Use a layered audit rather than a single Zoom setting. Start with Zoom reporting to see administrator, AI-agent, scheduled-tool, and content-access activity; inspect every Marketplace app’s OAuth scopes; verify which meetings and recordings an agent can actually reach; restrict agent audiences and knowledge sources; set human approval or blocking for agent tools; and review your identity provider when Cross App Access is enabled. These controls cover different access paths, so approving a Marketplace listing or disabling one AI feature does not complete the audit.
This guide shows how to map those paths, test their boundaries, reduce permissions, and confirm that changes took effect.
What should an audit of AI access to Zoom meeting data cover?
An effective audit covers six separate questions: which integrations exist, whose identity authorizes each one, what data each can read, whether it can write or take actions, who can use it, and what evidence Zoom records. Treat Zoom Chat agents, Marketplace applications, Zoom for ChatGPT, Cross App Access, and AI Companion controls as related but distinct paths.
- Inventory: list agents, apps, integrations, owners, user populations, and account or group administrators.
- Data boundary: identify whether access includes meeting metadata, transcripts, recordings, documents, or other content.
- Authorization: distinguish an individual user’s consent from account-level or administrator authorization.
- Action authority: separate read-only access from write operations and other consequential tools.
- Audience: record whether access is limited to the creator, named users, or everyone in the organization.
- Evidence: retain activity logs, settings reports, approval decisions, and identity-provider configuration details.
Zoom’s reporting, Marketplace, agent, human-in-the-loop, and Cross App Access documentation describe these controls separately. Review them together because no single report or toggle represents the complete exposure.

Which Zoom features and integrations can reach meeting data?
The access path determines both the risk and the control you need. Use this comparison as your starting map, then verify the current configuration for each path.
| Access path | Potential meeting data | Authorization context | Primary controls and limits |
|---|---|---|---|
| Zoom Chat AI agents | Configured knowledge sources, including meeting transcripts and recordings | Agent sharing and the users allowed to invoke it | Admin must enable sharing; audience can be creator-only, selected users, or the organization; documentation currently identifies the feature as for US users |
| Marketplace apps and integrations | Exactly what the app’s OAuth scopes request, which can include meeting content or actions | User-level or account-level authorization | Review the listing’s permissions and scopes; compare every scope with the app’s purpose and read/write need |
| Zoom for ChatGPT | Meeting search, meeting assets, cloud recordings, and related content covered by its listed scopes | User must be the meeting host or receive host-granted access | Relevant AI transcription/summary or Smart Recording features must be enabled; the app’s scope list applies to this app, not every integration |
| Cross App Access | Zoom resources made available to another application or custom agent | Enterprise identity provider and user authorization model | Audit the IdP application identity, consent flow, and resources exposed |
| AI Companion meeting questions | Meeting information made available through AI Companion’s own controls | Meeting-specific host and participant choices | These controls are separate from external agents and stored-asset access |
Do not infer that one connected product can see every meeting in the account. Eligibility depends on the product, the user’s relationship to the meeting, enabled recording or transcription features, sharing settings, licensing, and sometimes geography.
How do I inventory every access path before changing settings?
Create one record for each agent, app, or identity-provider connection before revoking anything. A complete inventory prevents an apparent fix in one product from leaving another route untouched.
- List Zoom Chat agents. Record each agent’s owner, purpose, sharing audience, and configured knowledge sources. Note whether transcripts or recordings are included.
- List Marketplace applications. Capture the app name, installing account, user-level or account-level authorization, requested scopes, and whether the app can write or perform actions.
- List direct meeting-data integrations. Include Zoom for ChatGPT and any other integration that searches meetings, recordings, transcripts, or cloud content.
- List Cross App Access relationships. Identify the enterprise identity provider, application registrations, custom agents, and the Zoom resources each authorization can expose.
- Record ownership and population. For every entry, document the business owner, technical owner, authorized users, groups, and whether access is individual or account-wide.
- Record prerequisites. Note enabled transcription, summary, Smart Recording, AI-agent, or third-party AI settings, plus any license or regional limitation shown in the product documentation.
Keep the inventory dated. When an app changes scopes, an agent gains a knowledge source, or an IdP consent policy changes, create a new review record instead of overwriting the previous decision.
Where do Zoom reports show AI-agent and meeting-content access?
Zoom reporting provides the audit trail for configuration and access activity. The reporting guide identifies administrator activity logs, AI-agent and scheduled-tool permission activity logs, reports for requests to access content, and an AI settings report that indicates whether relevant settings are enabled, disabled, or locked. Confirm that your account tier includes the reports you plan to use.
During an investigation, preserve the report export or a dated screenshot with the account, group, and time range visible. Correlate a permission change with the corresponding activity entry, then use the settings report to verify the resulting state rather than relying on the administrator’s intention.

