Choose Google Calendar when your main problem is when you play. It is better for raid times, launch windows, appointments, and other commitments that must happen at a particular hour. Choose Todoist when your main problem is what remains to be done. It is better for a large quest backlog, character checklists, collectibles, and flexible objectives. A hybrid setup is usually strongest: put fixed sessions in Google Calendar and keep quest steps in Todoist.

The important distinction is not which app has more features. It is whether you need a schedule, a backlog, or both. The sections below show how each app handles game tracking, where recurring objectives and integrations differ, and how to build a system that still works after you miss a session.

Google Calendar and Todoist solve different gaming problems

Game planning has two kinds of information. A raid invite, tournament, maintenance window, or launch event occupies a specific place on the clock. A quest chain, crafting list, reputation grind, or collectible hunt is a set of work that can move from one day to another. Calendar software is strongest at the first kind; task software is strongest at the second.

Need Better starting point Why
A fixed multiplayer session Google Calendar An event has a start and end time, so it is visible against the rest of your day.
A deadline with reminders Google Calendar task A task can have a date, time, notification, and repeating schedule.
Many quest steps across characters or zones Todoist Projects, sections, labels, and due dates provide a deeper backlog structure.
Daily and weekly objectives Either, depending on the emphasis Calendar emphasizes when the objective occurs; Todoist emphasizes completion and the next occurrence.
Both a timetable and a quest backlog Hybrid Google Calendar supplies the time grid while Todoist supplies the task list.

Use one source of truth for each type of information. Duplicating every quest as both a Calendar event and a Todoist task creates two places to reschedule and two completion states to reconcile. Keep a social commitment or fixed play block in Calendar, and keep the work required to prepare for or complete it in Todoist.

What Google Calendar contributes

Events for sessions that cannot move

Create a Calendar event for a raid, dungeon group, co-op appointment, tournament round, launch window, or any other commitment with a known start and finish. Give it an end time so the block accurately protects the rest of your day. Event visibility makes conflicts obvious: a work meeting, travel appointment, and multiplayer session appear on the same timeline.

Use event notifications for time-sensitive attendance. A notification is tied to the event’s scheduled time, so it is appropriate when being late has consequences for other players. Add the game’s name, server or region, voice-chat location, and preparation note in the event description rather than creating multiple calendar entries for the same session.

Tasks for deadlines and repeatable objectives

Google Calendar tasks support a start date or time, a deadline, notifications, and repeating schedules. If you add a date and time, Google says you receive a notification at the scheduled date and time. A task with a date but no time notifies at 9:00 a.m. local time. That default matters for untimed daily objectives: a notification at 9:00 may be useful for a morning routine but too late for a reset that occurs earlier.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use a Calendar task for a quest deadline, a limited-time reward, a weekly reset objective, or a reminder to claim something before it expires. Keep the task wording action-oriented, such as “Claim weekly chest” or “Finish chapter 4 before event ends,” rather than copying an entire quest description into the title.

Repeating schedules and their limits

Calendar supports daily, weekly, monthly, annual, and custom repeating tasks. This covers common dailies, weekly lockouts, monthly objectives, anniversary events, and a custom reset pattern. Shared tasks and subtasks cannot repeat, so a recurring routine must be represented by a repeating task at the level where the recurrence is needed.

Calendar is schedule-first. It tells you that an objective is due on a date, but it is less suited to a long chain of individually completed steps. You can add separate tasks, but a large quest backlog becomes harder to scan when every item competes with appointments on the same grid.

What Todoist contributes

Projects and structure for a quest backlog

Create a project for each game. Within the project, use sections or labels for characters, zones, quest chains, or activity types. For example, sections can separate a main-story chain from side quests, while labels can mark a specific character, account, or “group required” objective. This structure keeps optional work out of the way without losing it.

Make each actionable step a task and put the game object or prerequisite in the task’s notes. A task such as “Collect three frost herbs” is easier to complete than a broad item such as “Finish alchemy progression.” Break the broad goal into steps only when the steps will be acted on separately; excessive decomposition turns a useful checklist into maintenance work.

