Yes—Obsidian can replace Notion for project management when your work already lives in notes, research, and Markdown files. My setup uses the Tasks plugin to turn checkboxes anywhere in a vault into structured work, Tasks Kanban for a visual board, and dotpm when a project needs dependencies, milestones, Gantt timelines, custom fields, or time tracking. That combination keeps decisions, source material, and action items linked in one local vault.
It is not a universal Notion replacement. Notion is faster to deploy for teams that want hosted relational databases, shared views, and permissions with little configuration. Obsidian feels better when you value local-file ownership, portability, and the ability to capture a task directly beside the note where it was discovered.
Can Obsidian really replace Notion for project management?
It can for a personal or small, technically comfortable workflow, but “better” depends on what you optimize. Obsidian gives you a local Markdown vault in which meeting notes, web clippings, decisions, and tasks remain connected. Notion gives you a ready-made Projects-and-Tasks database model with relations, properties, and multiple views.

The practical difference is setup versus continuity. In Obsidian, you assemble the system from plugins and maintain the conventions yourself. In Notion, the database structure is available immediately, so a team can start sharing views without first designing a vault architecture. My preference changed only after I realized that copying a task from a research note into a separate task database was creating more friction than the database was removing.

The conclusion here is a fit judgment: local Markdown and linked notes make Obsidian the stronger choice for a note-centered personal system; native databases and collaboration controls make Notion the easier choice for many shared team projects.
What does the Obsidian setup include?
The system has three layers. Start with Tasks for structured checkboxes, add Tasks Kanban if you need a board, and use dotpm only when a project requires planning features beyond individual task management.
Tasks: the capture and query layer
The Tasks plugin recognizes checkbox items throughout the vault. A task written in a daily note, project brief, or clipped article can carry a due date, start date, scheduled date, priority, recurrence, task ID, and dependencies. Because the original item stays in its Markdown file, you do not have to re-enter it in a central task list.
That “capture where the thought occurs” behavior is the foundation. A line in a meeting note can become a dated task without moving the surrounding context. Later, Tasks queries can collect open work by date, priority, or status while the source note remains the authoritative location.
Tasks Kanban: the visual layer
Tasks Kanban reads existing Tasks-plugin items rather than creating a second, disconnected task system. You can save boards, filter and sort cards, group them, and drag a card to a different status. The status change is written back to the original Markdown file, so the board and the notes stay synchronized.

