For straightforward Word, Excel, and PowerPoint files, a free office suite can open and edit Microsoft Office documents. Choose a desktop editor such as LibreOffice or ONLYOFFICE Desktop Editors if you need to work on files stored locally, including offline. Choose Google Docs, Sheets, and Slides if browser access and collaboration matter more. In either case, keep files in .docx, .xlsx, or .pptx when exchanging them with Office users, and test a copy of any complex file: format support does not guarantee identical appearance or behavior.
Which file format should you use?
When the recipient uses Microsoft Office, modern Office formats are the safest default: .docx for Word documents, .xlsx for Excel workbooks, and .pptx for PowerPoint presentations. Microsoft identifies Open XML as the default in supported Office versions and recommends it unless there is a specific reason to use another format. That recommendation does not mean every application implements every feature identically; Microsoft cautions that an app may read only part of a format, and feature differences can affect how a file behaves. ODF formats such as .odt, .ods, and .odp can suit work shared among applications that support ODF. But conversion from a complex Office document can affect particular features. Microsoft’s ODT and DOCX feature comparison identifies features with partial or no support, including Track Changes and document protection. Choose the format based on the recipient and the features the file needs, rather than assuming all formats are interchangeable.

When is LibreOffice a good choice?
LibreOffice is a practical starting point if you want a desktop suite that opens and saves common Microsoft Office extensions. Its documentation lists Word, Excel, and PowerPoint formats, including their modern Open XML extensions. That establishes file support, not perfect fidelity in every case. For a file with intricate page layout, unusual formulas, charts, tracked changes, or embedded objects, inspect a saved copy in the application and Office version your recipient uses.

Check macros separately
Do not assume that a macro will run or transfer unchanged. LibreOffice says its macro environment and Microsoft Office’s generally cannot run the same code because their APIs differ. Some Excel Visual Basic scripts may run when the relevant feature is enabled, and preservation has conditions; validate important automation in the destination application rather than relying on the file extension alone. When should you choose ONLYOFFICE Desktop Editors?
ONLYOFFICE documents free offline editing with its desktop editors for Windows, Linux, and macOS. That makes it a candidate if you want to edit local files without an internet connection. The available documentation does not establish that it preserves Office files better than another suite, so use a copy of your real documents to verify the results and confirm the current download and features for your operating system. When does Google’s browser workflow make sense?
Google says you can edit Office files in Drive, Docs, Sheets, and Slides, and changes can autosave in the original Office format. That can be convenient when you need browser access, comments, or shared editing without asking collaborators to install a desktop suite. Distinguish Google editing from Microsoft coauthoring
Drive for desktop has a separate real-time-presence workflow for Microsoft Office 2010 or later; when multiple people edit at once, newer versions may need reconciliation. This is not the same as Microsoft’s own supported coauthoring setup. Microsoft documents coauthoring for modern .docx, .pptx, and .xlsx files and says it does not support coauthoring documents stored on Google Drive. How to test a suite before relying on it
- Make a copy. Use a representative document, workbook, or presentation, not the only copy of an important file.
- Open it in the candidate suite. Check the elements that matter for that file: page breaks, fonts, tables, charts, formulas, comments, tracked changes, and embedded objects.
- Save in the format your recipient needs. For Office exchanges, keep the file in .docx, .xlsx, or .pptx unless you have a specific reason to use another format.
- Reopen the saved copy. Confirm that the layout and relevant features still work in your editor, then check it in the recipient’s Office application when possible.
- Validate automation and collaboration separately. Test macros in the destination application. For simultaneous editing, verify the storage and coauthoring arrangement rather than assuming any Office-compatible file can be coauthored through every service.
Choose by your real requirements
- Mostly basic files, local editing, or offline access: try a desktop suite and test copies of the files you exchange.
- Browser access and shared editing: consider Google’s Office-file workflow, while checking whether advanced features require conversion and whether the collaboration path fits your team.
- Macro-heavy spreadsheets or feature-sensitive documents: treat compatibility as a file-by-file test; the extension alone does not establish that automation or advanced features will behave the same.
- Cross-suite or archival work: consider ODF only after checking whether the recipient’s software supports the features your document uses.
