Traditional automation is usually the better fit for stable, rules-based work, such as routing a task or sending a reminder. Generative AI is more useful when a job involves interpreting language or producing a draft, such as summarizing a document. They can complement each other, but neither removes an adviser’s responsibility for checking the work, protecting client information, and making professional judgments.
What is the difference between generative AI and traditional automation?
Traditional automation follows steps a firm has specified in advance. Given the same inputs and rules, it is designed to produce the same action: for example, assigning a task when a form reaches a particular status. Generative AI instead creates new text or other content from patterns learned from data. It can interpret or summarize varied language, but its output may differ from one run to another and can be inaccurate.
FP Canada describes generative AI as creating new content from learned patterns, in contrast with traditional AI models that primarily classify or predict. In practice, it helps to distinguish both from ordinary rules-based workflow automation, which executes configured triggers and steps. A single process can use more than one approach: a rule might route a document to a review queue, while a generative tool drafts a summary for a person to check.
The practical distinction is not that one technology is universally smarter or better. It is that repeatability, flexibility, and error handling matter differently depending on the task. A fixed sequence is easier to specify and audit when inputs stay consistent. A language tool can help with material that is varied or lengthy, but someone must assess whether its interpretation is accurate and appropriate.

Which option fits an adviser task?
Start with the task’s structure and the consequences of an error, not with a product’s AI label. If the steps and inputs are stable and the right action can be stated as a rule, traditional automation is a natural candidate. If the task requires processing varied language or creating a first draft, generative AI may assist, provided the firm can review the result and manage the information involved.
| Decision factor | Rules-based automation | Generative AI assistance |
|---|---|---|
| Task structure | Best suited to stable inputs, defined triggers, and prescribed steps. | Potentially useful for varied language, synthesis, summaries, or first drafts. |
| Output expectation | Repeatable action is the goal when the inputs and rules are unchanged. | Flexible output can be useful, but needs checking for accuracy and relevance. |
| Exceptions | The firm needs a defined route for cases that do not meet the configured rules. | A reviewer needs to identify omissions, unsupported claims, or unsuitable wording. |
| Records and explainability | Keep the relevant inputs, configured rules, action, and exceptions. | Consider what input, model or service, output, and human review produced the result. |
| Information handling | Assess where data moves and who can access it within connected systems. | Also determine what client or firm information is sent to the provider, retained, or used to improve a service. |
| Oversight | Assign responsibility for rule changes, exception handling, and monitoring. | Assign responsibility for output review, supervision, and monitoring of model or service changes. |
| Fit and cost | Assess integration with existing systems and the effort to configure and maintain rules. | Assess integration, review effort, data safeguards, and the ongoing cost of oversight. |
This is a practical decision framework, not a regulator-prescribed scoring tool. A useful test is whether the firm can describe the desired result, the likely failure modes, and the person responsible for catching them before putting a tool into a client-facing or consequential workflow.
What financial-advice work can traditional automation handle?
Rules-based automation is a reasonable candidate for repeatable administrative steps when the firm has defined both the process and what should happen when an exception occurs. Examples include task routing, reminders, transferring information between forms and fields, and routine status updates. These are general examples of rules-based work, not measured results from a particular system.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Before automating a step, write down its trigger, required inputs, action, and exception path. For example, a firm might specify that a completed intake form creates a review task. The rule should also address incomplete or conflicting fields, duplicate submissions, and circumstances that require staff attention. If a workflow has no reliable way to flag those cases, a repeatable automated action can still repeat the wrong action.
Automation can remove handoffs or repetitive clicks, but it does not establish that the underlying process is sound. A firm should check whether the automation follows current procedures, whether changes to connected systems affect it, and whether staff can see and correct failures. The available data does not establish measured time savings or a universal return on investment for these examples.
Where can generative AI assist financial advisers?
Generative AI is most plausible as an aid to information processing and drafting, not as a substitute for professional judgment. Financial-industry sources describe potential or exploratory uses; those descriptions are not evidence that every firm has deployed them successfully or that the tools are suitable for a particular client matter.

