Estimate LLM API spend from your planned workload, not from a model’s headline price. For every request type, count expected input and output tokens, multiply each by the selected model’s current rates and billing tier, then multiply by how often requests run. Add only the cache, tool, modality, storage, and service charges your design will actually trigger. Build low, expected, and high scenarios, and replace assumptions with usage logs and billing records as soon as a prototype can make representative calls. This approach gives you a defensible forecast without pretending that one average request or one per-token number describes your product.
What does an LLM API cost estimate include?
An estimate is a workload model with prices attached. The workload determines how many requests run, how much context each request sends, how much text the model generates, and which optional features are invoked. The provider’s price table then converts those quantities into money.
For a request type, calculate input and output separately:

Multiply the per-request result by the number of requests in your budget period and sum all request types. Keep each rate tied to the exact model version, region, context band and service tier you intend to use. A rate copied from a different tier or a long-context band can make an otherwise careful forecast wrong.
Some APIs bill more than ordinary uncached text. Depending on the design, the bill may distinguish standard input, cached input, cache writes, cache hits or refreshes, generated output, long-context requests, batch or priority service, tool calls, and image, audio or video processing. Include a line only when your application will use that feature.
How do I define the workload before looking at prices?
Start with what the product does during a normal billing period. A model’s price is meaningless until you know which requests it will serve and how often.

Use a period that matches your business decision, such as one month for operating budgets or one year for an architecture review. Define a unit such as a chat turn, document extraction, support ticket, batch record or agent task. This prevents a vague “monthly users” figure from hiding multiple model calls per user action.
2. List every request type
Create a row for each materially different prompt and response pattern. A support answer, a retrieval-augmented answer, a moderation check and an agent’s planning step usually have different token distributions. Record the model and version, service tier, expected requests per user or task, and whether the request can contain images, audio, video, tool results or a long shared system prompt.
3. Record volume drivers
Write down active users, tasks per user, requests per task, seasonality, and the percentage of users who are high-volume. Include retries and multi-step loops rather than assuming one API call per visible feature. If a workflow fans out to several models, treat each call as its own request type and aggregate them only after calculating their separate costs.
| Assumption | What to record | Why it changes spend |
|---|---|---|
| Model and version | Exact model identifier and planned fallback | Rates and tokenization differ between models and versions. |
| Service tier | Standard, batch, priority or other tier actually selected | The same token volume can have different rates or eligibility rules. |
| Input size | Average and high-percentile tokens for each request type | Long prompts and retrieved documents can dominate input charges. |
| Output size | Average and high-percentile generated tokens | Output is commonly priced separately and can cost more per token. |
| Frequency | Requests per user, task and period | Volume multiplies every per-request component. |
| Reliability overhead | Retry rate, timeout recovery and agent-loop limits | Extra calls are billable even when a user sees one result. |
| Optional features | Caching, tools, search, code execution and non-text modalities | These can add distinct usage or storage charges. |
How can I count tokens before the product exists?
Use representative prompts and expected responses, then apply the provider’s own tokenizer or counting endpoint whenever one is available. Word or character counts are only rough proxies because tokenization depends on the model and can treat code, punctuation, non-English text and multimodal inputs differently.
Build representative fixtures
Save realistic examples for short, typical and unusually long requests. Include the full system instruction, conversation history, retrieved passages, structured tool schemas and the expected response format. For each fixture, estimate both the ordinary case and a high percentile; a single average can conceal a small number of very expensive requests.

