To make AI-generated slides genuinely on-brand, configure your organization’s approved fonts, color values, logo files, and presentation template in the slide tool before generating anything. Then select that brand context, create a short sample, and inspect every slide for substitutions, distortion, contrast, and layout errors. A prompt such as “use our blue and logo” is not a reliable replacement for a configured Brand Kit or approved template.
Microsoft Copilot in PowerPoint and Canva AI provide documented brand-asset workflows. Google Slides can apply theme colors and background images manually, but the Google help documentation reviewed does not establish an automatic AI brand-kit workflow. The instructions below show what each platform can control, where it can fall short, and how to verify the finished deck.
What should I prepare before adding brand assets to AI-generated slides?
Collect the approved source files and rules first. AI tools can only use the assets and guidance that are available to them, and a vague prompt leaves important choices unresolved.

- Logo files: include the approved primary mark and any sanctioned light, dark, horizontal, or stacked variants. Keep the usage rules that explain clear space, minimum size, and backgrounds.
- Brand colors: record exact values, preferably hexadecimal values for digital work, plus any approved accent, neutral, and background colors. Note which colors are for text, fills, borders, and calls to action.
- Brand fonts: collect the licensed font files and identify the roles for each family, such as display headings, body text, captions, and data labels.
- Presentation template: use the current
.potxor.pptxfile, or the equivalent approved slide master. Include title, section-divider, content, chart, quote, and closing layouts if your organization uses them. - Brand guidance: provide the short rules that affect slide generation, including tone of voice, imagery, icon style, logo placement, and accessibility requirements.
Confirm font rights before uploading
Uploading a font is not the same as owning a license to embed it. Canva’s font-upload guidance lists OTF, TTF, and WOFF formats and says the fonts should be licensed for embedding. Check the foundry or distributor terms and your organization’s license before putting a file in a shared Brand Kit. If the license excludes web, cloud, or document embedding, use an approved alternative rather than uploading the file.

Decide what must never change
Mark elements that need fixed treatment: the logo, legal footer, page number, accessibility statement, and any regulated wording. A template or locked element is a stronger control than a sentence in a prompt because it constrains layout as well as appearance.
How do I add brand fonts, colors, and a logo with Microsoft Copilot in PowerPoint?
Configure and publish a Microsoft Brand Kit, then choose it from the PowerPoint Copilot pane before asking Copilot to create slides. Microsoft’s current documentation says a Copilot Premium license is required for the Brand Kit workflow, while access, roles, and available features can vary with an organization’s Microsoft 365 configuration.
1. Have a permitted brand manager configure the kit
A brand manager or another appropriately permissioned creator creates the reusable Brand Kit. The kit can contain PowerPoint templates, colors, fonts, logos, images, icons, and brand voice guidance. The person who generates a presentation may not have permission to edit those resources, so establish ownership before you begin.

2. Add the approved template and assets
Microsoft’s template instructions support uploading a .potx or .pptx file to the Brand Kit. The kit can also reference assets in an Organization Assets Library. Microsoft describes supported third-party digital-asset-management systems as another way to make centrally managed assets available, subject to your organization’s configuration.
3. Publish the Brand Kit
Publishing makes the selected version available to eligible users. If a colleague cannot see the kit, verify that it was published, that the colleague has the required role or license, and that the organization has enabled the relevant Copilot experience. Do not assume that a kit created by one team is automatically visible across every tenant, group, or PowerPoint installation.
4. Select the kit in PowerPoint Copilot
- Open the presentation in PowerPoint.
- Open the Copilot pane.
- Select +.
- Choose Select brand.
- Select the published Brand Kit.
- Describe the presentation you want, including audience, purpose, slide count, source material, and any required sections.
With the kit selected, Copilot can use the approved resources to help align generated content with the organization’s brand. The kit supplies context; it does not remove the need to check the output.
5. Use strict brand adherence when layout control matters
Microsoft’s Brand Kit settings include strict brand adherence. When enabled by the Brand Kit owner or brand manager, Copilot can be limited to approved template and slide-master layouts. This is useful when a deck must retain sanctioned title treatments, footer positions, or legal elements. The control is managed by the kit owner, not by the person typing the generation prompt.