Use content-access request reports when someone asks for access to a meeting asset. They show the request trail, while the settings and permission logs show the controls that allowed or denied the path. Reporting is evidence of activity and configuration; it is not a replacement for reviewing the scopes and audience configured in the product itself.

How do I review a Marketplace app’s OAuth scopes?
Read the permissions and OAuth data scopes in the app’s Marketplace listing and authorization screen. The app’s name or marketing description is not enough: scopes define the data it may access and actions it may take.
- Open the listing and authorization details. Copy every permission and scope into the inventory, including scopes that appear unrelated to meetings.
- Classify each scope. Mark it as metadata, transcript, recording, document, user or account administration, or an action that changes data.
- Match scope to purpose. Write the specific feature that needs each scope. If no feature needs it, flag the scope for removal or vendor clarification.
- Separate read from write. A read scope can expose confidential content; a write or action scope can create a second risk by changing settings, sending content, or triggering workflows.
- Check authorization level. User-level apps act in the consenting user’s context, while account-level apps can have a broader authorization context. Require the narrower model when it can satisfy the use case.
- Recheck after updates. Treat a new scope, a changed consent screen, or a new app owner as a fresh approval event.
| Scope finding | Decision to document |
|---|---|
| Required, narrow read scope | Approve for the named function and users; record the data owner and review date |
| Required write or action scope | Approve only with a defined business owner, tool-level approval, and rollback plan |
| Broad scope with no mapped feature | Do not approve until the owner explains the necessity or the scope is removed |
| Account-level scope where user-level is sufficient | Prefer user-level authorization and document the exception if account-level access remains |
Zoom says its Marketplace security review evaluates whether requested scopes are required and how data obtained through them is handled. That review is a useful signal, not your organization’s approval decision. Read Zoom’s Marketplace app security review and retain your own scope-to-purpose assessment.
What can Zoom for ChatGPT access, and when?
Zoom for ChatGPT has app-specific prerequisites and boundaries. According to its documentation, a user can access eligible meeting assets or recordings when the relevant AI transcription or summary feature, or Smart Recording, is enabled and the user hosted the meeting or the host granted access.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesThe app lists scopes for meeting search and assets, cloud recording, and related content. Do not generalize that list to another Marketplace app; inspect each integration’s own listing and consent screen.

- Host relationship: verify whether the requesting user hosted the meeting or received host-granted access.
- Asset readiness: confirm that the required transcription, summary, or Smart Recording feature was enabled for the meeting.
- Scope match: compare the app’s listed meeting and recording scopes with the exact tasks your users perform.
- Boundary test: test a meeting the user did not host and did not receive access to; the result should reflect the documented authorization boundary.
Document these conditions in the inventory so an auditor does not mistake a successful search of one eligible meeting for account-wide visibility. The product-specific details are in Zoom’s Zoom for ChatGPT app guide.
How can I limit a Zoom Chat AI agent’s audience and knowledge?
Restrict both who can invoke an agent and what the agent can use as knowledge. Zoom Chat agents can use meeting transcripts and recordings as knowledge sources, and sharing can be limited to the creator, specific users, or anyone in the organization.
- Confirm administrator enablement. Sharing permissions must first be enabled by an administrator. If the option is unavailable, check the account’s AI-agent administration rather than creating a broader workaround.
- Choose the smallest audience. Use creator-only for personal work, named users for a defined team, and organization-wide sharing only when the business case requires it.
- Review knowledge sources. Remove meeting transcripts and recordings from agents that do not need them. A narrow audience does not compensate for an unnecessarily broad source collection.
- Check regional availability. Zoom’s documentation currently describes this agent knowledge-source feature as available for US users; verify availability for the account’s actual region before relying on it.
- Test as each role. Confirm that the creator, a named user, an unlisted user, and an administrator see only the intended agent and knowledge results.
Zoom describes AI agents as discoverable in Zoom Chat and scalable across an organization, which is why an accidental organization-wide setting can expand exposure quickly. Read the Zoom AI agents in Chat documentation for current sharing and knowledge-source behavior.
The Tool Desk
Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →How should I configure human approval for agent tools?
Set approval at the individual tool level, not only at the agent level. Zoom’s human-in-the-loop guidance says read operations do not require approval by default; for supported tools, administrators can choose approval, always allow, or block.
- Require approval: use for actions that disclose meeting content externally, alter records, change permissions, or trigger consequential workflows.
- Always allow: reserve for low-risk, well-understood operations whose scope and audience are already constrained.
- Block: use for tools outside the agent’s purpose or for actions the organization does not permit.
- Decide on reads deliberately: because reads are not approved by default, require approval when the content itself is sensitive or the user population is broad.
Record the reason for each setting, the approving owner, and the conditions for changing it. After saving, verify the effective permission in the AI-agent or scheduled-tool permission activity log. The detailed options are in Zoom’s human-in-the-loop settings guide.
How does Cross App Access change the audit?
Cross App Access adds an identity-provider layer: another application or custom agent can access Zoom resources on a user’s behalf through an enterprise identity provider. Auditing Zoom alone is therefore insufficient when this feature is enabled.

