RFK Racing tracks approximately 5,000 active parts through SYSPRO Cloud ERP, linking purchase orders, supplier deliveries, goods receipts, accounts payable, accounts receivable and the general ledger in one environment. The team adopted SYSPRO in 2024 and moved procurement and finance onto it in 2025, replacing a separate purchasing module and Excel-based tracking. That matters because a NASCAR team works to a fixed race calendar: a missing or late component can delay preparation, and fragmented records make it harder to find the problem. RFK’s wider digital stack also includes Tulip frontline workflows and a database containing more than 46,000 historical and current parts, so the two figures describe different layers of control rather than conflicting counts.
What changed for RFK Racing after NASCAR’s 2022 Next Gen transition?
The 2022 Next Gen car changed the parts-supply model toward more single-source and off-the-shelf procurement. Instead of relying as heavily on internally produced components, RFK had to coordinate specialized items from dozens of outside suppliers. Ordering, receiving, inspecting and tracing those parts became more consequential because the team still had to prepare cars for a fixed schedule of 38 NASCAR races per year, according to the SYSPRO customer case study.
Before the new system, purchasing information was split between a competitor’s purchasing module and spreadsheets. That arrangement could force staff to reconcile supplier, receiving and accounting information manually. RFK selected SYSPRO Cloud ERP on June 27, 2024, for finance and manufacturing operations, then moved procurement and finance workflows onto the platform in 2025.

How does RFK Racing track approximately 5,000 parts in SYSPRO?
About 5,000 active parts run through the SYSPRO procurement workflow. For those items, the system connects the purchasing lifecycle from purchase order through goods receipt and keeps the related financial activity in the same environment.
1. Create and control the purchase order
RFK orders specialized components from external suppliers. A purchase order establishes what the team expects, which supplier is responsible and the quantity and timing that purchasing staff must monitor. Keeping that information in the ERP gives the team a common reference instead of separate spreadsheet versions.
2. Track supplier performance and delivery status
As orders move toward delivery, SYSPRO provides supplier-performance visibility. The practical value is not merely a list of vendors; it is the ability to compare what was requested with what arrives and to identify a supplier or order that needs attention before a build or race-preparation milestone.

3. Record the goods receipt
When a shipment arrives, the goods receipt closes the physical part of the purchasing loop. Receiving information can then be checked against the order and passed into the accounting process without rekeying the transaction into another system.
4. Keep AP, AR and GL on the same data
Accounts payable, accounts receivable and the general ledger operate in the same SYSPRO environment as purchasing. That shared data model reduces handoffs between procurement and finance: an invoice can be evaluated against purchasing and receiving records, while managers can report on spending using the same transactions that staff used to manage the parts.

5. Surface exceptions with automated reporting
Insight Software reporting is connected to the ERP to flag unplanned spending and duplicate orders. The official customer story says the automated reporting workflow saves days of work per reporting cycle. That is especially useful when staff need to investigate an unusual purchase quickly rather than wait for a manually assembled report.
Why does RFK have a 5,000-part figure and a 46,000-part figure?
The numbers refer to different systems and scopes. The approximately 5,000 figure is the active-part population moving through SYSPRO’s procurement process. Tulip’s broader traceability database contains more than 46,000 current and historical parts that can be searched across frontline operations.
Recommended Free Tools
| Figure | System or scope | What it represents | How to interpret it |
|---|---|---|---|
| Approximately 5,000 active parts | SYSPRO Cloud ERP procurement workflow | Parts managed from purchase order to goods receipt, with related finance transactions | Current purchasing population; it is not a count of every part in RFK’s history |
| More than 46,000 parts | Tulip traceability database | Broader current and historical records used for search, genealogy, inspection and operational checks | Wider traceability universe; it includes more than the active procurement subset |
Neither figure should be used as a total number of components installed on one car or as a measure of inventory value. One describes active procurement control; the other describes the historical and operational record available for traceability.
What is the timeline for RFK’s SYSPRO implementation?
| Date | Event | Operational significance |

How does Tulip fit with the ERP?
Tulip supplies frontline workflows that complement, rather than replace, the ERP’s purchasing and finance functions. RFK uses those workflows for work orders, inspections, metrology, equipment logs and trackside checklists. Tulip reports that more than 46,000 RFK parts can be searched and traced in its database.
This division reflects two different questions. SYSPRO answers, “What did we order, receive and account for?” Frontline traceability answers, “Which component was used, inspected, measured or checked, and what evidence exists about it?” Connecting the layers allows a part’s commercial history to be considered alongside its operational history.

Metrology is important because race cars are assembled from hundreds of parts whose fit and condition can affect preparation. RFK Director of Software and Analytics Kevin Kidd said the team may measure components two, three or four times during the build process. Inspection and measurement records therefore provide evidence beyond a simple received or not-received status.

