To find an Outlook rule that sends messages to Deleted Items, open Settings > Mail > Rules and inspect each rule’s conditions and actions. Edit or remove the unintended rule, save the change, and check Deleted Items for messages it already moved.

Find the rules that can delete or move messages

  1. In Outlook on the web, open Settings > Mail > Rules. Microsoft documents this route for Outlook on the web: Edit or fix a broken rule in Outlook.
  2. Review every rule’s conditions, actions, exceptions, and order. Look for an action that deletes a message or moves it to Deleted Items. Rules can act on incoming mail automatically; the condition tells you which messages are affected, while the action tells you what Outlook does with them.   3. Confirm whether the rule is intentional before changing it. For example, Microsoft’s Outlook best-practices guidance describes moving certain automatic meeting responses to Deleted Items: Best practices for using rules in Outlook.
  4. Edit or delete the rule that is incorrectly handling messages, then save the change. Microsoft’s Outlook.com missing-mail guidance recommends changing or removing a rule that moves messages out of the inbox: Fix Outlook.com email sync issues.

Check rule order and Outlook version if the problem continues

Review the order of the rules and whether Stop processing more rules is selected. When that option is selected, later rules are ignored, even if their conditions also match. Microsoft explains this behavior in its Outlook rules guidance.

Classic Outlook versus new Outlook and web

New Outlook, Outlook on the web, and Outlook.com support server-side rules only. Classic Outlook supports both server-side and client-side rules. Server-side rules run on the mail server whether or not you are signed in to Outlook on a computer; client-side rules depend on classic Outlook and its device-specific features. A client-side rule may explain why mail behaves differently on a desktop and on the web. Microsoft also notes that a rule using a local-only folder cannot move server messages to a folder that exists only on that device. See Microsoft’s explanation of rule types.

If you use classic Outlook, inspect its rules as well as the rules visible in the web or new Outlook interface. For a work or school account, rule availability or changes can depend on account setup; if Outlook displays a warning while you edit rules, consult your organization’s administrator. Recover messages already moved to Deleted Items

If the message is still in Deleted Items

Open Deleted Items, find the message, and use Outlook’s restore or move option to return it to the Inbox or another folder. Microsoft includes this as a step in its missing-mail guidance for Outlook.com.

If it was removed from Deleted Items

In supported Outlook.com and Outlook on the web accounts, open Deleted Items and choose Recover items deleted from this folder. Microsoft says items removed from Deleted Items can be recovered for 30 days in these services. Availability depends on the account, and the recoverable-items action is not available in Outlook mobile apps or mobile browsers. Details: Recover deleted email messages in Outlook.com.

If you still cannot find the message

Check Junk Email and review any filters that could have diverted or hidden the message. Microsoft lists these among its checks for missing Outlook.com mail.
