The right contractor job-costing software makes margin risk visible while a project is still in progress. Prioritize a connected workflow that captures labor, materials, equipment, subcontractors, overhead, purchase commitments, and change orders against the original estimate; updates estimate-versus-actual and cost-to-complete views; and carries approved information into billing, work-in-progress (WIP), payroll, and accounting. A general accounting product can be sufficient for a small contractor with simple jobs, while construction accounting or project-financial software becomes more appropriate when cost codes, commitments, WIP, multi-project reporting, or field-to-office controls are central. Treat vendor feature lists as capability claims, not proof that a product will increase your margins, and test the workflow with one active job before buying.
What is contractor job-costing software, and why does it matter for margin?
Job costing assigns every cost related to a project so you can evaluate its profitability. QuickBooks defines it as “the process of tracking all the costs related to a job or project to determine its profitability.” A useful system goes beyond a final profit-and-loss report: it shows whether the job is drifting from its estimate while there is still time to correct production, purchasing, staffing, or scope.
True project profitability normally includes three layers:
- Direct materials: supplier invoices, receipts, inventory issues, and other items consumed by the job.
- Direct labor: hours assigned to the project and costed with an appropriate wage and burden rate.
- Applied overhead: an allocation method that reflects the business’s indirect costs rather than leaving them outside the job margin.
The control point is a comparison of the approved estimate or budget with actual and expected cost. The software should show the original baseline, current committed costs, costs incurred to date, approved and pending scope changes, and the remaining cost required to finish. A favorable margin on paper can disappear when unbilled labor, open purchase orders, subcontractor commitments, or an unpriced change order are omitted.

Vendor pages describe these capabilities, but the available material does not independently validate update speed, data accuracy, implementation effort, or margin improvement. Use demonstrations and a controlled pilot to verify how the numbers behave in your workflow.
What are the most important features to look for in construction accounting software for contractors and builders?
Start with the workflow each feature supports, not the feature name. Ask the vendor to demonstrate the complete path from estimate to field entry, accounting, forecast, and invoice. The following checklist covers the controls that most directly expose margin drift.
| Capability | Workflow it should support | Questions to ask in a demo |
|---|---|---|
| Estimate or budget versus actual | Compare the approved baseline with incurred, committed, and forecast cost while work is underway. | How often does data refresh? Which transactions feed the view? Can I drill into variance by project, phase, trade, and cost code? |
| Complete cost coverage | Include labor, materials, equipment, subcontractors, and applied overhead in one job record. | Which cost types are native? How are burden, equipment rates, and overhead allocations configured and changed? |
| Field time capture | Collect hours on a phone or web device, assign them to a project and cost code, approve them, and send them to payroll or accounting. | Can a worker enter time offline? Who approves it? What prevents an hour from being posted to the wrong phase? |
| Purchase commitments | Show purchase orders and subcontract commitments separately from costs already invoiced. | When does a commitment appear in the forecast? Can an unbilled commitment be released, revised, or matched to a bill? |
| Change-order control | Keep the original budget visible while pending and approved scope changes alter the current forecast. | Are pending, approved, rejected, and executed changes distinct? Does approval update budget, revenue, commitments, and billing together? |
| Cost-to-complete forecasting | Estimate remaining cost and projected final margin from current production and commitments. | Can a manager override the remaining-cost estimate with a documented reason? Is forecast history retained? |
| Progress billing and WIP | Compare earned revenue with invoiced revenue and identify overbilling or underbilling. | Which percentage-of-completion or progress methods are supported? Can WIP reports reconcile to the general ledger? |
| Cost-code and phase reporting | Locate the source of variance without opening every transaction. | Can cost codes be standardized across jobs while allowing project-specific phases or trades? |
| Integrations and permissions | Move approved data between estimating, payroll, accounting, and project-management systems with an auditable owner for each record. | Is the connection one-way or two-way? What happens to edits, duplicates, deleted records, and failed syncs? Which roles can change budgets or rates? |
QuickBooks’ construction guidance specifically says to look for job costing, progress invoicing, and change-order tracking. Those are a starting point, not a complete specification: a product that tracks costs but cannot show commitments, WIP, or cost-to-complete may still leave the most important margin risks hidden.
Can I compare estimated costs with actual costs to spot overruns early?
Yes, provided the system preserves an approved baseline and receives timely, correctly coded transactions. A useful variance view should distinguish original estimate, approved budget changes, incurred cost, committed cost, forecast remaining cost, and projected final cost instead of collapsing everything into one current number.
Use a five-part variance model
- Original estimate: freeze the bid or initial budget with quantities, rates, phases, trades, and cost codes.
- Approved budget: add only authorized scope or budget transfers, while retaining the original baseline for accountability.
- Incurred cost: include posted labor, supplier bills, receipts, inventory issues, and subcontractor invoices.
- Committed cost: include open purchase orders and subcontract commitments that have not yet reached accounts payable.
- Estimate at completion: combine cost to date with a realistic remaining-cost forecast and compare the result with contract value or approved revenue.
Ask to drill from a variance total to the transaction, employee, supplier, purchase order, or change order that caused it. Confirm whether a late timesheet, unapproved bill, or duplicate import changes the variance immediately or waits for a batch process. The available vendor descriptions promise versions of these views, but they do not independently establish refresh speed or accuracy.
Protect the baseline from silent edits
Budget edits should require a role, date, reason, and change reference. If a user can overwrite the estimate, you lose the ability to tell whether a favorable variance came from better production or from moving budget between phases. Request an audit trail that shows who changed quantities, rates, cost codes, and revenue, and whether reports can be rerun as of an earlier date.

