Often, yes—but usually only to the copy, account, or delivery session, not automatically to the human who released it. A publisher can trace a leaked digital review copy when each recipient receives an individually watermarked file or viewing session and that identifier is recorded in a tracking system. Investigators then recover the mark and compare it with delivery and access records. If every reviewer received the same unmarked attachment, and no useful access log exists, attribution may be impossible after the leak.
The practical distinction is crucial: a watermark can show that a leaked file was assigned to reviewer X or account Y. It does not, by itself, prove that reviewer personally uploaded, forwarded, or copied it.
What is a watermark on a review copy?
A digital watermark is information embedded in a file or delivery stream so the publisher can identify its source later. The European Union Intellectual Property Office (EUIPO) defines it as “a piece of information that is permanently embedded in a digital file, certifying its authenticity and source.” In publishing, the embedded value might represent a recipient, account, transaction, invitation, device, or viewing session.
A watermark is different from ordinary file metadata such as a filename or creation date. Metadata can disappear when a file is exported or copied. A forensic watermark is designed to remain detectable after normal handling, although no watermark is indestructible.

What information can be encoded?
The identifier can be a random token that maps to a record in the publisher’s system rather than the reviewer’s name in plain text. That record may include:
- the intended recipient or organization;
- the account, invitation, transaction, or session that received the copy;
- delivery and download times;
- the file format or edition supplied;
- device, browser, or IP-related information when the delivery service collects it; and
- revocation, viewing, or other access events.
The Digital Watermarking Alliance describes forensic use as embedding a recipient’s identity and, in some implementations, situational details such as transmission time, received format, and recipient IP address. Those details are useful only when the publisher actually retained them and can associate them reliably with the identifier.
How does watermark tracking identify a leaked copy?
Tracing works as a chain of preparation, delivery, detection, and corroboration. The watermark is useful because the publisher created a different trace before distribution; it is not a magic label that can be added reliably after an identical file has escaped.
- Create a recipient-specific copy or session. The publisher generates a distinct file, stream, or protected viewing session for each reviewer, account, or invitation.
- Embed the identifier. Software inserts the recipient or session token into the document, images, pages, audio, or video. A visible name overlay, an invisible forensic pattern, or both may be used.
- Record the assignment. A tracking database links the token to the intended recipient and records relevant delivery details. EUIPO notes that implementation requires both a watermark-tracking database and a detection method.
- Deliver under the selected controls. The copy may be sent as a file attachment or presented through a controlled document room. A controlled system can also log invitations, views, downloads, and revocations.
- Recover the mark after a leak. An authorized detector scans the leaked file or recognizes the visible identifier. The result may be a token rather than a readable name.
- Match and corroborate. Investigators map the token to the distribution record, then compare access logs, account-security events, messages, and chain-of-custody evidence.
The Digital Watermarking Alliance summarizes the central result this way: “When a leak is discovered or suspected, the forensic watermark retrieved from the leaked copy identifies the intended recipient.” “Intended recipient” is deliberately narrower than “person who leaked it.”
Can a watermark prove which reviewer leaked the copy?
No. It can identify the assigned copy or account, but it normally does not prove who physically released the material. The strongest defensible statement is usually “the leaked copy was assigned to recipient X” or “the file originated from account or session Y.”
Several custody scenarios can break the link between the assigned recipient and the actual leaker:
- The recipient forwarded the file to another person, who uploaded it.
- An assistant, agency, household member, or colleague had access to the same account.
- The account credentials were stolen or the device was compromised.
- A reviewer obtained the copy from someone else whose version carried the original watermark.
- Only an excerpt, screenshot, photograph, or retyped passage was leaked, leaving no recoverable mark.
For that reason, a publisher should treat the watermark as a lead and an evidentiary component. Access records, invitation history, download events, endpoint or account-security logs, and communications may establish who had control at the relevant time. Legal responsibility also depends on the applicable contract, copyright law, and evidence rules; identifying a distribution source is not the same as proving an individual’s liability.

What happens if every reviewer receives the same attachment?
A plain, identical attachment is the weak case. If all reviewers receive the same unmarked PDF or EPUB, the recovered file contains no copy-specific value to match with a recipient. Without reliable access logs, the publisher may be unable to attribute it after publication.

Traceability must be designed before sending. Document-tracing guidance says a publisher generally cannot retrofit recipient identity onto an already leaked, identical attachment. Renaming the file after the leak, checking ordinary metadata, or adding a watermark to a copy that has already escaped does not reveal which reviewer possessed the original.
| Distribution approach | What can be matched later | Main limitation |
|---|---|---|
| One identical, unmarked attachment | At most the general work or edition, if the file itself is authentic | No recipient-specific identifier; attribution may be impossible |
| One shared watermark for all viewers | The campaign, title, or broad distribution group | Cannot distinguish a specific user or device |
| Per-recipient watermarked files | The recipient or account assigned that file | Forwarding and account compromise still require investigation |
| Per-session watermarking with access logs | A session, account, delivery event, and potentially a device or network record | More infrastructure, privacy handling, and operational cost |
| Controlled document room with revocation | Recipient plus invitation, viewing, download, and revocation events | Screen photography, re-created documents, and deliberate attacks can evade detection |
What is the difference between visible and invisible watermarks?
Visible marks prioritize deterrence and human recognition; invisible or forensic marks prioritize survivability and machine-assisted attribution. Many publishers combine them rather than relying on only one.
Visible reviewer marks
A visible mark may print the reviewer’s name, email address, invitation number, or a large “confidential” notice across each page. It tells a legitimate reviewer that sharing is attributable and can discourage casual forwarding. It is also easy to understand without special software.

