There is no single best email marketing platform for every business. The right choice depends on your audience size, sending volume, automation needs, integrations, reporting, compliance work, support expectations, and budget. MailerLite is a practical starting point for straightforward newsletters; Brevo is appealing when send-volume pricing or email plus SMS matters; Klaviyo and Drip suit ecommerce teams; HubSpot Marketing Hub fits CRM-led B2B programs; ActiveCampaign is built for advanced behavioral automation; and GetResponse combines lifecycle automation with funnels and webinars.
Use the comparisons below as a decision framework rather than a universal ranking. Prices, limits, ratings, and included features change frequently, so confirm the current plan page before you commit.
How should you choose email marketing software?
Choose the platform that matches the way your business acquires, segments, and communicates with subscribers—not the one with the longest feature list. Start with your operating model, then test the shortlist against real contacts, send volume, workflows, and reporting requirements.
1. Decide how you are charged
Most platforms use one of two models:
- Contact-based pricing: your bill rises as the number of stored contacts grows, even if you send infrequently.
- Send-volume pricing: your bill is tied mainly to the number of emails sent each month, which can be economical for a large but infrequently mailed database and less attractive for constant campaigns.
Some vendors combine contacts, monthly sends, seats, and feature gates. A free plan can therefore be useful for testing while becoming restrictive once you add automations, reporting, additional users, or more contacts.

2. Match automation to the customer journey
A weekly newsletter needs a different tool from a program that reacts to page views, purchases, abandoned carts, lead scores, and support events. List the triggers, branches, wait periods, and channels you actually intend to use before comparing vendors.
3. Check the integrations that create your data
For ecommerce, that usually means the store platform, product catalog, checkout events, payment status, and analytics. For B2B, it means the CRM, forms, sales pipeline, lead-scoring fields, and consent records. An attractive editor cannot compensate for missing or unreliable event data.
4. Compare total cost, not the entry price
Model at least three states: your current list and send volume, a realistic 12-month growth case, and a high-volume campaign month. Include extra seats, SMS credits, landing pages, transactional messages, premium support, and any separate data or connector fees.

Ask what consent records, suppression tools, data controls, audit logs, and regional settings are included in the specific tier you would buy. Vendor features do not replace your own consent, privacy, retention, and legal review.
Which email marketing platform fits each common use case?
The following shortlist maps common operating situations to tools positioned for them. It is a starting point for testing, not a claim that one vendor wins every category.
| Situation | Shortlist | Why it fits |
|---|---|---|
| Simple newsletters and beginners | MailerLite; Mailchimp | Beginner-oriented editors, straightforward campaigns, and free entry options. |
| High-volume sending or email plus SMS | Brevo | Send-volume-oriented pricing and a multichannel position. |
| Ecommerce lifecycle marketing | Klaviyo; Drip | Store integrations, behavioral flows, segmentation, and commerce reporting. |
| CRM-led B2B marketing | HubSpot Marketing Hub | Lead generation and workflows linked to a CRM record. |
| Advanced behavioral automation | ActiveCampaign | Multi-step journeys with detailed conditions and cross-channel actions. |
| Funnels, webinars, and lifecycle automation | GetResponse | Landing pages, webinars, funnels, and automation in one suite. |
| Creator or paid-newsletter businesses | Kit; beehiiv | Positioning and features aimed at creator publishing and newsletter monetization. |
For a first newsletter program: MailerLite or Mailchimp
Choose this category when your core work is collecting subscribers, designing broadcasts, scheduling them, and reviewing basic engagement. Prioritize a clean editor, dependable forms, simple segments, export capability, and documentation your team will actually use. A free tier can reduce adoption risk, but check its contact and send caps before building a list that will outgrow it.
For high send volume or email plus SMS: Brevo
Brevo is worth evaluating when your sending pattern makes contact-based billing unattractive or when email and SMS need to be coordinated. Calculate your busiest month rather than using an average, and verify how overages, daily limits, sending permissions, and SMS country coverage work for your audience.
