There is no single 2026 price for a custom API integration. A narrowly scoped, one-way connection may be planned at a few thousand dollars, while bidirectional CRM or accounting synchronization often reaches tens of thousands and ERP, EHR, legacy, or multi-system orchestration can exceed $100,000. Published figures are planning ranges from individual providers and marketplaces, not a universal market rate. Your realistic budget depends on the systems, data rules, security, reliability, testing, deployment, and support included.
The fastest way to get a useful number is to define those elements in a common brief and request estimates that separate build work from recurring API, hosting, monitoring, and maintenance costs.
What does custom API integration cost in 2026?
Current provider guides place custom integration work from roughly $2,000 to more than $250,000, but each band describes a different scope. Treat the figures below as attributed planning ranges rather than an industry average.
| Project type | Published planning range | What the source says |
|---|---|---|
| Simple one-way integration | $2,000–$10,000 | Gilzor’s October 2026 guide; lower end assumes clean APIs and lower-cost delivery regions. |
| Two-way CRM, accounting, or marketing sync | $10,000–$40,000 | Gilzor’s approximate US planning range. |
| ERP, EHR, legacy, or multi-system orchestration | $40,000–$150,000+ | Gilzor’s guide; difficult data, compliance, APIs, or US agency delivery can push the high end upward. |
| Focused two-system integration | $5,000–$15,000 | Samford Labs’ 2026 provider estimate. |
| Multi-system orchestration | $15,000–$50,000+ | Samford Labs’ 2026 provider estimate. |
| Single third-party integration | $3,000–$20,000 | SDLC Corp’s indicative range. |
| Multi-system integration | $20,000–$80,000 | SDLC Corp’s indicative range. |
| Legacy API modernization | $40,000–$150,000 | SDLC Corp’s indicative range. |
| Enterprise API platform | $50,000–$250,000+ | SDLC Corp’s indicative range for a platform-level effort. |
These ranges cannot be averaged into one typical price. A single REST endpoint, an authenticated API connected to a database, and a multi-service integration are different deliverables. Gilzor, Samford Labs, and SDLC Corp publish their own estimates using different assumptions; none is an independent, representative price survey.

Why do API integration quotes vary so widely?
The network request is usually the smallest part of the work. Quotes expand when the project must understand messy data, coordinate several systems, protect sensitive records, survive failures, and remain maintainable after launch.
Number of systems, endpoints, and workflows
List every system, API, environment, endpoint, and business workflow. A one-way export from one application is materially simpler than a bidirectional sync in which either side can create, update, or delete records. Adding a third system often introduces orchestration logic, ordering requirements, and more failure paths rather than merely another connection.
Data mapping and business rules
Field mapping, type conversion, validation, deduplication, conflict resolution, and reconciliation require decisions that are not visible in an API specification. For example, a customer status that has four values in one system may have six in another; the integration needs an explicit mapping and a rule for unknown values. Gilzor identifies mapping and conflict handling as major effort areas.
API quality and legacy constraints
Well-documented APIs with stable sandboxes and predictable authentication reduce implementation and testing time. Missing documentation, changing versions, strict rate limits, unreliable test environments, proprietary protocols, or legacy databases increase discovery and hardening work. The higher ranges published for legacy modernization reflect these constraints rather than a simple premium for writing code.
Security, privacy, and compliance
Authentication and authorization methods, encryption, secret management, personally identifiable information, audit trails, retention rules, and formal security reviews must be named in the scope. Compliance can add design, evidence, testing, and approval tasks, but the sources do not support one universal compliance surcharge. Ask providers to price the specific controls your project requires.
Reliability and operations
Production integrations need behavior for timeouts, duplicate messages, partial updates, rejected records, provider outages, and rate-limit responses. Retries, dead-letter handling, replay tools, alerting, dashboards, backups, and recovery procedures can represent substantial work. Gilzor specifically calls out retries, monitoring, and testing as significant effort areas.