Due dates for flexible play

Todoist due dates are useful when an objective should be finished by a day but does not need a fixed hour. Add a time and duration only when the task should occupy a concrete play block. This distinction lets you keep “Complete two arena matches this week” flexible while blocking “Arena practice, 8:00–9:00 p.m.” as a real appointment.

Todoist’s recurring dates preserve a pattern while allowing a single occurrence to move. A daily or weekly objective can advance to its next occurrence without destroying the underlying pattern. That is useful when a missed daily is completed the following morning: move the current occurrence, rather than rewriting the entire series.

Calendar integration and time-blocking

Todoist can display read-only Google Calendar events in its Today and Upcoming views. This gives a task-focused screen awareness of your available time without turning Calendar events into editable Todoist tasks. Changes to the original event remain a Google Calendar operation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Todoist can also sync dated or timed Todoist tasks to a Todoist calendar in Google Calendar. All-day tasks can be synchronized when that option is enabled. Todoist’s calendar layout includes time-blocking on paid plans; check the current plan terms before designing a workflow that depends on that layout. Integration settings and plan availability can change, so verify the options shown in your account.

Side-by-side comparison for game tracking

Comparison axis Google Calendar Todoist
Primary view Chronological calendar, ideal for seeing available hours and conflicts. Task lists and projects, ideal for scanning unfinished work.
Fixed-time sessions Strong: events have start and end times and can notify you at the scheduled time. Possible with a timed task, especially when using calendar layout, but task completion remains the central concept.
Quest-backlog depth Basic task list tied to dates; large chains can become visually crowded. Strong project, section, label, and task hierarchy for many objectives.
Recurring objectives Daily, weekly, monthly, annual, and custom repeating tasks. Recurring dates preserve a pattern while a single occurrence can be moved.
Exception handling Changing a scheduled item changes the Calendar task or event according to the recurrence choice you make. Moving the current recurring occurrence is supported, but that change does not sync to the recurring Google Calendar event.
Google Calendar visibility Native, including events and Calendar tasks. Google events can appear read-only in Todoist Today and Upcoming.
Todoist tasks in Google Calendar Available through the Todoist calendar integration for dated or timed tasks; all-day tasks require the relevant setting. Source of the task and its completion state.
Best use When the question is “When do I play or need to act?” When the question is “What is still unfinished?”

Set up a Google Calendar-first game system

Use this approach when most of your gaming is organized around appointments, resets, or fixed windows. It works well for raiding groups, scheduled co-op, competitive events, and games with strict claim deadlines.

  1. Create the time blocks. Add one Google Calendar event for each multiplayer session, raid, launch window, or appointment. Include a start and end time, and add a notification appropriate to the amount of preparation you need.
  2. Add preparation separately only when necessary. If a session requires consumables, a build change, or a required quest, create a Calendar task for that preparation deadline instead of hiding it in the event title.
  3. Represent deadlines as tasks. Create a task for a quest or reward that must be completed by a date. Add a time when the deadline has a known hour; otherwise, remember that an untimed task notifies at 9:00 a.m. local time.
  4. Apply recurrence to routine objectives. Use daily, weekly, monthly, annual, or custom repetition for dailies, weeklies, resets, or recurring claims. Do not expect shared tasks or subtasks to repeat.
  5. Review the next seven days. Scan the calendar for conflicts, travel, work, and recovery time. Move a session before it becomes a same-day emergency, and adjust only the affected task or event when a recurrence offers a choice.

The Calendar-first system is intentionally simple: the grid is the plan, and each item has a clear time or deadline. If you find yourself adding dozens of quest steps that do not belong on a calendar, move those steps to Todoist while leaving the actual session in Calendar.

