There is no universal winner. Choose Proton Workspace when end-to-end encryption and customer-held private keys are the deciding requirements. Choose Infomaniak kSuite when Swiss or European sovereignty and very large per-user storage matter most. Choose Google Workspace when the priority is mature collaboration, integrations and administration. The right choice depends on which privacy property your business actually needs: cryptographic control, data location, or operational control.
How the three suites differ
These products solve overlapping office-work problems, but they make different design trade-offs. Google Workspace is the broad collaboration and administration benchmark. Proton Workspace is built around privacy architecture in which Proton says the customer, rather than the provider, controls the private key. Infomaniak kSuite emphasizes Swiss development, European infrastructure and a generous kDrive allowance.
| Suite | Primary strength | Privacy and location model | Storage model | Core applications |
|---|---|---|---|---|
| Google Workspace | 成熟 collaboration, integrations and administration | Provider-managed cloud encryption; data-region controls are available on supported editions | Pooled organizational storage shared across users | Gmail, Drive, Docs, Sheets, Slides, Meet, Chat and Calendar |
| Proton Workspace | Cryptographic privacy and customer-held keys | Proton says only the customer has access to the private key | Encrypted user storage; Standard specifies 1 TB per user | Mail, Calendar, Drive, Docs, Sheets, Meet, VPN and Pass; Premium also adds Lumo and higher limits |
| Infomaniak kSuite | Swiss/European sovereignty and high storage allowances | Developed in Switzerland; Infomaniak says its people, data centers, infrastructure and software are in Europe | Stated per-user kDrive allowance; Business specifies 6 TB per user | kMail, kDrive, kMeet and kChat |
The storage figures are not directly interchangeable. A Google seat contributes to an organization-wide pool, while Proton and Infomaniak describe user-level allowances. A 2 TB Google plan does not mean every employee receives an isolated 2 TB folder.
Privacy architecture: encryption is not the same as end-to-end encryption
Proton: customer-held private keys
Proton’s security explanation draws the sharpest architectural distinction in this comparison: “Where Google and Microsoft retain the encryption keys, Proton ensures only you have access to your private key.” Proton positions Workspace as a privacy-first alternative to Google Workspace and Microsoft 365.

For a business, that means the central question is who can technically decrypt protected content. Proton’s Standard tier describes 1 TB of encrypted storage for each user. The provider’s business pages present encryption and private-key control as the product’s differentiator, not merely as an option layered onto a conventional cloud-storage model.
Confirm the exact scope of encryption for every object your team will use. Mail, files, documents, calendars, meetings, search indexes, sharing links, backups and administrative metadata can have different technical requirements. Also confirm how account recovery, employee departure, legal retention and administrator access work before making customer-held keys a mandatory control.
Google: strong cloud security with provider-managed keys
Google Workspace protects data in the cloud, but the comparison material characterizes Google and Microsoft as retaining the encryption keys. That is a different trust model from Proton’s customer-held-key approach. It can simplify search, sharing, compliance workflows and administrative recovery, while giving the provider a role in the cryptographic layer.
If your policy permits provider-managed encryption but requires geographic controls, Google’s data-region features may be more relevant than a headline “encrypted” label. Google says data regions help organizations decide where data is managed, and availability depends on the edition you purchase.

Infomaniak: sovereignty and security features, with an important qualification
Infomaniak’s trust-center statement is explicit about location: “At Infomaniak, everything is located in the heart of Europe: our employees, our data centers, our infrastructure, and our software.” The company also describes kSuite as developed in Switzerland.
That geographic and ownership posture can reduce uncertainty about where systems and personnel are located. It does not, by itself, prove end-to-end encryption for every kSuite object. The published material establishes hosting, encryption features and resilience, but not universal customer-only decryption across all mail, files, chats, meetings and collaboration metadata. Treat Swiss hosting and end-to-end encryption as separate requirements.
Where business data is hosted and who may have legal access
Data location affects contractual commitments, regulator expectations, support access and the jurisdictions that may apply to a provider. It is not a complete substitute for encryption: data can be hosted in a preferred country while still being decryptable by the provider, and customer-held keys do not automatically answer every question about metadata or account administration.

Infomaniak’s Swiss and European position
Infomaniak is the clearest fit when a company wants a stated Swiss origin and European operating footprint. Its trust center places employees, data centers, infrastructure and software in Europe. That statement is useful for a sovereignty policy, but procurement should still identify the legal contracting entity, support locations, backup locations, subprocessors and the exact countries used for each kSuite service.

