The right email-security purchase starts with your mail platform, not a vendor shortlist. Microsoft 365 organizations should first map the protection already included with cloud mailboxes, then decide whether Defender for Office 365 Plan 1 or Plan 2 fills a specific gap. Google Workspace organizations should compare Gmail protections in their edition and verify whether features such as attachment sandboxing, Enhanced Safe Browsing, DLP, and context-aware access are included. Add a third-party API or gateway layer only when your phishing, business-email-compromise (BEC), compliance, response, or operational requirements exceed what native controls provide.
Compare products on the controls your team will operate every day: detection quality, quarantine and release, investigation speed, logging, integrations, migration effort, and total cost per protected mailbox. A proof of concept using representative messages is more useful than a headline blocking percentage.
Start with the mail platform you already use
Email security is layered. Your platform already performs baseline filtering, and additional products either extend those controls or replace part of the mail-flow path. Establishing the baseline prevents you from paying twice for the same function or creating conflicting quarantine policies.

Microsoft says all organizations with cloud mailboxes include built-in security features, while Defender for Office 365 is the primary email and collaboration security solution for Microsoft 365. The practical question is which tier supplies the controls and workflow your administrators need.

| Microsoft 365 layer | Capabilities documented by Microsoft | When to evaluate it |
|---|---|---|
| Built-in cloud-mailbox protection | Anti-malware, anti-spam, anti-phishing, quarantine, message trace, and reporting | Every Microsoft 365 tenant should configure and test this baseline before adding another layer. |
| Defender for Office 365 Plan 1 | Impersonation protection, Safe Attachments, Safe Links, alerts, and SIEM integration, in addition to the baseline controls | Consider it when malicious links, weaponized files, executive or domain impersonation, and centralized alerting are material risks. |
| Defender for Office 365 Plan 2 | Attack simulation, Threat Explorer, threat trackers, advanced hunting, and Automated Investigation and Response | Consider it when a security team needs investigation, hunting, simulation, and automated response rather than filtering alone. |
Confirm licensing before you budget. Microsoft presents Plan 1 and Plan 2 separately, but a required capability may already be included in your Microsoft 365 edition, available as an add-on, or sold standalone. Ask for the exact SKU, feature entitlement, and renewal price instead of assuming that a plan name covers every mailbox.
Google Workspace: edition changes the answer
Google’s Security advisor matrix shows attachment sandboxing and Enhanced Safe Browsing for Gmail in Business Standard, Business Plus, and Enterprise editions, with other controls varying by plan. Do not infer that a control is included merely because it exists in the Google Admin console; check the edition assigned to the users who need it.
Google’s administrator guidance says administrators can choose actions for phishing and malware detections, including displaying a warning or placing a message in spam. Google also says it scans all messages for malware whether or not attachment-security settings are turned on. Attachment controls can be tailored by organizational unit, which is useful when contractors, students, executives, or production teams require different handling.
Google states that more than 99.9% of spam, phishing attempts, and malware are automatically blocked in Gmail. That figure is a Google statement on its 2026 security page, accessed October 20, 2026; it is not a guarantee for a particular tenant or message type.

