For a GST tax invoice in India, include the supplier’s identity and GSTIN, a valid invoice number and issue date, recipient details where required, supply description and classification, value and applicable tax details, and any transaction-specific information such as place of supply or reverse-charge status. If the invoice is issued under the notified e-invoicing process, it must also carry the IRN-embedded QR code. The checklist below explains which details to capture and where recipient type, interstate supply and e-invoice applicability change what appears on the document.

This guide concerns GST invoices in India. The core particulars are set out in Rule 46-oriented guidance, but the fields that apply to a particular transaction depend on its facts. E-invoicing is an additional reporting and document requirement for covered transactions; it does not replace the invoice particulars.

What details must a GST tax invoice include?

A tax invoice should make clear who supplied what, to whom, at what value, and how GST was applied. Use this checklist when setting up an invoice template or reviewing a completed invoice. Recipient-specific conditions and interstate fields are explained below.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Invoice detail What to include When or how it applies
Supplier identity Supplier’s name, address and GSTIN. Identify the registered supplier issuing the invoice.
Invoice number A consecutive serial number, unique for the financial year. Must follow the permitted length and character rules; see numbering controls below.
Date Date of issue. Use the actual issue date. Applicable issuance deadlines depend on the supply and should be checked against the relevant GST provisions.
Recipient identity For a registered recipient, name, address and GSTIN or Unique Identity Number, where applicable. For an unregistered recipient, name, address, delivery address, state and state code when the stated value condition is met, or when requested below that value. The unregistered-recipient conditions are detailed in the next section.
Supply classification and description HSN code for goods or services, plus a description of the goods or services. Enter the classification and description that correspond to the supply.
Goods quantity Quantity and unit or Unique Quantity Code. Applies to goods; the checklist does not prescribe a quantity field for services.
Supply values Total value and taxable value after discount or abatement. Show the taxable amount after applicable discount or abatement rather than relying on the total alone.
Tax breakdown Applicable tax rate and tax amount for central tax, state tax, integrated tax, Union territory tax or cess. Show the components that apply to the transaction.
Place of supply Place of supply and state name. Required for interstate trade or commerce.
Delivery address Delivery address when it differs from the place of supply. Include the different address when relevant.
Reverse charge A statement indicating whether tax is payable under reverse charge. Make the status clear on the invoice.
Supplier authentication Signature or digital signature of the supplier or an authorised representative. Subject to the treatment prescribed for e-invoices.
IRN QR code QR code embedding the Invoice Reference Number (IRN). Applies when the invoice is issued through the applicable Rule 48(4) e-invoice process.

What must I enter for a registered or unregistered recipient?

For a registered recipient, the listed particulars include the recipient’s name, address and GSTIN or Unique Identity Number, where applicable. For an unregistered recipient, the address and state details depend on the stated transaction-value condition or a recipient request.

The cited Rule 46 guidance says to record an unregistered recipient’s name, address, delivery address, state and state code when the value is at least ₹50,000. Below ₹50,000, record those details when the recipient asks for them. The figure is from IRIS IRP / e-Invoice GST portal guidance accessed in 2026; apply it with the conditions in the applicable rule and check current guidance before relying on it for a transaction.

Do not treat the recipient field as a single fixed template for every sale. In a system, make recipient status a deliberate input so the invoice process can capture the registered recipient identifier or prompt for the required unregistered-recipient details. The separate delivery-address field matters when the delivery location differs from the place of supply; it should not be silently assumed to be identical.

How should I number and date GST invoices?

Use consecutive serial numbering that is unique for the financial year. GST Network (GSTN) guidance states that an invoice number may be no more than 16 characters, may use alphanumeric characters and the special characters dash and slash, and can be maintained in multiple series during a financial year.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Multiple series do not remove the need for unique, consecutive numbering within the chosen series and financial-year controls. Document the series policy: identify which series is used for which business process, restrict who can create or change one, and check for duplicates before an invoice is issued. The number format should be tested against the 16-character limit, including separators and any prefixes.

Record the date of issue as a distinct invoice field. The applicable deadline for issuing an invoice can depend on the type of supply. The cited material does not establish a universal deadline, so a business should verify the relevant GST provision rather than applying one date rule to every transaction.

Which transaction-specific details should I check?

Some particulars are triggered by the supply rather than by the invoice template alone. Before finalising an invoice, confirm whether the supply is interstate, whether the delivery address differs from the place of supply, and whether tax is payable under reverse charge.

  • Interstate supply: Include the place of supply and state name for interstate trade or commerce.
  • Different delivery location: Include the delivery address when it differs from the place of supply.
  • Reverse charge: State whether tax is payable under reverse charge; do not leave the status implicit.
  • Goods: Capture quantity and unit or Unique Quantity Code as well as the goods description and HSN code.
  • Tax calculation: Show total value, taxable value after discount or abatement, the applicable rate and the amount for each applicable tax component.

These checks are useful both at invoice creation and during review. A completed form can still be wrong if, for example, it contains a delivery address but omits the separate place-of-supply information required for an interstate transaction, or if a discount is not reflected in the taxable value.

What changes when e-invoicing applies?

E-invoicing is the reporting of specified GST document details to a government-notified Invoice Registration Portal (IRP) to obtain an IRN. GSTN’s glossary, dated 17 August 2023, describes the process in those terms. The business prepares the invoice in its own billing or ERP system, reports covered data to an authorised IRP, receives the IRN and signed QR code after portal validation, and includes the resulting code on the invoice shared with the recipient.

