The safest choice is rarely a single app. A file backup such as File History can recover deleted or older documents, while a full-system imaging app can rebuild Windows, applications, settings and data after a drive failure. For most people, the dependable arrangement is a local external drive for fast recovery plus a separate off-site copy for theft, fire or other site-wide damage. Windows Backup is useful for moving a consumer Microsoft-account setup to a new or reinstalled PC, but Microsoft does not document it as a bare-metal system-image tool.

Choose software by the failure you expect to recover from, the destinations it supports, whether it can restore to replacement hardware, and how its licensing and retention work. Current market context can help, but publisher recommendations are not the same as independent testing of your own computer.

What kind of recovery do you need from a PC backup app?

Start with the recovery outcome, not the brand name. Restoring a handful of files and rebuilding an unbootable Windows installation are different jobs, and many consumer tools handle one much better than the other.

Recovery need What is copied Typical destination What you get back
File-level backup Documents, photos and other selected personal files, often with older versions External drive or network location Individual files or folders
Full-system image Windows volumes, boot information, applications, settings and user data External drive, network storage or a supported cloud repository A working system image, subject to the app’s restore and hardware support
PC-to-PC transfer Supported settings, app information and files prepared for a new computer Account-linked cloud service or transfer workflow A configured replacement PC, not necessarily a bootable clone of the old disk

Microsoft explicitly separates backup, restore and PC-to-PC transfer. Its overview of backup, restore and recovery in Windows describes File History as a way to save personal files to an external drive or network location and retrieve earlier versions. That is valuable protection against accidental deletion, but it should not be presented as a complete Windows image.

When file-level recovery is enough

Use file-level protection when your main risk is losing working documents, photos or project folders. Versioned copies let you undo an overwrite or retrieve a file deleted days earlier without replacing the entire operating system. It is usually simpler and faster for small recoveries.

When you need an image

An image matters when a system drive dies, malware makes Windows unusable, or a failed update leaves the machine unable to start. Image recovery is more demanding: the software must capture boot data and system partitions, provide recovery media or another boot path, and document whether restoration to different hardware is supported.

What does Windows Backup actually restore?

Windows Backup is a consumer-focused setup and migration feature tied to a personal Microsoft account. Microsoft’s instructions at Back up and restore with Windows Backup describe selected folders being synchronized to OneDrive, with supported settings and app information made available when you sign in during setup on a new or reinstalled PC.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The documented flow is account-based: sign in with the same personal account during Windows setup, then let supported settings and app pins return while files remain available through OneDrive. Microsoft says work or school accounts are not supported by this consumer app. The workflow is not documented as a sector-by-sector disk image or bare-metal recovery system, so keep a separate image backup if you need to rebuild a non-booting PC.

How does File History differ from a full backup app?

File History continuously or periodically copies personal folders to an external drive or network share and keeps earlier versions. It is a practical first layer for files, but it does not replace software designed to capture and restore the entire Windows installation.

  1. Connect an adequately sized external drive or make sure the intended network location is reachable.
  2. Open Windows Settings and search for File History, or open the classic File History control panel.
  3. Select the available drive, turn File History on, and review which folders are included.
  4. Use the File History restore command when you need an earlier version of a file or folder.

Microsoft documents these capabilities in its Windows backup and recovery guidance. Because File History is file-oriented, a replacement drive still requires Windows and applications to be installed separately unless you also maintain an image.

Which current PC backup apps are worth evaluating?

There is no controlled, cross-vendor speed or reliability test in the available evidence, so treat current roundups as market context rather than proof that a product will work best on your hardware. PCWorld’s comparison, updated September 29, 2026, names EaseUS Todo Backup 2026 Home as its best overall pick and Acronis True Image as its pick for comprehensive backup and malware protection. Those are PCWorld judgments, not personal test results.

How should you combine a local drive and an off-site copy?

A resilient home setup uses different failure domains. Keep one copy on a local external drive for quick restores and another copy away from the computer—such as a reputable cloud service or a drive stored at another location—for theft, fire and other local disasters. No single method protects against every failure, and a cloud plan is not automatically a full-system image.

1. Choose the local destination

An external hard drive is the most direct physical destination for Windows backup software and File History. Select capacity based on the data you need to retain plus room for image versions, and choose a USB connection your PC supports. Microsoft identifies external drives as both general backup destinations and File History destinations. Treat the drive as a practical storage component, not as a tested endorsement of any particular model.

2. Configure scheduled protection

Set a schedule that matches how quickly your files change. A daily file-history schedule may suit active documents; less frequently changing machines can use a less aggressive interval. For image backups, retain enough generations to roll back a bad update or an unnoticed file corruption event. The exact controls differ by application, so confirm whether schedules run when the computer wakes and what happens when the destination is disconnected.

3. Add the off-site copy

Use a separate account or destination for the second copy where practical, and review retention, upload limits, encryption and restore charges before relying on it. If the cloud service only stores selected files, retain a local image as well; do not infer whole-PC recovery from the existence of a cloud restore button.

4. Prove that recovery works

Restore a small sample of files and open them. Then document how you would start the image-recovery environment if Windows will not boot, including where the recovery media is stored and which password or account is required. A backup that has never been restored is an assumption, not a verified recovery plan.

What should you check before buying or installing a backup app?