Set up a Todoist-first quest system

Use this approach when you have a large backlog and can choose the play time later. It suits completionists, multiple characters, crafting goals, achievement lists, and games where daily progress can happen at any convenient hour.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Create a project for each game. Keeping games separate prevents one title’s daily tasks from obscuring another’s urgent deadline.
  2. Choose a useful section scheme. Use sections for major quest chains, zones, or progression stages. Pick one organizing principle for a project instead of mixing character, zone, and status sections without a reason.
  3. Add labels for cross-cutting filters. Labels can identify a character, group requirement, activity type, or estimated effort. They let you filter a long list without moving a task between sections.
  4. Write one actionable objective per task. Add due dates to objectives that must be finished by a particular day. Keep descriptive lore, coordinates, or prerequisites in the task details so the task title remains scannable.
  5. Use recurring dates for dailies and weeklies. Define the repeating pattern once. When one occurrence needs to move, reschedule that occurrence rather than replacing the recurring task.
  6. Add times only for deliberate play blocks. A time and duration signals that the task should occupy a specific part of your day. Leave purely flexible objectives dated but untimed.
  7. Connect Google Calendar if you need schedule awareness. Show Google events in Todoist’s Today and Upcoming views, and enable the Todoist calendar for dated or timed tasks in Google Calendar. Turn on all-day synchronization only if you want untimed tasks represented there.

This arrangement keeps the backlog complete without pretending every quest is an appointment. You can decide what to do next from the task list, then reserve a concrete block only for work that benefits from protection on the clock.

Build a hybrid system without creating duplicates

A hybrid workflow is the practical choice for players who have both social commitments and a deep backlog. The boundary should be based on time, not on which app you happen to open first.

Put these items in Google Calendar

  • Raids, dungeon groups, tournaments, guild meetings, and co-op appointments.
  • Launch windows, maintenance-related plans, or limited events with a known opening or closing time.
  • Personal commitments that compete with play sessions.
  • A single deadline reminder when the exact date matters more than a checklist.

Put these items in Todoist

  • Quest steps, farming routes, crafting ingredients, collectibles, and achievement requirements.
  • Character-specific progression and zone-by-zone cleanup.
  • Flexible weekly goals that can be completed in any available session.
  • Preparation checklists for a scheduled event, such as obtaining materials or finishing prerequisites.

Connect the views deliberately

  1. Enable Todoist’s Google Calendar integration so Calendar events appear read-only in Todoist Today and Upcoming.
  2. Sync timed Todoist tasks to the Todoist calendar in Google Calendar when those tasks genuinely need a place on the schedule.
  3. Enable all-day task synchronization only if an all-day representation helps you review deadlines; otherwise, it can add visual noise to a busy calendar.
  4. Do not create a second manual Calendar event for every Todoist task that already syncs. Choose one representation and let the integration provide the other view.

The result is a Calendar that answers “What time is available?” and a Todoist project that answers “What should I do during that time?”

Handle recurring dailies, weeklies, and missed sessions

When the objective is a true reset

Use a recurring task when the game gives you a new instance on a regular schedule. Daily quests, weekly lockouts, and monthly claims are good candidates. Keep the wording generic enough to apply to each occurrence, and place changing details in notes or a linked checklist rather than renaming every occurrence.

Free tools Windows power users keep installed

When you missed one occurrence

In Todoist, move the current occurrence if you intend to complete it late while preserving the recurring pattern. The pattern continues to generate future occurrences. In Google Calendar, adjust the specific task or event occurrence using the recurrence choice presented by Calendar, taking care not to alter the entire series when only one session changed.

Sync limitation for recurring exceptions

Do not assume that a rescheduled Todoist occurrence becomes a rescheduled recurring Google Calendar event. Todoist documents that moving the current occurrence does not sync that change to the recurring Google Calendar event. If the time change affects other people, update the source Google Calendar event directly and treat the Todoist occurrence as your personal task state.

When the task is late because the game reset

Separate “complete the missed objective” from “resume the normal schedule.” If the game no longer allows completion, close or skip that occurrence and keep the recurring pattern intact. If it is still available, move only the current occurrence and leave the next reset untouched. This prevents one missed daily from shifting every future reminder.

Rescheduling after a missed play session

Google Calendar is fastest when the session itself must move. Open the event, change the time, and review the recurrence scope so you do not accidentally move every future session. If the session is canceled, remove or mark it clearly rather than leaving a misleading block that looks available.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Todoist is better when the session was merely the container for several tasks. Move the unfinished tasks to a realistic date, keep completed preparation closed, and create a new timed block only if the replacement session needs protection. This preserves task history and avoids rebuilding a checklist from memory.

