To create SaaS demo data that can show one complete workflow, design a small, connected scenario first, then generate or prepare records that support every step from the opening screen to the final outcome. Keep the data isolated from production, make it resettable, and verify that the records, permissions, totals, and state changes remain coherent when you run the journey again. The goal is not to fill a database with plausible-looking rows; it is to give the demo a repeatable story without exposing real customer records.
What should a complete SaaS demo workflow show?
A complete demo follows a user journey from its starting point to a business outcome, with data that makes each transition visible. For example, a workspace might be created, a user invited, a project or subscription configured, a core action performed, and a success state displayed. Choose a story that fits the product rather than trying to represent every feature in one walkthrough.
Demo data is the set of records and states that make this journey possible. It can include accounts, users, permissions, projects, subscriptions, activity history, and the conditions needed to demonstrate success or failure. When records relate to one another, their connections matter as much as their individual values: an invitation should belong to the intended workspace, and an activity record should refer to the right project or user.
A useful dataset is therefore a designed scenario set. Randomly generated rows may look varied, but they do not necessarily lead to a coherent screen, a valid action, or a convincing result.

How do you plan the workflow before generating data?
Write down the journey and its data requirements before choosing a generator. This makes missing fields, broken relationships, and reset requirements easier to catch before they become demo-day failures.
- Choose one end-to-end story. Write the journey in order, such as workspace creation → user invite → project or subscription setup → core action → success state. Keep the first scenario narrow enough to run reliably.
- List the entities and required fields. For each step, identify the records it needs and the fields that must be populated. Include identifiers, ownership, status, and any values the interface displays or validates.
- Map relationships. Record which entities refer to others through foreign keys or equivalent identifiers. Note which rows are parents and which depend on them.
- Define lifecycle states. Decide the state each record needs at each point in the workflow. If the journey involves a pending invitation or an active subscription, represent the transition deliberately rather than relying on accidental defaults.
- Set reset rules. Decide what “start over” means: which records are recreated, which identifiers remain stable, and whether the workflow should always return to the same baseline.
- Label scenarios. Give each data case a recognizable label, such as “successful first run” or “expired invitation,” so the presenter can identify the expected behavior without guessing.
These decisions are useful even when the dataset is small. A handful of connected records can demonstrate a complete journey better than a large collection that has no clear purpose.
Which data strategy should you use?
Use generated-from-scratch data for a clean, controlled demo; consider masked or subset production data when production-like realism is essential; and consider synthetic data when you need similar distributions without reusing the original observations. The right choice depends on how much fidelity the demo needs and how much privacy risk the inputs carry.

| Strategy | Best fit | Main consideration |
|---|---|---|
| Generated from scratch | A deliberately designed scenario with known records and outcomes | You control the scenario, but must create the needed variation and relationships. |
| Masked or subset production data | A case where existing structure or realism is essential | Masking, subsetting, and relationship preservation need to be handled; direct records should not be reused casually. |
| Synthetic data | A case where distributions matter but real observations should not be reused | Statistical similarity is not the same as a guarantee that inputs contain no identifying values. |
These approaches are not interchangeable privacy guarantees. Synthesized documents masking, generation, and subsetting with referential-integrity preservation. Katalon documents configurable data modes called Disabled, Raw, Raw with PII mocked values, and Synthetic. Those options describe distinct handling modes; choose based on the actual data source, safeguards, and intended use rather than assuming that a mode label alone makes a dataset safe.
AWS Clean Rooms describes synthetic data as having statistical properties similar to the source while not containing the real-world observations present in that source. AWS also warns that literal values can still appear, so rare or identifying fields may need preprocessing. Treat synthetic generation as a risk-reduction technique that still requires a review of the inputs and outputs.

How do you preserve relationships between demo records?
Create parent records before their dependent children, and preserve stable identifiers wherever multiple records must point to the same entity. Referential integrity keeps the workflow believable: each user, project, subscription, or event should connect to the intended workspace and to the other records the application expects.
Generate in dependency order
First create top-level records such as a workspace or account. Then create dependent records such as users, projects, subscriptions, or activity rows, supplying the parent identifiers when those rows are generated. If a child row refers to a missing parent, the application may reject the load, omit information, or display a broken relationship.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteKeep identifiers consistent
Use stable identifiers for entities that appear at multiple workflow steps. Snowflake’s documented synthetic-table procedure supports consistency keys across runs, which can help keep related generated values consistent when producing data repeatedly. That is distinct from a guarantee that every application-specific relationship will be correct: verify the resulting joins and foreign-key relationships in the environment where the demo runs.
Check the relationships the user actually sees
Validate the records through the product’s screens and workflow, not only by checking that a data load completed. Confirm that the right user appears in the right workspace, that the project or subscription is associated with the expected account, and that the final activity belongs to the intended scenario.
What scenarios should a demo dataset cover?
Build the primary successful path first, then add clearly labeled cases that reveal important behavior outside the happy path. The additional cases should be intentional and reproducible, not stray records mixed into the main walkthrough.