Its weaknesses are obvious: a recipient can crop, cover, blur, or omit the marked area. A derivative copy may preserve the words while removing the visible overlay. Amazon Web Services (AWS) warns against relying only on visible marks because they can be cropped or obscured.
Invisible forensic marks
An invisible mark alters data in a way that is difficult to notice but detectable with an authorized tool. It can be distributed through text, image, audio, video, layout, or encoding characteristics. Detection may require the original file, a reference copy, proprietary software, or a specialist service.
Invisible marks reduce visual annoyance, but the recipient may not know that every copy is individually traceable. They also require a maintained reference database and a documented detection process. If the publisher loses the mapping between a token and a recipient, the mark may no longer be actionable.
Robust and fragile marks
A robust watermark is intended to survive routine transformations. A USPTO report describes robust watermarks as capable of surviving manipulations such as compression, image processing, and printing or scanning. This is useful when a leaked copy has been resized, re-encoded, printed, or scanned.

That can help detect tampering or establish file integrity, but it is less useful when the goal is to identify a copy that has undergone ordinary conversion. “Robust” does not mean indestructible: a determined leaker can photograph a screen, rebuild a document, distribute only excerpts, or apply transformations designed to launder the mark.

Why is one shared identifier not enough?
A single watermark value used for every reviewer identifies only the work or campaign, not the person or device that received a leaked copy. AWS states that organizations sometimes make this mistake, and that attribution to a specific user or device is then not possible.
Useful granularity depends on the risk and workflow:
- Work-level: one value for the title or edition; useful for authenticity, weak for attribution.
- Recipient-level: one value per reviewer or organization; identifies the assigned copy.
- Account-level: one value per login or customer account; useful where several people may use an organization.
- Session-level: a fresh value for each viewing or download; provides the finest event-level trail but requires stronger access logging and system support.
More granularity increases cost and complexity. EUIPO notes that unique watermarks for each copy cost more than a single watermark, while recognition software and the reference database add implementation and maintenance costs.

The right design is a balance between evidentiary value, durability, recipient experience, privacy, and response capability. A feature checklist is more useful than asking whether a product merely “has watermarking.”
Identifier granularity
Confirm whether the system creates one mark per work, recipient, account, download, or viewing session. Ask how a token maps to a verified person and whether shared organizational accounts weaken that mapping.
Evidence quality
Determine what the database retains, how records are time-stamped, and whether logs can be exported with integrity protections. A watermark that cannot be tied to a trustworthy delivery event offers weaker evidence.
Durability
Ask which transformations the detector supports: compression, reformatting, printing, scanning, screenshots, or re-encoding. A vendor’s statement that a mark is robust should be read as a defined threat model, not a guarantee against deliberate removal.
Visibility and deterrence
Large visible identifiers may reduce casual sharing but can frustrate reviewers, reveal personal information, or damage the reading experience. Invisible marks are less intrusive but depend on detection tools and may provide less immediate deterrence.