Summarizing and searching material
FINRA describes potential uses that include summarizing complex documents or firm research, querying a member firm’s policies and procedures, and drawing issuer information from SEC filings and earnings-call transcripts. A useful workflow would treat the generated result as a navigation aid: the reviewer checks important statements against the underlying document rather than relying on a summary as the record of truth.
Supporting internal review
FINRA also discusses generating summaries for human compliance personnel reviewing possible misconduct. The important boundary is that a summary can help a reviewer locate or organize information; the human review and the firm’s process still determine what action, if any, is appropriate.
Meeting notes and operational work
The UK Financial Conduct Authority’s 2025 advice-firm survey reports firms exploring AI for client engagement, compliance and risk monitoring, and operational efficiency, including meeting notes and data extraction. These are reported areas of exploration, not proof of accuracy, effectiveness, or broad adoption.
CFP Board’s guide addresses professional use of generative AI, and FP Canada’s guidance covers use in planning, communications, analytics, marketing, and internal workflows. These sources frame potential use within professional responsibilities; they do not establish that generated planning recommendations or client communications can be used without review.
What safeguards should an advisory firm require?
Controls should match the task’s sensitivity and the harm an error could cause. For both automation and generative AI, define ownership, review, records, and exception handling before relying on an output. For generative tools, pay particular attention to accuracy, privacy, bias, reliability, and how a third party handles information.

Protect client and firm information
Before entering information into a generative service, determine what data the provider receives, how long it is retained, who can access it, and whether it may be used to improve the service. Consider whether the task can be completed with less sensitive or de-identified information. CFP Board and FINRA both identify confidentiality or privacy as concerns in professional use of generative AI.
Set review and supervision responsibilities
Name the person or role responsible for approving use, reviewing outputs, addressing exceptions, and monitoring changes. FINRA’s Regulatory Notice 24-09 discusses governance, model risk, data privacy and integrity, reliability, and supervision, including where technology is provided by a third party or embedded in another service. A firm should understand what it is relying on and how staff escalate unexpected results.
Keep enough records to reconstruct important decisions
For a consequential workflow, consider what records are needed to show the relevant inputs, the rule or service involved, the output, and the human review. A record of the final text alone may not explain how the result was produced or why an exception was handled a certain way. The precise recordkeeping obligations depend on the firm’s jurisdiction and activity; the sources cited here do not establish one universal record format.
Evaluate errors and bias before increasing reliance
Test with representative cases and known edge cases before expanding a workflow. For rules, check that exceptions reach the right people. For generated content, look for omissions, invented details, inconsistent treatment, and wording that may mislead. ESMA identifies algorithmic bias, data quality, opaque decisions, overreliance, privacy, and security as risks for EU firms providing investment services to retail clients.
Do existing rules still apply when a firm uses AI?
Yes. The authorities cited here treat technology use as subject to existing professional or regulatory responsibilities, while the specific duties depend on jurisdiction, role, and activity. Using an external tool or an AI feature embedded in another service does not, by itself, transfer the firm’s responsibility for its business conduct.
For FINRA member firms in the United States, Regulatory Notice 24-09, issued June 27, 2024, says existing rules and securities laws continue to apply to generative AI use, whether the technology is developed internally or supplied by a third party, including embedded features. FINRA states that the notice does not create new requirements or interpretations. It highlights potential concerns including accuracy, privacy, bias, intellectual property, and threat actors.