For ecommerce: Klaviyo or Drip
Ecommerce teams should begin with event coverage: viewed product, added to cart, started checkout, purchased, refunded, and repeat-purchase timing. Then test whether segments update quickly, whether product data can personalize messages, and whether revenue reporting can separate email-influenced sales from ordinary orders.
Rank #2
For CRM-led B2B: HubSpot Marketing Hub
HubSpot is a natural candidate when marketing and sales need one contact record, shared lifecycle stages, lead scoring, and workflow visibility. Compare the total tier cost for the seats, contacts, automation, and reporting your sales process requires; a low per-seat entry example may not represent the complete implementation.
For sophisticated behavioral journeys: ActiveCampaign
ActiveCampaign is designed for teams that need branching journeys based on behavior and attributes rather than a single linear drip. Map the conditions you need—such as a different path after a click, purchase, score change, or inactivity—and confirm that those conditions are available at the tier you can afford.
For funnels and webinars: GetResponse
GetResponse fits organizations that want email automation alongside landing pages, funnel tools, and webinars. It can reduce the number of separate systems, but an all-in-one suite is only economical if you will use those components and the included limits match your events and audience.
For creator newsletters: Kit or beehiiv
Creator-focused platforms emphasize publishing workflows, audience growth, and paid-newsletter operations. Compare subscriber portability, referral or monetization features, automation depth, and whether the platform supports the products or memberships you already sell.
What is the difference between contact-based and send-volume pricing?
Contact-based plans charge primarily for the size of your stored audience, while send-volume plans charge primarily for how many messages you send. Neither model is automatically cheaper: the break-even point depends on list growth, campaign frequency, automation traffic, and whether inactive contacts remain billable.
Published entry examples from Capterra, July 2026
Capterra’s July 2026 table lists these entry-level examples from publicly available vendor data. The figures are starting points; advanced tools may require higher tiers, and the plans do not share identical limits or billing assumptions.
| Vendor | Example entry price | Qualification |
|---|---|---|
| ActiveCampaign | $15 per month | Entry example; advanced automation can require a higher tier. |
| Brevo | $9 per month | Entry example under a send-volume-oriented model. |
| Constant Contact | $12 per month | Entry example; included contacts and sends vary by plan. |
| GetResponse | $19 per month | Entry example; suite features and limits vary by tier. |
| HubSpot | $10 per month per seat | Per-seat example; total cost depends on seats and other limits. |
| Mailchimp | $8 per month | Entry example; contact, send, and feature caps apply. |
| MailerLite | $12 per month | Entry example; list size and feature limits vary. |
| Moosend | $9 per month | Entry example; verify current contact and automation limits. |
Another 2026 comparison uses different assumptions
A GetResponse comparison updated October 22, 2026 lists different starting examples: GetResponse $15.58 per month, MailerLite $9, Brevo $8.08, ActiveCampaign $15, Kit $33, Constant Contact $12, Klaviyo $45, and Mailchimp $13. The differences from the Capterra table illustrate why billing cadence, list size, annual discounts, and included features must be checked before comparing totals.

Examples for small lists from TechRadar, May 2026
TechRadar’s May 2026 examples show Mailchimp for 0–500 contacts at Free $0, Essentials $13, Standard $20, and Premium $350. Its Brevo examples are Free $0, Starter $9, Standard $18, and Professional $499. These are illustrative plan prices for the stated list size, not a guarantee of your final bill.
How to build a realistic cost model
- Record the number of marketable contacts, suppressed contacts, and users who need access.
- Count ordinary campaigns, automated messages, transactional messages, and SMS separately.
- Price your current month and your busiest expected month.
- Add the cost of landing pages, webinars, CRM seats, premium support, and connectors.
- Repeat the calculation after projected list growth and remove contacts you will not legally or strategically retain.
How much automation do you actually need?
Automation ranges from a welcome sequence to branching, behavior-driven journeys across email, SMS, and web. Buy the lowest level that can express your real customer journey without forcing manual workarounds.
Simple drip automation
A simple program has a trigger, a fixed wait, and a predictable sequence: welcome, educational message, offer, and follow-up. It is enough for many newsletters, lead magnets, and basic onboarding programs.