6. Inspect the generated deck before sharing
Check whether the expected font is present, whether colors match the approved values, and whether the correct logo variant appears on the correct background. Also inspect text overflow, chart labels, image crops, contrast, footer collisions, and slides that may have been created outside the approved master. A selected Brand Kit improves consistency but is not a guarantee that every generated object will be perfect.
How do I use Canva Brand Kit and Canva AI for on-brand slides?
Put the official logos, colors, and fonts in a Canva Brand Kit, then select that kit when using Canva AI. Add a Brand Template when the deck needs a defined layout, not just the right colors and type.
1. Create or update the Brand Kit
Canva’s help center describes a Brand Kit as a place to organize official logos, color palettes, fonts, and other assets. You can upload the assets yourself, and Canva also describes creating a Brand Kit automatically from a website or PDF. Treat automatic extraction as a starting point: compare every extracted value with the approved guideline before using it for production work.
2. Upload fonts in a supported format
Canva lists OTF, TTF, and WOFF as supported font-upload formats and says the fonts must be licensed for embedding. Confirm that your Canva plan permits the upload and that your organization’s license covers this use. If the upload is unavailable or the license is unsuitable, choose a permitted font and record the substitution in your brand documentation.

A Brand Kit supplies brand colors, fonts, logos, and other assets. A Brand Template adds a predefined layout or structure. Canva recommends using the two together when you need consistent results across title slides, content grids, charts, and closing slides.
4. Lock elements that must remain unchanged
Canva’s brand-assets guidance recommends locking elements before adding templates to the kit when those elements should not move. Lock the logo, required footer, page numbers, or other fixed objects in the template. This prevents an AI-generated variation from changing their position while still allowing editable content areas to be filled.
5. Select the kit while using Canva AI
- Open the Canva AI presentation workflow.
- Choose the relevant Brand Kit.
- Choose the Brand Template if a specific layout system is required.
- Describe the audience, subject, narrative, and content constraints.
- Generate a small set of slides first rather than an entire long deck.
Canva says the selected Brand Kit can apply brand colors, fonts, and other assets. The Brand Template supplies the layout guidance that a kit alone does not provide.

6. Check for substitutions and skipped pages
Canva cautions that some custom fonts may not be available during extraction and can be replaced by a similar available font. It also notes that AI may skip pages that do not match the prompt or that contain unsupported or complex elements. Compare the generated deck with the template and look for missing pages, altered hierarchy, and any fallback font before exporting or presenting.
How can I apply branding in Google Slides when no brand-kit workflow is available?
Use Google Slides as a manual fallback: define custom colors in the theme and apply approved background images or other assets after generation. The Google help documentation reviewed supports these actions but does not establish a dedicated AI brand-kit workflow that automatically applies an organization’s fonts and logo.
Set the theme colors
- Open the generated presentation in Google Slides.
- Open the theme editor or theme color controls.
- Add the approved custom colors using their exact values.
- Apply those colors to the relevant text, shape, line, and background roles.
Applying a color to one shape does not guarantee that every slide uses the same value. Check the theme roles and any manually formatted objects for consistency.
Apply a logo or background image
- Choose the option to set a background image for one slide or for the whole presentation.
- Select the approved image asset.
- Confirm that the image is not being cropped or placed behind content in a way that harms readability.
For a logo that must appear in the same position on every slide, place it in the theme or master layout where your organization’s template permits. If you add it slide by slide, later edits are more likely to produce inconsistent size or placement.
Handle fonts manually
Use a font that is available in the Google Slides environment and permitted by your organization. If the exact brand font is unavailable, document the approved substitute and inspect line breaks, because a different font can change the number of lines in headings, captions, and speaker notes.

Microsoft Copilot and Canva AI both provide reusable brand contexts. Microsoft’s documented path is strongest when an organization already governs PowerPoint templates and slide masters; Canva combines a Brand Kit with a Brand Template and supports locking template elements. How should I review AI-generated slides for brand errors?
Review the deck in two passes: first check asset fidelity, then check communication and accessibility. A deck can use the right logo and colors while still violating the template through overflow, poor contrast, or an unreadable chart.
Asset-fidelity checklist
- Verify the font family and weight in headings, body copy, charts, and footnotes.
- Sample key fills, text, and lines to confirm they use the approved color values rather than visually similar approximations.

Assign ownership for the Brand Kit, template, fonts, logos, and guidance. A single person or team should approve changes and publish the current version; otherwise, different generators may use different assets while believing they are following the same brand.
Maintain one approved source for each asset
Retire obsolete logos and templates instead of leaving them beside current files with ambiguous names. If your organization uses an Organization Assets Library or a supported digital-asset-management system with Microsoft’s workflow, make the centrally managed location the authoritative source.
Separate editable content from protected structure
Keep titles, body text, charts, and images editable, but protect the logo, footer, legal text, and layout anchors. This division lets AI fill a presentation quickly without allowing it to rewrite the elements that carry compliance or identity requirements.

Record approved substitutions

Review after platform changes
Interfaces, entitlements, and generation behavior can change. Recheck the current help documentation and run the four-slide pilot whenever your organization changes its Microsoft, Canva, or Google configuration, updates a template, or adds a new font or logo variant.