Privacy and governance
Recipient names, email addresses, IP-related information, device identifiers, and access histories can be personal data. Publishers should define retention periods, restrict staff access, document the purpose of collection, and explain the controls in reviewer agreements where required. ISO/IEC 23078-1:2024 places watermarking and fingerprinting within the wider set of copyright-protection technologies used in digital publishing and notes trade-offs between interoperability and proprietary digital-rights-management systems.
Response controls
Look for link revocation, rapid access suspension, download controls, monitoring, evidence preservation, and support for takedown workflows. Watermarking helps identify a source; it does not remove a file from search indexes, social platforms, file hosts, or private channels.
How should a publisher investigate a suspected leak?
Preserve evidence first, then identify the copy, then investigate custody. Changing or opening files carelessly can overwrite timestamps or remove context needed later.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Preserve the original discovery. Save the leaked file in its original form, along with screenshots, URLs, timestamps, post identifiers, and surrounding messages. Keep cryptographic hashes or an equivalent integrity record if the organization has that capability.
- Limit handling. Store a read-only evidence copy and conduct analysis on a duplicate. Do not edit, recompress, rename as a substitute for preservation, or resave the source file in a word processor.
- Run the authorized detector. Use the publisher’s approved watermark-recognition tool or the delivery provider’s documented process. Record the tool version, date, input file, and detection output.
- Map the identifier. Match the recovered value to the recipient, account, session, invitation, format, and delivery event in the tracking database.
- Collect corroborating records. Pull invitation and download logs, viewing history, account-security alerts, password resets, device and network records where lawfully available, and relevant communications.
- Check alternate custody paths. Ask whether the recipient forwarded the file, whether an assistant or agency had access, and whether credentials or devices were compromised. Compare the leaked file with other recipients’ versions if those copies are preserved.
- Contain further exposure. Revoke links, disable accounts or sessions, rotate credentials, and secure remaining copies where the platform permits.
- Escalate appropriately. Use takedown notices or platform escalation channels for continuing online distribution. The Publishers Association describes a portal intended to help publishers identify online infringements and issue DMCA-compliant takedown notices; watermark analysis is one part of that broader response.
- Obtain legal advice before accusing anyone. A private evidentiary finding and a public allegation have different risks. Counsel can assess contracts, privacy obligations, jurisdiction, and whether the available records support a claim.
Can a screenshot or printed copy still be traced?
Sometimes, but the answer depends on what survived the transformation. A robust mark may remain detectable after ordinary printing and scanning, image processing, or compression. A screenshot may preserve a watermark in page layout or image data, while a cropped screenshot may remove it.
Photographing a screen, retyping text, recreating a layout, or leaking only a quotation can produce material with no recoverable identifier. Even when a mark survives, investigators must establish that the file was not altered in a way that created a false match and should compare it with a known-good reference copy.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What are the main failure modes?
Most attribution failures come from process gaps rather than from a watermark suddenly becoming useless.
- All copies are identical: there is no recipient-specific value to recover.
- One token is shared: the system cannot distinguish viewers.
- The database is incomplete: a detected token cannot be mapped to a verified recipient.
- Logs are missing or unreliable: delivery and access timing cannot be corroborated.
- The wrong edition was analyzed: the detector may search for a mark that was never embedded in the leaked format.
- The mark was deliberately laundered: a reconstructed or heavily transformed copy may defeat detection.
- Account custody is unclear: an assigned recipient may not have been the only person with access.
- Privacy controls were overlooked: excessive collection or indefinite retention can create legal and trust problems.
Document the system’s threat model and limitations before a leak occurs. That makes later conclusions more precise and prevents a technical indicator from being presented as conclusive proof.
How much does watermark tracking cost?
No universal price or publishing-wide success rate is established for this process. Costs vary with the number of unique copies, the delivery platform, detector licensing, database maintenance, storage, monitoring, and incident-response work.

The supported qualitative comparison is straightforward: assigning a unique watermark to every copy costs more than using one shared mark, and watermark-recognition software plus a reference database add implementation and maintenance expense. A controlled document room may add access-management fees but can reduce manual work by preserving delivery and viewing logs.
There is also a human cost. Reviewers may object to conspicuous identifiers, additional sign-in steps, download restrictions, or collection of device and network information. A publisher should choose the least intrusive controls that still meet its leak-risk and evidence requirements.
What is the practical answer for reviewers?
Assume that a digital review copy may be individually traceable unless the publisher explicitly says otherwise. Do not forward the file, upload it to a shared drive, leave it in an unsecured inbox, or let others use the account issued to you.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errors- Keep the file in the location and format supplied.
- Use a unique password and multifactor authentication when offered.
- Report a lost device, compromised account, or accidental forwarding promptly.
- Do not remove visible notices or attempt to strip hidden metadata or watermarks.
- Ask the publisher how long access logs and personal data are retained if the policy is unclear.
These practices protect the reviewer as well as the publisher: a documented account compromise or prompt incident report can explain why a watermark points to a reviewer’s copy even when that reviewer did not release it.
What should a publisher say when a watermark points to a reviewer?
Use measured language: “The recovered watermark corresponds to the copy assigned to [recipient or account].” Then state what additional records show, what remains uncertain, and what containment steps have been taken.
Avoid saying “the watermark proves that the reviewer leaked the book” unless independent evidence establishes that fact. The distinction protects due process, preserves credibility with reviewers, and reflects what the technology actually measures.
How we should understand the bottom line
Publishers can often identify the recipient, account, or distribution path behind a leaked review copy when they prepared unique watermarked copies and retained usable logs. They cannot reliably identify a person from an identical unmarked attachment, and even a strong forensic match normally identifies the assigned copy rather than the human who released it. Watermarking is therefore best treated as one layer in a controlled-delivery, evidence-preservation, and legal-response process—not as a standalone accusation engine.
Frequently Asked Questions
Do advance reading copies always contain a hidden watermark?
No. Some publishers use visible or invisible recipient-specific marks, while others send identical files or rely only on contractual controls. The presence and type of marking can differ by title, format, distribution platform, and recipient group.
Can a publisher trace an EPUB after it is converted to another format?
It may be possible if the watermark survives the conversion and the detector supports the resulting format, but conversion can remove or damage the signal. The publisher needs a reference copy and records showing which version was delivered before drawing a conclusion.
What if my review-copy account was hacked?
Tell the publisher promptly, preserve security alerts and password-reset messages, and secure the account and device. Those records can provide an alternative custody explanation when a watermark points to your account.
Can a publisher identify someone who leaked only a quotation?
Usually not from the quotation alone. If the excerpt contains a surviving watermark or can be matched to a uniquely marked page image, it may provide a lead; retyped text, transcription, or a paraphrase generally removes that signal.
