The best free CRM for a small RevOps service is the one whose user, record, automation, integration, reporting, and account-retention limits match a client’s actual workflow. HubSpot’s free tools allow up to two users, 1,000 contacts, and 1,000 records across other standard object types with no time limit; Salesforce Free Suite provides two user licenses but requires a login at least every 60 days; Zoho CRM’s free edition supports three users and 5,000 API calls per day. Those differences matter more than a generic “best” label. Build the service around understanding how a client acquires and converts customers, configuring the CRM to mirror that process, importing clean data, and maintaining records and reports that people will actually use.
What does a RevOps service need a CRM to do?
A CRM should be the shared operating record for customer information, leads, deals, follow-up activity, handoffs, and a small set of management reports. A RevOps service is valuable when it turns a client’s real process into that usable system—not when it merely creates an account and adds fields.
- Customer records: Keep contacts, companies or accounts, and relevant notes in one place.
- Lead and deal tracking: Show where a prospect entered, who owns the next action, and which stage represents genuine progress.
- Activity history: Record calls, meetings, emails, tasks, and outcomes so work does not depend on one person’s inbox.
- Handoffs: Make the transition from marketing or sales to delivery and support explicit, with an owner and completion criteria.
- Basic reporting: Give the team a reliable view of open work, conversion, aging, and follow-up without pretending that a free plan is a complete analytics platform.
Start with the client’s workflow. Ask how a lead arrives, who qualifies it, what event moves it to the next stage, who owns follow-up, and what counts as a completed sale or handoff. Only then should you select software or design fields.
How should you compare the best free CRM software?
Compare published constraints rather than feature-count marketing. A two-person consultancy with a modest contact list has a different “best” choice from a three-person team that needs API automation or a growing database.

| Decision criterion | Why it matters to a RevOps service | Questions to answer before setup |
|---|---|---|
| Users | Free plans often limit seats, so a client can outgrow the plan before its process is mature. | How many people need to edit records, and who only needs reports or visibility? |
| Database capacity | Contact and object caps determine whether an import or ongoing lead flow will fit. | How many contacts, companies, deals, and cases exist now, and how fast will they grow? |
| Automation | Reminders and simple workflows reduce manual work, but plan-specific limits can change the design. | Which actions must happen automatically, and which can remain a documented manual checklist? |
| Integrations and API | Connections to email, forms, accounting, support, or internal tools determine whether data stays synchronized. | Does the client need native connections, an API, or only CSV import and export? |
| Reporting | Reports must answer the operating questions the service has agreed to manage. | Can the free edition show the required pipeline, activity, and conversion views? |
| Account conditions | A free account may have retention or activity requirements beyond price. | Is there a login cadence, regional restriction, or other condition the client can maintain? |
The vendor pages below describe capabilities and limits; they do not establish a universal winner or independent performance ranking. Recheck the linked pages immediately before onboarding because free-plan packaging is volatile.
What does HubSpot’s free CRM provide?
HubSpot states that its free tools support up to 2 users, 1,000 contacts, and 1,000 records across other standard object types per account, with no time limit for free access. Its pricing information also describes foundational CRM tools, connected email integrations, and CRM/data-import capabilities. See the current details at HubSpot’s CRM pricing page.
When is that allowance a practical fit?
It can suit a founder-led or two-person operation that wants a shared contact and pipeline record and expects to remain below the stated caps. During discovery, count imported contacts and each standard object type separately; a list that looks small in a spreadsheet may exceed a cap after duplicates, companies, deals, or other records are created.
Recommended Free Tools
What should you monitor?
- Two users may require a clear ownership model if more people participate in qualification or delivery.
- The 1,000-contact and 1,000-other-record limits should be written into the client’s growth plan.
- Confirm that the email connection and import path support the client’s actual sources before promising synchronization.
What does Salesforce Free Suite include?
Salesforce lists Free Suite at $0 with 2 user licenses. The vendor describes lead, opportunity, and customer-case management, simple email marketing, and connected Slack conversations. Its FAQ says continued free access requires logging in at least once every 60 days. Review the current terms at Salesforce Free CRM.
Which clients may prefer it?
It is a candidate when a two-person team needs the concepts of leads, opportunities, and cases in one environment and can maintain the 60-day login condition. Make that condition part of the handover checklist: assign an owner, set a recurring calendar reminder, and document what to do if access is interrupted.
What is not established by the free listing?
The page does not prove that every client’s preferred integration, automation depth, storage need, or reporting design fits the free suite. Validate those requirements in a short configuration test rather than inferring them from the presence of a feature name.