A typical controlled workflow can be understood as a chain of decisions rather than a single inventory screen:
- Identify the requirement. A build, repair or scheduled replacement creates a need for a specified component. The requirement is associated with the appropriate work or purchasing activity.
- Select and order from the supplier. Purchasing creates a purchase order for the specialized part and records the expected supplier commitment in SYSPRO.
- Monitor exceptions. Staff use supplier visibility and reporting to look for late, incomplete, duplicate or unplanned orders. An exception can be investigated while there is still time to source an alternative or adjust preparation.
- Receive and verify. The incoming shipment is recorded as a goods receipt and checked against the order. Frontline inspection or measurement can add evidence about condition and conformance.
- Post the financial transaction. Accounts payable and general-ledger records use the purchasing and receiving data, reducing manual reconciliation between departments.
- Use and trace the component. Work orders, inspection records, equipment logs and trackside checklists add operational context. A later search can retrieve the available history rather than relying on memory or a paper trail.
The value of the sequence is timing. A late delivery is most useful when it is visible early, and a duplicate order is cheapest to correct before both shipments are received and paid.
How does automated reporting help the team?
Reporting connected through Insight Software is intended to turn transaction data into exceptions that people can act on. The case study specifically identifies unplanned spending and duplicate orders as issues the reporting can flag. It also says automated reporting saves days of work per reporting cycle, which reduces the time finance staff spend assembling and reconciling recurring reports.
That does not mean every problem is solved automatically. A report can identify a duplicate or unusual purchase, but a buyer or finance professional still has to determine whether the item is genuinely unnecessary, required for another car, or legitimately ordered twice for redundancy. Automation shortens the path to that decision.

Can one ERP connect procurement, finance and manufacturing?
RFK’s deployment shows how one ERP can provide the common commercial and financial layer while specialized frontline tools handle detailed execution. SYSPRO already connects procurement with AP, AR and GL, and the 2024 announcement described a planned expansion into manufacturing operations, including serialized components and fixed replacement intervals.
| Capability to evaluate | What RFK’s architecture demonstrates |
|---|---|
| Traceability depth | Tulip records searches, inspections, metrology and trackside checks; SYSPRO supplies the purchasing and financial context. |
| Procure-to-receipt control | Purchase orders, supplier visibility and goods receipts are managed in SYSPRO for the active procurement population. |
| Finance integration | AP, AR and GL activity shares the SYSPRO environment with purchasing. |
| Manufacturing and frontline integration | SYSPRO provides the ERP layer, while Tulip handles work orders, equipment logs and operational checklists. |
| Deadline resilience | Exception reporting is designed to expose late, duplicate and unplanned items before they threaten preparation. |
| Scale and reuse | The architecture keeps active procurement separate from a larger historical genealogy, allowing repeated component cycles to remain searchable. |
For another race or production organization, the key design question is not whether every function must live in one application. It is whether the systems share reliable identifiers, status changes and evidence so that procurement, accounting and shop-floor decisions do not depend on manual re-entry.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What can other deadline-driven teams learn from RFK?
Define the controlled population
RFK’s approximately 5,000 active procurement parts are a useful example of a deliberately defined scope. Teams should state whether a number covers active items, historical records, consumables, serialized components or all of those categories. Without that definition, inventory metrics can appear contradictory even when each system is accurate for its purpose.
Make receiving a control point
Purchase orders are commitments; goods receipts confirm what physically arrived. Treating receiving as a formal control point gives procurement and finance a shared event to reconcile and gives operations a chance to attach inspection evidence.
Connect exceptions to deadlines
“Late” has meaning only against a build, test or race milestone. Reports should make the timing consequence visible so staff can prioritize the item that threatens preparation rather than simply sorting a list by order date.

Preserve genealogy beyond the current order
A component’s useful history may include prior inspections, measurements, replacement intervals and trackside checks. Retaining that genealogy supports repeatability and troubleshooting even after the original purchase order is closed.
Measure administrative effort honestly
The official case study reports days saved per reporting cycle through automation, but it does not establish an independently measured return on investment or guarantee improved race results. Organizations considering a similar system should baseline reconciliation time, late-order detection and reporting effort before implementation, then measure those outcomes under their own conditions.
What are the limits of the published RFK case study?
The available descriptions establish the workflow, system roles and reported reporting benefit. They do not provide a verified championship effect, a complete cost of implementation, or an independently audited inventory-accuracy percentage. The 5,000-part count is approximate, and the 46,000-plus count belongs to a different traceability database, so neither should be treated as a universal inventory total.
RFK co-owner Brad Keselowski described the goal as “getting to green” while leading with technology, and CFO Phil Roberts highlighted integration with specialized software and automated financial processes. Those statements explain the strategic intent; they are not evidence of a guaranteed performance outcome.
Frequently Asked Questions
Does RFK’s 5,000-part count include every component used by the team?
No. It describes approximately 5,000 active parts in the SYSPRO purchasing workflow. RFK’s broader Tulip database contains more than 46,000 current and historical part records, and the available case descriptions do not provide a category-by-category breakdown of that larger set.
Why are serialized components and replacement intervals important in a race team?
A serialized component can be tied to a specific inspection, installation or service event rather than treated as an anonymous stock item. Fixed replacement intervals create a repeatable maintenance trigger, helping the team plan procurement and avoid relying on memory when a part reaches its service limit.
Can a manufacturer copy RFK’s setup without using the same frontline software?
Yes, if its ERP and shop-floor tools exchange stable part, order and work identifiers. The essential pattern is a shared procure-to-receipt and finance record plus searchable inspection, measurement and equipment evidence; the particular frontline application can vary.
Has RFK published a guaranteed return on investment from SYSPRO?
No. The customer story reports that automated reporting saves days of work per reporting cycle, but the published material does not establish a complete implementation cost, independently audited ROI or a causal improvement in race results.