dotpm: the project-planning layer
dotpm adds table, Gantt, and Kanban views over Markdown project and task files. Its documented feature set includes subtasks, dependencies, milestones, start and due dates, recurring tasks, custom fields, time estimates, time logs, assignees, and smart scheduling. Use it when a project has a real plan rather than a collection of checkboxes.
How do I turn an Obsidian vault into a project system?
Build the smallest useful version first. You can add a board or a planning plugin after your notes and task conventions are reliable.
- Install and enable Tasks. In Obsidian, open Settings, choose Community plugins, browse for Tasks, install it, and enable it. Keep the plugin enabled before designing queries or boards so every checkbox follows the same parsing rules.
- Choose where project context lives. Create one note per project, then link supporting notes—briefs, research, decisions, and meeting records—to that project note. Do not force every task into the project note; a task can remain in the daily note or source note where it was captured.
- Standardize task metadata. Add dates and priorities through the Tasks controls rather than inventing several competing labels. Decide which date means “must be finished,” which means “begin work,” and which means “put on the calendar.” Use recurrence only for genuinely repeating work.
- Create a few focused queries. Useful views include tasks due soon, overdue tasks, high-priority open tasks, and work assigned to a particular project. Keep each query narrow enough to act on; a single giant list hides the decisions it is meant to support.
- Test the write-back behavior. Create a sample checkbox in a daily note, add a date, and confirm that it appears in the relevant query. Edit the same task from the query or board and verify that the source Markdown changes. This check catches syntax or permission problems before you depend on the workflow.
- Add a board only when a board answers a question. Install Tasks Kanban when you need to see work by status, such as Backlog, Next, Doing, and Done. Save separate boards for separate purposes instead of putting every project on one endlessly filtered canvas.
- Introduce dotpm for complex plans. Move to dotpm when you need milestones, dependency-aware scheduling, estimates, time logs, assignees, or a Gantt view. Keep the underlying Markdown files organized so the richer views remain understandable outside the plugin.
How do Tasks dates, priorities, and dependencies work?
Tasks treats a checkbox as a structured record while leaving it in ordinary Markdown. The important design decision is to distinguish the kinds of dates instead of using one generic deadline.
- Start date: the earliest date you intend to begin.
- Scheduled date: the day you plan to work on it, which may be different from the final deadline.
- Due date: the date by which the task should be complete.
- Priority: a signal for ordering work when several tasks compete for attention.
- Recurrence: a rule for creating the next instance of repeating work.
- Task ID and dependency: identifiers that let one task refer to another and express sequencing.
Use the plugin’s task editor and autocomplete for the exact metadata syntax supported by your installed version. The reliable practice is to edit a task once, inspect the resulting Markdown, and then reuse that pattern. If a dependency is essential, keep the blocking task and the dependent task in the same project query so a missing prerequisite is visible rather than buried in another note.
A practical dependency pattern
Break a deliverable into a small chain: confirm the brief, produce the draft, review the draft, and publish. Give each item its own task ID and make the later item depend on the earlier one. A board can show status, while a dotpm Gantt or table can show the dates and the relationship between tasks. This is more dependable than writing “after review” in prose because the relationship remains machine-readable.

When should I use Tasks Kanban instead of dotpm?
Choose Tasks Kanban for a lightweight flow board and dotpm for project scheduling. They solve different problems even though both can display Kanban columns.
| Need | Tasks Kanban | dotpm |
|---|---|---|
| Use existing checkboxes scattered through notes | Yes; it reads Tasks-plugin items and writes status changes back to their Markdown files | Works with Markdown project and task files |
| Saved boards, filtering, sorting, grouping, drag-and-drop | Yes | Kanban view is documented |
| Subtasks and dependencies | Uses task metadata; suited to a simple flow | Documented support for subtasks and dependencies |
| Milestones and Gantt timelines | Not its primary purpose | Documented support for milestones and Gantt views |
| Custom fields, estimates, and time logs | Not its primary purpose | Documented support for custom fields, time estimates, and time logs |
| Assignees and smart scheduling | Not its primary purpose | Documented support for assignees and smart scheduling |
A useful rule is to delay dotpm until the project has enough coordination overhead to justify it. For a personal editorial pipeline, Tasks plus one Kanban board may be all you need. For a launch with interdependent work, milestones, estimates, and logged effort, dotpm prevents the board from becoming a substitute for a schedule.
What is the difference between Obsidian and Notion for project management?
Obsidian prioritizes ownership and continuity; Notion prioritizes an immediately usable shared database. The comparison below focuses on the dimensions that affect a project system rather than on feature-count marketing.
| Dimension | Obsidian with Tasks, Tasks Kanban, and dotpm | Notion Projects and Tasks |
|---|---|---|
| Data model | Plain Markdown files in a local vault, extended by plugins | Native Projects and Tasks databases with relations and customizable properties |
| Note-to-task capture | Checkboxes can be created in daily notes, clippings, or any other vault note and queried later | Tasks are typically entered in or related to database records |
| Views | Task queries, Kanban through Tasks Kanban, and table, Gantt, and Kanban through dotpm | Multiple contextual views, including Kanban, over the Projects and Tasks databases |
| Portability | Markdown remains searchable, portable, and suitable for version control | Work is organized in the hosted workspace’s database model |
| Setup effort | Requires plugin selection, metadata conventions, queries, and ongoing maintenance | Lower initial configuration because the project-and-task model is built in |
| Collaboration fit | Depends on how you share and synchronize the vault; permissions and team conventions need separate planning | Designed around shared databases and contextual team views |
Where Obsidian has the edge
Obsidian wins when the project is inseparable from your information stream. A research note can contain the source, your interpretation, and the follow-up task without a handoff to another application. Local files are also easier to inspect, move, archive, and version-control than a proprietary database export.
Where Notion has the edge
Notion is the more direct choice when several people need the same database, properties, and views immediately. Its official Projects and Tasks guidance describes relations between projects and tasks, customizable properties, and contextual views such as Kanban. That reduces the amount of system design a team must do before work begins.