What does Zoho CRM’s free edition provide?
Zoho lists its CRM free for 3 users. The free edition includes contact management, follow-up reminders, workflow automation, tasks, meetings, calls, standard reports, mobile apps, and 5,000 API calls per day. The published edition and pricing details are at Zoho CRM pricing and editions.
When do the workflow and API details matter?
Three seats can cover a small owner-plus-operators team, while reminders and basic workflows can make a documented follow-up process easier to execute. The daily API allowance is relevant if the client plans to connect a form, internal database, or reporting process; estimate expected calls before committing to an integration.
What should you verify before importing?
Confirm how the client’s existing spreadsheet columns map to contacts, accounts, deals, activities, and any required custom fields. Standard reports may be sufficient for an initial service, but the source does not provide comparative reporting quality or guarantee that a particular metric can be configured exactly as the client wants.
Which free CRM should a small RevOps service choose?
Choose by constraint, not reputation. The following questions turn the published allowances into a defensible selection conversation.
| If the client’s priority is… | Start by evaluating… | Reason and check |
|---|---|---|
| Two users, a modest database, and no expiration stated | HubSpot free tools | Check the 1,000-contact and 1,000-other-record caps against the import and growth forecast. |
| Lead, opportunity, and case concepts for two operators | Salesforce Free Suite | Confirm the required features fit the free suite and that someone will log in at least every 60 days. |
| Three users, reminders, workflows, mobile access, or API use | Zoho CRM free edition | Estimate record growth and API calls; verify that standard reports answer the agreed operating questions. |
This is a starting point, not a ranking. If none of the free editions can hold the client’s users, records, integrations, or reporting requirements, explain the upgrade trigger or evaluate a different platform rather than forcing the process into an unsuitable plan.

How do you build the RevOps service step by step?
A repeatable engagement separates discovery, design, implementation, and operating discipline. Keep the first release small enough that the client can use it every day.

- Document the current workflow. Draw the path from lead entry to qualification, opportunity, sale, delivery handoff, and support. Name the owner, required information, and next action at each point.
- Set measurable boundaries. Record the number of users, current contacts and other records, expected monthly additions, required integrations, automation needs, and reports. Include any account-retention condition, such as Salesforce’s 60-day login requirement.
- Select the edition. Compare those constraints with the vendor-stated allowances. Save the relevant plan URL and date in the client’s implementation notes so a later plan change is visible.
- Define the minimum data model. Decide which objects represent people, organizations, leads, opportunities, cases, activities, and products or services. Avoid creating a field merely because the CRM offers it.
- Design stages around observable progress. For every pipeline stage, write an entry condition, an exit condition, an owner, and the required next action. “Interested” is not a useful stage unless the team can decide consistently when a record qualifies.
- Clean and map source data. Export the client’s spreadsheets and other lists, remove duplicates, normalize email addresses and phone numbers, identify missing owners, and map each column before importing. Keep an untouched backup.
- Configure and test. Create fields, pipelines, permissions, reminders, templates, and integrations in a testable order. Use sample records to verify that a lead can become an opportunity, activities appear in the timeline, and a handoff retains ownership and context.
- Train by scenario. Demonstrate the exact actions for a new lead, a follow-up, a lost opportunity, a won sale, and a handoff. Give users a one-page definition of each stage and required field.
- Launch with a review date. Check data quality, overdue tasks, duplicate creation, and report usefulness after the first operating cycle. Change the process only when evidence shows a real failure; uncontrolled customization quickly recreates the original spreadsheet problem.
What data model should the first CRM release use?
Use the smallest model that supports ownership, follow-up, and reporting. A typical initial design looks like this:
| Record or field group | Minimum contents | Quality rule |
|---|---|---|
| Contact | Name, work email, phone when relevant, organization, role, owner, source, consent or communication status where applicable | One person per record; use a stable email or approved identifier to detect duplicates. |
| Organization/account | Name, domain, segment, owner, customer status | Standardize naming so multiple contacts link to one organization. |
| Lead or opportunity | Value or expected outcome, source, owner, stage, close target, next step, last activity | Every open record has one owner and one dated next action. |
| Activity | Type, date, participants, outcome, follow-up task | Write an outcome, not just “contacted.” |
| Handoff or case | Customer, scope, promised date, receiving owner, status, unresolved risks | Do not mark complete until the receiving owner accepts it. |
Map the design to the selected CRM’s native records where possible. HubSpot, Salesforce, and Zoho each describe CRM records or data-import capabilities on their linked vendor pages, but the pages do not prescribe one universal schema.
Which reports should a small RevOps service deliver?
Agree on a small reporting set that reflects the service’s operating goals. More dashboards do not compensate for inconsistent stage definitions or missing activities.