- Successful path: the user can complete the workflow and reach its expected outcome.
- Empty state: a screen or list has no matching records, so the demo can show what a new or unconfigured account sees.
- Boundary values: values near relevant limits help show how the product behaves at an edge of its accepted range.
- Validation failure: an intentionally invalid input demonstrates the application’s response to a rejected action.
- Permissions difference: separate roles or access levels show what different users can and cannot do.
- Retry: a recoverable failure or repeated action demonstrates whether the journey can continue safely.
- Expired or cancelled state: a lifecycle ending can show what the interface does when an invitation, subscription, or other process is no longer active.
For each case, record the starting state, the action to perform, and the observable result. This makes scenario data useful to presenters and testers alike, and reduces the chance that a visible failure is mistaken for the intended demo.
How do you load and reset demo data safely?
Keep demo data in an environment isolated from production and seed it from a known baseline. A deterministic reset lets the presenter or tester run the same journey again rather than hoping the previous run left the database in a suitable state.
- Prepare the environment. Confirm that the demo uses its intended non-production environment and that its connection and credentials do not point at production data.
- Load the baseline in dependency order. Create parent records before child records, preserving the identifiers used by dependent rows.
- Apply scenario states deliberately. Load or set the status, permissions, and lifecycle conditions needed for each labeled case.
- Run the reset procedure. Restore the known baseline before a new presentation or verification run. Define whether reset deletes scenario records, recreates them, or restores their initial states.
- Repeat the workflow. Run the journey after reset and after a refresh. A successful first run alone does not establish that the seed is repeatable or that the refreshed state is coherent.
For privacy-sensitive use, review both the source fields and generated values before loading them. AWS’s warning about literal values is a reason to preprocess fields that are rare or identifying rather than relying on synthesis alone.
How do you verify that the demo tells a coherent story?
Run the workflow from the first screen to the final business outcome, then check the data and behavior behind each visible step. A polished final screen is not enough if its totals, permissions, notifications, or state transitions contradict the preceding actions.
- Joins and ownership: confirm that each record is connected to the right parent and scenario.
- Displayed totals: check that counts and amounts agree with the records the interface includes.
- Permissions: verify that each role sees the intended actions and data.
- Notifications: check that notifications correspond to the action and recipient in the scenario.
- State transitions: confirm that each action changes the workflow to the expected state, including failure and cancellation cases.
- Repeatability: reset, run the journey again, and check for non-deterministic failures or leftovers from an earlier run.
Use the labels attached to each scenario to compare the observed behavior with its intended result. If a state is not visible or the expected outcome cannot be reproduced after reset, the scenario is not ready for a live walkthrough.

Which tools can help create synthetic or test data?
Tools differ in the data problems they address. Compare privacy controls and residual disclosure risk, relational integrity, schema and scale, repeatability, deployment model, refresh speed, validation reporting, and operational permissions before selecting one. The documented capabilities below are not a claim that the products are interchangeable or that each is designed specifically for presentation demos.
| Tool or documentation | Documented emphasis | What to assess for a SaaS demo |
|---|---|---|
| Snowflake synthetic data | Generates a table with the source table’s columns and statistically similar artificial data; supports consistency keys across runs. | Whether the supported workflow fits your schema, required scale, permissions, and repeatability needs. |
| Synthesized | Documents masking, generation, subsetting, and preservation of referential integrity. | Whether its data-preparation approach fits the input sources and linked entities in your scenario. |
| Dataiku | Documents privacy-preserving algorithms and a universal generator. | Which privacy controls, validation outputs, and operational permissions apply to the intended workflow. |
| Katalon | Documents Disabled, Raw, Raw with PII mocked values, and Synthetic test-data modes. | Which mode matches your privacy requirements and what residual disclosure review is needed. |
| AWS Clean Rooms ML | Documents a separate synthetic-data workflow with stated input size, column, and privacy-score details. | Whether that workflow’s specific constraints and purpose match the demo use case. |
Snowflake’s documented synthetic-data feature requires Enterprise Edition. Its 2026 documentation states a minimum of 20 distinct rows, a maximum of 100 columns, and a maximum of 14 million rows for input tables. Those bounds apply to the documented feature and its input tables, not to SaaS demo datasets generally.
AWS Clean Rooms ML’s 2026 documentation lists 1,500 to 2.5 million rows and up to 1,000 columns for its separate workflow. It also says privacy scores near 50% are considered good for membership-inference protection. That figure is specific to the documented privacy measure; it is not a universal threshold for deciding whether any synthetic dataset is safe to publish or use.
Snowflake describes its generated table as having the same number of columns as its source and statistically similar artificial data. That can support a table-shaped workflow, but it does not remove the need to check whether the application schema, relationships, and scenario states match the intended demonstration.

Frequently Asked Questions
Can a SaaS demo use anonymized production data?
It can be an option when production-like structure is essential, but masking or removing obvious identifiers does not by itself establish that records are safe to reuse. Decide what transformations and approvals are required for your environment, and verify that relationships remain valid after any subsetting or masking.
What does referential integrity mean in a demo dataset?
It means that records that refer to one another continue to point to the intended records—for example, a project belongs to the correct workspace. Preserving it prevents screens and workflow actions from presenting disconnected or contradictory information.
Does synthetic data guarantee that customer information cannot appear?
No. AWS warns that literal values may still appear in generated data, so review the inputs and outputs and preprocess rare or identifying fields where appropriate. Statistical similarity describes resemblance to a source distribution, not a blanket privacy guarantee.