What maintenance problems should I expect?
An Obsidian project system fails through inconsistency more often than through missing features. Decide your conventions before the vault grows.
- Duplicate tasks: If you copy a checkbox into a project note instead of linking or moving the original, two records can drift. Keep one source task and link to it from context notes.
- Date confusion: A scheduled date is not automatically a due date. Make the distinction visible in your queries so “today’s work” and “deadlines” do not become one list.
- Board drift: A Kanban board is useful only when dragging a card updates the source task. Periodically open the Markdown file to confirm that status changes were written back.
- Overbuilt metadata: Every extra field increases maintenance. Add custom fields, estimates, or time logs only when a decision depends on them.
- Hidden dependencies: A dependency stored only in prose will not drive scheduling. Use task IDs and the dependency features available in your chosen plugin.
- Plugin changes: Community plugins evolve independently. Keep a small test project and verify queries after updates, especially before a major delivery.
Which Obsidian project setup should I choose?
Match the tool to the shape of your work, not to the longest feature list.
- Choose Tasks alone when you mainly need dated checkboxes captured in daily notes and surfaced through queries.
- Choose Tasks plus Tasks Kanban when status columns and drag-and-drop are more useful than timelines or estimates.
- Choose dotpm when dependencies, milestones, Gantt planning, custom fields, time estimates, time logs, assignees, or smart scheduling are central to delivery.
- Choose Notion when relational databases, shared team views, and low configuration effort matter more than local Markdown ownership.
For readers who work across devices, a synchronization strategy is a separate decision from the task model. Obsidian Sync is one option to evaluate for a vault that must stay current on multiple devices; whichever method you use, establish backups and a conflict-resolution habit before the vault becomes mission-critical.
What changed my mind about Obsidian?
The decisive improvement was not a prettier board. It was removing the boundary between thinking and doing. A task captured beside the note that explains it retains its context, while Tasks, Tasks Kanban, and dotpm expose the same Markdown-backed work at the level of detail a project requires.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsThat is why the system can feel better than Notion for a note-heavy personal workflow, even though it takes longer to configure. As Dibakar Ghosh put it, “The Tasks plugin is one of those deceptively simple yet extremely powerful tools.” The description fits the setup: a checkbox remains simple for the writer, but becomes queryable, schedulable, and visible on a board when the project demands more structure.

Frequently Asked Questions
Can I use an Obsidian project vault without an internet connection?
Yes. Because the working files are local Markdown, you can read and edit them offline. If you later synchronize devices, allow time to resolve conflicting edits rather than assuming both copies merged perfectly.
Do I have to move all my existing checklists into a project note?
No. Tasks is designed to find checkbox items wherever they already live in the vault, including daily notes and clipped references. You can migrate gradually by adding metadata to high-value tasks first.
Is dotpm a good choice for a large team?
Its documented planning features address project structure, but the files still live in an Obsidian vault. A team should separately validate shared-vault synchronization, permissions, ownership, and conflict handling before making it the system of record.
Recommended Free Tools
How can I preserve my project history if I stop using a plugin?
Keep the Markdown files as the durable record and treat plugin views as an interface over them. Export or copy the vault regularly, and use a version-control or snapshot process if you need an auditable history.