- Source view: Leads or opportunities by origin, provided the source field is populated consistently.
- Handoff status: Won work awaiting acceptance, in delivery, blocked, or completed.
HubSpot’s and Zoho’s pages establish reporting as an available capability, and Salesforce describes pipeline and customer records, but the sources do not compare reporting quality or prove that any particular metric is universally best. Define each metric in plain language, record its date range, and show users how the underlying records produce the number.
How should you manage free-plan limits as a client grows?
Make capacity a recurring operating check, not a surprise at renewal. Review user count, contacts, other records, automation volume, API usage, integrations, and report requirements at an agreed interval.
What are the usual upgrade triggers?
- A new employee or contractor needs editing access beyond the free seat allowance.
- Contact or object counts approach the vendor’s stated cap, leaving no safe room for imports or normal growth.
- Required automation, permissions, history, storage, or integrations are unavailable in the free edition.
- API demand exceeds the documented allowance, as could happen with Zoho’s 5,000 calls per day.
- The team cannot satisfy an account condition, such as Salesforce’s requirement to log in at least every 60 days.
When a trigger appears, present options: clean and archive obsolete data, redesign a process, add paid capacity, or migrate with a documented export. Do not promise that a free tier will support every business indefinitely.

What are the common RevOps CRM implementation mistakes?
Choosing before understanding the process
A familiar brand cannot fix an undefined handoff. If the client cannot explain who owns a lead or what makes an opportunity real, resolve that ambiguity before configuring stages.
Crashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minutePC Slower Than It Used to Be?
A free scan shows the junk files, broken settings and background clutter dragging Windows down - then fixes them in one click.Free scan · Windows 10 & 11Importing a dirty spreadsheet
Duplicates and inconsistent values contaminate every later report. Profile the source, create a mapping sheet, test a small batch, and retain a rollback copy before the full import.
Overbuilding the first version
Do not reproduce every historical column or create a separate stage for every exception. Start with fields required for ownership, next action, qualification, value, and reporting; add a field only when a repeated decision needs it.
Ignoring account conditions
A nominally free account can still have usage requirements or practical caps. Put those conditions in the client’s operating calendar and onboarding documentation.
Reporting numbers without definitions
“Conversion rate” can mean several different intervals and populations. State the numerator, denominator, stage dates, owner rules, and reporting period so the client can reproduce the result.

Every CRM needs an owner for duplicate review, inactive records, field definitions, user access, and plan-limit checks. Include that responsibility in the service scope rather than treating it as an invisible favor.

What can you offer as paid CRM implementation services?
A defensible service package focuses on work the client cannot or does not want to organize alone:
- RevOps setup: Workflow discovery, lifecycle definitions, pipeline design, ownership rules, and a documented operating guide.
- CRM data migration: Data profiling, deduplication, field mapping, staged import, validation, and a retained backup.
- Configuration: Fields, views, reminders, simple workflows, permissions, templates, and agreed integrations.
- Reporting setup: A small dashboard set with metric definitions and a review cadence.
- Enablement and support: Scenario-based training, office hours, data-quality checks, and a plan-limit review.
These are implementation and operating services, not evidence of a vendor partner, affiliate, or endorsement relationship. Price the work according to discovery complexity, data condition, number of users, integration risk, and the maintenance cadence you can actually deliver.
What is the practical verdict for a new RevOps service?
Use the free edition that satisfies the client’s constraints with the least process compromise. HubSpot is bounded by two users and 1,000-contact/1,000-other-record allowances but states no time limit; Salesforce Free Suite supplies two licenses and lead, opportunity, and case concepts with a 60-day login condition; Zoho offers three users plus reminders, workflows, mobile apps, standard reports, and 5,000 API calls per day. None is established here as universally best. Your service earns its value by translating a client’s workflow into clean records, explicit ownership, useful follow-up, and reports that remain trustworthy as the account grows.
Frequently Asked Questions
Can a one-person RevOps consultant run a client’s CRM on a free plan?
Yes, if the client’s required users and records fit the chosen edition and the consultant has an agreed access and ownership model. Keep client-owned credentials and document who is responsible for plan conditions, exports, and continuity if the engagement ends.
How often should a small business review CRM data quality?
A weekly light check for duplicates, missing owners, and overdue next actions catches problems early. Add a deeper monthly review of stage definitions, inactive records, imports, and plan capacity, with the exact cadence adjusted to lead volume.
Should a RevOps service migrate every historical CRM record?
Not automatically. Retain records needed for legal, customer-service, or analytical reasons, but archive or exclude obsolete and duplicate data when the client approves the policy; unnecessary history consumes capacity and reduces trust in current views.
What should happen when a free CRM no longer fits?
Document the specific constraint—seats, records, automation, API calls, reporting, or account condition—then compare cleaning, redesign, upgrading, or migrating. Export a verified backup and test the replacement mapping before changing the live process.