Google’s configurable data regions
Google provides data-region controls on editions that support them. They are controls over where data is managed, not a claim that every Workspace account is automatically confined to one country. Verify which services and data classes are covered, whether the setting applies to existing data, and whether the chosen edition includes the control.
Proton’s location questions
The plan and security details supplied for Proton establish its encryption and key-control model, but they do not establish a single hosting country for every Workspace workload. If location is a regulatory requirement, obtain a current data-processing description and regional hosting terms from Proton rather than inferring geography from its cryptographic design.
Collaboration, Office compatibility and meetings
Google Workspace for the broadest workflow
Google bundles Gmail, Drive, Docs, Sheets, Slides, Meet, Chat and Calendar. Business Starter includes professional email, secure video conferencing, shared calendars and online document editing. This integrated set is the safest choice when a team already depends on Google-native sharing, simultaneous editing, calendars and meetings, or when a large integration ecosystem is part of the requirement.

Proton for browser-first private collaboration
Proton’s plans list Mail, Calendar, Drive, Docs, Sheets and Meet, with VPN and Pass included in Standard and Premium. Standard allows meetings for up to 50 participants at once, according to Proton’s business page, and supports up to 15 custom email domains. Premium adds Lumo and higher limits.
Proton is a natural fit for teams willing to use a browser-first suite in exchange for a stronger cryptographic privacy model. Before deployment, open representative Microsoft Office files, test comments and simultaneous editing, and verify how links work for people who do not have Proton accounts. Proton’s participant limits, plan names and prices can change, so confirm the live plan table at purchase.
Infomaniak for Office interoperability
kSuite includes kMail, kDrive, kMeet and kChat. Infomaniak describes real-time document saving, simultaneous drafting and comments, and file-version history. Its kDrive documentation says users can edit online with OnlyOffice or integrate Microsoft Word, Excel and PowerPoint.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteThis makes kSuite particularly relevant when a company wants European hosting without abandoning common Office file formats. Run a pilot with complex spreadsheets, tracked changes, presentations, macros and externally shared files; basic document editing does not establish full feature parity with desktop Office applications.