Testing, documentation, and handover
Clarify whether the estimate includes automated unit and integration tests, sandbox testing, user acceptance testing, load checks, API specifications, runbooks, deployment instructions, and training. Two quotes can show similar prices while one omits these deliverables, leaving you to fund them later.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsDelivery team and commercial model
Freelance marketplace work, specialist consulting, and agency delivery use different team structures and overhead. Geography also affects assumptions: Gilzor notes that its lower estimates may reflect lower-cost delivery regions, while upper estimates may reflect US agencies and difficult projects. Compare scope and responsibilities before comparing hourly rates.
How should you match a project type to a realistic budget?
Use the project’s behavior, not its label, to choose a planning band. The following framework helps position an early estimate without pretending that a category is a quote.
| Characteristics | Likely planning tier | Typical complications to confirm |
|---|---|---|
| One source, one destination, one-way transfer, modest volume, documented API | Lower-thousands to low five figures | Authentication, field mapping, scheduling, basic error logging, deployment. |
| Two-way synchronization between business systems | Low to mid five figures | Record ownership, conflict rules, deletes, duplicate prevention, reconciliation, retry behavior. |
| Several systems or event-driven workflows | Mid five figures and upward | Orchestration, ordering, idempotency, monitoring, cross-system rollback or compensation. |
| Legacy, regulated, high-volume, or enterprise platform work | Tens of thousands to $150,000+ | Modernization, compliance evidence, migration, performance testing, high availability, long-term governance. |
The bands overlap because a small number of systems can still contain difficult data or compliance requirements, while a larger integration can be straightforward if APIs and rules are clean.
What do published provider rates actually tell you?
Hourly figures are examples of individual suppliers’ pricing, not market averages. iQyra states a rate of $90 per hour for its API integration work or a fixed price for a defined project or stage. Potomac Technologies states $105 per hour for integration and migration work and says it provides a written estimate before starting. Those numbers become meaningful only when you know the team composition, estimated hours, deliverables, and exclusions behind them.

What should be in a request for an API integration estimate?
Give every provider the same brief. Comparable inputs produce more useful estimates than asking several vendors for a price based on a product name alone.
- Name the systems and environments. Identify each application, API version, endpoint group, production and sandbox environment, documentation location, and whether test credentials are available.
- Draw the data flow. Show which system creates, updates, and deletes each record. Mark scheduled, real-time, and user-triggered flows, and identify the system of record.
- Describe volume and performance. Provide average and peak transactions, batch sizes, latency expectations, concurrency, retention, and known rate limits. If you do not know the figures, state that they require discovery instead of leaving them implicit.
- Supply representative data. Include sample payloads, field definitions, required and optional values, date and currency formats, attachments, and examples of invalid or duplicate records.
- State transformation and conflict rules. Explain normalization, matching keys, duplicate handling, precedence when both systems change a record, and what happens when a value cannot be mapped.
- Define security and compliance. Specify authentication, authorization roles, encryption, secrets storage, network restrictions, audit logs, privacy obligations, retention, and any review or certification process.
- Specify failure recovery. Ask for timeout and retry behavior, idempotency, dead-letter or quarantine handling, manual replay, alerts, dashboards, and recovery objectives.
- List quality and handover deliverables. Require the proposed automated tests, sandbox and acceptance testing, load checks, API documentation, runbooks, deployment method, monitoring configuration, training, and source-code ownership.
- Separate commercial assumptions. Request milestones, schedule, assumptions, exclusions, change-request rates, dependencies, warranty or support period, and every recurring charge as separate line items.
Is fixed-price or hourly work better for custom integration?
Fixed pricing is clearer for budgeting when the systems, rules, and deliverables are stable. It works best when the provider can state assumptions and acceptance criteria precisely; changes outside that definition should have an agreed change-request process.
Hourly or time-and-materials work fits discovery-heavy projects and requirements that are likely to evolve. Fiverr describes fixed pricing as suitable for defined deliverables and hourly pricing as useful for exploratory or changing work. If you choose hourly billing, set milestones, regular reporting, a not-to-exceed amount or spending cap, and a decision point for revising the plan.
A hybrid approach can reserve a short discovery stage for validating APIs and mappings, followed by a fixed implementation scope. The contract should state who owns discovery artifacts and what happens if a critical API limitation is found.
What ongoing costs should be included after launch?
The build quote is only one part of total cost of ownership. Separate these categories so a low implementation price does not hide a high operating bill.
| Cost category | Questions to ask |
|---|---|
| Third-party API or platform usage | Are calls, records, webhooks, seats, environments, or overage fees charged by volume? |
| Hosting and infrastructure | Who pays for compute, queues, databases, storage, networking, backups, and separate test environments? |
| Monitoring and incident response | Which dashboards, alerts, logs, on-call coverage, and response times are included? |
| Maintenance and upgrades | Who handles API version changes, endpoint deprecation, certificate rotation, dependency updates, and new business rules? |
| Support and governance | Is post-launch support included, and what are the rates or service levels after the included period? |
Gilzor recommends planning 15–25% of the build cost each year for maintenance. That is the provider’s budgeting recommendation, not a universal benchmark. The amount will depend on API version changes, deprecations, rate-limit changes, operational requirements, and how much ownership your team retains.