Conditional journeys
More advanced automation evaluates actions and attributes at each step. A click can move a subscriber to one branch, a purchase can stop promotional messages, and inactivity can start a re-engagement path. Confirm that the editor supports nested conditions, goals, exits, and testing rather than merely displaying a visual flowchart.

Teams using email, SMS, and web events need consistent consent states, channel-specific suppression, and a clear record of which event triggered each message. Two platforms can both advertise “automation” while delivering very different experiences; inspect the actual trigger catalog and reporting during a trial.
Which integrations and data controls matter most?
The best integration is not the one with the most logos; it is the one that reliably transfers the events and fields your campaigns depend on.
Ecommerce connections
- Product, variant, price, inventory, and category data for personalization.
- Viewed-product, cart, checkout, purchase, refund, and repeat-order events.
- Customer-value, order-count, and last-purchase fields for segmentation.
- Revenue attribution that explains the time window and touchpoint used.
CRM and lead-management connections
- Two-way synchronization of lifecycle stage, owner, score, and consent status.
- Workflow actions that can notify sales or pause marketing when a deal changes.
- Field mapping, deduplication, error logs, and a way to replay failed events.
Payments, forms, landing pages, and webinars
If the platform promises an all-in-one funnel, verify whether registrations, attendance, payments, and cancellations appear in the same contact timeline. Otherwise, budget for a connector and test what happens when a person changes email address or unsubscribes in one system.
Data portability
Before signing, confirm that you can export contacts, consent history, campaign data, templates, forms, and automation logic in usable formats. A platform that is inexpensive to enter but difficult to leave can become costly during a replatforming project.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsHow should an ecommerce team compare email platforms?
Ecommerce buyers should prioritize event quality, behavioral segmentation, store integrations, and revenue analytics before visual polish. A platform should let you move from an event to an appropriate message while respecting purchase status and consent.
Rank #4
- Connect a representative store dataset. Use real product categories, variants, order states, and customer fields rather than a blank demo account.
- Build three test flows. Create a welcome series, an abandoned-cart journey, and a post-purchase or replenishment sequence.
- Check suppression behavior. A purchase should prevent an inappropriate reminder, and an unsubscribe should stop every relevant promotional path.
- Validate attribution. Compare the platform’s revenue view with your store reporting and identify the attribution window and exclusions.
- Stress-test segments. Test first-time buyers, repeat customers, high-value customers, and people with no recent engagement.
Klaviyo and Drip are logical candidates for this evaluation because their positioning emphasizes behavioral automation, segmentation, store integrations, and ecommerce analytics. The deciding factor should be the quality and usability of your actual store data.
How should a CRM-led B2B team compare platforms?
CRM-led teams should compare the depth of contact synchronization and sales workflow control, not just the email editor. HubSpot Marketing Hub is designed around CRM-linked lead generation and workflows, while ActiveCampaign emphasizes automation-first journey design.
Questions to test
- Can marketing and sales see the same lifecycle stage, owner, score, and consent state?
- Can a workflow alert a salesperson, pause marketing, and resume after a deal changes?
- Are reporting and attribution available at the level your leadership expects?
- What happens to historical activity when a contact is merged or a company changes?
- Does the required CRM, seat, contact, and automation tier fit your total budget?
Run one complete lead path—from form submission through qualification and sales handoff—before selecting a plan. This reveals data delays and permission issues that a feature checklist can hide.
How should you evaluate deliverability, compliance, and reporting?
Evaluate the controls and evidence a platform provides, but do not declare a universal deliverability winner. No comparable, independently verified deliverability-rate benchmark establishes one platform as best for every sender, audience, or sending pattern.
Deliverability controls
- Authentication guidance for your sending domain and a clear process for resolving bounces and complaints.
- Suppression management that prevents repeatedly mailing unsubscribed, bounced, or complained-about addresses.
- Engagement reporting that lets you identify declining activity and adjust frequency.
- Readable logs for rejected, deferred, and successfully delivered messages.
Compliance and data governance
Some vendors provide automatic GDPR or HIPAA-related support only in particular plans, regions, or configurations. Treat those labels as feature descriptions, not legal certification. Your organization remains responsible for lawful consent, privacy notices, retention decisions, processor agreements, and review of every data flow.