Storage: compare the accounting model, not just the headline number
| Plan or product | Published storage figure | How the allowance works | Qualification |
|---|---|---|---|
| Google Workspace Business Starter | 30 GB per user | Pooled across the organization | Google’s 2026 annual-commitment pricing page describes flexible pooled storage per user shared across the organization |
| Google Workspace Business Standard | 2 TB per user | Pooled across the organization | The 2 TB contributes to the company pool rather than creating a private 2 TB quota for each employee |
| Google Workspace Business Plus | 5 TB per user | Pooled across the organization | Actual available capacity depends on the number of licensed users and the organization’s shared usage |
| Proton Workspace Standard | 1 TB per user | Encrypted user storage | Proton states this figure on its business page; Premium has higher limits, but the supplied plan details do not state a Premium storage number |
| Infomaniak kSuite Business | 6 TB per user | Per-user kDrive allowance | Infomaniak’s 2026 pricing page lists 6 TB of kDrive storage for each user |
Infomaniak also lists five secure professional email addresses per user in kSuite Business. Its kDrive documentation describes storage as expandable to 6 TB, while the Business pricing page already states 6 TB per user; check how expansion and plan limits are represented in the order flow.
Storage planning should include shared drives, version history, deleted-item retention, backups, video recordings and legal holds. A nominal per-user allowance can be consumed by shared project data, while a pooled plan can be efficient when some employees need little storage and a few teams need much more.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Administration, compliance and control
Google is the administration benchmark in this comparison. Organizations that need mature domain and user management, retention, eDiscovery, endpoint controls, delegated administration and a large integration catalog should evaluate Google first, then verify which controls belong to Starter, Standard or Plus. Edition differences matter more than the Workspace brand name.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Proton’s strongest documented advantage is cryptographic privacy. That does not automatically establish feature parity for every enterprise administration workflow. Ask specifically about centralized onboarding and offboarding, administrator visibility, retention rules, exports, audit logs, endpoint management, shared addresses, domain limits and recovery procedures.
Infomaniak’s documented strengths here are the kSuite application set, version history, European infrastructure and Office interoperability. Obtain a current control matrix if your organization needs formal eDiscovery, advanced retention, device management or a particular audit-log format; the supplied kSuite material does not establish parity with Google’s full administration stack.
Current published pricing and billing cautions
Google’s 2026 annual-commitment figures are:
| Edition | Price per user per month | Storage description | Included capabilities highlighted by the pricing material |
|---|---|---|---|
| Business Starter | $7 before tax | 30 GB pooled storage per user | Professional email, secure video conferencing, shared calendars and online document editing |
| Business Standard | $14 before tax | 2 TB pooled storage per user | Standard Workspace collaboration features |
| Business Plus | $22 before tax | 5 TB pooled storage per user | Plus-tier Workspace collaboration and administration features |
These are annual-commitment prices, not necessarily month-to-month rates. Currency, taxes, regional pricing and promotions can change the amount shown at checkout. Proton’s supplied plan details do not state a current price, and the Infomaniak material supplied here does not state a comparable kSuite price, so obtain live quotes for the country, billing term and number of users you actually need.
Compare total cost rather than the seat price alone. Include additional storage, extra domains, meeting capacity, archive or retention requirements, migration assistance, taxes, currency conversion and the cost of maintaining a second system during transition.
Quick Recap
Which suite fits each business situation?
Choose Proton Workspace when cryptographic privacy comes first
- Your policy requires the provider not to hold the private decryption key for protected content.
- You can operate with browser-based Mail, Drive, Docs, Sheets and Meet workflows.
- A 1 TB encrypted allowance per Standard user is sufficient, and you have confirmed Premium limits if it is not.
- You are prepared to validate recovery, retention, sharing and Office-file behavior before migration.
Choose Infomaniak kSuite when sovereignty and capacity dominate
- Swiss development and a stated European operating footprint are important contractual or governance factors.
- Teams need 6 TB of kDrive storage per Business user and five secure professional email addresses per user.
- Users need online editing through OnlyOffice or integration with Word, Excel and PowerPoint.
- You value real-time saving, simultaneous drafting, comments and file-version history, while accepting that Swiss hosting alone is not proof of universal end-to-end encryption.
Choose Google Workspace when workflow maturity wins
- Your staff already rely on Gmail, Drive, Docs, Sheets, Slides, Meet, Chat and Calendar.
- Shared editing, integrations, delegated administration and broad management controls outweigh customer-held encryption keys.
- You need pooled storage that can be allocated flexibly across users.
- Your data-governance requirements can be met by the data-region controls available in the selected edition.
A practical selection process
- Write the non-negotiable privacy requirement. Decide whether the requirement is customer-held keys, a specified country or region, provider-managed encryption with contractual controls, or a combination. Do not use “private” as a substitute for a measurable control.
- Map data types. List mail, calendars, files, collaborative documents, chats, meeting content, backups, metadata and audit records. Mark which categories require encryption, retention, geographic restriction or export.
- Calculate storage using each vendor’s model. For Google, estimate the organization-wide pool. For Proton and Infomaniak, multiply the stated user allowance by licensed seats, then account for shared projects, versions and retention.
- Test real work, not a feature checklist. Use representative spreadsheets, presentations, comments, simultaneous edits, external shares, large attachments, mobile clients and meetings. Include users outside the company.
- Verify administration and recovery. Test domain setup, onboarding, offboarding, account recovery, delegated administration, audit records, exports and retention with the exact edition.
- Price the complete transition. Request current regional quotes, identify annual versus monthly commitment, add taxes and extras, and budget for temporary coexistence during migration.
- Run a limited pilot. Start with a small group from different departments, record failures and workarounds, and make the final decision only after privacy, compatibility and administration tests pass.
Common mistakes to avoid
- Equating hosting location with end-to-end encryption. European or Swiss data centers answer a location question; they do not prove that the provider cannot decrypt every object.
- Treating pooled storage as a personal quota. Google’s per-user figures feed a shared organizational pool.
- Assuming every edition has the same controls. Google data regions and administrative functions depend on edition, and Proton’s limits differ between Standard and Premium.
- Using a simple Office-file test. A basic document may work while complex spreadsheets, tracked changes, presentations or macros do not.
- Ignoring external participants. Meeting limits, guest editing, link permissions and account requirements can change the experience for clients and contractors.
- Buying on an old price screenshot. Confirm currency, tax, commitment term, promotions and plan limits at checkout.
- Skipping recovery and offboarding tests. Customer-held keys and strict privacy controls make it especially important to understand how an organization regains access when an employee leaves or loses credentials.