Which email-security features deserve priority?
Use this checklist to separate a genuinely useful product from one that simply repeats “AI-powered” detection claims. Mark each item as required, useful, or out of scope for your environment, then test the required items in a proof of concept.
Inbound detection and prevention
- Anti-spam and anti-malware: Confirm how detections are handled, whether administrators can choose warning or spam placement, and how quarantine records the reason for a decision.
- Phishing and spoof protection: Look for controls that evaluate sender identity, authentication signals, look-alike domains, and suspicious message patterns.
- Executive and domain impersonation: Verify whether policies can protect named executives, finance addresses, suppliers, and domains that are commonly imitated.
- Malicious-link protection: Check whether URLs are rewritten, scanned at delivery, and analyzed again at click time. Ask how links in replies, cloud documents, and redirected URLs are handled.
- Attachment sandboxing: Determine whether suspicious files are detonated or otherwise analyzed before delivery, how long analysis can delay a message, and what happens to encrypted archives.
- Business-email-compromise detection: Test payment-request language, mailbox-rule manipulation, supplier impersonation, and conversation hijacking rather than only obvious malware samples.
Outbound, data, and privacy controls
- Outbound filtering: Ask whether the service can stop compromised accounts from sending spam, malware, or fraudulent payment requests.
- Data-loss prevention: Identify the data types and policies covered, whether DLP is included or an optional module, and how false positives are reviewed.
- Encryption: Confirm message-level encryption, recipient experience, key ownership, retention, and whether encryption is bundled or charged separately.
- Audit and retention: Establish how long message, policy, administrator, and release events are retained and whether retention meets your legal or regulatory requirements.
User and administrator workflow
- Quarantine and end-user release: Check whether users can request release, which messages require administrator approval, how approvals are logged, and whether release links expire.
- User reporting: A report-phishing action should be easy to find in desktop and mobile clients and should create an actionable alert rather than an untriaged mailbox.
- Threat hunting and investigation: Look for searchable message headers, sender and recipient relationships, URL and attachment pivots, and exportable evidence.
- Automated investigation and response: Define which actions can be automated, what requires approval, and how administrators can undo an erroneous remediation.
- Role-based administration: Separate help-desk quarantine duties from security investigation and policy-authoring privileges.
Compare API-based protection with a secure email gateway
Deployment architecture changes both protection and operating effort. Ask each finalist whether it is API-based, gateway-based, or supports both; then document the exact mail-flow and identity changes required.
| Question | API-based approach | Gateway-based approach |
|---|---|---|
| Connection to the platform | Uses authorized APIs to inspect and act on messages in the existing mailbox service. | Places a filtering service in the mail-delivery path, typically requiring mail-flow and DNS decisions. |
| MX-record change | May not require an MX change; verify the permissions and API scopes instead. | Often requires an MX or connector change; confirm routing, failover, and rollback steps. |
| Existing workflows | Ask whether detections, alerts, and remediation appear in the Microsoft 365 or Google Workspace workflows administrators already use. | Ask where quarantine, alerts, message tracking, and policy administration live and how they synchronize with the native console. |
| Continuity and journaling | Confirm how delayed API access, outages, journaling, and messages sent during a service interruption are handled. | Confirm queueing, continuity, journaling, and the behavior of inbound and outbound mail if the gateway is unavailable. |
| Coexistence risk | Check for duplicate detections, repeated remediation, and conflicting native policies. | Check for routing loops, duplicate quarantine, altered headers, and conflicting policy actions. |
Microsoft documents Defender for Office 365 integration with Microsoft Defender and Office 365 Management APIs for alerts, detections, and automated investigations. A third-party API-based protection service documented for this market also exposes detections in Microsoft 365 workflows and supports both Microsoft 365 and Google Workspace. Treat those statements as integration starting points: verify the exact API scopes, event fields, rate limits, and actions available in your tenant.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteQuestions to ask about integrations
- Can alerts and detections be exported to your SIEM, SOAR, or ticketing system, and are message IDs, users, URLs, attachments, verdicts, and remediation actions included?
- Is there a documented API for search, quarantine release, policy changes, and incident export?
- Does deployment require MX-record changes, mail connectors, journaling, delegated mailbox access, or broad tenant permissions?
- Are Microsoft Teams, SharePoint, OneDrive, Google Drive, and mobile clients covered, or is protection limited to SMTP mail?
- How does the product avoid duplicate quarantine and conflicting policies with native Microsoft or Google controls?
- What happens during migration, coexistence, an API outage, or a rollback?

Google Workspace list prices
Google’s pricing page lists the following USD prices as accessed October 20, 2026. The page states that plans are billed monthly and that promotional prices may apply temporarily.
| Google Workspace edition | List price per user per month (USD) | Pricing note |
|---|---|---|
| Business Starter | $7 | Monthly billing; promotions may temporarily change the amount. |
| Business Standard | $14 | Monthly billing; promotions may temporarily change the amount. |
| Business Plus | $22 | Monthly billing; promotions may temporarily change the amount. |
| Enterprise | Contact sales | Public page does not list a universal price. |
These are Workspace subscription prices, not a separate guarantee of every Gmail security control. Verify the security features included in your edition and whether advanced DLP, context-aware access, retention, or support requirements change the quote.
Microsoft 365 and add-on pricing
Microsoft’s product material presents Defender for Office 365 Plan 1 and Plan 2 but directs buyers to current plans and pricing. Ask Microsoft or your licensing partner to state whether the needed features are included in your existing Microsoft 365 subscription, purchased as an add-on, or licensed standalone. Request the price for the actual number of protected users and the renewal term.
Third-party security-layer pricing
Third-party email-security packages commonly vary by package and mailbox count rather than publishing one universal price. Require a quote that names the package, protected mailbox count, contract term, support level, and any continuity, archive, encryption, or DLP charges. Ask what happens to the price after a trial or promotional period and whether inactive, shared, service, and alias addresses count toward billing.

