Connecting an AI assistant to a work app does not automatically give it unrestricted access to everything in that app. What it can retrieve or do depends on several separate controls: the connected account’s permissions, the integration’s requested access and supported actions, the assistant’s approval settings, and the organization’s policies. Data-use, retention, and deletion controls are another layer.
These details vary by vendor, app, account, and workspace. Before connecting anything, check the exact account, authorization request, available actions, and your organization’s rules.
What happens when an AI assistant connects to a work app?
The connection lets an assistant use information from an external service—such as a file, message, or calendar entry—or perform specific supported actions. It is not a blanket permission to access every record or carry out any task. The connected account’s existing access, the permissions granted to the integration, the integration’s capabilities, and administrator settings all affect what is available.
For example, OpenAI says ChatGPT’s access to connected Google apps is subject to the permissions of the Google account that was connected and to workspace settings. Google Workspace administrators may constrain OAuth scopes, while ChatGPT workspace administrators can enable or disable actions. Google also checks whether an app is trusted or approved for the scopes it requests. These are Google-connection details, not a universal description of every assistant integration. Four permission and privacy layers to check
1. Authorization in the source app
The source service—such as Google Workspace—authorizes the connection. Check which account is being connected and what that account can already access. An assistant generally cannot use the connection to retrieve content that the connected account itself is not permitted to access, but the precise enforcement depends on the integration.
Review the provider’s authorization request, including its scopes: these describe the categories of information or operations the integration asks to use. Distinguish read access from write access or actions that can change records, send messages, or trigger other effects.
2. The assistant’s approval settings
Some assistants let users decide when they must be asked before an app is used. OpenAI’s ChatGPT documentation describes options such as always asking, allowing read actions, and allowing low-risk actions. Availability can depend on the account, app, connected account, and workspace.

These settings govern when ChatGPT uses access that is already available; they do not grant the source app’s authorization, change what the connected account can access, or override workspace policy. 3. Organization and administrator policy
In a managed workspace, administrators may decide which integrations, agents, or actions are allowed. The source service may also restrict requested OAuth scopes. For Microsoft 365 Copilot, Microsoft says administrators can select which agents are allowed, and organizations control which connectors are enabled. Users’ existing Microsoft 365 permissions constrain what Copilot can ground answers in; Microsoft states in this product context, “Your permissions are always enforced.” Microsoft: What information does Copilot use to answer my prompt? 4. Data use, memory, and retention
Authorization answers what information an integration can access; it does not by itself explain how the assistant handles prompts, retrieved content, responses, or derived information. Check the product’s statements and settings for model training, personalization or Memory, retention, and deletion. These are distinct questions, and policies should not be assumed to match across vendors.

How connected information is retrieved: synced or live
Some integrations index or synchronize external content into a search system; others fetch it from the source when a query is made. Microsoft documents both patterns for external connectors. The choice affects where indexed content is held and how quickly changes in the source may appear in results. The implementation and timing vary by connector.

ChatGPT and connected Google apps
OpenAI’s Google-app FAQ says data directly from connected Google apps, and information derived from it, is not used to train generalized models, subject to stated exceptions. Those exceptions include conversations submitted as feedback, information manually copied, pasted, or uploaded into a conversation, and data included in ChatGPT’s response. The FAQ also says eligible connected-app information may inform Memory when Memory is enabled. These statements apply to the named Google-app workflow and should not be generalized to every ChatGPT connection or other assistant.

Memory, conversation deletion, and disconnecting an app are separate controls. OpenAI says disconnecting a Google app does not automatically delete existing chats or saved memories. To stop future access through that connection, disconnect the account; changing an app’s approval setting alone does not revoke authorization already granted to the provider. Microsoft 365 Copilot
Microsoft says Microsoft 365 Copilot does not train public models on company data and uses existing identity-based access boundaries. That is a Microsoft statement about Microsoft 365 Copilot, not a general guarantee for all assistants or connected apps. Microsoft recommends checking grounding sources and critical details even when a response cites sources. Citations can help you inspect the material used, but they do not prove an answer is complete or correct. Microsoft: What information does Copilot use to answer my prompt?
Geography and processing location
Do not infer where all data is stored or processed from a product’s general privacy description. Microsoft’s documentation describes residency commitments, including EU Data Boundary treatment for EU customers, while queries from customers outside the EU may be processed in the US, EU, or other regions. A practical checklist before connecting a work app
- Confirm the account: Which exact personal or work account is being connected, and what can that account access?
- Inspect requested scopes: What information does the provider authorization request cover? Which actions only read, and which can write or trigger changes?
- Check retrieval architecture: Is content synchronized or indexed, or fetched live? How are updates and deleted records reflected?
- Ask about administrator controls: Who enables the app, actions, or agent? Can workspace policy or provider policy restrict scopes?
- Separate privacy controls: What rules govern training, Memory or personalization, retention, and deletion of source data, prompts, responses, and derived information?
- Plan for disconnecting: How do you revoke the connection, and what chats, memories, indexes, or logs may remain afterward?
- Verify important answers: Can you inspect citations or links to retrieved records? Check critical details against the source app.
What to remember about work-app connections
Treat a connection as a chain of specific permissions, not as a single on/off switch. Source-app authorization defines the account’s available access; integration capabilities define what the assistant can retrieve or do; assistant approval settings govern when it asks to use that access; and administrator policy may limit availability. Data handling and deletion rules require their own check.
Because controls differ across vendors and change over time, base a decision on the exact app, account, requested scopes, workspace policy, and current product documentation—not on the word “connected” alone.
