To cancel a standard Teams meeting for everyone, the organizer should open it in Outlook Calendar, choose Cancel Meeting or Cancel, and send the cancellation. Attendees cannot cancel it for everyone, and Delete is not a substitute for sending a cancellation notice. For a town hall, use the cancellation option in Teams.
Before you cancel the meeting
Check that you are the organizer—the person who sent the invitation. An attendee can remove the meeting from their own calendar, but cannot cancel it for other invitees. If the cancellation option is missing, you are probably not the organizer.
For a standard Teams meeting, Microsoft documents these Outlook paths:
- Classic Outlook for Windows: Select Cancel Meeting, then Send Cancellation.
- Outlook on the web: Select Cancel, then Send.
These paths apply to standard meetings that include a Teams join link as well as other Outlook-scheduled online meetings.

Cancel a single Teams meeting in classic Outlook
- Open Outlook and select Calendar.
- Double-click the Teams meeting you want to cancel.
- Select Cancel Meeting in the meeting window or ribbon.
- Optionally enter a message for attendees.
- Select Send Cancellation.
Outlook removes the meeting, agenda, notes, and attachments from the organizer’s calendar. It sends a cancellation notice to attendees, whose calendars should update when their mail clients process it.
This method applies to Outlook for Microsoft 365, Outlook 2024, Outlook 2021, Outlook 2019, and Outlook 2016.
Cancel a Teams meeting in Outlook on the web
- Open Outlook on the web and select Calendar.
- Select the Teams meeting.
- Select Cancel.
- Optionally add a message for attendees.
- Select Send.
For a meeting you organized, use Cancel to notify attendees. Do not select Delete for that purpose.
Cancel a recurring Teams meeting
In Outlook on the web, you can cancel one occurrence, the selected occurrence and all following ones, or the entire series. Choose carefully:

To cancel an occurrence or series:
- Open Calendar and select the recurring meeting.
- Select Cancel.
- Choose the applicable option: This event, This and all following events, or All events in the series.
- Optionally add a message.
- Select Send.
Stop future occurrences while preserving past meetings
Microsoft recommends changing the recurrence end date when you want to stop future meetings but preserve the record of meetings that already happened. This is different from canceling the entire series, which can remove past meeting history.
- In classic Outlook Calendar, double-click an occurrence of the recurring meeting.
- Select The entire series, then select OK.
- Open Recurrence.
- Under Range of recurrence, select End by.
- Enter a date before the next meeting that should not take place.
- Select OK.
- Optionally enter a message for attendees.
- Select Send Update.
Microsoft lists this method for Outlook for Microsoft 365, Outlook 2024, and Outlook 2021. Be aware that confirming the changed end date can delete agendas, notes, and attachments added to previous instances; exceptions associated with the recurring meeting can also be lost. Save important material before editing the recurrence.
Cancel a Teams town hall
A town hall has its own cancellation path in Teams, unlike the documented Outlook process for a standard Teams meeting.
- Open Teams and select Calendar.
- Select the town hall and open its event details.
- Select Cancel event.
- Confirm the cancellation.
Canceling a town hall automatically emails attendees and cannot be undone.

If you are not the organizer
You cannot send an official cancellation for everyone. You can remove the meeting from your own calendar, but this does not cancel the meeting link for other attendees. Ask the organizer to send the cancellation.
In classic Outlook, right-click the meeting and select Delete. For a recurring meeting, choose the applicable option under Series. Removing the series this way can also remove past occurrences from your calendar. To preserve past occurrences while removing future ones, delete each future occurrence individually.
Cancel versus delete

Common cancellation problems
The Cancel button is missing
You are likely not the organizer. Only the organizer can send a cancellation or meeting update to all attendees. Remove the meeting from your own calendar or contact the organizer.
I deleted the meeting, but attendees still see it
Deleting is not the documented organizer cancellation process. Reopen the event from the organizer’s calendar, choose Cancel Meeting in classic Outlook or Cancel in Outlook on the web, and send the cancellation.

The meeting disappeared only from my calendar
This usually means Delete was used instead of Cancel. If you are the organizer, locate the meeting and send a proper cancellation.
Past recurring meetings disappeared
Canceling or deleting the entire recurring series can remove past occurrences. To stop only future meetings, change the recurrence end date and send an update instead. Note that Microsoft warns this can delete notes, agendas, attachments, and exceptions associated with the recurring meeting.
A canceled occurrence remains on a recipient’s mobile calendar
Microsoft’s known-issues page, last updated April 20, 2023, says Outlook for iOS and Android can fail to remove a canceled recurring occurrence for some recipients. The remaining series may appear as Tentative, an extra invitation may be sent, or the occurrence may remain in Outlook on the web. The documented impact is limited to on-premises Cloud Cache accounts; cloud-based mailboxes are not affected. Microsoft listed the issue as under investigation and recommended Outlook for Windows or Outlook on the web as a workaround.

If a cancellation arrives in your Inbox, use Outlook’s Remove from Calendar action where available rather than deleting the cancellation request directly from the Inbox or manipulating the calendar item. This helps Outlook process the meeting state correctly.

FAQ
Can any attendee cancel a Teams meeting?
No. Only the organizer can send a cancellation to all attendees. An attendee can remove the meeting from their own calendar but cannot cancel it for everyone.
Should I delete or cancel a Teams meeting?
If you organized it, use Cancel Meeting in classic Outlook or Cancel in Outlook on the web, then send the cancellation. Delete only removes an item from your own calendar.
Can I cancel just one meeting in a recurring Teams series?
Yes. In Outlook on the web, select the recurring meeting, choose Cancel, select This event, and select Send.
How do I stop future recurring meetings without deleting the past ones?
