or fold geometry after the design is complete can force a rebuild. Obtain the specification first.
Using a slide deck for a long document
Slides are excellent canvases for one page at a time, but they do not provide a reliable linked-story workflow for a long newsletter.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsSending only a PDF when an editable source is required
A PDF is ideal for visual consistency, but an agency or future editor may need the native file, packaged assets and licensed fonts. Ask what the recipient expects.
Assuming migration is automatic
Publisher files, imported documents and complex PDFs can change line breaks, columns, transparency and graphics. Rebuild and proof a representative file before converting an archive.
What is the final recommendation?
For professional multipage work and demanding printer or agency exchange, choose InDesign. For comparable page-layout depth with a subscription-free approach, evaluate Affinity Publisher. For Linux or a zero-license-cost workflow, test Scribus against the printer’s requirements. For occasional, collaborative or template-led assets, start with Canva; use PowerPoint for precise single-page composition and Word for straightforward text-heavy publications. Do not begin a new long-lived project in Publisher when its October 2026 retirement is approaching.
Frequently Asked Questions
Can I use a free application for a commercial brochure?
Yes. Scribus can produce commercial print files, but the printer’s acceptance depends on the exported PDF and its settings, not on the software’s price. Submit a representative proof and confirm PDF/X, bleed, color and font requirements before ordering a full run.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Should a digital newsletter use RGB or CMYK?
A screen-only newsletter normally stays in RGB because displays and web images use that color model. If the same artwork will also be printed, ask the printer whether it wants CMYK conversion and which ICC profile; keep separate export presets for digital and print delivery.
What should I keep when I archive a publication?
Keep the native layout file, packaged images and logos, licensed font information, color profiles, final PDF and a short note recording the export settings. That package is more useful for future editing than a PDF alone.
Is an IDML file a complete substitute for an InDesign package?
No. IDML is an interchange format for layout content, while a working publication also depends on linked graphics, fonts, profiles and sometimes plug-ins. Ask the receiving agency which version and asset package it requires, then open and inspect the handoff before delivery.