How should the software handle labor, timesheets, and payroll?
Labor is often the largest controllable job cost, so a time entry must be both timely and correctly assigned. The workflow should capture hours, apply the right labor cost, route the entry for approval, and transfer approved information to payroll or accounting without rekeying.
Recommended Free Tools
Check the field-entry experience
- Require project, phase or cost code, activity, and date before submission.
- Test mobile entry in the conditions crews actually face, including weak connectivity and multiple jobs in one day.
- Check whether travel, shop time, paid breaks, and nonproductive hours can be separated from chargeable work.
- Look for duplicate-time warnings, geolocation or device controls where appropriate, and a correction process that preserves the original entry.
Sage advises collecting daily timesheets. That cadence reduces the delay between production and management reporting, but the system still needs a clear approval cutoff and a way to identify missing time.
Validate labor rates and burden
Hourly wage alone can understate job cost. Ask whether the product supports labor burden or fully loaded cost rates for payroll taxes, benefits, insurance, and other allocable costs; whether rates can vary by employee, union classification, or effective date; and whether a rate change affects historical entries or only future work. Confirm that payroll exports carry project and cost-code dimensions and that corrected payroll records can flow back without creating duplicates.
QuickBooks and Xero describe assigning project time and labor costs, and QuickBooks Online Projects can connect with QuickBooks Time and Workforce. Those integrations may depend on plan, geography, account configuration, and current product availability, so test the exact tenant and payroll setup you would use.
How do purchase orders, subcontractors, and change orders affect the forecast?
A final invoice is too late to reveal every cost risk. Purchase orders and subcontract commitments should appear as committed cost as soon as they are authorized, while pending and approved change orders should remain distinguishable from the original scope.
Separate incurred and committed cost
Have the vendor create a purchase order for a supplier, a subcontract commitment, a partial receipt, and a later invoice. Inspect whether the forecast shows the open balance without counting the same amount twice when the bill arrives. Ask how amendments, cancellations, retainage, tax, and deposits affect the commitment. A commitment report should be filterable by project, cost code, vendor, and status.

Keep change-order states explicit
- Draft or pending: visible for exposure analysis but not treated as approved contract value.
- Approved: updates the authorized budget and, where applicable, contract revenue and billing schedule.
- Rejected or withdrawn: retained for history without changing the live forecast.
- Executed: linked to the production plan, purchase commitments, and invoice documentation.
Ask whether a pending change can be priced with labor, material, subcontract, and overhead components; whether approval updates both cost and revenue; and whether the original budget remains available for comparison. Houzz Pro describes estimates flowing into budgets and cost tracking for labor, expenses, purchase orders, selections, and change orders, with variance by phase, trade, or cost code. Confirm that this workflow matches your contract and approval practices rather than assuming a marketing description covers every case.
Why do progress billing and WIP reports matter to job costing?
Cost reports explain what the project has consumed; billing and WIP reports explain whether recognized and invoiced revenue keeps pace with that progress. Compare earned revenue, invoiced revenue, costs incurred, and projected final margin on the same project and accounting period.
Test the billing-to-cost connection
- Enter an approved contract or estimate with a billing schedule.
- Post partial labor, supplier costs, and an open commitment.
- Issue a progress invoice for the work completed, including retainage or stored materials if your contracts use them.
- Run earned-versus-invoiced and overbilling or underbilling reports.
- Reconcile the result to the general ledger and identify which entries change when a bill, timesheet, or change order is corrected.
Intuit’s construction materials describe progress invoicing and WIP capabilities in different product lines, while its September 2024 Enterprise Suite release note listed reports for committed costs, change orders, project status, costs by vendor and project, project cost detail, and employee/project time. That release note is dated and is not a guarantee of current availability; ask the vendor to show the reports in the current edition.
Quick wins for a faster PC:

WIP calculations can depend on contract type, completion measurement, retainage, and accounting policy. Ask which method the software supports, which fields are required, how period-end adjustments are approved, and whether a report can show the source transactions behind an overbilling or underbilling balance. If your accountant must export data to another system, test the export and reconciliation rather than relying on a product label that says WIP.
How much detail should cost codes and reports provide?
Use enough detail to make a corrective decision, not so much that field staff cannot code work consistently. At minimum, decide which dimensions you need for project, phase, trade, cost type, and cost code, then standardize their definitions across jobs.
| Reporting question | Minimum useful drill-down | Control to verify |
|---|---|---|
| Where is labor overrunning? | Employee or crew, activity, phase, and cost code. | Time approval and rate history. |
| Which supplier costs changed? | Vendor, purchase order, bill, receipt, and cost code. | Three-way or equivalent matching and duplicate detection. |
| Is a subcontract on budget? | Commitment, approved changes, invoices, retainage, and remaining balance. | Commitment status and amendment history. |
| Which jobs need attention? | Portfolio view of budget, cost to date, committed cost, forecast final cost, and margin. | As-of date, refresh timestamp, and permissioned overrides. |
Check whether managers can save filters, schedule reports, export detail, and restrict sensitive rates or payroll data by role. A polished dashboard is less useful if the underlying report cannot be reconciled to transactions.

Which product category fits a contractor’s size and workflow?
There is no universal category winner. Choose the lightest system that can reliably capture your required cost dimensions and controls today, while accounting for the implementation and integration work created by moving later.
| Category or product described by the vendor | Capabilities documented in the available material | Questions before adoption |
|---|---|---|
| QuickBooks Online Projects | QuickBooks says Plus and Advanced include job costing and project profitability, with material, labor, and vendor costs; its construction guidance also lists progress invoicing, change orders, purchase orders, budgeting, inventory, and named app integrations. | Which plan and integrations are available in your geography? How can I test a product in a demo instead of trusting a feature list?
Use one representative active job and force the vendor to follow the same data through estimating, field capture, purchasing, accounting, forecasting, and billing. A scripted demonstration exposes missing links that a dashboard tour can hide.
- Prepare the scenario: choose a job with several phases or trades, a defined estimate, at least one subcontract, a supplier purchase, labor hours, an open commitment, a pending change order, and a progress invoice.
- Build or import the estimate: preserve your cost codes, quantities, rates, markup, and original baseline. Ask what data is lost during import.
- Enter field labor: submit time from the mobile or web interface, assign a phase and cost code, apply a labor burden rate, reject one entry, and approve another.
- Post purchasing activity: create a purchase order, receive part of it, enter the supplier bill, and inspect committed versus incurred cost.
- Process a change: create a pending change, approve it, and verify separate effects on budget, revenue, commitments, forecast, and billing.
- Issue progress billing: create an invoice based on your contract method, then inspect earned-versus-invoiced and WIP outputs.
- Trace every result: drill from a variance to its source transaction, note refresh timing, and check the as-of date on each report.
- Test corrections and failures: edit a rate, void a bill, correct a time entry, disconnect an integration if the vendor permits, and observe duplicate prevention, error messages, and recovery steps.
- Export and reconcile: export detail for your accountant, compare totals with the general ledger, and document who owns each correction.
Score each step on data completeness, coding effort, approval control, auditability, and the time required by field and office staff. This is an evaluation method, not an independent product test.

Integration questions
Ask whether connections are native, partner-built, or file-based; whether they are one-way or bidirectional; how often they sync; and how failures are surfaced. Confirm that project and cost-code dimensions survive the handoff to payroll, accounting, estimating, and project-management tools. Require an export of your data in a usable format and clarify retention, backups, ownership, and access after cancellation.

