For most people, the strongest answer is both. Use an automated cloud backup for an offsite copy you can reach from multiple devices, and keep an encrypted external drive for large files and offline recovery. If you can choose only one, cloud backup is usually easier to automate and use after a lost or failed device; an external drive is preferable when your internet connection is slow, metered or unavailable, or your photo and video library is very large. Whichever method you choose, the copy must be separate from the original, protected from the same incident and tested by restoring files.

Should you choose cloud backup or an external drive?

Choose cloud first when you need automatic protection, access while travelling, or recovery after a fire, flood, theft or lost computer, and you have dependable internet. Choose an external drive first when you need high capacity, an offline copy, recovery without internet, or a one-time hardware purchase. Files that would be difficult or impossible to replace deserve both methods.

A backup is not simply another folder on the same computer. It must be a separate, recoverable copy. A second copy that stays connected to a computer can be damaged by the same hardware failure, theft or malware event as the original.

How does cloud backup protect personal files?

Cloud backup sends selected files, folders or device data to storage operated remotely. Microsoft describes cloud-based backup as data stored in the cloud, accessible across devices, with no need to purchase backup hardware. The UK National Cyber Security Centre (NCSC) notes that cloud backups can run automatically, increasing the chance that a recent copy exists.

  • Easily store and access 2TB to content on the go with the Seagate Portable Drive, a USB external hard drive
  • Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
  • To get set up, connect the portable hard drive to a computer for automatic recognition no software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

Where cloud backup is strongest

  • Automation: A scheduled service can copy new and changed files without requiring you to remember to plug in a drive.
  • Offsite protection: A copy outside your home is not destroyed with the computer by a local fire, flood or burglary.
  • Device replacement: You can retrieve files on a replacement computer or another supported device.
  • Multi-device access: A single account can make backed-up content available from more than one device, subject to the service’s supported platforms and settings.
  • Travel: You do not have to carry the only backup with the laptop it protects.

Where cloud backup is limited

Cloud recovery requires an internet connection. The NCSC cautions that slow, unreliable or metered connections can make cloud backup unsuitable, particularly for a first upload or a very large library. Uploading many gigabytes can take substantially longer than copying to a local drive and may consume a metered data allowance.

Cloud storage is also an account to secure, not a magic shield. HHS reports that some ransomware variants can delete or disrupt online backups. Use a strong, unique password, enable multifactor authentication (MFA), and select version history or retention when the service offers it. Keep another copy outside that cloud account so a compromised or locked account is not your only recovery path.

How does an external drive protect personal files?

An external hard disk or solid-state drive connects locally by USB or another supported interface. You copy files to it manually or with backup software, then store it separately from the computer. CISA recommends backing up to a secure external hard drive or a properly vetted cloud service; Microsoft says a local external or network drive can be preferable when internet access is unavailable or when a large number of files would take too long or cost too much to upload. The NCSC says removable media can handle large backups beyond cloud capacity.

Where an external drive is strongest

  • Large capacity: Local removable media can accommodate extensive photo, video and project archives without uploading the entire collection.
  • Offline recovery: You can restore files when the internet is down, unavailable at a location, or too slow for a practical download.
  • Local speed: Copying or restoring over a local connection is generally less dependent on internet throughput.
  • Control: You own and physically hold the media, with no cloud account required for access.
  • Upfront purchase: The main expense is the drive and any replacement, rather than an ongoing storage subscription; exact costs vary by capacity, model and region.

Where an external drive is limited

Management is the central trade-off. If you do not connect the drive or run the scheduled job, the backup becomes stale. A drive can also be lost, stolen, damaged by water or fire, or encrypted by malware while it is connected. CISA and the NCSC advise storing removable media safely, encrypting sensitive data and disconnecting the drive when it is not actively being used.

One drive in the same room as the computer is not an offsite backup. A burglary or local disaster can remove both copies. Keep at least one copy in a different physical location.

What is the difference between cloud backup and an external drive?