For CFP® professionals, CFP Board’s February 25, 2025 ethics guide applies its Code and Standards to professional use of generative AI. This is professional guidance for CFP® professionals, not a statute that applies to every adviser. FP Canada provides separate responsible-use guidance for CFP® and QAFP® certificants in Canada.
In the European Union, ESMA’s May 30, 2024 statement says firms providing investment services to retail clients remain subject to relevant MiFID II requirements when using AI, including organizational, conduct-of-business, and best-interest duties. Do not treat that EU-specific explanation as a universal rule for firms elsewhere.
What do the adoption figures say—and what do they not say?
The FCA’s 2025 advice-firm survey provides UK-specific evidence of exploration and reported plans, not a global adoption rate or a comparison of financial returns. Its findings differ by firm size, so figures should be read with their survey context intact.
| FCA 2025 survey finding | Reported figure | How to interpret it |
|---|---|---|
| Firms reporting that they met clients in person | 99% | A finding about the surveyed UK advice market, not a claim about all markets or future practice. |
| Large firms using or considering AI in the advice process | 95% | Combines use and consideration; it is not a deployment rate. |
| Medium-sized firms using or considering AI in the advice process | 81% | Combines use and consideration; it is not a deployment rate. |
| Small firms using or considering AI in the advice process | 48% | Combines use and consideration; it is not a deployment rate. |
| Small firms reporting plans to deploy AI within advice processes in the near term | Around 14% | A reported near-term plan, not proof that deployment occurred. |
| Medium-sized firms reporting plans to deploy AI within advice processes in the near term | Around 38% | A reported near-term plan, not proof that deployment occurred. |
These figures describe a survey of UK advice firms and should not be generalized to every firm, region, or type of financial professional. They also do not show that AI outperforms rules-based automation, improves client outcomes, or produces a positive return on investment.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. Why should firms be careful about claims that they use AI?
Describe a tool’s role accurately, including what it does and what people still do. The SEC’s March 18, 2024 announcement said Delphia (USA) Inc. and Global Predictions Inc. settled charges over false or misleading statements about their AI use and agreed to $400,000 in total civil penalties. The case is a warning about misleading claims, not evidence that AI use itself is prohibited.
A firm’s marketing should not imply that a process is AI-driven, autonomous, or more capable than it is. The same care applies internally: staff need to know whether a tool generates a draft, follows a fixed rule, or simply surfaces information, so they can apply the right review.

How should an adviser decide what to automate first?
Choose a narrow task with a clear owner and a consequence the firm can monitor. A practical sequence is to map the process, select the approach that matches its structure, define safeguards, and review results before expanding use.
- Describe the task. Identify the inputs, expected output, decision points, and person accountable for the result.
- Classify the work. If it is a stable trigger-and-action sequence, consider rules-based automation. If it involves varied language or drafting, consider generative AI assistance. If it requires advice judgment or a consequential client decision, keep that judgment with an appropriately responsible person.
- Map likely failures. List incomplete inputs, unusual cases, incorrect outputs, privacy exposure, and circumstances where staff should stop the workflow and escalate.
- Review the data path. Determine what information the tool receives, where it goes, and whether a provider retains or uses it.
- Set review and recordkeeping expectations. Specify who checks outputs, what must be verified, how exceptions are handled, and what information the firm needs to retain to reconstruct important outcomes.
- Test before expanding. Check representative and edge cases, monitor failures and corrections, and reconsider the workflow if the process, data, provider, or model changes.
- Check applicable obligations. Confirm the rules and professional standards that apply to the firm, its staff, and the task in the relevant jurisdiction.
Use this approach to select a tool for a task, not to choose a technology for its own sake. The right starting point is the work that needs doing, the tolerance for error, and the firm’s ability to supervise the result.
Frequently Asked Questions
Does a financial adviser have to tell clients when generative AI helped prepare something?
The sources cited here do not establish a single disclosure rule for every adviser, task, and jurisdiction. Firms should assess the applicable professional and regulatory requirements for the specific communication and avoid describing AI involvement or capabilities in a misleading way.

Can a generative AI answer be treated as the firm’s policy?
A generated response to a policy query is a way to locate or summarize information, not a substitute for the actual policy. Confirm the answer against the firm’s current authoritative document and follow the firm’s established approval process.
Does the FCA survey prove that UK advisers are getting value from AI?
No. The survey figures report firms’ use, consideration, or plans, and the FCA describes areas firms are exploring. They do not establish comparative performance, client outcomes, or return on investment.
Does FINRA’s 2024 notice create new AI rules for member firms?
No. FINRA says Regulatory Notice 24-09 does not create new requirements or interpretations; it explains how existing technology-neutral rules and securities laws continue to apply when firms use generative AI.