What common buying mistakes hide margin problems?
- Choosing on a dashboard screenshot: Require the end-to-end scenario and transaction drill-down described above.
- Counting only paid invoices: Include open purchase orders, subcontract commitments, accrued labor, and approved but unbilled work.
- Allowing uncontrolled budget edits: Preserve the original estimate and require an auditable change reason.
- Using wage rates instead of loaded labor cost: Configure burden and effective dates, then verify payroll handoff.
- Overcomplicating cost codes: Start with codes crews can apply consistently and add detail only when it changes a decision.
- Ignoring pending changes: Track exposure separately from approved contract value so management sees risk without overstating revenue.
- Assuming integration means reconciliation: Test corrections, duplicates, voids, and failed syncs before relying on automation.
- Ignoring WIP until year-end: If contract billing or percentage-of-completion accounting matters, test period-end reports during selection.
- Treating a vendor claim as proof: Feature pages establish what a vendor says its product can do, not that your team will achieve a particular margin or cash-flow result.
How do I decide whether a general accounting product is enough?
Map your current jobs against the controls you cannot compromise. A general accounting product may be adequate when one office controls a small number of straightforward projects, cost codes are limited, commitments are simple, and payroll and billing already reconcile cleanly. Construction accounting or project-financial software becomes more compelling when you need multi-project portfolio views, detailed phase or trade reporting, committed-cost forecasting, formal change-order states, field-to-office approvals, or recurring WIP calculations.
Do not decide by employee count alone. A small commercial contractor with complex commitments may need deeper controls than a larger remodeler with short, simple jobs. Conversely, a sophisticated platform can create more implementation burden than value if field users cannot code work consistently or the accounting integration is incomplete.
What does this software cost, and what should I budget besides the subscription?
Pricing varies by product, edition, users, projects, payroll, integrations, implementation, and support. The available material provides one volatile reference: Houzz Pro displayed a starting price of $199 per month for Pro when researched. Verify that amount, what it includes, and whether it applies to your region and plan before using it in a budget.

Build a total-cost worksheet that includes:
- Subscription or license fees and additional users, projects, entities, or storage.
- Payroll, time capture, estimating, document, mobile, or WIP modules.
- Implementation, data migration, custom reports, training, and change management.
- Integration fees, accounting support, and any required hardware or connectivity.
- Internal time for coding cleanup, reconciliation, approvals, and ongoing administration.
- Exit costs, data export, and parallel operation during cutover.
No independent total-cost-of-ownership or ease-of-use comparison is established here. Ask each vendor for a written quote tied to your user count, active jobs, integrations, and support requirements.
What is the practical buying decision?
Select the product that can demonstrate your complete job, not the product with the longest feature list. Before purchase, require a live test showing estimate-versus-actual variance, loaded labor, open commitments, change-order states, progress billing, WIP, cost-to-complete, integrations, permissions, and transaction-level auditability. Document the refresh timing, report definitions, implementation workload, current plan availability, and data-export terms. That evidence lets you choose a system capable of exposing margin drift early without claiming that software alone will create a higher margin.
Frequently Asked Questions
How often should a contractor review job-cost variances?
Set the review cadence to the speed of your work and billing cycle, then require a named owner for each exception. Daily field-time capture and at least weekly review of labor, commitments, and pending changes usually reveal issues sooner than a month-end-only process; your contract and accounting policy may require additional period-end review.
Can job-costing software replace an accountant or controller?
No. Software records and organizes transactions, but an accounting professional still needs to set overhead methods, review WIP assumptions, reconcile integrations, and approve period-end adjustments. Clarify which decisions remain with your accountant before delegating access or automation.
What data should I migrate when switching systems mid-project?
Preserve the original estimate, approved budget revisions, cost-code dictionary, posted costs, open purchase orders, subcontract commitments, approved and pending change orders, billed amounts, retainage, and current WIP balances. Request a trial migration and reconcile one job from source reports before moving every project.
How can I tell whether a cost-code structure is too detailed?
Ask a field worker to code a typical day without office assistance, then inspect whether managers can make a different decision from the added detail. If entries are frequently coded to an “other” bucket or corrected later, simplify the structure and use notes or attachments for context.