Factor Cloud backup External drive
Automation Strong: scheduled copying can run without a cable or manual media swap. Depends on software and whether the drive is connected; reminders may be necessary.
Restore speed Limited by internet bandwidth, service limits and the amount to download. Usually faster for a local restore, limited by the drive and connection.
Internet dependence Required for normal upload and download; a slow or metered connection can be a serious constraint. Not required for copying or restoring once the drive and computer are available.
Capacity Storage tiers and retention vary; very large first uploads may be impractical. Large removable media can suit extensive libraries; capacity is limited by the purchased drive.
Cost pattern Usually recurring storage or service charges; no stable, directly comparable total cost is established because providers, tiers, retention and regions differ. Primarily an upfront hardware cost, plus eventual replacement; exact cost depends on capacity and model.
Offsite resilience Built in when the provider stores the copy outside your home. Requires deliberate storage in another location.
Privacy and encryption Protect the account with a unique password and MFA; use the service’s available retention and security controls. Encrypt the drive or sensitive files and protect the physical media.
Ransomware isolation Version history or retention can provide older copies, but some ransomware can delete or disrupt online backups. A disconnected drive is isolated; a connected drive can be attacked or encrypted along with the computer.
Access across devices Designed for access from supported computers and mobile devices. Requires physical possession, a compatible connection and readable backup software or file system.

Why is the 3-2-1 backup rule stronger than either option alone?

The 3-2-1 rule builds resilience against different failures: keep three copies of important files, on two different media types, with one copy offsite. US-CERT states it as: “3 – Keep 3 copies of any important file: 1 primary and 2 backups. 2 – Keep the files on 2 different media types to protect against different types of hazards. 1 – Store 1 copy offsite.”

A practical personal setup is the original files on your computer or phone, an automated cloud copy, and an encrypted external drive stored separately and disconnected when idle. The cloud copy addresses device loss and local disasters; the drive supplies offline recovery and a second medium if the cloud account, provider or connection is unavailable. NIST’s 2026 backup guidance likewise calls for three copies, two media types, one offsite copy, encryption, automatic schedules and periodic restore tests.

The rule is an architecture, not a guarantee. A backup is proven only when you can restore a usable file from it.

How do you set up a cloud-and-drive backup system?

  1. Inventory irreplaceable data. List photo and video folders, personal documents, tax or financial records, creative projects, device contacts and any application data that would be costly to recreate. Note where each item currently lives so a folder is not accidentally omitted.
  2. Enable cloud backup for the inventory. Select the folders or device backup categories, turn on the available automatic schedule, and confirm that the first upload completes. If your connection is metered or unreliable, schedule large uploads for an appropriate time or seed the local drive first.
  3. Secure the cloud account. Use a strong password that is not reused elsewhere, enable MFA, and save recovery codes in a separate secure location. Turn on version history or retention where available so an overwritten or encrypted file has an older recoverable version.
  4. Prepare the external drive. Choose enough capacity for the current inventory plus reasonable growth. Encrypt the drive or the sensitive folders before placing personal data on it, and label the media without revealing sensitive contents.
  5. Run a local backup. Use your operating system’s backup tool or trusted backup software to copy the inventory. Include hidden or application-specific data only when you know it is needed for recovery; otherwise, focus on files you can identify and verify.
  6. Disconnect and store it safely. Eject the drive cleanly, unplug it, and place it somewhere protected from theft, heat, moisture and accidental damage. Keep this copy in a different physical location when the files are irreplaceable.
  7. Repeat on a schedule. Set an automatic job if your software supports one, or use a calendar reminder to reconnect the drive. Check that newly created photos and documents appear in the latest backup rather than assuming a scheduled task succeeded.
  8. Test restoration. Periodically restore an individual file to a separate location, open it and verify that it is intact. Test both the cloud copy and the external drive; a successful backup message alone does not prove that recovery works.

How should you protect backups from ransomware, theft and account takeover?

Use isolation as well as encryption

Encryption protects data if a drive or account is accessed by an unauthorized person, but it does not by itself create another copy. For the external drive, encryption should be paired with physical separation and disconnection. For cloud storage, encryption should be paired with MFA, a unique password and retention or version history.

Limit the time a drive is exposed

Connect the external drive only during a backup or restore, then eject it. A drive left mounted gives malware an opportunity to alter or encrypt the backup. Disconnection also reduces the chance that a power event or accidental deletion affects both the working files and the backup at once.

Keep an account-independent recovery path

If a cloud account is compromised, suspended or temporarily inaccessible, the encrypted external copy remains available. Store account recovery information separately from the computer and from the cloud account itself, and make sure a trusted person can locate the physical backup when your personal circumstances require it.

