The right ERP for a UK wholesaler is the system that connects your actual buying, stock, pricing, order, warehouse, VAT and finance processes without forcing unsafe workarounds. There is no universally best product: fit depends on factors such as warehouse count, traceability, customer-specific pricing, sales channels, transaction volume, existing software and implementation capacity.
Start by documenting your end-to-end operating model, separate essential requirements from preferences, and make every shortlisted supplier demonstrate the same products, stock movements and exception cases. Check Making Tax Digital (MTD) compatibility for VAT, confirm integrations and scanning devices, and compare a written total-cost proposal rather than licence prices alone.
What must a wholesale ERP connect?
A wholesale ERP should provide one controlled flow from supplier purchase through receipt, storage, sale, despatch, invoice, payment and reporting. The feature names on a vendor page are only claims of capability; your decision should be based on configured demonstrations using your own rules and representative data.

- Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
Document valuation and costing rules as well. Ask how the proposed configuration handles landed cost, purchase-cost changes, write-offs, negative stock prevention and margin reporting. If products have lot, batch, serial-number or expiry requirements, specify the capture point and the records that must remain searchable after a sale or return.
Purchasing and replenishment
Map supplier lead times, minimum order quantities, order calendars, safety stock, reorder points and seasonal demand. Include approval thresholds, supplier price breaks, substitutions, partial receipts, drop shipments and purchase orders created from sales demand. A demonstration should show what happens when a supplier confirms a different quantity or date from the original order.
Sales, pricing and credit
List every way an order enters the business: telesales, counter sales, field sales, ecommerce, EDI, quotations and repeat orders. Then write down customer-specific price lists, quantity breaks, promotions, rebates, contract pricing, currencies, tax treatment, credit limits, holds, allocations, back orders and returns.
Generic labels such as “advanced pricing” do not prove that your rule combinations work without customisation. Provide a sample customer and product catalogue and require the supplier to calculate the expected price, discount, rebate accrual and margin in the demonstration.
Warehouse execution
Describe receiving, quality checks, putaway, replenishment, picking, packing, carrier hand-off, despatch confirmation and stock adjustments. Specify whether picking is single-order, batch, wave or zone based; whether substitutes need approval; and which documents and labels are printed at each stage.
Handheld scanners may materially improve accuracy, but compatibility depends on the exact ERP edition, warehouse module, devices, wireless environment and implementation. Do not buy scanning equipment until the provider or implementation partner has demonstrated the proposed device and workflow with your transaction types.
Finance and reporting
Confirm general-ledger, purchase-ledger and sales-ledger processes, credit notes, accruals, bank reconciliation, stock valuation, landed cost and gross-margin reporting. Identify the reports managers need daily and monthly, who owns each report, and whether users can drill from a margin figure to the underlying order, receipt and supplier cost.

How do you define requirements before speaking to vendors?
Write a short operating-model document before booking demonstrations. It prevents a persuasive generic demo from becoming your requirements specification.

- Describe the information landscape. List accounting, ecommerce, EDI, CRM, shipping, payroll, reporting, identity and warehouse tools. For each master record—product, customer, supplier, price, stock and employee—state which system should be authoritative.
- Classify requirements. Mark each item “essential,” “important” or “optional.” An essential requirement should fail a product if it cannot be delivered in the standard configuration or with an explicitly accepted extension.
Which ERP products can form an initial shortlist?
Sage 200, Microsoft Dynamics 365 Business Central and NetSuite Distribution ERP are reasonable examples to investigate because their published materials describe broad wholesale or distribution capabilities. They are not a ranking, endorsement or proof of fit. The same scripted scenarios must be tested in the specific edition and configuration offered to you.
| Candidate | Capabilities described by the vendor | Questions for your demonstration |
|---|---|---|
| Sage 200 | Finance, inventory, purchasing, sales-order processing, fulfilment and returns, warehouse management, batch and serial traceability, pricing and reporting. | Can the proposed edition handle your warehouse depth, transaction volumes, integrations and pricing rules without unplanned custom work? |
| Microsoft Dynamics 365 Business Central | Finance, sales, purchasing, inventory and typical wholesale processes; documentation also covers more complex directed warehouse management. | Show your real receive, putaway, replenish, pick, pack and despatch flow. Identify every required extension, localisation or customisation. |
| NetSuite Distribution ERP | Inventory, order management, warehouse management, procurement, supply chain, financial management, global business management and analytics for distribution. | Request a scoped UK demonstration covering VAT, legal entities, integrations, pricing, returns and your warehouse scenarios. |
Published feature lists can help create a shortlist, but they do not establish comparable implementation cost, duration, performance or suitability for your company. Treat each product page as a prompt for a test, not as acceptance evidence.
How should you run a fair ERP evaluation?
Use the same evidence standard for every supplier. A repeatable scenario scorecard is more reliable than separate sales presentations.
Recommended Free Tools
1. Map the current process and target outcome
Draw the flow from supplier order to receipt, putaway, sales order, allocation, pick, despatch, invoice and payment. Add exception branches for partial deliveries, returns, substitutions, credit holds and stock discrepancies. For each step, record the current owner, source document, approval, data entry, delay and control. State the target outcome, such as fewer manual re-keys or faster margin visibility, without assuming that an ERP alone will deliver it.
2. Build a weighted scorecard
Give each requirement a weight based on operational risk. A traceability requirement for regulated goods may outweigh a convenient report; a warehouse that ships thousands of lines may weight scan and pick controls more heavily than a rarely used feature. Score only observable evidence: demonstrated in your scenario, demonstrated with configuration, requires an extension, requires custom development, or not available.
3. Use identical demonstration data
Give each supplier the same small but realistic data pack: representative products and pack sizes, two or more locations, suppliers with different lead times, customers with overlapping price rules, a batch-controlled item, an incomplete receipt, a back order and a return. Ask the presenter to show the resulting stock, price, margin, documents and audit trail, not just the setup screens.
4. Test integrations and ownership
Trace an order from each channel into the ERP and follow inventory and status updates back to the channel. Test customer, product, price and stock synchronisation, duplicate prevention, failed-message handling and reprocessing. Require a diagram showing which system owns each master record and who monitors interface failures.