For a hybrid setup, reschedule in the app that owns the item: Google Calendar for the social commitment, Todoist for the quest work. Then check the other view for the integration’s updated representation. The recurring-exception limitation means you should manually verify any moved recurring occurrence that is visible in both products.

Common mistakes and how to correct them

Turning every quest into an event

A calendar full of all-day quest entries hides the few events that truly require attendance. Keep flexible work in Todoist or as Calendar tasks, and reserve events for commitments with a meaningful start and end time.

Using one giant Todoist task for an entire game

A single task cannot tell you which prerequisite is blocking progress. Split work at the point where you would naturally stop and resume, then group it with sections or labels. Keep the number of steps manageable so maintenance does not exceed play time.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Relying on an untimed Calendar task without checking the notification

Untimed Calendar tasks notify at 9:00 a.m. local time. If the game deadline is earlier or tied to a reset, assign a time or use a timed event so the reminder arrives when it can still help.

Assuming integration means identical behavior

Todoist’s view of Google Calendar events is read-only, and recurring exceptions do not have full parity when a current Todoist occurrence is moved. Decide which app owns each item and verify changes after synchronization.

Building around a paid-only calendar layout without checking the account

Todoist identifies calendar-layout time-blocking as a paid-plan feature. Confirm that the plan available to your account includes the layout before making it the foundation of your scheduling process.

Decision guide

Answer these questions in order:

  1. Would missing the item inconvenience another person? If yes, make it a Google Calendar event with a start and end time.
  2. Does the item have several independent steps? If yes, create a Todoist project task or checklist and keep the appointment, if any, in Calendar.
  3. Is the due day fixed but the hour flexible? Use a Todoist due date or a Calendar task without a time, remembering the 9:00 a.m. notification behavior.
  4. Does it repeat? Use the app that best represents the work: Calendar for a scheduled reset, Todoist for a recurring checklist. Test one occurrence before applying the pattern to a large set of objectives.
  5. Will the task need exceptions? Todoist makes it convenient to move one occurrence, but that exception will not update the recurring Google Calendar event. Keep the authoritative schedule in Calendar when other players depend on it.

If most answers point to time, start with Google Calendar. If most point to unfinished work, start with Todoist. If the answers are split, use the hybrid boundary instead of forcing one application to perform both jobs.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Example setups

Scheduled raid team

Create a recurring Google Calendar event for the raid with the team’s start and end time. Add a Calendar task for the weekly preparation deadline if it has a fixed cutoff. In Todoist, keep a project with separate tasks for consumables, gear checks, and required quests; give those tasks due dates leading up to the raid. The event remains the shared commitment, while the checklist can be completed at any convenient time.

Solo completionist with several characters

Create one Todoist project per game, sections for each character, and labels for zones or quest chains. Add recurring dates to daily and weekly objectives, and use due dates for limited-time achievements. Keep only genuinely fixed activities as Google Calendar events. The task list remains the primary view because the main challenge is selecting the next unfinished objective.

Live-service game with daily resets

Use a Calendar task for a reset-sensitive claim when the reminder must arrive at a precise hour. Use Todoist recurring tasks for the checklist of activities you can complete after the reset. If one day shifts, move only the current Todoist occurrence and verify that any corresponding Calendar representation still shows the correct shared schedule.

Practical maintenance routine

  • Daily: Open Todoist Today to choose work, then check Google Calendar for fixed commitments before starting a long activity.
  • Before a group session: Confirm the Calendar event time and finish the Todoist preparation tasks that have earlier due dates.
  • After a missed session: Reschedule the owning item, preserve the recurring pattern, and remove any duplicate block created during the scramble.
  • Weekly: Review the next seven days, archive completed quest sections, and move flexible tasks that no longer fit your available play time.
  • After changing integrations: Check one timed task and one all-day task, if enabled, in both applications before syncing an entire project.

A system stays useful when it reflects actual decisions. Calendar should protect time you have promised or reserved; Todoist should preserve the work you still want to finish. That division keeps raid times visible, quest backlogs actionable, and recurring objectives resilient when real life changes a play session.
