The best candidates for custom-software automation are frequent, rules-based workflows with clear inputs and outputs, measurable delays or errors, and requirements that existing products cannot satisfy. Start by mapping the current process, then compare an off-the-shelf workflow tool with a narrowly scoped custom build. The seven processes below—onboarding, invoices, orders, inventory, support, client intake, and approvals—are common starting points, but none should be automated wholesale without checking data quality, exception handling, integration effort, risk, and ongoing maintenance.

What business processes should you automate first?

Begin with a contained workflow that happens often, frustrates staff or customers, and follows recognizable rules. The National AI Centre describes a strong first candidate as high-volume, a pain point, data-rich, and contained. Microsoft guidance similarly recommends mapping the process and testing its suitability before selecting an automation approach.

Map the work as it actually happens, not as a policy document says it happens. Record the trigger, every step, the responsible person or team, data sources, systems touched, elapsed time, decision rules, outputs, exceptions, and handoffs. Include the people who perform the work: they can identify hidden approvals, duplicate entry, and cases that require judgment.

Prefer automation when inputs are structured, decisions are rules-based, and an incorrect action is recoverable. Keep a person in the loop when a case is unusual, sensitive, financially significant, or dependent on professional judgment. A low-risk pilot in one team or workflow is usually safer than changing an entire operation at once.

Which seven processes are strong candidates for custom software?

These processes recur across many organizations and have predictable portions that software can route, validate, notify, or record. They are candidates to assess—not a mandate to build seven separate systems.

Process Repeatable work to automate Human checkpoint Conditions to verify first
Employee onboarding Collect forms, route approvals, create access requests, assign training, track completion Confirm role-specific access and handle exceptions Current role and access rules; reliable employee data
Invoice and accounts payable Capture invoices, match purchase orders, route approvals, manage exception queues, update payment status Resolve mismatches and approve unusual or high-risk payments Consistent invoice and purchase-order fields; approval authority
Order processing Send confirmation, check inventory, route fulfillment, update the customer Review mismatches, unusual orders, or failed checks Accurate inventory and order data; defined fulfillment states
Inventory monitoring and replenishment Watch thresholds, create replenishment work, route purchase requests Confirm spending decisions and exceptional demand Trusted stock counts and supplier lead times
Customer enquiries and support routing Categorize requests, assign queues, send routine updates, create tickets Escalate sensitive, unusual, or unresolved cases Usable categories, ownership rules, and a maintained knowledge base
Customer or client onboarding and intake Collect required information, flag missing fields, create records, route the case Review eligibility, incomplete cases, or sensitive information Required-field definitions and an authoritative customer record
Approvals and contract routing Route documents by rules, track owner and status, remind reviewers Let an authorized person decide exceptions Visible, current approval rules and delegated authority

How can employee onboarding be automated safely?

Onboarding is a chain of repeatable handoffs. A workflow can start when a new hire record is created, collect required forms, send them to the right approvers, open access requests, assign training, and show completion status in one place.

Automate the predictable handoffs

  • Use a checklist generated from the employee’s role, location, and start date.
  • Route forms and approvals to named owners instead of shared inboxes.
  • Create access and equipment requests from approved role data.
  • Send reminders for incomplete forms or training and retain an audit trail.

Keep judgment with a person

A manager or security administrator should confirm role-specific permissions and any exception, such as a temporary access need or an unusual employment arrangement. The automation should present the relevant information and record the decision rather than silently granting access.

What parts of invoice and accounts-payable processing should be automated?

Invoice workflows are well suited to intake, data capture, matching, routing, and status visibility. A system can receive an invoice, extract its fields, compare it with a purchase order, send a clean match for approval, and place a mismatch in an exception queue.

Design the normal path and the exception path

  1. Capture the invoice and associate it with a supplier and purchase order.
  2. Validate required fields and compare quantities, prices, and totals with the order or receipt.
  3. Route a match to the authorized approver.
  4. Send discrepancies, duplicates, or missing documentation to a queue with a reason code.
  5. Update payment status and notify the relevant requester.

Do not let a custom workflow turn a data-quality problem into an automatic payment. Preserve segregation of duties, approval limits, and a record of who changed or approved a transaction.