Use provider-specific counting
Google documents a Gemini countTokens operation for request input and notes that Gemini tokenizes text and non-text modalities. Use that operation for Gemini fixtures instead of converting characters to an assumed token ratio. See the Google token guide and the countTokens API reference. For OpenAI calls, inspect the usage fields returned with each response as described in the Chat API reference. Other providers may expose different counters, so follow the selected model’s documentation.
Count all context, not only the user’s last sentence
Input usually includes system and developer instructions, prior turns, retrieved documents, tool definitions and tool results. If an agent repeats a growing transcript on every step, count that repeated context for every call. For multimodal requests, account for the provider’s treatment of images, audio or video rather than assuming a text-equivalent token count.
How do I apply provider rates without mixing billing categories?
Keep a separate line for each published billing category. At minimum, calculate input and output independently, because providers commonly publish different rates for them.
| Component | Calculation | When to include it |
|---|---|---|
| Uncached input | uncached input tokens × input rate ÷ 1,000,000 |
Every request that sends ordinary prompt tokens. |
| Cached input or cache hit | cached tokens × cache-hit rate ÷ 1,000,000 |
Only for requests that meet the provider’s cache-eligibility and hit rules. |
| Cache write or refresh | written tokens × write rate ÷ 1,000,000 |
When a prompt is stored or refreshed in a paid cache. |
| Generated output | output tokens × output rate ÷ 1,000,000 |
Every generated response, including structured output. |
| Tool or modality charge | Use the provider’s published unit | Search, code execution, image/audio/video and other separately priced features. |
| Storage or retention | Stored amount × duration rate | When cached data or another feature has a time-based charge. |
Check the selected model’s current pricing page, geography and terms immediately before using a rate in a financial forecast. OpenAI’s pricing page separates input, cached input, output and other dimensions. Anthropic’s pricing documentation lists base input, cache-write, cache-hit and output categories. Google explains token, cache and storage billing in its Gemini billing documentation and publishes model- and feature-specific terms in its Gemini pricing documentation. Rates, model availability and cache behavior can change; the pages checked for this guide were current on October 25, 2026, but should be rechecked before a purchase or launch decision.
What is a worked cost calculation?
The following numbers are illustrative math, not a quotation from any provider. Replace the rates and volumes with the values for your chosen model.
Suppose a product has two request types in a 30-day month:
| Request type | Monthly calls | Input tokens per call | Output tokens per call |
|---|---|---|---|
| Answer request | 10,000 | 2,000 | 500 |
| Document summary | 2,000 | 8,000 | 1,000 |
Assume, solely to demonstrate the arithmetic, an input rate of $0.50 per million tokens and an output rate of $1.50 per million tokens for both request types:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
| Request type | Input calculation | Output calculation | Illustrative subtotal |
|---|---|---|---|
| Answer request | 10,000 × 2,000 × $0.50 ÷ 1,000,000 = $10.00 | 10,000 × 500 × $1.50 ÷ 1,000,000 = $7.50 | $17.50 |
| Document summary | 2,000 × 8,000 × $0.50 ÷ 1,000,000 = $8.00 | 2,000 × 1,000 × $1.50 ÷ 1,000,000 = $3.00 | $11.00 |
| Total | Input plus output for both types | $28.50 | |
The example shows why request mix matters: the less frequent summary consumes more input per call. If summaries use a different model, a cache, a long-context band or a tool, calculate those components with their own rates rather than reusing the illustrative numbers.

How should I model low, expected and high usage?
Publish an internal range instead of one deceptively precise average. Keep the assumptions visible so you can change one driver without rebuilding the whole forecast.
Low scenario
Use conservative adoption, shorter prompts and responses, and normal reliability overhead. This is useful for a cash-flow floor, not a guarantee that costs cannot fall below it.
Expected scenario
Use the best current estimate of active users, request frequency and token distributions. Base it on product analytics or representative fixtures rather than a round number chosen to fit a budget.
High scenario
Stress the assumptions that can break the budget: high-percentile context, long responses, rapid user growth, retries during an outage and agent loops that take more steps than planned. Include a separate peak-day or peak-hour calculation if capacity planning matters.
| Scenario | Change deliberately | Decision it supports |
|---|---|---|
| Low | Lower adoption and shorter token distributions | Minimum funding and pilot viability |
| Expected | Measured or best-estimate volume and token mix | Operating budget and unit economics |
| High | High-percentile tokens, growth, retries and loop depth | Cash reserve, rate limits and failure planning |
Do not hide high-usage customers inside an average. Segment by user, task or plan when a small group can generate a disproportionate share of calls. A forecast that reports both total spend and cost per completed task makes those drivers easier to investigate.
When do caching and shared context change the estimate?
Caching can lower the price of repeated context, but it is not an automatic discount. Model cache hits, uncached input, cache writes and any storage duration separately.
First identify the stable prefix or document that the application will resend. Estimate what fraction of requests will actually hit the cache, how many tokens are written on a miss or refresh, and how long cached data remains stored. Then compare that scenario with a no-cache baseline. A low hit rate or frequent invalidation can make write and storage charges outweigh the expected hit savings.

Which tools, modalities and service tiers belong in the forecast?
Price search, code execution, image or audio input, video, image generation and other tools as separate components whenever the provider lists them separately. Count both the model tokens surrounding a tool call and the tool’s own billable unit if applicable.
- Search or retrieval: include per-query or result charges and the extra tokens inserted into the prompt.
- Code execution: include execution units or time where published, plus any generated code and returned output tokens.
- Images, audio and video: use the provider’s modality-specific counting and rates; do not convert media to an assumed word count.
- Long context: apply a long-context rate only to requests that cross the documented threshold.
- Batch, priority or other tiers: include the tier only when your workload qualifies and you intend to send it that way.
OpenAI’s pricing table and Google’s pricing documentation describe model- and feature-specific dimensions; consult the current pages linked above rather than carrying a rate from a different tier into this calculation.
How do I compare models or providers on cost?
Compare the options using the token mix and features of your workload, not a single headline rate. Build one worksheet with a row for each viable model and the same request fixtures.