Request a migration plan covering product, customer, supplier, opening stock, historical transactions, price lists, units, batches and serials. Ask how duplicates, obsolete items, incomplete addresses and inconsistent units will be identified and approved. Require a rehearsal migration, reconciliation totals and a sign-off owner before cutover.

6. Review security, audit and support
Confirm role-based access, approval limits, segregation of duties, price-override permissions, warehouse adjustments and audit history. Ask about support hours, escalation, release and upgrade policy, testing environments, service-level commitments, administrator training and the division of responsibility between the software publisher and implementation partner.
7. Demand a written scope
The proposal should itemise licences or subscriptions, implementation, configuration, data migration, integrations, extensions, custom development, training, testing, support, travel and ongoing services. It should state assumptions about users, companies, sites, transaction volumes and environments. This research does not establish comparable verified prices or implementation durations for the named products, so do not treat an informal estimate or a third-party average as a universal cost.
What UK VAT and Making Tax Digital checks are required?
VAT-registered businesses must use compatible software to keep digital VAT records and submit VAT Returns, or use bridging software that connects non-compatible software, such as spreadsheets, to HMRC systems. HMRC’s software finder lists compatibility and does not recommend individual providers.
Check the current HMRC finder for the exact accounting and submission workflow you intend to use. Compatibility with MTD for VAT does not prove that an ERP supports your stock, pricing, warehouse or reporting needs. Business.gov.uk also notes that companies carrying substantial stock may wish to consider traditional accounting methods; that is general guidance, not a specification for a particular ERP.
HMRC’s MTD guidance page used for this check was last updated on 1 May 2025. Reconfirm requirements before signing because tax rules, product versions and connectors can change.
How should warehouse scanning influence the decision?
Scanning should be evaluated as a complete workflow, not as a hardware shopping list. Define the barcode symbologies, labels, printers, mobile devices, wireless coverage, charging, offline behaviour and users who will scan.
During the demonstration, scan a receipt into a purchase order, put stock into a bin, move it between locations, pick a multi-line order, record a short pick, pack a substitute, despatch, process a return and perform a count. Check whether every scan updates availability, reservations, traceability and audit history immediately or queues for later synchronisation.