Which option fits common personal-file situations?

“I mainly need to protect phone photos.”

Cloud backup is convenient because it can upload new photos automatically and make them available when you replace or lose the phone. Add an external drive copy for the full-resolution library, especially if the collection is large or your mobile connection is metered.

“My home internet is slow or unreliable.”

Start with an encrypted external drive so you can make a complete local copy and restore without connectivity. Add cloud backup for the most important, smaller folders when the connection permits; the NCSC specifically identifies unreliable or metered links as a cloud limitation.

“I have years of video and design files.”

An external drive is usually the practical first destination because large removable media can hold extensive data without a long initial upload. Keep a second copy offsite, which may be a cloud subset of the most valuable files or another physical drive stored elsewhere.

“I travel frequently or work from multiple devices.”

Cloud backup reduces the need to carry your only recovery copy and supports access across supported devices. Carrying an encrypted drive can still be useful for an offline emergency, but do not keep it in the same bag as the only computer and do not treat travel access as a substitute for an offsite copy.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“I am worried about ransomware.”

Use both media types. Keep the external drive disconnected except during backup, and enable cloud version history or retention with MFA. Because HHS reports that some ransomware can delete or disrupt online backups, an offline drive is an important second line of recovery.

What commonly goes wrong, and how can you fix it?

Symptom Likely cause Corrective action
The cloud copy is weeks old. Automatic backup is disabled, paused or pointed at the wrong folders. Review the selected folders and schedule, resume the job, and verify a newly created test file appears.
The first cloud backup never finishes. Large data volume, slow connection or a metered data limit. Prioritize irreplaceable folders, schedule uploads during suitable periods, and create the complete initial copy on an external drive.
The external-drive backup is stale. The drive was not connected or the scheduled task failed. Reconnect it, run a manual backup, confirm recent file timestamps, and set a recurring reminder or automatic job.
Both original and backup were encrypted. The external drive was left connected during a malware event. Disconnect the drive after each job, restore from an older cloud version or another offline copy, and review account security.
A backup exists but a restored file will not open. The copy is incomplete, corrupted or missing required application data. Test restoration periodically, compare file sizes or dates, and maintain an additional copy rather than trusting one untested set.
The only drive was lost or damaged. The backup was stored beside the computer or carried with it. Replace it from the cloud or another drive and keep one copy in a different physical location.
The cloud account cannot be accessed. Forgotten credentials, MFA-device loss or account compromise. Use separately stored recovery codes and the provider’s account-recovery process; retain an offline copy so recovery does not depend on immediate account access.

What should you check before calling a backup complete?

  • The copy is separate from the computer or phone that contains the originals.
  • At least one copy is offsite, and two different media types are represented.
  • The cloud account has MFA, a unique password and usable recovery information.
  • Sensitive data on the external drive is encrypted.
  • The external drive is disconnected when no backup or restore is running.
  • Version history or retention is enabled where the cloud service provides it.
  • Recent photos and documents are included, not just an old archive.
  • You have restored and opened test files from each backup path.
  • You know where the physical drive is stored and how to retrieve it during an emergency.

What should you do today?

Identify the folders you cannot replace, enable an automatic cloud copy for them, and make a second encrypted copy to an external drive. Eject and store that drive away from the computer, secure the cloud account with MFA, and perform a test restore. This gives you automated offsite protection and an offline recovery path without relying on either medium alone.

Frequently Asked Questions

Can cloud backup replace file synchronization between devices?

Not necessarily. Synchronization is designed to keep working folders aligned, while backup is designed to preserve recoverable copies, often with history or retention. Check that the service you choose offers actual backup versions rather than only mirroring deletions and changes.

What if I lose the phone used for multifactor authentication?

Use recovery codes stored separately from the phone, or the provider’s documented account-recovery process. An offline external-drive copy is valuable during this interruption because you can retrieve files without first regaining cloud access.

How can I verify that a cloud backup contains my newest photos?

Create or select a recent, identifiable photo, then check the backup status and its recorded date in the cloud interface. Restore a copy to another location and open it; this verifies both that the item was uploaded and that recovery is usable.

Should the offsite copy be in another building?

It should be far enough away that the same fire, flood, theft or other local event is unlikely to affect both copies. For some households that means a trusted person’s home or a secure workplace; the key requirement is a genuinely separate physical location.