| Comparison axis | Question to answer |
|---|---|
| Input rate | What does the model charge for uncached input in the selected context band? |
| Output rate | How expensive are the generated tokens for the response lengths you expect? |
| Token mix | Does this workload send mostly context or generate mostly output? |
| Context band | Do long requests move into a different published rate? |
| Cache economics | Are hits, writes and storage billed separately, and can the design achieve hits? |
| Tools and modalities | Are the search, code, image, audio or video features priced independently? |
| Service tier | Which tier will carry production traffic, and what eligibility limits apply? |
The resulting dollar figures are cost comparisons, not proof that models are equivalent. An estimate does not establish equal quality, latency, reliability, safety or policy behavior. Validate those dimensions with representative evaluations before choosing an architecture, and treat any fallback model as an additional request type rather than assuming it has the same token economics.
How do I turn a forecast into a measured estimate?
A prototype should replace guessed token distributions with provider-returned usage data. Instrument every request type before inviting a broad test group.
- Log an internal request identifier. Record the feature, model, version, service tier, user or tenant class and whether the call is a retry, fallback or agent step. Avoid storing sensitive prompt content merely to measure cost.
- Capture usage fields. Store input, output and cached-token counts when returned, along with tool or modality quantities and latency. Keep the raw provider response long enough to audit your aggregation.
- Aggregate by request type. Calculate averages, medians and high percentiles, not just a single global mean. Separate successful calls from retries, timeouts and abandoned streams.
- Recalculate at current rates. Apply the exact model and tier rates in effect for the period, then compare forecast and observed cost per completed task.
- Reconcile to billing. Token logs are an operational estimate, not always the invoice. OpenAI notes that usage data may not reconcile perfectly with Costs and recommends its Costs endpoint or Usage Dashboard for financial reconciliation; see the usage documentation. Check the corresponding billing controls for another provider.
Investigate any gap by checking uncaptured retries, cached-token eligibility, storage time, tier changes, minimum charges, currency or regional terms, and calls made by background jobs. Update the forecast after each material prompt, model, traffic or pricing change.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What are the most common estimation mistakes?
| Mistake | Why it fails | Correction |
|---|---|---|
| Using a per-million rate as the monthly price | The rate says nothing about request volume or token mix. | Multiply token quantities by frequency for every request type. |
| Counting only the user message | System prompts, history, retrieval and tools add input tokens. | Count the complete serialized request. |
| Using one average token count | Long-tail prompts and responses can dominate spend. | Model high percentiles and a high-usage scenario. |
| Combining input and output | Providers usually price them differently. | Keep separate columns and formulas. |
| Assuming caching is free | Writes, hits, eligibility and storage may all be distinct. | Compare measured hit and write scenarios with no cache. |
| Ignoring retries and agent loops | One visible action can create many billable calls. | Log attempts and cap loop depth in the workload model. |
| Copying an old price table | Rates, model versions and terms change. | Recheck the provider page and date every forecast. |
| Treating tokens as the invoice | Billing records can include adjustments or feature charges. | Reconcile usage logs with the provider’s financial dashboard. |
What should a cost worksheet contain?
A practical worksheet has one row per request type and columns for assumptions, usage and rates. Keep the source URL and retrieval date beside each rate so a later reviewer can tell whether a number is still valid.
- Request name and user-visible task
- Model, version, region and service tier
- Monthly calls in low, expected and high scenarios
- Average and high-percentile input and output tokens
- Uncached, cached-hit and cache-write token quantities
- Input, output, cache and storage rates with their billing units
- Tool, modality, batch or long-context charges
- Retry rate, fallback share and maximum agent steps
- Per-request cost, monthly subtotal and cost per completed task
- Assumption owner, source link and last-reviewed date
Keep a no-cache baseline and a measured prototype version. That makes it clear whether a saving came from a real architectural change or merely from a more optimistic assumption.

How often should I refresh an LLM API cost estimate?
Refresh it whenever the model, prompt, context strategy, cache policy, service tier or traffic forecast changes, and review it against billing at a regular operating cadence. A monthly review is a reasonable minimum for a live product; fast-growing systems may need weekly monitoring of cost per task and high-percentile usage.
Set alerts on total spend, spend per active user, input-to-output mix, retry rate and cache-hit rate. An alert should lead to a request-type breakdown, because a total increase can come from more users, longer prompts, a new background job or a pricing change. Record the date and assumptions for each revision so forecasts remain comparable.
What is the defensible answer when the price is uncertain?
Report a range tied to explicit assumptions, name the model and billing tier, and identify which variables are still unmeasured. Do not present a provider’s current rate as a permanent cost or claim that two models are interchangeable. The most credible estimate is the one that another engineer can reproduce from the same fixtures, rates and traffic assumptions, then verify against prototype usage and billing records.

Can I estimate LLM API cost from words or characters alone?
Not reliably. Tokenization varies by model and language, and multimodal inputs follow provider-specific rules. Use representative serialized requests with the selected model’s tokenizer or counting endpoint, then confirm the returned usage in a prototype.
Should failed requests and retries be included in the budget?
Yes. A timeout, rate-limit retry or abandoned stream can still consume billable tokens. Track attempts separately from completed tasks and model a retry percentage or an agent-loop limit so reliability behavior is visible in the high scenario.
What is a good unit-economics metric besides monthly API spend?
Track cost per completed business task, such as a resolved ticket or processed document, alongside cost per active user. This reveals whether a prompt change improved the product or merely shifted traffic between request types.
How can I keep a forecast auditable when prices change?
Store the exact model identifier, rate category, source URL and review date beside each worksheet value. When a rate changes, preserve the previous version and rerun the same fixtures so the effect of pricing is separated from changes in traffic or token usage.