How does automation improve order processing?

An order can trigger confirmation, inventory checks, fulfillment handoffs, and customer updates without staff re-entering the same status in several systems. IBM uses online order confirmation and inventory checking as examples of business-process automation.

Define explicit states such as received, confirmed, awaiting stock, released to fulfillment, shipped, and exception. Let predictable orders move between states automatically. Send an order to a person when the address fails validation, inventory data conflicts, payment requires review, or the requested item cannot be fulfilled. Customers should receive updates from the same status record that operations uses, so a message does not claim shipment before the fulfillment system confirms it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When should inventory monitoring trigger replenishment?

Inventory automation is useful when stock levels, reorder thresholds, and supplier lead times are dependable. The National AI Centre lists inventory stocking as a candidate, and IBM describes thresholds that can trigger purchase orders.

Use thresholds as signals, not blind commitments

  • Monitor each item’s available, reserved, and incoming quantity.
  • Compare the usable balance with a defined reorder point and target level.
  • Create a replenishment task or purchase request when the threshold is crossed.
  • Require confirmation before an action commits spending, especially for unusual demand or a high-value item.

Test how the workflow behaves when a supplier lead time changes, a stock count is corrected, or several orders arrive simultaneously. If the underlying data is unreliable, automate alerts and review rather than automatic purchasing.

Can customer enquiries and support routing be automated without losing service quality?

Yes, for classification, queue assignment, routine updates, and ticket creation. Microsoft guidance identifies customer service as an automation area, while its architecture guidance describes knowledge-base support and creating tickets for issues that need a person.

Build a clear escalation boundary

Classify common requests using stable categories and route each to an owner with a service target. Provide approved responses for routine status questions, but create a ticket when the request is unresolved, sensitive, or outside the knowledge base. Preserve the original message, the classification, and any automated reply so an agent can see what happened.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Review misrouted cases and update categories or rules. A human should be able to override the route, correct the record, and escalate without fighting the workflow.

How should customer or client onboarding and intake be automated?

Intake automation prevents repeated chasing and duplicate data entry. It can collect required information, identify missing fields, create a client record, and route the case to the next team.

Make completeness visible

  1. Present the required fields and documents for the specific service or client type.
  2. Validate formats and flag missing or conflicting information before submission.
  3. Create one authoritative record and link submitted documents to it.
  4. Route the case according to established conditions and show its current owner.
  5. Return an actionable request when information is incomplete instead of restarting the process.

Government workflow examples include client onboarding and intake, and Digital NSW lists registration and onboarding among automation use cases. Keep a reviewer for eligibility decisions, sensitive data, or any case that falls outside the defined conditions.

Which approvals and contract-routing steps are worth automating?

Automate routing, reminders, ownership, and status tracking when approval conditions are established and visible. Rules engines can apply conditions consistently, while a person with authority handles exceptions.

Separate the workflow mechanics from changeable business rules where possible. For example, the routing engine can remain stable while approval limits, department ownership, or required clauses are maintained as governed rules. Record the version of the rule used for each decision, the reviewer, the timestamp, and the final document.

Prevent approval dead ends

  • Assign a named owner and a backup for every approval step.
  • Remind a reviewer when a step is waiting and escalate after a defined interval.
  • Block completion when a required approval or document is missing.
  • Allow authorized reassignment without erasing the original audit history.

When should you build custom workflow software instead of buying a tool?

Custom development is justified when a specific requirement remains uncovered after you evaluate suitable products and the expected value exceeds development, integration, security, support, and maintenance costs. Microsoft Well-Architected guidance recommends preferring off-the-shelf automation when it meets the need and limiting custom work to unmet requirements.

Use this decision sequence

  1. Map the current process. Document triggers, inputs, outputs, decisions, exceptions, owners, systems, and elapsed time.
  2. Define the desired outcome. State which delay, error, duplicate entry, or visibility problem the automation must address.
  3. Check existing capabilities. Test whether current business systems or an off-the-shelf workflow product can cover the normal path and required controls.
  4. Identify the genuine gap. Specify the requirement that remains unmet—such as a necessary integration, rule, data model, or approval control.
  5. Compare total effort. Include build time, integration, migration, training, monitoring, security, upgrades, support, and future rule changes.
  6. Pilot a contained workflow. Start with a low-risk path, measure completion and exception handling, and expand only when the controls work.