Build a fair comparison spreadsheet
Use one row per requirement and one column per finalist. Keep evidence separate from sales assurances so that a promised roadmap item does not look like a current capability.
- Platform fit: Microsoft 365, Google Workspace, or both; supported editions; mobile and collaboration coverage.
- Threat coverage: anti-spam, anti-malware, phishing, spoofing, impersonation, malicious links, attachments, BEC, and outbound abuse.
- Response: quarantine, user release, user reporting, investigation, hunting, automated response, rollback, and audit history.
- Operations: role-based administration, policy exceptions, reporting, service-level commitments, support hours, and migration assistance.
- Integration: API or gateway architecture, MX requirements, SIEM/SOAR connectors, ticketing, mail-flow controls, and event completeness.
- Commercials: per-mailbox price, minimum seats, annual commitment, overage, modules, implementation, support, data residency, and renewal terms.
Record how each requirement was verified: administrator documentation, a working demonstration, or a proof-of-concept result. That distinction makes gaps visible before contract signature.
Run a proof of concept before changing production mail flow
A useful proof of concept measures decisions and workload, not just whether a test message was blocked. Use a test domain or controlled group where possible, and obtain approval before sending any simulated malicious content.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Define the baseline. Document current Microsoft or Google policies, quarantine behavior, reporting, false-positive volume, mail latency, and administrator effort.
- Prepare representative messages. Include benign newsletters, internal mail, supplier invoices, executive requests, look-alike domains, BEC-style impersonation, approved phishing simulations, suspicious attachments, encrypted attachments, redirected links, and messages likely to be false positives.
- Test detection and action. Record whether each message is delivered, warned, spammed, quarantined, or blocked; capture the reason, latency, and user-facing explanation.
- Test quarantine release. Have an ordinary user request release, then have an administrator approve and reject requests. Check expiry, notifications, audit records, and whether released mail is rescanned.
- Test reporting and response. Use the user-reporting control, investigate the resulting alert, search related messages, remediate a test set, and reverse the action if the verdict is wrong.
- Test integrations. Send alerts and events to the intended SIEM, SOAR, or ticketing system. Verify that fields are complete, timestamps are usable, duplicates are controlled, and API permissions are no broader than necessary.
- Measure administrator workload. Count policy exceptions, manual reviews, release requests, investigation steps, and time to reach a defensible decision.
- Validate coexistence. Run native and additional controls together in the test domain. Look for duplicate quarantine, conflicting verdicts, routing loops, altered headers, and repeated notifications.
- Plan migration and rollback. Document DNS or connector changes, API permissions, staged deployment, owner approvals, rollback commands or settings, and the behavior of messages already in transit before touching production MX records.
Common buying mistakes and how to avoid them
Paying for a control your platform already includes
Start with an entitlement map. A second anti-spam layer may add little value if the real gap is investigation, impersonation protection, DLP, or response automation.

- 【Reduce Safety Risks】Cable tray under desk keeps all plugs away from your kids, no more worry about tripping. Using 2 holes wire tray saves extra space, helps you easily cabling and wire protection. The mesh design is not easy to accumulate dust, but avoids safety accidents caused by messy wires.
Choosing from a headline detection percentage
A blocking claim does not tell you how many legitimate messages are delayed, how clear quarantine explanations are, or how quickly an analyst can investigate a suspected BEC incident. Require message-level tests and operational measures.
Ignoring false positives and user release
Overly aggressive policies can interrupt payroll, purchasing, support, and customer communication. Test release approvals, expiration, auditability, and the ability to create narrowly scoped exceptions without weakening the whole tenant.
Underestimating encrypted and unusual attachments
Ask specifically about password-protected archives, encrypted documents, links inside files, and messages that cannot be detonated. Decide whether such mail is held, warned, or rejected and who can release it.
Creating duplicate or contradictory policies
Document which system owns each decision. If native and additional layers both quarantine, rewrite URLs, or notify users, define precedence and test every path.
Leaving hidden costs out of the quote
Separate mailbox licensing from implementation, continuity, archive, encryption, DLP, premium support, data residency, minimum seats, and overage. Recheck the price after any promotional period.
Granting excessive API permissions
Request the least privilege needed for detection, search, remediation, and reporting. Record consent, review permissions periodically, and define the outage and revocation procedure before deployment.
A practical decision framework
- Stay native when the built-in Microsoft 365 or Google Workspace controls cover your required threats, your team can investigate and release mail effectively, and the platform’s logging and integrations meet operational needs.
- Move up the native tier when you need documented additions such as Safe Links, Safe Attachments, impersonation protection, attack simulation, threat hunting, or Automated Investigation and Response.
- Add a third-party layer when you have a documented gap in BEC protection, compliance, outbound control, cross-platform coverage, continuity, or response capacity that native controls cannot meet. Validate the gap with a proof of concept and price the extra operational complexity.
- Choose architecture deliberately based on your tolerance for MX changes, API permissions, continuity requirements, existing security-console workflows, and the skills available to operate the service.
The best purchase is the one that closes a measured risk without creating a second, confusing mail-security operation. Compare equivalent mailbox units, test the complete user and administrator workflow, and make the final decision on verified capability and total operating cost.