- Identify the IdP application. Record its client or application identity, owner, environment, and administrators.
- Review the authorization flow. Determine who can consent, whether administrator consent is required, and how user authorization is revoked.
- Map exposed resources. List the Zoom resources made available to the application or custom agent and compare them with the business purpose.
- Check user scope. Verify whether access follows each user’s authorization or is granted through a broader service or administrator context.
- Revoke and retest. Remove an authorized user or application in the IdP, then confirm that the corresponding Zoom access no longer works.
Keep the IdP configuration, consent records, and Zoom-side activity evidence together. Follow Zoom’s Cross App Access configuration documentation for the supported setup and authorization model.
What is a complete start-to-finish audit workflow?
Run the review in this order so each decision has evidence and a defined owner.
- Freeze the scope of the review. Set the account, groups, regions, date range, and meeting-data types being examined.
- Build the inventory. Include Chat agents, Marketplace apps, Zoom for ChatGPT, Cross App Access applications, and any AI Companion meeting controls in use.
- Pull reporting evidence. Export administrator activity, AI-agent and scheduled-tool permission activity, content-access requests, and the AI settings report available to your account tier.
- Approve scopes. Map every Marketplace scope and authorization level to a documented function; reject unused or unnecessarily broad permissions.
- Verify asset eligibility. Test host, host-granted, transcription, summary, and Smart Recording conditions for integrations that access recordings or transcripts.
- Narrow agent exposure. Set the smallest sharing audience and remove knowledge sources that are not required.
- Set tool decisions. Require approval for consequential operations, block out-of-scope tools, and decide whether sensitive reads need approval despite the default.
- Review identity-provider access. For Cross App Access, reconcile IdP consent and resource exposure with Zoom’s authorization records.
- Recheck after changes. Use activity logs and the settings report to confirm the effective state, then retain the before-and-after evidence with the owner and review date.
Which related Zoom controls should not be conflated with external agents?
AI Companion meeting questions have their own host-only or organization-participant choices. Those meeting controls should not be assumed to govern an external Marketplace app, Zoom for ChatGPT, a Chat agent’s stored knowledge, or a Cross App Access application.
Zoom’s Data and Privacy Center also describes diagnostic-data consent separately from customer content. Zoom states that those consent settings do not authorize customer content to be used for training Zoom’s or third-party AI models. That statement applies to the consent settings it describes; it is not a blanket determination of how every integration handles content.
For an enterprise app example, Zoom’s Common Room guide requires Marketplace pre-approval and says access is limited by each user’s authorization. Treat that as app-specific behavior, not a guarantee for other applications. Consult the AI Companion meeting-questions guide, the Data and Privacy Center consent documentation, and the Common Room integration guide when those products are in scope.

Recheck after every scope change, new agent knowledge source, audience change, identity-provider consent change, or feature enablement. Also schedule periodic reviews for dormant integrations and account-level apps, because a permission that was appropriate for one project can remain active after ownership or purpose changes.

Use the same evidence set each time: current inventory, Marketplace scopes, agent sharing and knowledge settings, tool approvals, IdP configuration, and dated Zoom reports. A repeatable record makes it possible to show not only what is configured now, but who approved it and when the organization verified the result.
Frequently Asked Questions
Can Zoom audit logs show the exact transcript text an agent read?
The reporting documentation identifies activity, permission, content-access request, and settings reports, but it does not promise that an exported log contains the full customer-content payload returned to an agent. Treat logs as evidence of the access event and configuration, then use the product’s scope, audience, and eligibility settings to determine what content could have been available.
Does turning off AI Companion stop Marketplace apps from reading recordings?
No single AI Companion switch should be treated as a universal block for external integrations. Marketplace scopes, host or host-granted access, recording and transcription prerequisites, agent knowledge settings, and identity-provider authorizations must be reviewed separately.
Are read-only agent permissions risk-free?
No. A read operation cannot change a meeting, but it can expose confidential transcripts, recordings, or metadata to a larger audience. Because Zoom’s human-in-the-loop guidance does not require approval for reads by default, organizations should make an explicit decision for sensitive content.
What should I do when an app requests an account-level scope?
Ask the owner to demonstrate why user-level authorization cannot perform the required task. If account-level access remains necessary, document the broader population, data types, owner, approval, and review date, and test that revoking the account authorization removes the intended access.