A custom system should be a maintainable workload component, not a one-off script that only its author understands. Keep business rules editable and documented, secure interfaces and data, monitor failures, and apply the same operational discipline used for other production software.

How do you rank competing automation candidates?

Score each process against the factors below, then investigate the highest-scoring candidates with the people who do the work.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Factor Question to answer Why it changes the decision
Frequency and volume How often does the work occur, and how many cases move through it? Frequent work offers more opportunities to remove repeated effort.
Time and error cost How much elapsed time, rework, or customer delay does the current process create? Shows the value of fixing the problem rather than automating for its own sake.
Exception rate How often does a case leave the normal path? High exception rates can make full automation brittle; hybrid handling may fit better.
Data quality Are inputs complete, consistent, and available in systems the workflow can use? Automation magnifies unreliable data unless validation and review are designed in.
Integration burden Which systems must exchange data, and how stable are their interfaces? Each dependency adds build, testing, security, and support work.
Risk of an incorrect action What happens if the workflow routes, approves, pays, or grants access incorrectly? Higher risk calls for stronger controls and a human checkpoint.
Maintenance effort How often will rules, suppliers, roles, forms, or regulations change? A workflow that is cheap to build can be expensive to keep correct.

What should a custom-automation implementation include?

Design the system around the process owner and the people who review exceptions. Specify the normal path, every known exception, data ownership, access permissions, retention, and recovery actions before coding. Separate workflow mechanics from rules that business owners will change.

Provide operational visibility: status for every case, reason codes for exceptions, failed-integration alerts, retry behavior, and an audit log. Secure credentials and data in transit and at rest, limit access by role, and test what happens when a connected system is unavailable. Give reviewers enough context to make an informed decision, and make manual correction possible without corrupting the audit trail.

Measure the pilot with process-specific indicators such as elapsed time, backlog, rework, exception resolution, completion rate, and the number of manual touches. Do not assume a generic percentage saving; establish a baseline from your own mapped process and compare like with like.

What are the most common automation mistakes?

  • Automating a broken process: Remove unnecessary steps before encoding them.
  • Forcing every case through one path: Design explicit exception queues and escalation.
  • Ignoring data ownership: Assign who corrects source data and who approves changes.
  • Building before checking available products: Confirm the gap is real and material.
  • Leaving rules in code: Make changeable conditions visible, governed, and testable.
  • Skipping operations: Add monitoring, retries, alerts, access controls, and a recovery procedure.
  • Removing human accountability: Keep an authorized person responsible for sensitive or irreversible decisions.

What is the practical verdict on automating these seven processes?

Use the seven processes as a shortlist for investigation, not as a universal build plan. Map one contained workflow, compare the requirement with existing software, and automate the predictable path while preserving review for exceptions. Build custom software only around a demonstrated gap, with clear ownership, security, monitoring, and a maintenance budget.

Frequently Asked Questions

Can robotic process automation work with spreadsheets and legacy systems?

It can handle repetitive data entry, reconciliation, spreadsheet manipulation, reporting, analytics, systems integration, and customer communications when the steps and screen states are stable. Treat these connections as dependencies: a changed layout or unavailable system should raise an alert and send the case to a recovery path rather than silently producing a bad record.

How can a small business automate without hiring a development team?

Start by mapping one low-risk workflow and checking features already included in the systems you use. If a product covers the normal path, configure it and reserve custom code for the narrow requirement that remains; document ownership and support before expanding.

What happens when an automated workflow makes a wrong decision?

Design for correction before launch: retain the input and decision history, provide an authorized override, and record the reason for the change. For payments, access, contracts, or other irreversible actions, require a human checkpoint before commitment.

How do you keep automation compliant when business rules change?

Assign an owner for each rule, version changes, test them against representative cases, and record which version governed each completed transaction. Schedule a review whenever a policy, supplier condition, approval limit, or regulatory requirement changes.