Reporting quality
At minimum, you should be able to separate delivery, opens, clicks, unsubscribes, complaints, conversions, and automation exits. For ecommerce, inspect revenue attribution; for B2B, inspect pipeline influence and contact-to-opportunity movement. Ask how tracking changes when privacy settings limit open data, and whether reports can be exported for independent analysis.

- Shortlist two or three platforms. Choose tools that fit your scenario, not every highly rated product.
- Model 12-month and growth costs. Use your current list, expected growth, high-volume months, extra seats, SMS, connectors, and premium features.
- Import a controlled sample. Include active, inactive, recently unsubscribed, bounced, and high-value records so suppression and segmentation can be observed safely.
- Rebuild representative workflows. Test one broadcast, one welcome or lead sequence, one conditional journey, and one integration-driven flow.
- Inspect data and reports. Confirm event timing, field mapping, attribution, exports, error logs, and permissions.
- Document the migration and exit plan. Record DNS changes, forms, templates, consent history, automations, suppression lists, and rollback steps before switching production traffic.
What mistakes make an email platform more expensive than expected?
Choosing by the free tier alone
Free plans are useful for learning an editor, but caps on contacts, sends, branding, support, or automation can force an early upgrade. Price the next two tiers before you build dependencies.
Ignoring inactive contacts
Contact-priced systems can bill for records that never receive a message. Establish a documented suppression or re-engagement policy and understand whether archived contacts still count.
Buying advanced automation without an operating plan
Complex branching adds maintenance work. If your team cannot name the events, owner, testing method, and success metric for a journey, a simpler workflow may produce better results.
Assuming an integration is complete because its logo appears
Check field coverage, event delay, historical backfill, duplicate handling, error recovery, and unsubscribe synchronization. A shallow connector can create inaccurate personalization and reporting.

Treating compliance as a vendor checkbox
Plan your own consent capture, privacy language, retention rules, access controls, and legal review. A compliant-looking setting cannot correct an unlawful source list or an undocumented data transfer.
Assuming a high deliverability claim is a guarantee
Inbox placement depends on permission, list hygiene, authentication, content, frequency, recipient behavior, and infrastructure. Compare controls and monitoring rather than relying on a single percentage.
Which email marketing software should you choose?
Use this final decision rule:
- Choose MailerLite or Mailchimp when you mainly need accessible newsletter creation and a gentle learning curve.
- Choose Brevo when send volume or coordinated email and SMS is central to the economics of your program.
- Choose Klaviyo or Drip when store events, behavioral segmentation, and commerce reporting drive your campaigns.
- Choose HubSpot Marketing Hub when the CRM record and sales process must anchor marketing activity.
- Choose ActiveCampaign when branching behavioral automation is more important than an all-in-one funnel suite.
- Choose GetResponse when landing pages, webinars, funnels, and lifecycle email should live together.
- Choose Kit or beehiiv when your primary product is a creator-led or paid newsletter.
Whichever shortlist you select, validate it with your own data, workflow tests, compliance review, and 12-month cost model. That process produces a defensible choice even as prices and feature limits change.
Frequently Asked Questions
Can a newsletter platform also send transactional email?
Usually, marketing broadcasts and transactional messages are handled by different products, sending domains, or permission models. Confirm whether password resets, receipts, and service notices are supported, and keep their consent and suppression rules separate from promotional campaigns.
What should I do with inactive subscribers before moving platforms?
Create a documented re-engagement window, then suppress or remove people who do not respond according to your retention policy. Export the suppression history so the new system cannot accidentally mail addresses that previously opted out.
How long should a platform pilot run?
Run the pilot through at least one ordinary campaign and every trigger in a representative automated journey. Keep the test long enough to observe delayed events, failed integrations, unsubscribe propagation, and reporting updates rather than judging only the editor.
Do I need separate consent for email and SMS?
Treat each channel as its own permission state unless your legal review confirms otherwise. Your platform should let you stop SMS without stopping permitted email, record the source and time of consent, and honor channel-specific opt-outs.