What comparison axes matter when two systems both appear capable?
Use the following axes to expose differences that broad feature lists hide.
| Axis | Evidence to request |
|---|---|
| Warehouse complexity | Live demonstration of bins, directed movements, replenishment, scan exceptions, pick methods, packing and 3PL hand-off. |
| Sites and legal entities | Configuration for your locations, inter-company flows, transfers, currencies, tax registrations and consolidated reporting. |
| Inventory and traceability | Units and packs, batches, serials, expiry, substitutions, valuation, landed cost, counts and recall-style lookups. |
| Pricing and rebates | Customer contracts, quantity breaks, promotions, rebates, overrides, approvals and margin calculation using your sample data. |
| Channels and EDI/ecommerce | Connector scope, ownership, error queues, duplicate handling, status updates and recovery after an outage. |
| Finance and VAT | Ledgers, credit notes, stock valuation, VAT treatment, MTD-compatible submission path and audit evidence. |
| Reporting and analytics | Required operational and management reports, drill-down, scheduled delivery, permissions and data-export controls. |
| Extensions and customisation | Specific gaps, upgrade impact, development ownership, testing responsibility and maintenance cost. |
| Migration burden | Data cleansing, rehearsal loads, reconciliation, historical access and cutover rollback plan. |
| Implementation and support | Named roles, methodology, availability, training, service levels, escalation and post-go-live assistance. |
| Total ownership cost | All recurring and one-time charges over the period you expect to operate the system, including devices and interfaces. |
How do you calculate the total cost of ownership?
Do not compare subscription or licence lines in isolation. Build a cost model covering the intended ownership period and show one-time and recurring amounts separately.
- Software licences or subscriptions by user, company, module, site and environment.
- Implementation discovery, configuration, project management, testing and go-live support.
- Data cleansing, migration rehearsals, opening balances and historical-data access.
- Connectors for ecommerce, EDI, carriers, CRM, payroll, banking, reporting and identity.
- Extensions, custom development, localisation and future upgrade remediation.
- Warehouse devices, printers, labels, wireless improvements and replacement cycles where required.
- Training for administrators, office users, supervisors and warehouse staff, including refresher training.
- Support, managed services, sandbox environments, backups and any minimum-term commitments.
Ask suppliers to identify assumptions and usage thresholds. A lower initial quote can become more expensive if essential warehouse or pricing features are delivered as bespoke work.
How should you prepare for implementation?
Implementation succeeds when operating decisions, data ownership and user adoption are treated as project work rather than left to the final week.
- Appoint process owners. Give named owners responsibility for inventory, purchasing, sales, warehouse, finance, integrations and reporting.
- Freeze design decisions. Approve units, locations, numbering, status codes, price precedence, approval limits, tax handling and master-data ownership.
- Clean and rehearse data. Run at least one migration rehearsal, reconcile quantities and values, and obtain sign-off from the owners of each data set.
- Test end to end. Include normal orders and every documented exception, with realistic user roles and devices.
- Train by role and scenario. Warehouse staff need guided receiving, picking, packing, returns and counts; finance users need valuation, reconciliation and VAT workflows.
- Plan cutover and fallback. Set a final transaction time, opening-balance method, interface freeze, support rota and rollback decision criteria.
- Measure after launch. Compare results with the baseline and correct process or configuration problems before adding optional features.
Which measures show whether the ERP is improving operations?
Set baselines before implementation so that improvement is measurable rather than anecdotal. Useful measures include:
- Stock-record accuracy by location and product class.
- Order-fill rate and the proportion of lines shipped complete.
- Order-to-despatch elapsed time, including exception orders.
- Visibility and reliability of gross-margin reporting.
- Finance close time and the number of manual reconciliation adjustments.
- Return-processing time and the percentage of returns linked to the original lot, serial or order.
- Interface failure rate and average recovery time for ecommerce, EDI or carrier messages.
The PEF Consulting Partners 2026 selection guide identifies stock accuracy, order fill rate, order-to-despatch time, gross-margin visibility and finance close time as useful measures to track. Adapt the definitions to your current systems so that pre- and post-implementation figures are comparable.
What common ERP selection mistakes should a wholesaler avoid?
Choosing from a feature checklist
A tick beside “warehouse management” or “advanced pricing” says nothing about your configuration. Require evidence using your products, locations, customer rules and exception cases.
Letting the demo follow the vendor script
Sales demonstrations often show the smooth path. Send a written scenario script in advance and reserve time for short receipts, returns, substitutions, credit holds, failed integrations and stock discrepancies.

Ignoring master-data ownership
If two systems can edit prices or stock, conflicting records and unexplained changes follow. Decide which system is authoritative and how approved changes propagate.
Underestimating warehouse change
New statuses, scans, labels and approval steps alter floor routines. Involve supervisors and experienced operators in design and pilot testing; do not assume office training will cover warehouse realities.
Assuming MTD approval means business fit
HMRC compatibility addresses digital VAT records and submissions. It does not validate inventory, replenishment, pricing, warehouse execution, integrations or management reporting.

What is the practical decision rule?
Select the platform that passes your essential end-to-end scenarios with the least operational risk and the clearest ownership model, not the one with the longest feature list. Before signing, obtain a written scope, a migration and integration plan, confirmation of MTD-compatible VAT processing, device compatibility where scanning is required, and a total-cost model that includes implementation and ongoing support.
Frequently Asked Questions
Can a UK wholesaler keep using spreadsheets alongside an ERP?
Yes, but define exactly which records remain in spreadsheets and how they connect to the accounting system. For VAT, HMRC permits bridging software to connect non-compatible tools such as spreadsheets to HMRC systems; the spreadsheet arrangement still needs controls for versioning, access and reconciliation.
How many ERP users should we license at the start?
Count people who create, approve, pick, receive, adjust, report on or administer transactions, then separate named, occasional and shared-device access. Ask suppliers how warehouse or counter users are licensed and whether read-only, mobile or seasonal access has different terms.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsShould we choose one ERP for every warehouse and legal entity?
A single platform can simplify shared stock, pricing and reporting, but the decision depends on inter-company flows, local tax requirements, operational differences and integration constraints. Demonstrate transfers, consolidated reporting and permissions across your actual entities before standardising.
What should we do if a shortlisted ERP cannot handle one essential process?
Classify the gap as configuration, supported extension, custom development or a process change, and obtain written scope, cost, ownership and upgrade implications. If the workaround weakens stock control, traceability, pricing accuracy or financial integrity, remove the product from the shortlist rather than accepting an undocumented exception.