When is a managed integration platform cheaper than custom code?
For a handful of standard, low-volume connections, a managed workflow platform can be faster and less expensive when its connectors, limits, security model, and error handling meet the requirement. Potomac Technologies names Zapier and Make as examples it recommends when they are sufficient.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How can you tell whether a quote is genuinely comparable?
Normalize every proposal before selecting a supplier. A single headline number is not a like-for-like comparison unless the assumptions match.
- Confirm the same connected systems, endpoints, environments, and data directions.
- Check that record volumes, peak loads, latency, and rate limits are identical.
- Verify that mapping, transformations, duplicates, conflicts, and deletes are included.
- Compare authentication, privacy, compliance reviews, audit requirements, and security testing.
- Check retry, replay, monitoring, alerting, backup, and disaster-recovery responsibilities.
- Align automated tests, user acceptance support, documentation, deployment, and training.
- Separate provider labor from third-party fees, hosting, usage, and maintenance.
- Compare team location, roles, schedule, ownership, warranty, support, and change-control terms.
Ask each provider to identify assumptions that could move the estimate. A quote that is higher because it includes testing, monitoring, and handover may be less expensive over the first year than a lower quote that excludes them.
What are the most common causes of budget overruns?
Overruns usually come from an unclear boundary rather than an unexpected programming task. Watch for these warning signs before signing:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- The proposal names products but not endpoints, environments, workflows, or transaction volumes.
- Bidirectional synchronization is described as a simple connection without conflict or ownership rules.
- Authentication is listed, but authorization, secrets management, audit logging, or privacy controls are absent.
- Testing is limited to a successful demo, with no failure, load, acceptance, or recovery scenarios.
- Monitoring and support are described as best effort without defined alerts, response times, or ownership.
- Legacy APIs, undocumented fields, rate limits, or missing sandbox access appear only as assumptions.
- Recurring platform, infrastructure, and maintenance fees are not shown separately.
Resolve these gaps in writing. If discovery is needed, make it a paid, bounded milestone with concrete outputs such as an interface inventory, mapping specification, risk register, and revised implementation estimate.

What is the practical budgeting answer?
For planning purposes, reserve low thousands only for a genuinely simple one-way integration, low-to-mid five figures for a well-defined two-way business-system sync, and tens of thousands or more for multi-system, legacy, regulated, or enterprise work. Then replace the range with a scope-matched estimate that itemizes delivery, operations, and maintenance.
Frequently Asked Questions
Is a $2,000 API integration quote realistic?
It can be realistic for a narrow, one-way transfer using clean, documented APIs, limited data rules, and minimal operational requirements. It is not a useful benchmark for bidirectional synchronization, legacy systems, regulated data, or multi-system orchestration.
Should API usage fees be part of the developer’s quote?
They should be shown in the overall budget, but not necessarily bundled into development labor. Ask for third-party API, hosting, infrastructure, monitoring, and maintenance charges as separate line items so usage growth does not surprise you.
What happens if an API changes after the integration launches?
The contract should identify who tracks version changes and endpoint deprecations, how much notice is required, and whether upgrade work is covered by support or billed separately. Without that ownership rule, a provider may treat the change as new development.
Can I compare a marketplace freelancer’s hourly rate with an agency quote?
Only after converting both offers to the same deliverables, hours, testing, documentation, support, and assumptions. Marketplace figures and agency proposals represent different delivery models, so the lower hourly number may not produce the lower total cost.