  1. Prepare the document in your system. Enter the transaction and invoice data in the billing or ERP system used by the business.
  2. Report covered document data. Send the specified data to an authorised IRP when the transaction and document fall within the applicable e-invoice process.
  3. Receive the portal response. After validation, retrieve the IRN and signed QR code.
  4. Put the code on the invoice. Include the resulting QR code on the invoice provided to the recipient.

The QR code is an additional requirement for invoices issued under the prescribed Rule 48(4) process; it does not stand in for the other required invoice particulars. Notification No. 72/2020-Central Tax inserted the IRN-embedded QR-code requirement into Rule 46 for invoices issued under Rule 48(4).

Portal guidance identifies supplier invoices, credit notes and debit notes as documents reported through the e-invoice system. It distinguishes bills of supply and delivery challans from documents reported in that workflow. This distinction is about the reporting workflow; do not assume that every GST document is an e-invoice or that an IRN is a substitute for the requirements of the document type.

How can I tell whether e-invoicing applies to my business?

Do not rely on an unqualified turnover figure from an old article. The material cited here does not establish one current universal turnover threshold or an exhaustive list of exemptions for the publication date, and applicability can change through notifications and portal updates.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check the current GST or e-invoice notification and the portal’s applicability checker for the business and transaction in question. Confirm the covered class, threshold, exemptions and applicable procedure before configuring an invoicing system. A threshold should be treated as a rule with a date and scope, not as a permanent property of every GST-registered business.

Where e-invoicing applies, software and process selection should cover the entire handoff: capturing the invoice data, reporting the covered document to an IRP, retrieving the IRN and QR code, and incorporating that response into the invoice shared with the recipient. Whether this is done manually or through an integrated system depends on transaction volume and operational needs; neither approach excuses missing invoice fields or duplicate numbering.

How do I build a reliable invoice review process?

A useful review is a set of field-level checks, not just a visual inspection of the final PDF. The person or system issuing the invoice should verify the identity, classification, tax calculation and transaction-specific fields before the document leaves the business.

Before issuing

  • Confirm the supplier name, address and GSTIN are present and correspond to the issuing entity.
  • Check that the invoice number follows the business’s series policy, stays within the stated format limit and is not duplicated for the financial year.
  • Verify the issue date and recipient status; collect the corresponding registered-recipient identifier or applicable unregistered-recipient information.
  • Match the HSN code and description to the goods or services. For goods, confirm quantity and unit or Unique Quantity Code.
  • Reconcile total value, taxable value after discount or abatement, tax rate and tax amount by applicable component.

For the transaction

  • Determine whether place-of-supply and state information is required for an interstate transaction.
  • Compare the delivery address with the place of supply and show it separately when different.
  • Set the reverse-charge status explicitly.
  • Determine whether the document and transaction fall under the current e-invoice notification and procedure.

At handoff

  • For a covered e-invoice, check that the IRP response has supplied an IRN and signed QR code and that the code appears on the recipient-facing invoice.
  • Keep the operational process clear about which documents are reported through the e-invoice workflow, rather than treating all GST documents as interchangeable.

These checks map directly to common failure points: a missing recipient identifier, a number outside the permitted format, a taxable value that ignores a discount, an omitted interstate field, or an e-invoice QR code that never made it onto the final document. If the invoice process is automated, validate the same cases in its configuration and output rather than assuming that an integration has captured every rule.

What should businesses confirm before relying on a template?

A template is only as reliable as its rules and update process. GST requirements can change through rule amendments, CBIC notifications and portal updates, particularly for e-invoice applicability, exemptions and technical procedures. The invoice fields and numbering guidance described here reflect the cited materials available for this article as of 25 October 2026; verify current official requirements before implementing them.

Keep the legal and operational questions separate. Rule 46-oriented particulars answer what information belongs on the invoice. E-invoice notifications and the IRP workflow determine whether a covered document must be reported and carry an IRN-linked QR code. A system that handles one of those layers correctly may still fail the other.

For a practical implementation, maintain a current field checklist, define the numbering series, and assign responsibility for checking applicability whenever the business changes its supplies, customer types or invoicing process. Recheck the current notification and portal procedure when configuring or materially changing a billing or ERP integration.

Frequently Asked Questions

Do I need to issue a GST invoice by a particular deadline?

There is no single deadline established here for every supply type. The applicable issuance timing depends on the kind of supply, so confirm the relevant GST provision for the transaction instead of applying one general date rule.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does a GST invoice have to be printed on paper?

The cited particulars allow for a signature or digital signature, subject to e-invoice treatment, but do not establish a general paper-only requirement. Confirm the current rules for the document and delivery method your business uses.

Can a billing system decide my e-invoice eligibility from turnover alone?

Not safely without current scope and exemption rules. Eligibility can depend on the applicable notification and covered class as well as the relevant threshold, so use current GST or portal guidance when configuring the system.

Are a bill of supply and a delivery challan reported like a tax invoice in the e-invoice workflow?

Portal guidance distinguishes bills of supply and delivery challans from the supplier invoices, credit notes and debit notes identified for reporting in that workflow. Their document treatment should not be inferred from the tax-invoice process.