  • Recovery scope: Confirm whether the product makes file copies, full images, or both.
  • Boot-failure path: Look for recovery media creation and instructions for a computer that cannot start Windows.
  • Hardware replacement: Verify whether restoration to different hardware is supported and what driver or activation steps are required.
  • Destinations: Check support for USB drives, network shares, the cloud provider you already use, and any limits on simultaneous or historical copies.
  • Account type: Windows Backup requires a personal Microsoft account; third-party products may have different requirements. Do not assume a work or school account will work with the consumer Windows feature.
  • Retention: Make sure the product can keep enough versions to recover from delayed discovery of corruption or ransomware.
  • Licensing: Distinguish a one-time license from an annual or subscription plan, and check whether the license covers one computer or several home PCs.
  • Security controls: Confirm current documentation for encryption, access protection and deletion behavior instead of assuming every backup is encrypted by default.

How can a cloud service complement a PC backup?

Cloud backup is useful for an off-site copy or file-recovery service, but restore scope and limits matter more than the word “cloud.” Backblaze’s Windows release notes list client version 10.0.3.1075 in an update dated September 14, 2026. Its restore documentation, dated March 13, 2024, describes ZIP downloads up to 500 GB per ZIP with up to 20 active ZIP downloads, restores to Backblaze B2 up to 10 TB (potentially with additional cost), and USB hard-drive restores up to 8 TB. Verify those limits and prices at the time you subscribe because service terms can change.

Those methods document file retrieval options; they do not establish that the service can restore a complete Windows system image. If your recovery requirement is “boot a replacement PC exactly as before,” pair cloud file protection with an image workflow whose recovery documentation explicitly covers that scenario.

What happens when Windows still starts?

For a file mistake, open the backup application’s file browser or File History restore view, select the version, and restore to the original or a separate folder. Restoring to a separate folder first lets you compare contents before overwriting current work.

For a damaged application or update, use an image recovery point only after confirming which date and disk it represents. Keep a current copy of files created after that image, because rolling the system back can remove later changes.

How do you recover if the PC will not boot?

You need a recovery environment independent of the broken Windows installation. Use the backup product’s documented rescue-media creator on a working computer, boot the failed PC from that media, connect the image destination, and follow the product’s restore procedure. Check in advance whether the destination uses a file system the rescue environment can read and whether storage-controller or network drivers must be added.

Restoring to different hardware is a separate question from restoring to the original machine. Some products provide hardware-independent recovery features; others require manual driver, boot-mode or Windows-activation work. Do not promise a replacement-PC restore unless the current product documentation says it is supported.

How much should a PC backup plan cost?

The evidence does not establish a universal price comparison. Costs vary with the number of computers, subscription term, cloud storage volume, retention and whether recovery media or replacement drives are included. Macrium’s current page lists annual home-user plans, while PCWorld describes Acronis True Image as subscription-only. PCWorld’s discussion of EaseUS identifies a limitation around third-party online storage rather than a current price.

Budget separately for storage hardware and ongoing service. A larger external drive may cost less over several years than cloud capacity for multiple image generations, but it does not provide off-site protection by itself. Conversely, cloud storage can reduce local-hardware maintenance while making large restores dependent on bandwidth, provider limits and account access.

What are the most common backup mistakes?

  • Confusing synchronization with backup: A synced folder can propagate deletion or corruption; retain historical versions or independent copies.
  • Keeping every copy beside the PC: Theft, fire and power events can remove the computer and its attached drive together.
  • Never creating rescue media: An image is difficult to use when the only software that can read it is installed on the dead Windows system.
  • Ignoring retention: A single recent copy may preserve a corrupted file exactly as it is today.
  • Assuming a cloud plan is an image: Confirm whether it captures boot partitions, applications and settings.
  • Skipping restore tests: Test both a small-file restore and the documented non-boot recovery path.
  • Failing to monitor jobs: Review logs and alerts for disconnected drives, authentication failures and skipped schedules.

Which setup is the sensible default?

For a typical personal Windows PC, enable File History or an equivalent versioned file backup to an external drive, add scheduled full-system images to that drive, and maintain an off-site copy of irreplaceable files or images according to the cloud service’s documented scope. Use Windows Backup for its Microsoft-account setup and OneDrive-centered migration benefits, not as your only disaster-recovery image. Evaluate commercial apps on recovery media, destination support, hardware-restoration policy, retention and licensing, then verify the workflow with an actual test restore.

Frequently Asked Questions

Can I leave my external backup drive plugged in all the time?

You can, but disconnecting or powering it down when backups are finished reduces exposure to ransomware, electrical faults and accidental deletion. Store it somewhere dry and secure, and reconnect it for scheduled jobs or manual verification.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How much free space should the backup drive have?

Reserve room for the source data plus multiple image or file-history versions. There is no reliable universal percentage: monitor the application’s retention warnings and set a policy for deleting the oldest versions before the drive fills.

Can an image backup move my installation to any new PC?

Not necessarily. Restoration to different hardware depends on the product’s documented support, storage-controller drivers, boot mode and Windows activation. Check those requirements before buying and keep installation media for critical applications.

Is every backup automatically encrypted?

No. Encryption features and defaults differ by product and destination. Verify the current documentation, protect account credentials with multifactor authentication where available, and consider the physical security of local drives as well as software settings.
